Why Access Social Care Exists

Everyday millions of older and disabled people are denied the social care they need. Most local authorities can’t meet the growing demand for care, none are confident they can meet their legal duties in the future. This affects all of us, we will all need social care at some point.

We all have a right to hold public bodies to account. But most of us cannot afford lawyers so rely on legal aid. The 77% drop in community care legal aid cases since 2010 means we have nowhere to turn. Without access to justice, our rights do not exist. The rule of law is broken.

What we do

Access Social Care provides free legal advice and information for people with social care needs, helping achieve a better quality of life. We work with communities to increase knowledge of the law and our rights. We highlight the gap left by cuts to Legal Aid and provide advice for those who can’t afford it.

With a 98% success rate, our network of lawyers and barristers ensure fair access to justice when things go wrong. We collaborate with social services whilst ensuring legal obligations are met. We are working towards a future where social care is adequately funded, and we all get the support we need.

About the role

This is an exciting time to join our organisation. We have a new strategy and are growing quickly including across our senior leadership team. We have nearly tripled in size and income since we started operating in April 2020 and we anticipate that this strong growth will continue for the duration of our next strategic period. Access Social Care are an organisation of thirty-six people, and this is a new role in the People team coming at a period of growth to drive a thriving charity and help shape its future.

This is a fast-paced role whose emphasis is on policy / process / systems improvement as well as advising colleagues and managers across the organisation regarding all aspects of the employee lifecycle. You will work with people at all levels of the organisation supporting the People Director on strategy work streams as the organisation continues to grow and evolve.

Responsibilities

• Responsible for all day-to-day HR processes within the employee lifecycle to ensure staff are supported appropriately and legislative responsibilities are fulfilled
• Work alongside the People Director to map or review processes across the employee lifecycle, identify blockers and seek to implement solutions that create efficiency and clarity 
• Advise on employee relations and discuss complex or sensitive cases with the People Director to decide the best course of action, ensuring that cases are resolved in a timely manner or be a trusted advisor to our managers with their people challenges
• Coordinate the delivery of projects, process and policy improvements as defined and prioritised within the People Plan, leading on workstreams as outlined by the People Director
• Support the People Director in sourcing training and learning solutions, and evaluating training
• Provide practical upskilling and training to managers and employees in HR practices and policy
• Coordinate recruitment efforts at Access Social Care, ensuring compliance with employment laws and providing guidance to managers. Manage the recruitment cycle and administration process from job ads to onboarding
• Support staff engagement activities across Access Social Care in conjunction with the People Director. These may include but are not limited to the following initiatives: staff survey coordination, and wellbeing events
• To be a super user and actively promote the use of the HRIS system (Bright HR) and ensure that electronic staffing records are updated and maintained accurately in accordance with GDPR
• Dealing with cyclical and ad-hoc data reporting and requests for information including data analysis
• Contribute to effective payroll administration ensuing information is shared with the Finance Officer in a timely manner, and collaborating with the People Director to address and rectify any issues and process improvements
• Work within the parameters of GDPR, ensuring data and information is protected and handled correctly
• Support the People Director as required in any duties which you could be reasonably expected to perform in line with this job description

About the role  

Across the UK, over 400 organisations refer women for a Smart Works appointment, including job centres, refuges, prisons, working programme providers and other charities. The team in each centre supports clients to access their appointment.

We are recruiting for a Service Delivery Assistant based in our Reading centre to lead on the smooth running of our service, and create a welcoming atmosphere for all clients, volunteers and visitors. Our team is friendly and professional, and we work closely together to make sure every client has an outstanding experience when they visit us.

The Service Delivery Assistant will be the first point of contact a client will have with Smart Works. Therefore, we are looking for a friendly, organised and hard-working individual. The role requires strong administrative skills, excellent communication skills and a drive to ensure all women who visit us have the best possible experience. The role would be based in Reading city centre, and there will be occasional evening and weekend work as the role holder may be asked to provide key events support. 

Smart Works Reading is part of Smart Works Charity, with Smart Works centres across the UK. There will therefore be some travel and frequent liaison with local centres across the UK and HQ in London, to support induction and training, as well as the day-to-day role. 

Duties and responsibilities

• Being the first point of contact for all clients, volunteers and visitors of the centre, in person, via email and on the phone. 
• Managing the central inbox, responding to clients, referral partners, volunteers, donors and potential supporters.
• Day to day coordination of the Smart Works service, including booking all client appointments, answering the phone and all related service administration.
• Maintaining an up to date and accurate client data base.
• Generating volunteer rotas and day to day volunteer communications relating to service delivery.
• Ensuring the dressing room and stockroom is organised and tidy to a high standard.
• Ensuring all operational policies and procedures including Safeguarding are maintained, communicated, and adhered to on service days.
• Supporting the team with ad hoc administration tasks.

Personal Specification 

• Friendly, enthusiastic and engaging with a variety of stakeholders.
• A good team player with a strong work ethic whilst able to make decisions independently.

