Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. There is now a requirement to ensure that the Finance and Resources team has the right skill set and capacity to provide the support needed by the charity in an efficient and proactive way.

The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. This is a key role which is instrumental in bringing the HR and organisational administration functions together at an operational level.

Reporting primarily to the Director of Finance and Resources and assisted by an external HR and Employment Law support service, this role will provide advice, guidance and support to all line managers in HR related matters whilst building and nurturing relationships with key stakeholders throughout all levels of the organisation.  This will include support to ensure the efficient and effective management, monitoring and reporting of people metrics, from recruitment, development, retention through to attrition and at all stages of the employee life cycle.

The role will also provide crucial executive support to the CEO and SLT of three Directors, to ensure the smooth operation of their responsibilities and co-ordinating efforts of various parties to ensure completion of key tasks and actions.

As part of an expanding and ambitious organisation, there are considerable development opportunities for the successful candidate and the ability to help shape the infrastructure of the charity.

About you:

You will have at least 3 years’ experience of delivering HR support directly and facilitating line managers to deliver HR support.  You will have a demonstrable understanding of employment law and the practical application of this, with experience of implementing HR administration and operational best practice for example, in the areas of recruitment, capability and performance management. You will help lead in creating an atmosphere of trust and an enabling environment where staff can contribute their best and develop their potential, which is critical for Day One as a young organisation.

You will have significant experience of providing proactive and responsive administrative assistance to senior staff and demonstrable experience of developing and managing effective administrative systems.  Additionally, the ability to build and maintain trusted relationships through professional engagement and communication skills, both written and spoken, that are effective, empathetic and adaptable to different situations are key to this role.

You will be highly organised and responsive to others in a way that is both timely and professional with well-developed time management skills to manage competing priorities, ensure follow up of actions and meet deadlines whilst working under pressure. A high level of accuracy and attention to detail is critical to this role, whilst maintaining strict confidentiality.

We’re looking for someone who has a good working knowledge of database systems and who understands their importance to organisations like Al-Khair Foundation. We seek someone who is naturally process-driven and has a great eye for detail. You will be responsible for specific monthly processes, such as organisation income reconciliation and ongoing data uploads and cleansing for the Fundraising teams. You will also become a champion for Salesforce and understand the importance of CRM to help Al-Khair Foundation achieve our goals and provide a better service to our donors, supporters, and participants.

Your Role

Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.

You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.

Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.

Your Responsibilities

• Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.
• Supporting the Fundraising teams with their monthly income recording and reconciliation.
• Liaising with external agencies and the Finance team.
• Checking for and correcting inaccuracies and updating supporter records.
• Running reports for the Fundraising and Finance teams.
• Maintaining and carrying out regular database processes, including data cleansing.
• Supporting the Database Coordinator and the Senior Data Manager to encourage best-practice use of the database across the organisation, including assisting with onboarding and new user training and being on hand for day-to-day technical support when the Database Coordinator is unavailable.
• Working with external partners (i.e., telemarketing agencies) to ensure the successful and smooth transition of data onto the database.
• Spotting and reporting database glitches and problems.
• Supporting with the ticketing system as a second point of contact in the Database team.
• Contributing to creating a culture committed to the safeguarding of children and adults and compliant with Al-Khair Foundation’s Child Safeguarding and Adults at Risk Policies.

Who You Are

To be successful, you will be:

• Someone who has experience using a Salesforce database to carry out day-to-day tasks and who understands their importance for organisations such as Al-Khair Foundation. Charity/NGO experience would be an advantage.
• Someone with excellent attention to detail and good numeracy skills.
• A great communicator who can manage a variety of stakeholder requirements and resolve requests in a timely and accurate manner.
• Able to organise your time and own workload effectively and able to work to deadlines in a busy environment.
• Able to learn new processes and systems swiftly and diligently.

• Experienced in carrying out administrative tasks and processes in an office setting, with good knowledge of Microsoft Office, especially Excel.

Strategy
• Deliver on the ICA’s vision and mission, the L&E strategy, audience development targets, increasing reach to work with diverse audiences, working to team targets and SMART objectives. Promote equality and inclusivity in all aspects of work.

Programme delivery

• Developing programme that is responsive to the artistic programme and audience need.

Finance Management
• Manage the project budget ensuring both quality control and good value for money, including authorising expenditure via any payment method, tracking all transactions, and tracking actual, committed, and forecast (uncommitted) costs. With oversight from Head of L&E.
• Track income, request sales invoices, and submit a third-party audit trail for all income received.
• Reconcile project budgets and cashflow to our accounting system monthly, in collaboration with the Finance Manager.

Comms & Marketing
• Work to maintain the profile of ICA and our projects.
• Work with the Communications Team to plan and deliver communication and participant recruitment campaigns and implement appropriate strategic marketing for each project.
• Arrange photography and video documentation as necessary.
• Write copy in line with ICA guidelines to promote programme

General Administration
• Ensure all day-to-day project administration is carried out efficiently and appropriately.
• Maintain that all project activity and outcomes are carried out in line with ICA’s policies and procedures, including and not limited to insurance, liability, health & safety, safeguarding, privacy & data protection, access, equity, diversity, inclusion, safer spaces, and anti-racism.
• Work in a sustainable and environmentally conscious manner in the production and presentation of ICA programme.
• Maintaining data collection to contribute towards evaluation, tracking monitoring information to monitor impact.

