An opportunity has arisen for an organised and experienced senior-level Executive Assistant who is comfortable supporting our Group CEO and working alongside our Founder. Working as a key part of the Oasis Group Office, no two days will be the same and the pace is fast, yet the work and opportunities will be hugely rewarding.

This key role requires the successful candidate to:

· Provide support to the Group CEO in leading the Oasis family, ensuring effective governance systems and managing innovation and development

· Provide executive level in-person support to our Group CEO which may mean UK travel to meetings, media appearances and conferences.

· Collaborate with other members of the Oasis Group Office to provide general administrative support and diary management to Oasis senior leaders

· Offer wider project support when needed (e.g. events and gatherings).

This is a challenging role working with a team of inspirational and driven, high-profile change-makers.  You will be well-supported by the Group CEO and Founder and will work alongside the Founder’s EA and Group Office Assistant. The successful applicant will be able to demonstrate professionalism, calmness and be an ambassador for the Oasis ethos in their day-to-day work. Working alongside the Founder and Group CEO require this role to be largely London office-based with occasional national travel.

• Validate new supplier bank details and any changes to existing bank details according to established procedures.
• Respond to incoming queries related to the responsibilities of the role in a timely and professional manner.
• Maintain static data in the finance systems, ensuring that remittance addresses, bank account details, and contacts are current and accurate.
• Assist the team with processing payment runs, ensuring all payments are handled efficiently.
• File all completed work in the appropriate files promptly. Archive all work in accordance with the department’s guidelines, maintaining files and archives in an organised and logical order.
• Support internal and external audits by providing necessary supporting documents as required.

The role

This is an exciting opportunity for an experienced Executive Assistant and Office Manager to leverage your experience in this dual role. You will provide high-level executive and administrative support to the Chief Executive Officer (CEO) and work closely with the Senior Leadership Team (SLT) and liaise with the Board of Trustees. Alder Hey Children’s Charity raises vital funds to help make Alder Hey Children’s Hospital a truly world-class, patient-friendly hospital for the 450,000 patients and families we care for every year.

About this role:

This is a new and exciting opportunity for a Philanthropy Assistant to join the Charity team here at Alder Hey, the UK’s busiest Children’s Hospital. The postholder will work closely with the Philanthropy Support Lead to provide operational support and administration for the team, including events, donor meetings and visits, prospect research, data and use of the charity CRM (Salesforce).

We’re looking for a flexible team player with previous administration experience. You’ll also be self-motivated, proactive and great at building relationships. If you’re excited by the sound of this, we’d love to hear from you!

Key Responsibilities will include:

· Provide support for the Charity with a programme of philanthropy events; from individual visits and tours of the hospital for donors, private dinners, through to larger events such as Gala Balls.

· Build strong relationships with colleagues and clinicians in the Trust to support, coordinate and plan events.

· Liaise with venues and third-party suppliers to ensure that events are delivered to the highest standards.

· Help to prepare event briefings for Charity and Trust colleagues, so that all participants understand their role and contribute effectively.

· Provide administration support for the philanthropy team ensuring all work is of a high standard, professional and accurate.

· Writing and sending out personalised thank you letters and cards.

· Diary management, minute taking and meeting organisation.

· Keeping the charity’s supporter database accurate and up to date.

· Support with preparing data for philanthropy mailings and event lists, including recording details on Salesforce.

· Undertake prospect research, ensuring all processes are compliant with our privacy policy, data protection legislation and prospect research best practice.

· Be an active and supportive member of the Alder Hey Children’s Charity team, contributing to the team’s development and working collaboratively with colleagues and volunteers.

Service Delivery Assistant - Sexual Violence Service

22.5 hrs (0.6 FTE) per week

Role

Join our team as a Service Delivery Assistant, playing a pivotal role in the implementation and success of the Sexual Violence Service across the Thames Valley region. Under the guidance of the Service Manager, you will shoulder the responsibility and accountability for overseeing the day-to-day delivery of Sexual Violence Services.

Key Tasks:

• Providing a high-quality and responsive administrative function for the service. Acting as the first point of contact for enquiries into the service and supporting the wider team and service with general administrative duties.
• Reviewing referrals and contacting service users and an initial point of contact.
• Managing and supporting caseworkers and ISVA’s with initial appointment booking.
• Coordination and support of our team of volunteers.
• This may also include responsibility for external communication, social media, and updating directory records for other services. Updating local websites with relevant information and taking minutes from team meetings.
