We’re recruiting a Senior Administrator to join our team at our Victoria animal hospital.  At Blue Cross, we are committed to providing exceptional veterinary care to thousands of pets every year. As a Senior Administrator, you will be responsible for leading a small team of administrators, providing efficient and comprehensive administration services that support our hospital teams. Your leadership will be crucial in maintaining excellent communication, managing financial processes, and ensuring the smooth operation of our administrative functions. 

This role will include duties such as: 

• Leading and managing a team of administration and finance members across our three London hospitals, ensuring effective communication and awareness throughout the facilities. 

• Managing office administration, which encompasses overseeing all aspects of stock control and ordering, including the procurement of drugs and consumables for the entire hospital. 

• Managing financial processes such as cashing up, reconciliation, and debt management.

• Working closely with hospital teams to understand their needs, as our customers are our team members within the hospital. 

• Collaborating with stakeholders across the wider Blue Cross to align administrative functions with organisational goals. 

• Preparing and managing the team rota. 

• Booking and administering locums and agency staff. 

• Handling department and meeting room diaries. 

• Welcoming visitors to the hospital and conducting tours. 

• Event planning of our annual summer fayre and fundraising events 

This is a full-time role of 35 hours per week Monday to Friday. Due to the nature of the work of Blue Cross, and this post, it may be necessary to exceed these hours when the workload demands. 

 
About you 

The person should have excellent listening, communication, and people skills to handle emotional and complex situations, always balancing empathy with professionalism. You should present yourself professionally to everyone within the organisation and externally, and your work should reflect our values and culture. You'll need to be organised and structured, with the initiative to tackle and resolve various issues. Additionally, you should be adaptable, able to prioritise tasks based on workload, and use discretion since you'll be dealing with confidential and sensitive information. 

You'll be required to work at any of the London hospitals and occasionally travel to other sites as part of your duties. 

Knowledge, skills, and experience   

• Extensive administration experience 

• Previous experience of managing a small team

The Activities and Move on Coordinator is responsible for managing and promoting Look Ahead's move on pathway across the RBKC complex needs service and also ensuring there is regular activities across all of our services that will not only build on residents' life skills but also enhance co-production within our services. The post holder will be responsible for sourcing accommodation in the private rented sector - liaising with landlords and sourcing new move on routes for resident. The post holder will also be responsible for sourcing funding for activities both internal an externally and working with residents across our services to ensure that the activities ran are done so in a co-produced way. This will also involve liaising with and establishing relationships with agencies outside of the organisation with whom we can form joint working relationships that will help with us developing life skills and enhancing the residents experience when it comes to co-produced activities available to participate in within our services.

The Legacy and In Memory Lead will work closely with the Individual Giving Lead to ensure appropriate coordination of planned activities involving existing and prospective individual giving, legacy and in memory audiences. The post holder will also work closely with the HODAR to help inform the development of departmental strategies.

The successful candidate will have significant demonstrable and relevant experience of in memory and/or legacy fundraising and developing in memory products. You will have experience in using a variety of on and offline channels to deliver successful marketing campaigns to both acquire and develop donors. With a refreshed strategy, expanded team and extended life we are looking for someone to continue to lead our efficient finance and treasury function, as well as lead a range of enhancements to respond to the growth of the organisation across operations, HR, IT and Governance support.

About Access – The Foundation for Social Investment

We want to see a social investment ecosystem that works for all charities and social enterprises and through our programmes and our advocacy work, we ensure that charities and social enterprises can access the finance they need to sustain or grow their impact.

We target those most in need of patient and flexible investment through:

Key Responsibilities:

Leadership & Strategic Vision:

• As part of the four strong senior leadership team (which also includes the CEO, Director of Partnerships and Advocacy and Director of Programmes), contribute to the overall direction and strategy of Access, and deliver on relevant areas of the organisation’s operational plan.
• Lead in the strategic planning and successful delivery of Access’s financial and operational management functions.
• Lead on projects to drive forward the internal aspects of Access’s equity, diversity and inclusion strategy.
• Represent Access at various events, promoting our influencing and advocacy aims.