KEY REQUIREMENTS:
• At least 5 years’ experience of working effectively as a producer in the cultural sector within a participation / learning / engagement context

The role

This role sits in our people team, supporting the charity by providing a professional, comprehensive and proactive recruitment service. To work closely with the HR advisors, the HR coordinator and as necessary, the HR and organisational development manager, to support recruitment and selection-based projects.

As the first point of contact for all recruitment related queries from recruiting managers and candidates, you’ll be responsible for uploading vacancies and supporting information onto our online advertising platforms and manage recruitment activity as a key user of our recruitment applicant tracking system (ATS). You’ll also ensure all our recruitment and selection literature, including adverts and job descriptions are correctly branded and formatted.

Haringey Migrant Support Centre is a community-based organisation, with over a decade of experience supporting migrants in Haringey and neighbouring boroughs.  We provide free and professional advice, casework, referrals and signposting on issues relating to immigration, housing and welfare. About the role

The London Library is looking for an Acquisitions and Discovery Assistant to assist in the acquisition and management of Library E-resources and print resources.

The role includes supporting the successful acquisition and seamless delivery of electronic resources to library users, utilising and maintaining relevant library systems and records; assisting purchasing decisions and supporting licensing, ordering and payment processes; verifying access, liaising with suppliers & Library IT, and ensuring correct metadata is presented to users; plus monitoring resource use and collecting data for the evaluation of subscriptions. There is the opportunity to support membership and services, including giving tours to prospective members.

In addition to assisting with the administration of E-books, the role requires processes associated with the management of the print journal collection, including serials and donated materials, such as checking in new issues and ensuring publications are shelved correctly, applying stamps, recording invoices, recording changes in publishers' information and preparing completed volumes of serial parts for binding and checking. 

There is potential to grow and develop the role, which will join our busy Acquisitions and Discovery team and assisting with administrative tasks associated with cataloguing along with supporting the Library’s internal Digitisation processes as required.

Flexible and adaptable, with an ability to get on with a wide variety of people, even under pressure, you will have proven experience of working in a Library environment and of basic clerical/administrative routines.

Working closely with the wider Wiltshire Team your key responsibilities will be: 

• To co-ordinate the delivery of group work programmes. 
• To facilitate and deliver group work programmes. 
• Assess participants’ suitability for programmes. 
• To monitor waiting lists, with a focus on risk management and safeguarding. 
• To support group facilitators to deliver programmes. 
• To lead on the development of new programmes . 
• To review current programmes and continue development as required.

Key responsibilities:  

• Act as the main point of contact regarding group-work provision.
• To ensure groups are monitored with consideration of outcomes, and support the Team Manager to pull data as requested. 
• To deliver group-work programmes both virtually and face-to-face. 
• To promptly assess all group referrals and manage waiting lists. 
• To undertake risk assessments and agree risk management / safety plans where required. 
• To provide support to group facilitators and feedback to their line managers where required. 
• Stay abreast of developments in best practice, legislative and other changes, and integrate them into day-to-day work and the development of strategies and plans. 
• To chair regular facilitator meetings, ensuring that minutes are taken and disseminated and that there is regular attendance by the workers. 
• To identify areas of training need and co-ordinate in-house training for the staff or signpost to appropriate providers.
• To make recommendations to Team Manager about the best use of resources. 
• Coordinate resources and activities to serve the needs of service users to ensure a seamless, co-ordinated response. 
• To analyse data generated and evaluate groups, producing verbal/written reports as required. 
• To support the on going develop of programmes offered.
• To work closely with other teams to ensure the best possible outcome for clients. 
• To prioritise client need by risk, vulnerability and safeguarding. 
• To ensure that accurate and appropriate notes are recorded after each group work session and any other contact with clients.

The District Administrator is the first port of call in the District office and acts as an essential point of contact for all 19 Circuits and their Churches within the District.

The District Administrator will work collaboratively with the Senior District Administrator and be proactive with good organisational skills.

The role will provide administration support in a number of areas to support the Senior District Administrator, with emails, setting up meetings, maintaining records and databases.

Main Responsibilities

• Responsible for incoming emails, telephone calls and meeting and greeting visitors.
• Accurate and effective use of information management systems including general office filing, electronic file management, scanning, archiving, databases, other electronic records, spreadsheets and hard copy paper records, regularly updating as required.
• Write and distribute email, correspondence memos, letters, and forms.
• Assist with maintaining and updating the District Directory and databases.
• Assist with the administration for representative and presbyteral synod.
• Managing and ordering office supplies and research new deals and suppliers
• Maintaining office equipment, i.e. photocopiers and printers for smooth office functionality
• Communicate meetings and agendas to attendees. Take minutes when required and arrange lunches and refreshments.
• Assist with the management of the District Zoom accounts.
• Any other duties and responsibilities identified by the Chair and the Senior District Administrator as are within the capabilities and level of responsibility of the role in order to meet the needs of the District.

You’ll spend your time:

• Supporting the team (including Directors and Deputy Directors) with diary management, travel arrangements, accommodation, conference registrations, and expense claims.
• Organising and supporting relevant internal and external meetings, including a regular programme of lunch time learning sessions.
• Providing administrative support for research and policy project work, including proofreading, collating, data entry and maintaining electronic files as required.
• Working with other operational team members to provide general support across the Nuffield Trust.
