Executive Assistant (EA) to the Asia Pacific Regional Secretary

The International Transport Workers' Federation (ITF) is seeking an experienced and proactive Executive Personal Assistant to provide high-level support to our Asia Pacific Regional Secretary. This is more than a diary management role; it is a central position that ensures the effective leadership and strategic impact of our work across a dynamic and diverse region.
About the Role
As the Executive PA, you will be the key force multiplier for the Regional Secretary, ensuring their time and focus are directed towards strategic priorities. You will be the primary point of contact and a crucial link between the Regional Secretary, our affiliates, internal teams, and global stakeholders.
Your key responsibilities will include:
- Strategic Support & Coordination: Ensuring the timely implementation of the Regional Secretary's decisions, tracking progress, and providing strategic follow-up to advance regional work plans and Congress outcomes.
- Stakeholder & Relationship Management: Acting as the first point of contact for internal and external stakeholders, maintaining positive relationships with affiliates, government bodies, and international organisations on behalf of the Regional Secretary.
- Diary & Commitment Management: Strategically managing the Regional Secretary's complex schedule, commitments, and travel, prioritising effectively to support the delivery of the regional strategic work programme.
- High-Level Meeting Facilitation: Coordinating and providing secretarial support for key governance meetings, including the Asia Pacific Regional Committee, ensuring they are well-prepared and outcomes are actioned.
- Internal Communications: Maintaining effective communication channels within the regional team and between the regional and global offices, ensuring a smooth flow of information.
About You
You are a seasoned EA who is trusted, resourceful, and understands how to navigate a complex organisational landscape. You don't just respond to requests; you anticipate needs and solve problems before they arise.
To be successful in this role, you will have:
- Proven EA Experience: A significant track record of providing high-level administrative support to a senior executive, managing complex diaries and acting as a gatekeeper.
- Exceptional Communication Skills: Fluency in English is essential, with the ability to draft professional correspondence and interact with stakeholders with tact, diplomacy, and discretion.
- Superb Organisational Skills: Excellent ability to prioritise multiple tasks, work under pressure, and coordinate high-level meetings and events with meticulous attention to detail.
- A Strategic Mindset: The ability to understand the bigger picture, track strategic priorities, and proactively support their implementation.
- High Integrity: A demonstrable ability to handle highly sensitive and confidential information with the utmost discretion.