This is an exciting opportunity to join our Operations Team and play a part in the day-to-day upkeep and maintenance of our buildings and kitchens, ensuring that they continue to serve and support the ministry of HT.

This is a practical role, and will be responsible for carrying out cleaning, room setup, regular building related checks and equipment tests and compliance, cleaning, maintenance and compliance for our two commercial kitchens, along with other ad hoc tasks as required.This is a part-time role, for 30 hours per week Sunday-Thursday.

Responsibilities

Some of the key areas of responsibility for this role are outlined below:

Cleaning & Room Setup

• Ensuring the buildings and grounds at HT are clean, tidy and ready to be used for our different mid-week events and for our Sunday services, liaising with our contract cleaners and carrying out cleaning duties yourself
• Setting up for events and services, moving tables / chairs etc as needed
• Litter picking externally and ensuring our grounds are well presented and well-maintained
• Keeping note of stocks of cleaning materials, and ordering more as needed
• Ensuring our stocks of clean laundry are always sufficient, sending and receiving laundry and liaising with our laundry contractor as needed

Kitchens

• Keeping our commercial kitchens clean and tidy and overseeing record keeping
• Understanding and ensuring compliance with our requirements under the Safer Food
• Better Business food safety management procedures
• Ensuring our kitchen equipment is well maintained and arranging annual gas safety checks
• Carrying out daily checks
• Keeping track of levels of cleaning supplies and ordering more as needed

Fire Safety

• Carrying out weekly fire alarm tests
• Carrying out other regular tests and checks, such as emergency lighting tests & fire door seal tests

Health & Safety

• Understanding and ensuring compliance under the COSHH regulations
• Regularly checking and re-stocking first aid kits

General Maintenance & Ad Hoc

• Performing maintenance tasks as required, such as painting, gardening etc
• Moving items as need between our buildings and off-site storage unit

Personal Specification:

We are looking for a can-do, servant hearted person who is:

• Punctual, reliable and able to work effectively without direct supervision.
• A completer/finisher who is detail focused.
• Willing to go above and beyond when needed.
• Previous knowledge and understanding of COSHH and Safer Food Better Business regulations would be beneficial.
• Able to support the vision and values of HT

And:

• In possession of the right to work in the UK.
• Holds a current UK drivers license
• Able to name three referees who can provide satisfactory employment references.

Terms & Conditions:

• Hours: This is a part time role for 30 hours per week Sunday-Thursday. Whilst there is some flexibility in the working hours, Sundays will be a working day and most days will require an early start (e.g. 7:30 / 8 AM).
• Salary: £20,160 gross per Anum (£25,200 FTE)
• Start Date: As soon as possible, but can be flexible for the right candidate
• Pension: HT offers an 8% employer pension contribution
• Holidays: 26.4 days per annum (33 FTE) incl. bank holidays, which are normal working days but can be booked off
• Contract Type: Permanent position
• Probation: There is a 3-month probationary period during which the progress of the post holder will be reviewed prior to the confirmation of permanent appointment

Job Title: Admin/Customer Services

Reports To: CEO

Main Purpose of Job

To ensure the smooth running of the sales floor and main office to offer a high-quality service to donators and customers.

Main Responsibilities

1. Serving customers, dealing with enquiries, arranging delivery when necessary
2. Processing cash, card and other customer payments 
3. Arranging for approved donations of furniture to be collected
4. Handling product returns and payment refund requests
5. Helping with movement, inventory and presentation of stock in the warehouse
6. To assist in the movement of stock by road transport, including van driving. 
7. To assist and support new volunteers as directed. Ensure that volunteers understand the customer service standards that we aspire to as an organisation
8. To follow all statutory Health and Safety requirements and those detailed in the organisation’s Health and Safety policy and risk assessments
9. Work flexibly and to be prepared to contribute to all areas of work in the organisation
10. Collect and share feedback from volunteers, work placement trainees, donors and customers with the CEO
11. To undertake any other reasonable tasks as deemed necessary by the CEO

The role

This role plays a vital part in ensuring the efficiency of our HR operations and the smooth running of our office.  You will provide administrative support across the full spectrum of the HR employee life cycle, from recruitment through to retirement, and ensure our office is a professional and welcoming space for staff and visitors.

MAIN PURPOSE OF JOB:

 To assist with handling all incoming requests for help, both by telephone and email, to listen to and record the needs of older and/or terminally ill people and their pets. 

To identify individuals outside our charitable remit and refer them to other organisations that can offer assistance and always seek advice in the case of doubt.

To  raise a computerised record or case to log the call.

To help support the department with any administration process including inputting information on to our database.

This post will require a good overall understanding of the needs of older people and their pets.

MAIN DUTIES AND RESPONSIBILITIES:

i. To listen to the needs of each Owner and accurately record information for each Owner and their pet by completion of a computerised case. 

ii. To ensure you record all of your communications onto the database in an accurate and timely fashion by way of comments on each Owner case at the end of each conversation and appropriately refer to Management about urgent cases.

iii. To help maintain up-to-date records and mailing lists for Owners, Owners’ contacts and volunteers throughout the course of your work.

iv. To have a good working knowledge of other roles and tasks within the team and provide ad hoc support as required including inputting information.

