To support the Sports Events team with administrational duties, ensuring our fundraisers receive the best supporter experience possible, keeping accurate records and project managing small fundraising events. 

Tinnitus UK is the only registered charity in the UK supporting the one in seven adults who have tinnitus!  The charity has recently renamed and rebranded.  All part of the ambitious plans fo the charity to raise its profile and relevance even further, to reach and help more people than ever.  We are looking for a Fundraising and Events Administrator to provide administrative and operational support to the Fundraising Managers (Corporate, Major Donor, Legacy, Individual Membership, Trusts & Foundations) and to the Head of Services by administering donor and supporter records and assisting with events and general operational duties.

Main Responsibilities

Fundraising General (65%)

• Organizing and maintaining membership and donation data in the CRM database (Donorfy)
• First point of contact for supporter enquiries (email/phone)
• Taking telephone donations when required
• Flagging contact/donations to relevant team members
• Printing and posting thank you letters for offline donors

Events (20%)

• Monitor the events@inbox
• Monitor event bookings and process invoices as required
• Liaise with speakers, attendees and sponsors as appropriate

• Ensure website and Eventbrite accurately reflect current and coming events are upto date including event details.

General (10%)

• Monitor Tinnitus UK email info@ inbox responding to emails or directing to colleagues as necessary
• Stationery and mailroom stock checks and replenishing of stock as required
• Assist the Office Manager with office administrative tasks
• Work across the Tinnitus UK team and assist in all areas of work
• Attend internal and external meetings, events and training
• Assist the office manager with bookings of meetings/conference venues for Trustee Board and other meetings/training days
• Organise travel and accommodation as and when required
• Undertake training (In-house and external) as required
• Be flexible and carry out associated duties that may arise, develop, or be assigned in line with the broad remit of the post

Stewardship (5%)

• Provide a basic level of stewardship to event fundraisers - (thanking, providing publicity materials, passing stories to communications colleagues)
• Administering JustGiving and other fundraising platforms

PERSON SPECIFICATION

Essential

• Good basic education to GCSE standard or equivalent (GCSE grade C or equivalent in Maths and English)
• Entitled to live and work in the UK
• Experience of database administration (CRM desirable)
• Fundraising admin and stewardship
• Events admin and support
• Handling phone, digital and postal enquiries
• Experience of using a number of different IT systems including Microsoft Office 365 - such as Outlook, Teams, Excel, Word & Powerpoint

About the Role 

The Events Fundraiser will support the charity’s aim to provide all life-limited children, their families, and carers, within their hospice, emotional support through the power and pleasure of nature. The post holder will be responsible for generating income through the management of a range of fundraising events, as well as supporting individuals organising their own fundraising activities within their community and/or corporate environment. 

You will ensure efficient event management and administration as well as provide excellent supporter care. 

The Event Fundraiser will:

• Project manage a range of events, including planning, marketing, and supporter stewardship, through to event delivery and evaluation. 
• Effectively manage internal and external stakeholders to deliver and schedule events, on time, within budget, meeting fundraising goals. 
• Deliver exceptional supporter care to those who support the work of the charity. 
• Plan and deliver events, including logistics, briefing of stakeholders and volunteers, compiling risk assessments and any other tasks relevant to ensuring an excellent supporter experience. 
• Ensure the supporter database is accurate and up to date, as well as follow all relevant financial processes to ensure event income and expenditure are accurately recorded. 
• Report fortnightly to the Director of Fundraising & Communications on agreed fundraising targets and activity. 
• Be responsible for ensuring relevant community and events pages, news, and forms on the Greenfingers website are accurate and up to date. 
• Work collaboratively with the team.
• Carry out any other duties as may be reasonably required.

Working as an integral part of the Fundraising & Communications Team, you will be:

At The Compassionate Friends (TCF) we are passionate about providing peer support to grieving parents and their families whose son or daughter has died at any age (from one month old to an adult) and from any cause. We offer this supprot through our network of over 300 dedicated volunteers who are themeselves bereaved parents or siblings. We are now seeking an Events & Community Fundraiser to join our small, but dedicated and hardworking, staff team to help us to develop our funding to continue his vital work. o   Taking ownership of community and events fundraising at The Compassionate Friends, including preparing an annual plan, and incorporating digital fundraising alongside traditional methods.

o   Managing a programme of community fundraising, including relationships with various community groups.

o Writing inspiring content for supporter communications, social media and website content

Events and Community Fundraising Coordinator

What the job involves

We’re looking an Events and Community Fundraising Coordinator to join our high performing Events and Community Team. The team are driven to maximise opportunities, we aim to reach ambitious targets and provide an excellent supporter experience.

