Befriending Scheme Coordinator

Part-time, 21 hours per week

£13,152 per annum (£21,921 FTE)

We have an exciting part time opportunity to join our Befriending Service which aims to ease loneliness and isolation of older people across Dacorum.

You will be responsible for coordinating our volunteers who either provide companionship through home visits or friendly telephone chats. You will also help to promote volunteering throughout Dacorum.

This rewarding position offers flexibility and autonomy in the way that you work.

It requires someone with excellent communication and organisation skills.

As you will be required to travel throughout the Dacorum area, a full driving licence with daily use of a car is essential.

Main purpose of Role

The purpose of the role is to coordinate the Befriending Service by carefully matching volunteers to visit an older lonely, isolated person in their own home to provide friendship and company.

Key Responsibilities

• Receive and record referrals for the befriending scheme from a variety of health and social care professionals, voluntary organisations, or family and friends
• Make contact with potential clients by undertaking initial telephone assessments and carrying out initial assessment visits, taking time to understand the needs of the clients and to assess suitability for the befriending scheme
• Actively recruit volunteers for both the visiting service. This will include interviewing potential volunteers and completion of DBS and references checks
• Provide individual inductions for all new volunteers recruited within the locality, ensuring that volunteers are appropriately trained to carry out their befriending role
• Carefully match volunteers with a client to ensure compatibility, and personally introduce visiting volunteers to clients
• Maintain regular contact with volunteers and clients to offer ongoing support and advice
• Manage and organise own administration work, ensuring that it is accurate and meets quality targets
• Complete and record monitoring forms
• Respect the confidentiality and dignity of clients and their rights to make their own decision
• Promote volunteering throughout the district by using a variety of media, attending public events and generally raising the profile of Age UK Hertfordshire
• Maintain the database, keeping up to date and accurate records
• Attend all training and meetings as requested by the Service Manager
• Work within AUKH policies and procedures and keep up to date with legislation for volunteer based projects.

In order to be successful you must be able to demonstrate the following skills and experience:

Essential

• Proven IT skills including MS Office and Outlook to an intermediate level as well as database management experience
• Excellent communication skills, both written and verbal together with the ability to tailor your communication style to your audience
• The ability to work both as part of a team as well as independently
• Excellent organisational skills where you are able to priorities tasks in order to meet deadlines and/or expectations
• A positive, helpful, conscientious work ethic
• Full UK driving licence and own car
• The ability to be flexible in working hours from time to time

Desirable

• Experience of dealing with either volunteers and /or the elderly/vulnerable. This could have been gained from a previous role or a personal situation
• Experience of when you have had to assess clients needs in a sensitive manner
• Knowledge of the local area

Duties and responsibilities

• Being the first point of contact for all clients, volunteers and visitors of the centre, in person, via email and on the phone. 
• Managing the central inbox, responding to clients, referral partners, volunteers, donors and potential supporters.
• Day to day coordination of the Smart Works service, including booking all client appointments, answering the phone and all related service administration.
• Maintaining an up to date and accurate client data base.
• Generating volunteer rotas and day to day volunteer communications relating to service delivery.
• Ensuring the dressing room and stockroom is organised and tidy to a high standard.
• Ensuring all operational policies and procedures including Safeguarding are maintained, communicated, and adhered to on service days.
• Supporting the team with ad hoc administration tasks.

Personal Specification

One of the nine members of the Coram group, Coram Children’s Legal Centre (CCLC) is the UK’s specialist centre for children’s rights in education, immigration, community care and family law, and provides significant international legal systems consultancy. We champion access to justice through information and advice, legal practice and representation, policy and strategic litigation. Our Legal Practice Unit provides advice and representation primarily under legal aid contract. Our Migrant Children’s Project promotes the rights of refugee and migrant children, young people and families through the delivery of advice, practice change through training and capacity building to professionals and systems change through research, policy and advocacy.

About the role

This role will provide financial and operational leadership and management for CCLC particularly focussed on the Legal Practice Unit and the Migrant Children’s Project but with support for the Child Law Advice Service and Coram International where required. Managing a small finance team, the role will hold primary responsibility for core financial functions within CCLC including legal aid billing and management and tracking of grant and other charitable funding. Through systematic and efficient financial management, the post holder will play a pivotal role in CCLC’s financial sustainability. The role will act as a key point of contact with Coram’s central finance team and a range of internal and external stakeholders on financial matters.

The role will also oversee the smooth running of the London and Colchester offices through line management of operations and administrative staff.

The role would suit a high organised and efficient business support professional with experience of financial management within the legal or charity sector. In particular, candidates with experience of legal billing and more specifically, civil legal aid billing, would be welcomed.

This is a largely office-based role in order to fully provide support to the finance and operations team. However, some remote / hybrid working may be possible depending the experience of the candidate after the initial settling in period (to be negotiated with the successful candidate).The finance team are split between the London and Colchester offices and the post holder should expect some travel to both locations. The large majority of the legal and policy team are based in London and as such regular (at least twice weekly) presence in our London office will be expected. However, on other days the candidate could be based in the London or Colchester office.

Whilst this is a full-time position, we will consider requests for part-time working (28 hours per week minimum) and we will endeavour to offer some flexibility with days and hours to be agreed.

Why Access Social Care Exists

Everyday millions of older and disabled people are denied the social care they need. Most local authorities can’t meet the growing demand for care, none are confident they can meet their legal duties in the future. This affects all of us, we will all need social care at some point.