Case types include; Dog Walking, home checks, Short term fostering, long term fostering, pet care, talks and pet profiling

v. To liaise with all other members of The Trust to help maintain a quality service.

vi. To contribute and liaise with the team by helping to update volunteer and owner cases in the course of your communications.

FareShare is the UK’s national network of charitable food redistributors, made up of 18 independent organisations. Together, we take good quality surplus food from right across the food industry and get it to nearly 9,500 frontline charities and community groups.

The role

This role is about so much more than just coordinating the day-to-day operations of a busy FareShare warehouse: it’s about sharing the FareShare mission that “no good food should go to waste”. Your work will make sure that quality surplus food is helping feed people in need.

As a Warehouse Coordinator you will be the face of FareShare, involved in the supervision of a large team of volunteers to ensure our charity members receive their food orders each week. Each shift you will be responsible for ensuring health and safety of the team supporting FareShare, whether they are regular volunteers, supporters from our corporate partners, visitors to the warehouse, or your colleagues. You will also be ensuring your team follows the food safety standards set out in the FareShare operating manual to ensure the safe receipt of food by all our charity members.

Main responsibilities

In the FareShare Regional Centre warehouse you’ll:

• Get to know your team and respond to questions about FareShare’s mission, the food partners who support us, charities who receive food and the planned activities for the day
• Work as a team with the Warehouse Manager, warehouse colleagues and volunteers to ensure all shifts are well planned, supervised and meet daily operational needs
• Be responsible for the health & safety and security of buildings, vehicles, staff and volunteers, including the delivery of appropriate health & safety briefings
• Carry out & update risk assessments as defined by the FareShare operating manual and complete risk assessments for all new activity as required
• Ensure compliance with all FareShare policies and procedures and industry standards as required by food partners and regulators and that all staff, volunteers, food suppliers, charities and visitors adhere to them

In the FareShare Regional Centre office you’ll:

• Support the Warehouse Manager in managing the office, responding to emails and taking phone calls
• Support the Warehouse Manager in organising food distribution using the FareShare food management systems and training volunteers as required
• Maintain excellent relations and communications with volunteers, staff, food suppliers and charities

If required to drive a FareShare van, you’ll:

Colostomy UK is a national charity that offers support and advice to people who have had stoma surgery (ostomates) and to their friends, families and carers. Our projects empower ostomates to return to sports, hobbies and other activities after their surgery and give them the confidence to take on fresh challenges. We advocate for ostomates’ rights and are their voice on the bigger issues. Our campaigns raise awareness of ‘life with a stoma’ and encourage organisations to make their facilities more inclusive.

About the role:

As the Volunteers and Support Administrator you will provide efficient administration to our support services and volunteer team. You will also undertake any admin duties involved with running the Colostomy UK office and support other members of the team. You will be answering and re-directing incoming calls on our stoma helpline. You won’t be providing support to callers; however you will need to have an empathetic approach whilst explaining that you will arrange a support call back from one of our volunteers. You will action calls that come through on our admin line and manage our central email inbox, ensuring requests are actioned promptly. You will organise volunteer rotas, help with onboarding our volunteers and organise incoming and outgoing post. The postholder will take minutes at meetings, ensure the office is kept tidy and co-ordinate stock delivery for events and exhibitions.

The ideal candidate for this position is organized, efficient, and reliable, capable of managing multiple tasks concurrently. Befriending Scheme Coordinator

Part-time, 21 hours per week

£13,152 per annum (£21,921 FTE)

We have an exciting part time opportunity to join our Befriending Service which aims to ease loneliness and isolation of older people across Dacorum.

You will be responsible for coordinating our volunteers who either provide companionship through home visits or friendly telephone chats. You will also help to promote volunteering throughout Dacorum.

This rewarding position offers flexibility and autonomy in the way that you work.

It requires someone with excellent communication and organisation skills.

As you will be required to travel throughout the Dacorum area, a full driving licence with daily use of a car is essential.

Main purpose of Role

The purpose of the role is to coordinate the Befriending Service by carefully matching volunteers to visit an older lonely, isolated person in their own home to provide friendship and company.

Key Responsibilities

• Receive and record referrals for the befriending scheme from a variety of health and social care professionals, voluntary organisations, or family and friends
• Make contact with potential clients by undertaking initial telephone assessments and carrying out initial assessment visits, taking time to understand the needs of the clients and to assess suitability for the befriending scheme
• Actively recruit volunteers for both the visiting service. This will include interviewing potential volunteers and completion of DBS and references checks
• Provide individual inductions for all new volunteers recruited within the locality, ensuring that volunteers are appropriately trained to carry out their befriending role
• Carefully match volunteers with a client to ensure compatibility, and personally introduce visiting volunteers to clients
• Maintain regular contact with volunteers and clients to offer ongoing support and advice
• Manage and organise own administration work, ensuring that it is accurate and meets quality targets
