This role will work closely with the Head of Support Services supporting our volunteers and wider community through a range of services and events.
You’ll work with our incredible volunteers to support others living with conditions and raise awareness and understanding of our work. You will recruit and support people to engage in volunteering in the way that best suits them.
Alongside this you will undertake administrative work to ensure the smooth running of Support Services, and deliver our flagship in person events.
You will report directly to the CEO and work closely day to day with the Head of Support Services. It’s an exciting role which offers the opportunity to develop a broad range of skills in a supportive, can-do, values led organization.
Role Description
Volunteers
o Working with the CEO and Head of Support Services develop and deliver the Volunteering Strategy for the organisation.
o Work to significantly increase the inclusivity of volunteers and the work done by volunteers.
o Oversee the recruitment of volunteers and ensure appropriate induction in collaboration with relevant staff.
o Deliver mandatory initial and ongoing training for volunteers.
o Working with colleagues, produce and keep up-to-date policies, processes and forms, ensuring volunteers understand and use these resources.
o Provide day-to-day support to volunteers, working closely with the Head of Support Services.
o Manage all volunteer programme communications in collaboration with the Communications Officer including: ebulletins, website, social media and print materials.
o Collect and process feedback and statistics and compile reports on satisfaction and effectiveness as required.
o Provide specific support for volunteering roles including;
Helpline and Telephone Buddies
o Support the transition of the helpline to a new scheme such as our telephone buddy scheme
o Support and review the telephone buddy scheme
o In conjunction with the Head of Support Services, support the implementation and ongoing management of a new Facebook support group
o Collate statistics on helpline calls and report on this monthly.
Local Support Groups
o Support the establishment of online condition specific and new regional groups.
o Undertake visits to Local Support Groups as appropriate.
o Working with the Finance and Operations Manager support the groups to use funds they have raised.
Other Volunteers
o Support Office volunteers in their day to day work, being the first point of contact and allocating tasks.
o Working with the Head of Support Services contribute to the development of the Lived Experience Committee.
o Working with the Head of Fundraising support and engage Ambassador and Fundraising volunteers.
Support Service Coordination
o Ensure the CRM system is up to date with all Support Services information.
o Ensure all statistics relating to Support Services are up to date.
o Ensure Support Services’ phone systems and booked calls are effectively and efficiently set up.
o Ensure accurate record of all research and surveys we are asked to engage in and follow up on outcomes of that research.
o Undertake any small administrative duties as required.
o Where required, provide support in managing the helpline emails.
Support Services Events
o Lead on the development and delivery of three one day conference style events annually. These will be held throughout the UK and will offer panel discussions and networking for our community.
o In partnership with the wider team, occasionally represent The Foundation by running information stands, coordinating volunteers and preparing information for external events such as industry conferences.
o Where appropriate attend and present at external meetings.
o Support the management and delivery of the portfolio of online and in person events delivered by the Pituitary Foundation in conjunction with the wider team.
Overview
The National Paralympic Heritage Trust (NPHT) has embarked on a new exciting five-year strategy – ‘Becoming Seamlessly Inclusive 2023-2028’. Role of the Company Administrator
The Administrator will be responsible for the key administration functions of the Trust; planning, directing, managing, and coordinating all operational functions including the office management, day to day finance records, events support and site maintenance.
1. Overall
1.1 To be part of the inspiring work of the National Paralympic Heritage Trust, supporting the wider team and often being the first line of contact to visitors and partners in person, online and via telephone.
1.2 Manage the provision of office services including the management of day to day finance and payments, staff rotas, stationary orders, supporting events and bookings and ensuring the smooth running of the office.
1.3 Organising the day-to-day maintenance of the Heritage Centre and the displays at the National Spinal Injuries Centre.
Main Duties
1.4 The management of office systems, operating practices, record keeping, policies and budget monitoring systems including supporting returns to funders, monthly invoicing records and payments.
1.5 Administration of training, Heritage Centre bookings, events and meetings, including organising catering when relevant.
1.6 Management of general correspondence, answering phone calls, managing the admin mailbox and processing post.
1.7 Oversight and coordination of environmental action plans.
1.8 Drafting, formatting, and printing of relevant documents for meetings as required.
1.9 Maintaining stock lists and ordering of office supplies as needed.
1.10 Coordinate agendas and take meeting notes for the Board of Trustees and the Finance and Development Committee.
1.11 Management of purchase orders and invoicing.
1.12 Photocopying and filing of appropriate documents as needed.
1.13 Maintaining databases, and the google drive.
1.14 Support processing of DBS checks for staff and volunteers as directed by the wider team.
1.15 Other
· To support communications, digital content and evaluation consultants.
· To support the commercial programme of work.
· Other project work as arises.
· To assist work placement trainees in areas where they require admin support.
2. Meetings and reporting
2.1 The Administrator will be employed by the National Paralympic Heritage Trust and be responsible to the Board of Trustees.
2.2 The Administrator will report to and be supported by the Head of Programmes.
2.3 The Administrator will have monthly meetings with the Head of Programmes, reporting on progress and raising any areas of concern.

