We are looking for a dynamic individual to take on the day-to-day running of the Digital Champions project and network. Digital Champions are volunteers who inspire and motivate others to get online, while encouraging and supporting them to develop their digital skills and confidence. As the project continues to evolve, there will be an increased focus on Digital Champions placed in local health care settings across the borough. Digital Champions will operate at local community venues including Community Pharmacies, Phlebotomy clinics, and at community events, with a strong focus on NHS App promotion to Bexley residents. This is an opportunity to be at the centre of an exciting, innovative partnership project, working closely with the statutory and voluntary sector partners in taking the scheme into a new phase of development. Key Duties:

• To be the first point of contact for the existing network of Digital Champions in the borough, and support organisations to recruit, onboard and manage new Digital Champions.
• To directly manage a pool of Digital Champions under BVSC and lead on recruitment, onboarding, and training.
• To organise regular online and face-to-face meetings for Digital Champions.
• To develop and implement a communications plan that raises awareness of the Digital Champions Network in Bexley and of the challenges and opportunities digital inclusion presents.
• To explore new opportunities with partners and the sector more broadly in a way that aims to expand the digital champions project and create a more digitally inclusive culture for Bexley residents.
• To organise regular events, training and information sessions for Digital Champions based on needs.
• To collect data and write reports on the project for presentation to partnership committees and health and wellbeing boards.
• To represent Bexley Digital Champions at London-wide and national forums and conferences.
• Attend staff meetings, supervision and training as required.
• Identify, report, and monitor any safeguarding concerns in accordance with the latest local procedures relating to the appropriate service.
• To comply with, and share responsibility for ensuring the implementation of, BVSC policies and procedures and key legislation such as GDPR and Safeguarding.
• Undertake any other duties that may reasonably be assigned from time-to-time including travel throughout the borough to attend events, answer phone enquiries, occasionally on evenings/weekends, meet with volunteers and organisations.
• To support the Volunteer Centre on an adhoc basis with events, phone line queries and other general activities.

These are the normal duties which are required of the position; however, we do require that all staff be flexible and may be required to perform other duties to ensure the efficient running of services. 

Please note that the base for this role is Engine House, Bexley, and will involve regular travel throughout the London Borough of Bexley.

Our client Peter Bedford Housing Association is a housing association with charitable aims that create positive change in people’s lives. The role:

This part time (0.6FTE) post is located within the core services Team, and reports to the CEO. The postholder works closely across the organisation to deliver an efficient Office management, Reception and basic HR service to all managers and staff.

Aims of the post

• To manage the office, coordinating volunteers to provide reception and administrative services. 

• To coordinate and procure office and IT equipment.

• To carry out HR administration tasks acting as a first point of contact for managers and staff.

Specific Responsibilities

Office management

• Dealing with customer & external queries and disputes dealing with in bound and out bound communication, such as hybrid mail, post, phone calls and customer satisfaction surveys. 

• Organise Reception rota and cover, enabling opening hours to be fully resourced. 

• Dealing with petty cash.

• Managing phone and IT systems, contributing to new projects and upgrades.

• Ordering and facilitating meeting refreshments. 

• Promote and manage booking of rooms. 

• Manage all hardware e.g. laptops, phones etc and ordering office consumables.

• Managing small budgets and checking expenditure.

• Ensuring all new staff are set up with correct equipment and IT access e.g. laptops, phones, keys etc with good records kept.

Volunteer and Placement development

• Day to day supervision of customer services volunteers and placements.

• Recruit and plan for volunteers and placements, including contributing to individual learning plans and reviewing progress. 

HR administration

• Investment in staff - To be an impartial point of contact for employees and volunteers seeking HR advice if their line manager is not able to assist, signposting them as appropriate to other sources of advice and assistance. 

• Employment contracts and Consulting employees - To provide administrative support when consulting on Terms and Conditions, investigating Disciplinary and Grievances and any other related matters. To support the CEO to coordinate working groups across employees and volunteers. To administer staff surveys. 

• DBS checks - To undertake renewal DBS checks for all employees and volunteers and make recommendations as necessary to managers. 

• Managing information - To ensure good quality and accurate HR information management for all employees and volunteers with due regard to confidentiality and document control. To maintain electronic files and enable colleagues to make the best use of the HR database, Breathe HR. To facilitate references for former employees in partnership with managers and the CEO. 

• Payroll - To collate information, draft and seek authorisation of payroll changes in partnership with the CEO and Director of Finance. To support the annual pay review. 

• Recruitment - To coordinate recruitment processes in partnership with the recruiting manager. This includes liaising with the recruitment agency. 

• Learning and Development - To coordinate training suppliers and place bookings for courses in consultation with the CEO. To contribute to coordinating the annual Staff and Volunteer conference. 

Customer focused services

• Promote and support tenants/participants to access PBHA’s participation and co-production opportunities.

• Be supportive of PBHA’s ethos of maximising tenant/participant influence over the development of the organisation.

• To positively promote and signpost tenants and participants to report complaints in line with PBHA’s practice. To have a collaborative and co-operative approach towards resolving complaints, working with colleagues across teams and departments. To take collective responsibility for any shortfalls identified through complaints.

General Responsibilities

• Participate in key meetings.

• Contribute to policy development, income generation, strategic and annual planning, corporate and cross-team activities, external partnerships and promotional activities as required.

• Promote, develop and support PBHA’s ethos, values and impact.

• Provide cover for other managers and workers.

