Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition. The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.
This is an opportunity to play a vital role in the organisation as it develops and instigates an exciting and ambitious new set of plans over the next six months. You will be working directly with senior leaders and trustees, and line-manage an Administrator utilising strong financial and administrative skills to manage the charity’s finances and day to day operations.
The ideal candidate will have an understanding of budgets and financial management as well administration, along with a passion for theatre and culture to be made by and resonating with Black voices and the communities in the North of England.
Snapshot of the role:
- Full time, with part time options available.
- Fixed 1-year contract, with a view to extend.
- £35,000 gross salary pa (pro rata if applicable).
- Able to work from or travel to Leeds with reasonable notice – hybrid and remote options possible.
- Expected start date is as soon as possible.

JOB DESCRIPTION
Purpose of the Post
- To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
- To be responsible for effective management of the day-to-day office administration, and HR processes.
- To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
- To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.
The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.
Terms and Conditions
Reports to: Senior Change Director
Other reporting: Board of trustees
Line manages: Other administrative staff once recruited, external accountants, IT supplier
Salary: £35,000 gross per annum (pro rata if applicable)
Location: Working from home with some working from company office in Leeds with reasonable notice
FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.
Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable
Term: 1-year fixed term contract, with a view to extend following a contract review
Notice: 6 weeks either side for the period of the contract.
Pension: 3% employer contribution.
Role responsibilities
The Finance & Operations Manager is responsible for:
Finance
- Preparation, monitoring, and control of the budgeting and forecasting processes.
- Provision of clear and timely management accounts to the senior team and Board of Trustees.
- Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
- Liaising with the external payroll provider and payment of monthly salaries.
- Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
- Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions.
Governance
- Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
- Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.
Administration & HR
- Day to day responsibility for managing the HR function of the company.
- Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
- Support the organisation to maintain key relationships and deliver report writing.
- General administration and office management lead.
- Management of the company calendar.
- Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
- Working as a central point of contact through phone and email.
- Management of the company administration systems.
- Support the delivery of contracts and letters of agreement.
- Support recruitment and onboarding processes.
- Support accommodation, travel, logistics, and tour-booking processes.

The Access Foundation is focused on making a real difference to people’s lives by awarding grants to charities which make a valuable and measurable positive impact. Our grant giving objectives fall into three categories:

to mitigate the digital divide by making computing facilities, support and learning available to disadvantaged and vulnerable people

to advance the charitable causes of the registered charities which are chosen as the "Access Group Company Charities of the Year"

The Foundation aims to achieve this via a fund from which it awards grants to other charitable organisations aligned with the principles above. You are a key member or the team that works towards our target to award grants to a total value of +/- £2 million each year.
The Access Foundation was set up in 2021 following the success and growth enjoyed by The Access Group over the previous decade. While affiliated with The Access Group in terms of its identity, The Access Foundation is a separate organisation, governed by an independent board of trustees and with its own objectives and goals.
The Access Foundation wants to fund projects and activities that make a real difference to people’s lives in the countries the Access group is active.To achieve our objectives, we are looking to appoint an experienced Operations Manager to help run and improve our operational processes.
Job objectives

Support the trustees in the due diligence and evaluation of each applicant and facilitate the decision-making process for each application

Support the ongoing evaluation process of all successful applicants and ensure agreed measures and outcomes are reported back to the Foundation in a timely manner

Manage the external communication of the Foundation’s successes back to stakeholders and supporters, as well as other channels on social media, such as Instagram and LinkedIn

Manage the communication with the Access Group and maintain an open channel of communication with the charities team at the Access group

Manage the Admin and Grants Assistant and ensure all Admin processes as well as operational processes are running smoothly and make changes where required

Manage the use of the accounting package Access Financials to ensure processes are followed and grantees paid on time.

Oversee the data collation for and write the impact report

Collaborate and work with the trustees and volunteers
Duties and responsibilities will include

Write regular reports to the trustees of new applications, applications in progress and outcomes, inform and advise the trustees to achieve a swift decision on all cases

Organise the publicity and communications around each successful grant, including newsfeeds, social media and website updates.

Liase with the Access Marketing team to support their own comms

Ensure financial accounts are accurate and complete

Liase with 3rd parties such as external suppliers and partners ranging from auditors to our financial partners

Draft Offer letters for the successful applicants

Recruit, Manage and Appraise the Admin and Grant Assistant

Attend trustees, volunteers and applications meetings

Manage the access controls for volunteers and staff

Oversee the financial accounts, approve invoices on our bespoke Finance system and deal with some financial accounting together with our Chair of the board of trustees
Skills and Experience Required

Organised, efficient and reliable with the ability to juggle multiple tasks simultaneous

A minimum of 2 years' experience in a similar role

Strong interpersonal skills, with the ability to build positive relationships at all levels from junior to CEO

Computer literate with good knowledge of Excel, Word and Outlook.

The ability to be an ambassador for the Foundation to all external parties and stakeholders

Strong verbal and written communication skills

Ability to travel to London as required (minimum once every 6 weeks)

Job Title: Admin/Customer Services
Reports To: CEO
Main Purpose of Job
To ensure the smooth running of the sales floor and main office to offer a high-quality service to donators and customers.
Main Responsibilities
- Serving customers, dealing with enquiries, arranging delivery when necessary
- Processing cash, card and other customer payments
- Arranging for approved donations of furniture to be collected
- Handling product returns and payment refund requests
- Helping with movement, inventory and presentation of stock in the warehouse
- To assist in the movement of stock by road transport, including van driving.
- To assist and support new volunteers as directed. Ensure that volunteers understand the customer service standards that we aspire to as an organisation
- To follow all statutory Health and Safety requirements and those detailed in the organisation’s Health and Safety policy and risk assessments
- Work flexibly and to be prepared to contribute to all areas of work in the organisation
- Collect and share feedback from volunteers, work placement trainees, donors and customers with the CEO
- To undertake any other reasonable tasks as deemed necessary by the CEO

Norfolk Community Foundation is looking to appoint a Finance Assistant to help with the smooth running of the finance of the Foundation, ensuring that the organisation works effectively, efficiently, and safely.
About the role
The Finance Assistant provides support to the Director of Finance and Operations in the work of a fast moving and agile organisation.
Key responsibilities will include:
- Processing of grant payments, purchase invoices and expenses, including confirming authorisation, correct allocation to budget and ensuring adherence to internal controls
- Maintaining cashbook and ensuring the correct allocation of income
- Undertaking monthly bank reconciliations of multiple bank accounts and assisting with other reconciliations and month end duties as required
- Supporting fundraising campaigns as required
- Administration relating to online donations, including reconciling donor reporting between systems
About you
We are looking for someone who has an eye for detail, and excels in being accurate and ensuring tasks are complete and followed up as necessary.
You will be able to assess and interpret data and communicate clearly through excellent written and verbal skills whilst also being able to establish good relationships, and provide quality customer service both internally and externally
Good IT, writing and teamwork skills are a key part of this role, as is the ability to follow policy and procedure. It is a busy role that will have many competing deadlines so the ability to prioritise and multi-task is also key.