We all have a right to hold public bodies to account. But most of us cannot afford lawyers so rely on legal aid. The 77% drop in community care legal aid cases since 2010 means we have nowhere to turn. Without access to justice, our rights do not exist. The rule of law is broken.

What we do

Access Social Care provides free legal advice and information for people with social care needs, helping achieve a better quality of life. We work with communities to increase knowledge of the law and our rights. We highlight the gap left by cuts to Legal Aid and provide advice for those who can’t afford it.

With a 98% success rate, our network of lawyers and barristers ensure fair access to justice when things go wrong. We collaborate with social services whilst ensuring legal obligations are met. About the role

This is an exciting time to join our organisation. We have a new strategy and are growing quickly including across our senior leadership team. We have nearly tripled in size and income since we started operating in April 2020 and we anticipate that this strong growth will continue for the duration of our next strategic period. • Coordinate recruitment efforts at Access Social Care, ensuring compliance with employment laws and providing guidance to managers. Manage the recruitment cycle and administration process from job ads to onboarding
• Support staff engagement activities across Access Social Care in conjunction with the People Director. These may include but are not limited to the following initiatives: staff survey coordination, and wellbeing events
• To be a super user and actively promote the use of the HRIS system (Bright HR) and ensure that electronic staffing records are updated and maintained accurately in accordance with GDPR
• Dealing with cyclical and ad-hoc data reporting and requests for information including data analysis
• Contribute to effective payroll administration ensuing information is shared with the Finance Officer in a timely manner, and collaborating with the People Director to address and rectify any issues and process improvements

To succeed in this post, it is essential that you have:

• Have been involved in charity campaign work previously.
• Have experience in charity operations and governance.

Roots to Wellbeing project aims:

• Provide a safe and inclusive space for participants to receive weekly support.
• Help participants to connect with nature and socialise with others to feel happier, less anxious and less isolated.
• Support participants to access other beneficial services, where appropriate, including health, social and financial.
• Support participants to move onto outdoor work or volunteering with friends of groups where appropriate.
• Facilitate a positive journey through the service for participants to ensure as many people as possible can access the service.

The role 

The roles has four main areas of work:

1. Leadership and management:

• Lead the Roots to Wellbeing team to reach its goals. 
• Line manage and support three Mental Health Officers, each delivering Roots to Wellbeing on one site.
• Work with local communities and other team members to explore new opportunities for the project and develop solutions.
• Work with CEO and Head of Fundraising to secure funding for project development.

2. Project management: 

• Oversee the delivery and development of the project to meet key KPIs.
• Collate qualitative and quantitative data and produce impact reports for funders. 
• Support team to ensure administrative records are kept up to date, including but not limited to: maintaining accurate participant records, work programme, incident reporting, risk management, external outreach, website.
• Develop a thorough communications strategy and build on current local referral relationships to further embed the programme within the VCSE & Health sector.
• Ensure service standard and quality is consistent across sites and policies and procedures are followed. 
• Recruit and induct volunteers to support session delivery.
• Work in partnership with stakeholders within and across the organisation to deliver project goals.
• Attend networking meetings and community events to raise awareness of the project and demonstrate its impact. 

3. Session delivery at Hartcliffe Millennium Green: 

• Continually build and maintain relationships with local referral partners to achieve a consistent referral rate into the project. 
• Deliver weekly Roots to Wellbeing sessions by; planning and facilitating delivery of sessions and activities in line with 5 pathways to nature connectedness and that are accessible to all participants, organising logistics of sessions such as travel, food and equipment, acting as safeguarding lead during sessions, liaising with co-facilitator, leading peer-support style check in at the beginning of the sessions and the grounding and meditation at the end.
• Lead on all direct communication with participants at Hartcliffe Millennium Green. Support them to create personalised development plans, signposting and referrals where needed. 

4. Other: 

• Support the work of the wider charity and specifically the South Bristol team as required. 
• Representing the charity externally through media work and presentation where necessary.

The senior member of staff is responsible for ensuring the decisions of the Board are acted upon and the charity meets the legal and regulatory requirements of a CIO. The key focus will be on development of new income streams as we navigate challegnes across the site. The General Manager will oversee the implementation of the new Buisness Development Plan. Support the team of volunteers in project managment and fundraising to support the ambitions of the Board. HR management and financial control will be an important part of the role.

About this role

This role is a pivotal one in Central England Law Centre as we strive to deliver excellent service to our wide range of clients from the local community in Birmingham.

The receptionist/administrator is the first point of contact for all clients whether they visit in person, send an email or contact us by phone.  The person will also be responsible for providing administrative support to our caseworkers whilst overseeing all aspects of the management of the office from coordinating IT equipment, ordering office supplies and ensuring all building maintenance is up-to-date.

The successful candidate will be subject to a basic DBS check.

Responsibilities

• Provide an excellent client focused reception service in person, by email and phone
• When required, provide general signposting information to clients
• Ensure that all records are kept up to date and files are maintained to a high standard
• Provide reports from Law Centre data sources as required
• Maintain asset logs of Law Centre equipment and identify equipment needs
• Coordinate IT issues with our external IT support
• Ensure building maintenance is up to date

The Educational Partnerships Manager role will suit someone that is able to work with young people, build rapport and engage young people from a range of backgrounds. Your experience of relationships development and management will help with developing new schools as well as supporting existing school relationships.