All staff are expected to:

Main Conditions of Service

This is a part time position. The post is for 22.5 hours per week. It is expected that the hours will be delivered on 3 full days (to be agreed) each week but alternative arrangements, ie 4.5 hours per day for 5 days, may be acceptable. Duties will occasionally be carried out over evenings and some public holidays. Overtime is not paid but in line with Agile working, hours can be averaged out over a 2-week period.

Annual leave entitlement is 26 days per year plus normal bank holidays pro rata. This will rise after each completed year of service to a maximum of 30 days – pro rata.  

Salaries and expenses are based on PBHA’s salary scales and are revised each year. The salary for this post will be in the range of £35,692 pro rata per annum and the starting salary is £35,692 (£21,415 for 22.5 hours per week).

The post holder will be auto enrolled to be a member of the organisation's contributory pension scheme if eligible.

In common with all posts at PBHA, confirmation of appointment is subject to a probationary period (6 months). The notice period for this role is four weeks.

Duties and key responsibilities: 

Office Maintenance

• Oversee the general maintenance of the office.
• Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.

• Organise travel and accommodation bookings across the whole charity including fundraising events.

• Provide meeting room management, including bookings and catering.

We have an exciting opportunity for an experienced Executive Assistant to join the Executive department of Samaritan’s Purse International (SPI) and the Billy Graham Evangelistic Association (BGEA), supporting the Executive Director (ED) and wider Senior Management Team (SMT). The role is part time (21 hours per week) and based from our head office in Coventry.

The post holder will need to have meticulous attention to detail, be highly organised and have excellent administrative skills. A key aspect of the role is building collaborative relationships internally and externally. Proven experience working at Executive Director level is essential.

Duties will include:

• Providing full administrative and secretarial service to the ED and SMT
• Providing administrative support to the Board members of SP and BGEA
• Building of relationships both internally and externally
• Manage and maintain electronic diary accurately, liaise with the ED and SMT to input and manage appointments
• Undertake general administrative duties as requested by the ED and SMT
• Organise meetings/conferences/special events, provide agendas/directions to attendees. This to include all ED meetings and SMT strategic and tactical meetings.

This role plays a central role in the development and implementation of projects and partnerships at Action Hampshire. Your main focus will be to support the development and overseeing the mobilisation and delivery of new engagement projects. The British Association of Art Therapists (BAAT) is a national professional body that works to promote art therapy and raise professional standards in the UK. They work to promote a better understanding of the benefits Art Therapy can have for people’s wellbeing and mental health across all communities.

Reporting directly to the Chief Executive, the new Executive Assistant will provide support to the CEO to help plan their workload and operate more effectively. The postholder will help to establish and develop the EA role, facilitating the setup of efficient processes and systems. The successful candidate will support with day-to-day administrative tasks, including diary management (including preparation and travel arrangements) and acting as the main point of contact for key Chief Executive relationships.

To be successful, you will be an experienced Executive Assistant, with excellent administrative skills, and knowledge of working in a smaller organisation. You will be a flexible and energetic candidate, with an ability to develop and solidify effective systems and processes in a new role. You will have excellent organisation, able to manage to timescales and reprioritise diaries when needed. Community Support Worker

We are looking for a very motivated and able Community Support Worker to support the Community Connections Team to meet the relevant requirements of the Community Connections contract.

The Role

The Community Support Worker will be required to work alongside the full-time area Co-ordinators to support activities and groups and carry out one-to-one initial appointments for people residing in Surrey.

This will involve attending some groups in venues across the Surrey Downs area, to assist in the facilitation of groups to ensure they run safely and meet the needs of the clients.

The role will also involve supporting the full-time co-ordinators to complete initial appointments with new clients, including the completion of recovery stars and plans and updating client records.

Key responsibilities include:

• To support groups, courses and activities and work with the Community Connections Team to produce a quality service.
• Supporting the full-time co-ordinators to complete initial appointments with new clients, including the completion of recovery stars and plans and updating client records.
• To support the area co-ordinators in maintaining contact with those using the service via differing methods.
• To work with the area co-ordinators to contact clients who are not currently engaging to ascertain their current needs and update records accordingly.
• To be able to assess risk on a daily basis and react accordingly.
• To motivate people attending groups, activities, and one-to-one sessions.
• To promote “if you don’t do it, it doesn’t happen” attitude.
• To work with volunteers helping out with groups and activities.
• To work with the team of professionals and communicate well with colleagues working from different locations.
• To maintain databases and undertake any other administrative duties.
• To work collaboratively with other departments.
• About You

You will have experience of working directly with vulnerable adults (preferably with mental ill-health)

You will also have:

• Experience of working within the health & social care sector.
• A demonstrable understanding of the needs of vulnerable groups.
• Knowledge of Mental Health sector and relating issues.
• Good communication skills (oral and written)
• Ability to work on own initiative as well as part of the team.
• IT literate in MS Office, Excel, Virtual Platforms, Social Media and Networks.

Please note: A driving licence is desirable, however candidates without a driving licence will be invited to demonstrate how they could fulfil the requirements of the role without one.

The charity is a mental health and emotional wellbeing charity, supporting Surrey residents since 1994 in Banstead, Elmbridge, Epsom & Ewell and Mole Valley.

Offering a variety of face-to-face and online services, available to adults (aged 16+) living in Surrey who would like to restore and/or maintain their mental and emotional wellbeing (no diagnosis needed). The services are free of charge, with no waiting list and no time limit.
