Finance & Operations Assistant, Community Impact Bucks
Full Time 35 hours per week - £22,950 to £25,000 per annum (DOE)
Hybrid working pattern – mainly from home but must be available to go into our office (Weston Turville, Aylesbury) when required

About you
Skilled in use of IT software, in particular Excel and QuickBooks or Sage, you get satisfaction from seeing everything running smoothly, have an eye for detail, and are happy to work on your own initiative as part of a remote team.
Able to manage your own time, you will have a flexible approach and be keen to test new ways of working to improve business processes.
Key responsibilities
Key tasks include:
· Bookkeeping and day-to-day management of invoices and payments
· Premises management: resolving day-to-day issues, First Aider, Fire Officer
· Co-ordinating team and Board meetings including invitations, agenda and papers
· Responsible for HR administration and record-keeping, including preparing paperwork and co-ordinating recruitment, induction and leaver processes
· Act as an IT Superuser, becoming expert in IT systems and supporting colleagues to use them effectively
Key requirements
· Experience of bookkeeping, preferably using bookkeeping software such as QuickBooks.
· Excellent attention to detail and high levels of accuracy.
· Excellent telephone manner and confident in a public facing role.
· Able to establish systems, record information and maintain records systematically.
· Confident user of IT software, including Microsoft Office Excel, Word, and Outlook and Adobe Acrobat.
· Confident working with numbers, data and spreadsheets.
· Able to work on own initiative and to tight deadlines.

As Business Administration & Finance Officer (BAFO) you will be responsible for the smooth running of the administration of the charity. Working closely with the finance team, HR team, regional managers and the senior management team and the post holder will have communication with all members of Envision employees. The aim of the role is to standardise our back-office processes to ensure accuracy and efficiency including Finance, HR & IT as well as event and travel management.
Key Responsibilities:
- Administrative support for all Envision delivery staff including event space hiring, sending out contracts to our partners and inputting information into our customer relationship management (CRM) software, Salesforce.
- Financial transactions including bookkeeping, raising sales invoices and processing purchase invoices, administration related to organisation purchasing cards.
- Processing travel bookings and hotel bookings for the organisation.
- Submitting gift aid claims to HMRC.
- HR transactional administration including recruitment, maintaining employee records, etc.
- Maintain IT inventory and submitting IT queries to our external IT provider.
Essential Experience, Knowledge and Competencies:
- Demonstrate the ability to work as part of a team and use your own initiative.
- Experience with IT systems – Office 365 & Shared Drive.
- Demonstrate excellent communication skills both verbally and in writing to a wide range of people.
- Demonstrate excellent organisational skills and the ability to prioritise own workload to meet deadlines.
- Demonstrate a high level of accuracy for data entry.
Desirable Experience, Knowledge and Competencies:
- Experience of working in a busy and varied administrative support role.
- Experience with IT systems – Xero, SafeHR, Salesforce & Docusign.
- Demonstrate a logical approach to developing and implementing processes.
- Understanding of, and/or lived experience of, the barriers that young people face, that contribute to the education and employment gap.

The Operations Volunteering Experience Coordinator helps people with sight loss live the life they choose by ensuring volunteers in Operations-based roles are set up for success by preparing and training them for their role. Once in their role, they will support a positive volunteering experience by working to retain, further utilize and develop our volunteers in their role and wider into the Guide Dog family and community. Without our volunteers, none of our services would be possible.
We currently have 2 roles available one would work across the two teams in Sheffield & Notthingham; and the other to work across the two teams in Atherton & Liverpool. A typical fortnight would include days working from the office, days in the community, and some home working. The role holder will manage the time and location of their working days.
For this role, you’ll work 35 hours per week, 9am to 5pm, Monday through Friday. Please be aware that this role may include some travel covering your region and work outside of your usual 9-5 working hours.

• Computer literate with an intermediate knowledge of Microsoft Office packages.

* Deliver first line support to resolve learning and development queries and escalate as appropriate.

What you'll need to succeed * Experience of providing an effective administration service to customers and colleagues, preferably in learning and development or similar service.
* Experience of delivering excellent customer service, supporting customers to self-serve, or signposting to other colleagues where appropriate.
* Experience of maintaining and improving systems and processes to an auditable standard in collaboration with colleagues and customers.

* Clear and accurate written communication skills for a range of correspondence, particularly regarding joining instructions and communications to promote learning opportunities.
* Ability to build rapport and trust with customers face to face and on the telephone.
* Ability to prioritise a busy workload to ensure L&D scheduling, reporting and other deadlines are met.
* Ability to work collaboratively and flexibly with HR, finance colleagues and customers to ensure positive outcomes.
* Proficient in Microsoft packages, including Excel, and confident in learning and maximising the use of in-house databases and systems
