JOB PURPOSE

The Office Administrator will undertake all administrative support duties, typing, creating letters/templates, maintaining all databases of contact and contractors, filing and responding and maintaining records to standard enquiries. The role also requires answering the phone and logging calls, checking voicemails, opening mail, creating Notices and populating the Notice Boards at regular intervals, ensuring the confidentiality of sensitive information and abiding by Goulden House Co-Operative Ltd GDPR regulations. 

MAIN DUTIES

• Resident engagement, taking and responding to residents’ calls, ensuring that all such engagement is documented on the Goulden House Resident Engagement Database
• Updating the Goulden House Registers (Risk Register, Complaints Register, Anti-Social Behaviour Register, Intercom Databases etc)
• Raise Works Orders and Purchase Orders and services on SAGE as per Estate Manager instruction
• Taking responsibility for the Approved Contractor List, ensuring that the contractor’s documentation is correct and current, i.e. Public Liability, relevant Health & Safety certification
• Liaise with contractors and organising repairs whilst ensuring compliance with the Goulden House Co-Operative Ltd Procurement Policy
• Issuing resident/visitor parking permits
• Monitor CCTV daily putting particular emphasis on fly-tippers
• Updating of Notice Boards across the site
• Inspecting the cleanliness of the Communal Areas twice weekly and signing off of the Cleaning Schedules which are placed in all of the Communal Areas, in the absence of the Estate Manager.  
• Estate walk around as required or in the Estate Manager’s absence
• To undertake such duties as are reasonably assigned to you from time to time by Estate Manager

 SERVICE DELIVERY

• To take a pro-active role in Health & Safety issues on the estate.
• To assist in ensuring the Co-operatives’ aims in relation to customer awareness are achieved.
• To promote a positive image through the development of good working relationships with tenants, lessees, committee members, contractors, Wandsworth Council staff and other agencies.

• The Office Administrator may be required to take on any other duties that may be reasonably expected of the position as advised by the Estate Manager

About the Role

As a Finance Assistant, you will be responsible for setting up and updating all property and resident accounts on the rental ledger system and for ensuring that rental income in correctly reflected on both the rent and finance systems on a timely basis.

You will work closely with project staff and housing benefit departments regarding rental income queries and ensure that rental income is received in accordance with the charity’s internal financial controls and all legal regulatory requirements are complied with. The role will involve some sales ledger work, under the supervision of the Rental Income Business Partner.

Some Key responsibilities include:

• Rental Ledger and rental collection

• Responsible for reviewing the rental income bank account and accurately reflecting all receipts onto the rental income system

• Identify any overpayments and request the necessary refunds

• Produce and send out monthly rent arrears and voids

Working Hours

Working on a rota basis means you will need to be flexible over a 7-day rota. Our service operates 24/7, however day shifts are either 08:00 – 15:30 or 14:30 – 22:00.  There will be the option to pick up nights on occasion, for which our night enhancement rates will apply.

About you

You will need a relevant background that includes experience of housing, homelessness and welfare benefits law and supporting people who are vulnerable and/or have multiple and complex needs. Through this you will have a good working knowledge of safeguarding frameworks. Proficiency using a range of IT tools to carry out your work, including Microsoft Office applications is important too. If you have experience of using case managements systems this is an advantage, but not essential. The role will need you to visit clients in their homes so you will need a valid driving licence and be willing to use your vehicle for work purposes - for which an essential car user allowance will be paid.

We specialise in emergency homelessness work, intensive support to children and families and people experiencing domestic abuse, and/or multiple disadvantage and have been providing housing advice and support to the people of Sheffield for over 20 years. We take a holistic approach to help people to deal with interrelated issues that can impact their ability to get and keep a home, so they can thrive within the community. akt is the UK’s national LGBTQ Youth Homelessness charity. We provide safe homes, mentoring, and support to ensure that no young person needs to choose between a safe home and being who they are. 24% of young people facing homelessness in the UK identify as LGBT (National Scoping of LGBT Youth Homelessness, akt, 2015) and 78% of LGBTQ+ young people cited an absence of family support (The LGBTQ+ Youth Homelessness Report, akt, 2021). The charity was founded in 1989 and operates service centres in London, Manchester, Newcastle, Bristol and works online through a Digital Service to offer support to young people outside of our four office regions. akt works with over 800 vulnerable young people a year providing both face to face and online assistance.

Overview

This is an exciting opportunity for a Housing Support Worker to join our new Supported Housing Scheme in Lambeth, an LGBTQ+ supported housing service with six units for young people aged 18-21 years. The service is due to open in late May 2025 and is part of a three-year funded joint project with Metropolitan Thames Valley Housing Association and Lambeth Council. The role is part of the Services team and is supervised by the Supported Housing Manager. Other members of the team include another part time Housing Support Worker and a part-time Youth Engagement Coordinator. 

Please note this is a part time vacancy working 17.5 hours per week. The pro rata salary for hours worked is £15,257.50 (£30,515 full time equivalent). Hours will be worked on a Week A / Week B rota basis, Monday to Sunday between 10am and 8pm. 

Job Summary 

In this role you will be responsible for supporting residents to reach their goals and aspirations and move on to independent living. This will involve:

• Supporting young people – building positive and affirming relationships, co-producing holistic strengths-based support plans, coaching and supporting young people with independent living skills and providing them with advice, guidance and support.
• Safeguarding and risk management – working in partnership with Social Services to support young people to keep themselves safe, attending strategy meetings and implementing associated action plans, creating and upkeeping evidence-based risk management plans.
• Service delivery and development – record keeping contributing to KPI tracking, contributing to the development of best practice around supporting LGBTQ+ young people across Lambeth, ensuring young people’s experiences and voices are centred with an emphasis on co-production.
• Partnership working – championing and prioritising residents’ intersectional needs, partnership work with young people and key partner agencies to support young people to achieve their goals.
• Case recording and information management – accurate and timely updating of records, maintaining high standards of safeguarding, protecting personal and confidential information.
• Property and Housing management – creating a safe, welcoming and psychologically informed home environment for young people, where their safety and wellbeing is at the centre of everything you do, and their LGBTQ+ identities are celebrated.

Also, you will participate in consultancy and mystery shopping as needed.

We are recruiting for an Assistant Shop Manager to join a busy and creative team in Hackney. You will join an exciting team and collaborate to build a group of volunteers from all walks of life, raising money to fund Crisis’ work ending homelessness. We are bold with a culture of continuous review and improvement, where we try new things, take risks, and sometimes fail. There will be numerous opportunities to improve our team’s effectiveness. Your voice will count!

We also work closely with local artists and universities. We’d love you to bring your own ideas, along with your experience of fashion, retail and current trends, to this role. You will have opportunities to build your own skills and career progression through training and development – many of our shop managers were promoted internally. Ensuring our recruitment practices are as equitable as possible is our number one priority so we are looking for someone who advocates for others and challenges injustice.

You will be primarily based in the Hackney shop, but you may be required to travel to other shops within London 1 & 2 on a short-term basis.

To be successful in this role you will have retail experience at a supervisory level alongside a genuine interest in charity retail. We are particularly interested in meeting candidates with an interest or background in visual merchandising, although this is not essential.