4.1 The proposed fee is £25,000 a year Pro rata 3 days a week (24 hours).
4.2 In addition to the payment outlined above the Administrator will be paid reasonable agreed expenses incurred subject to the supply of receipts/travel expense claim and a stakeholder pension.

Insurance is covered by the NPHT.

Colostomy UK is a national charity that offers support and advice to people who have had stoma surgery (ostomates) and to their friends, families and carers. Our projects empower ostomates to return to sports, hobbies and other activities after their surgery and give them the confidence to take on fresh challenges. As the Volunteers and Support Administrator you will provide efficient administration to our support services and volunteer team. You will be answering and re-directing incoming calls on our stoma helpline. You will action calls that come through on our admin line and manage our central email inbox, ensuring requests are actioned promptly. You will organise volunteer rotas, help with onboarding our volunteers and organise incoming and outgoing post. The postholder will take minutes at meetings, ensure the office is kept tidy and co-ordinate stock delivery for events and exhibitions.

The ideal candidate for this position is organized, efficient, and reliable, capable of managing multiple tasks concurrently. They will possess excellent customer care skills, demonstrating a professional and empathetic telephone manner. Attention to detail is vital, along with strong time management abilities. The successful post holder will have effective verbal and written communication skills, coupled with proficiency in Microsoft programs and accurate data entry. While prior administration experience is preferred, it is not mandatory.

Our Helpline runs from 9am to 7pm Monday to Friday, and we’re looking for an enthusiastic, warm and experienced individual to support our dedicated Helpline Volunteers and Befriending Volunteers within the Helpline team.

As the Trusts and Fundraising Officer, you will maximise income from trusts by the creation of high-quality applications and reports to funders, and by providing excellent account management and cross-team collaboration. You will proactively identify trusts and research them for suitability and communicate and build relationships with their funders through emails, letters, telephone calls, service visits and face to face engagements.
To be successful as the Trusts and Fundraising Officer, you will have demonstrable experience in writing successful applications and securing four or five figure grants from trusts and foundations. You will have excellent research skills, which can be applied to identification of suitable new prospects for their funding pipeline.
This role is a full-time permanent position will ideally have hybrid working in their Amersham office, but they could consider homebased with occasional travel to their offices. The salary for this role is £24,000 to £27,000 per annum.

Job Purpose:
The Fundraising and Administration Officer role primarily focuses on providing excellent supporter care and administrative support within the fundraising department. This role plays a crucial part in maintaining supporter relations, optimising fundraising efforts, and ensuring efficient administrative processes are in place.
Key Responsibilities:
Supporter Care:
- To be a first point of contact for the Fundraising Department, answering the phone and meeting and greeting people who arrive to the office.
- Respond to enquiries from supporters, prospective supporters and volunteers via telephone, e-mail, and post, maintaining excellent supporter relations.
- Ensure timely and appropriate acknowledgments, using both standard and bespoke correspondence.
- To adhere to administrative procedures to ensure the delivery of a high-quality service which is compliant with all relevant legislation, policies, regulations, and guidelines.
- Provide admin support for Direct Mail letters and appeals, including the use of mail merge, when required.
- Assist with the ongoing stewardship of Regular Givers.
Community Fundraising:
- Co-ordinate the recruitment and appropriate use of volunteers to support fundraising.
- Develop relationships with volunteer fundraisers, with the aim of maximising the funds they raise through challenges, events and talks.
- Support the formation of volunteer fundraising groups.
- Support ongoing and new events within the UK, which may include occasional weekend and evening work.
- Take the lead with the co-ordination and administration of public collections in the UK.
- Take the lead in monitoring fundraising merchandise, and liaise with suppliers, for fundraising materials, including Christmas Cards.
Digital Marketing:
- Support in developing UK digital fundraising opportunities.
- Administer digital acquisition campaigns in the UK e.g. through digital advertising, to generate new donors.
Database Management (Training will be provided):
- Create and maintain contact records on Salesforce, ensuring supporter information is kept up to date by recording changes to mailing preferences, gift aid eligibility and contact details etc.
- Database maintenance and housekeeping e.g. identifying and merging duplicate records, removing, or archiving redundant data, adhering to GDPR protocols.
Finance Administration (Training will be provided):
- Efficiently process and reconcile incoming donations, received daily by post, online and phone. Bank cheques and cash on a weekly basis, and process credit card and CAF donations.
- Record all donations to Salesforce, ensuring the accurate coding of income to the correct source and supporter.
- Administer new Direct Debit instructions.
- Support monthly and quarterly reports demonstrating fundraising income received against budget, to inform the management team and provide accurate forecasting.
- Scan and upload credit card statements and invoices for payment by the Finance team.
- Record and reconcile petty cash expenditure.
- Assist the Finance team in the reconciliation of all income received, responding to any queries.
General Office Administration:
- Order office stationery and fundraising supplies, as required.
- Co-ordinate general office maintenance, as required.
- Arrange accommodation for staff travel to Shrewsbury.