Finance:

• Responsible for the financial planning of the organisation, including the development of annual budgets and long-term forecasts. Work with budget holders across the organisation to ensure the ongoing adherence and management to these budgets/forecasts across all programmes.
• Oversee financial systems that record and report on financial activities and provide information and projections to allow strategic and operational decision -making.
• Working with the Head of Finance to oversee payment, invoicing, bookkeeping and banking activities, maintaining up to date computerised records and maximising use of the accounting system (Twinfield).
• Oversee the relationship with Access’ external and group auditors and support the Head of Finance with the year-end process, external audit, preparation of annual financial statements and sign-off from relevant stakeholders.

Treasury Management:

• Manage the relationship with Access’ asset manager and ensure the endowment investment policy/strategy is being implemented, including in particular, adherence to Access’s stated impact goals for the endowment,
• Ensure high quality reporting on the performance of the portfolio from the asset manager.
• Oversee Access’s multiple banking relationships and the performance of our extensive cash deposits to balance the requirements of return, impact and liquidity.
• Support the advocacy and communication of the “total impact approach” taken by Access, sharing learning and influencing others in the development of their investment strategies.

Governance:

• Take overall responsibility for the Governance support processes and cycles at Access, including plans for regular business at board and committee meetings, members’ terms of office and recruitment of trustees and committee members.
• Ensure Access complies with statutory and legal requirements, including returns to Companies House and the Charity Commission.
• Oversee the management of up-to-date registers of interest for all board and committee members and senior staff.
• Provide advice to the Board and CEO of any legal responsibilities prevailing upon the organisation.
• Co-ordinate the agenda and content for the Audit, Risk and Compliance Committee (ARCC), and the Endowment Investment Committee (EIC), and contribute to meetings as appropriate.

About the role

Smart Works exists to empower all women who need help getting into work. We are currently in a significant growth phase, doubling the number of women we support to 10,000 women a year by 2025. As such, we require vital cornerstone funding and are seeking to establish a Major Gifts function, to secure donations from high-net worth individuals, that will enable us to achieve our mission and help thousands of women to transform their lives.

This is an exciting new role that provides an opportunity to build a new major gifts programme from scratch. Supported by the Director of Partnerships, you will work closely with the CEO, Board, and our network of 750 volunteers, to develop a giving strategy that will engage and grow a new pool of crucial supporters for Smart Works.

This is a hybrid role, working from a London centre at least twice per week, with the opportunity to work across our North, West and South London centres. Some evening and weekend work is required to lead on philanthropic fundraising and support wider partnership team events.

Duties and responsibilities

Reporting to the Director of Partnerships, the successful candidate will:

• Lead the development and delivery of a giving programme, building a pipeline and carrying out proactive prospect research
• Secure five-figure and six-figure multi-year gifts from major donors, to exceed income targets
• Research and identify prospective major donors who could support Smart Works, through existing warm networks and via outreach to cold audiences
• Work collaboratively across teams and functions to produce creative and compelling propositions and materials to secure both core and restricted funding
• Represent Smart Works to a diverse range of stakeholders and audiences to generate income and raise brand awareness
• Develop cultivation events considering regional hotspots
• Acknowledge, thank and recognize donors appropriate to their level of support and ensure restricted gifts are appropriately allocated
• Manage donor database and reporting
• Support Smart Works’ local centres across the UK and share learnings and guidance to help others build their Major Gifts potential

About the role

The Finance Director (“FD”) will oversee the financial activities of the charity and will be responsible for overseeing the charity’s finances and finance team, driving financial planning and managing financial risks.

The FD will need to have the ability and confidence to apply judgement and leadership skills to make sure that the charity executes strategies and plans in a timely and thorough manner.

This is a 12-month contract starting Autumn 2024, ideally 20 hours/week, but we would consider other working patterns for the right candidate.

The permanent FD role is subject to a genuine occupational requirement for the post-holder to be a practising Christian due to our ethos and the strategic nature of the role however, given the temporary nature of this appointment, we have removed the requirement, although still desirable. We instead are looking for a candidate who is sympathetic to the Christian faith and/or our ethos.

The salary for this role is £44,000-£50,000 (plus pension and expenses) full-time-equivalent, dependent on experience.

On a day-to-day basis, you will be working with a range of team leaders, including our chair of trustees, Executive Officer, Operations Director, church leaders, school principal, chair of The King’s Centre Limited, and the finance team.