Our team raise funds through a range of activities including:

• Our own events (e.g. March for Men)
• Virtual products (e.g. The Month Series)
• Third party events (e.g. London Marathon)
• Golf Days
• Helping community fundraisers who organise their own activity

You’ll be supporting our third-party events programme and be our first point of contact for our fundraisers. You'll provide admin support for our registration processes and support fundraisers through telephone, email, and social media channels. You’ll build and manage relationships with existing and new supporters. From registration to the end of their supporter journey you'll help motivate during challenges, offer fundraising advice and ensure thanks at the end of a first-class experience.

Whilst third party events will be your primary area of responsibility across different types of events, you’ll also get the chance to work across teams to provide support where needed during busy periods of activity.

This role works with data through maintaining our Raiser’s Edge database. You'll also update records on JustGiving and Enthuse. This requires accuracy and working under the requirements of GDPR.

You’ll also work with our Communications teams supports the planning and delivery of our activity. You'll help engage with our digital adverts and identify compelling supporter stories. This helps to raise the profile of our fundraising products, as well as prostate cancer and Prostate Cancer UK.

You’ll have the drive and eagerness to provide crucial support to our sector-leading programme of activity which generated £12.9M of income in 2023-24. This is a fantastic opportunity for someone early in their fundraising career to grow, develop and gain valuable skills and experience in a fundraising role within a progressive and innovative organisation. You’ll be part of a passionate and high energy team fighting to stop prostate cancer from being a killer.

You’ll make a positive and valuable contribution to the success of the Events and Community Fundraising team through excellent communication skills and being proactive in supporting our event participants. You’ll have a strong eye for detail, customer-centric mindset and will be able to prioritise a busy workload to ensure we are able to consistently deliver excellent supporter care. You’ll be self-motivated, well organised and have a ‘can-do’ approach to the role.

MAIN PURPOSE OF THE JOB

The role leads on the delivery of Bond’s corporate and CEO level events. This role is managed by the Head of Communications but also works with the corporate and marketing team, the Director of Membership and Communications and CEO. 

The primary focus of this role is to manage and deliver high-quality events for Bond’s corporate partners to help them reach their target audiences, and to deliver high level events for CEOs and senior leaders across our network to help provide senior leaders with the support and skills needed to provide effective and supportive leadership. 

MAIN RESPONSIBILITIES

1) Corporate events:

• Manage and deliver a range of events to fulfil contractual commitments with corporate partners.
• Ensure the successful execution of events, including hybrid and face-to-face components, across various locations including potential European venues.
• Collaborate with internal teams and external partners to deliver high-quality events that meet partner expectations and contribute to revenue generation.

2) CEO engagement events:

• Develop and implement a comprehensive program of events targeting CEOs and senior leaders within our network.
• Coordinate logistics, including speaker liaison, venue sourcing, and event planning for CEO events throughout the year.
• Work closely with senior management to align events with organisational goals and strategies outlined in Bond’s membership strategy.

3) Special projects:

• Coordinate special one-off projects and events as required by members or donors, ensuring alignment with organisational objectives.

4) General

• Ensure the successful delivery of Bond corporate and CEO events both online and in person, where appropriate.
• Ensure events logistics, including working with any contractors and with any external booking systems are successfully delivered.
• Develop and maintain the Bond corporate and CEO events schedule and ensure that project timelines are adhered to.
• Liaise with speakers and ensure that speakers are successfully briefed
• Support all digital content of uploading and editing sessions and speakers on the Bond website.
• Liaise and work with external event platforms for any major events.
• Scope and research venues and platforms and tools for in-person, online and hybrid events.
• Assist in-person and hybrid event providing support as and when required.
• Working with the Marketing and Membership Manager and Business Development Adviser, ensure that all events communications are delivered in a timely manner and that delegate queries are answered.
• Ensure the successful delivery, when required, of any post-event communications, including blogs and video, and ensure that each event is evaluated.
• Working with the corporate partnerships team, advise and support on the successful delivery of webinars.
• Identify and mitigate risks associated with event delivery, including changes in corporate needs or unexpected challenges.
• Ensure compliance with budgetary constraints and explore opportunities to optimise event-related expenditures.
• Maintain a portfolio of venues (both free and paid-for) that Bond can use when an in-person event is required. 
• Ensure that all events meet insurance, legal, and health and safety obligations. 

PERSON SPECIFICATION

The ideal candidate would:
• Have at least 2 years experience of events organisation and management in a similar or comparable setting

• Possess strong communication and interpersonal skills to build relationships with sponsors, event partners and participants.

• Be able to engage effectively with senior stakeholders and manage relationships with Bond’s network of members. 

• Have a good understanding of how events can generate income 

• Be entrepreneurial and flexible, with the ability to identify potential opportunities and partners.

• Be highly organised – able to plan, prioritise and deliver to tight timescales and to manage both strategic and reactive projects effectively. 

• Have a high degree of IT competence.

• Have an understanding of and commitment to the values and objectives of Bond
