FareShare is the UK’s national network of charitable food redistributors, made up of 18 independent organisations. Together, we take good quality surplus food from right across the food industry and get it to almost 11,000 frontline charities and community groups. The role

This important role sits within our Supply Chain and Logistics team, responsible for processing offers of surplus food from our food partners into our network of Regional Centres and the wider community. This role is essential in ensuring that the food we are offered reaches the thousands of charities and community groups we support across the UK.

The role is a combination of customer service provision and supply chain coordination with a strong data focus. You will analyse varied datasets to decide how food is distributed across our Network to ensure optimal and sustainable distribution. You will also be responsible for continuing and championing the high levels of customer service we provide to the food industry and our network of Regional Centres.

You will work closely with FareShare’s food suppliers, transport partners, and our Regional Centres to identify and overcome operational challenges to distribution. The successful candidate will also work closely with our Food Commercial team to ensure our food partners receive excellent operational support and customer service. We are continually evolving our processes and you will work within a culture of continuous improvement to improve operations within the team.

Main areas of responsibility

Food Industry Customer Service

• Deliver excellent customer service, ensuring offers are responded to and processed within agreed service level requirements
• Work closely with the Food Commercial Managers, providing feedback and reporting on service issues and attending meetings and site visits as appropriate
• Assist Food Team with insight and feedback from food businesses, capturing key account information in our CRM system

 Regional Centre allocation

• Adhere to the requirements of the Network Service Level Agreement
• Work with the Supply Chain and Logistics Manager to match food supplied to Regional Centre needs, always working to maximise surplus redistribution and minimise waste 
• Ensure that offers are allocated in an efficient and timely manner according to network needs and agreed priorities to maximise social impact of surplus food
• Using our CRM system, maintain timely records of accounts, allocations, offers and case management
• Maintain high standards of customer service to the Network and Operations teams and develop respectful and effective working relationships with the Regional Centres.
• Build your understanding of our Network and your relationship with Regional Centres through a programme of regular site visits in collaboration with the Network Development Managers
• Work with the Network Development Managers and Food Supply & Services Managers to identify opportunities to maximise and grow redistributed food volumes

Logistics and transport

• Work with Commercial Managers and hauliers to implement best practice processes and reduce costs for FareShare whilst maximising acceptance of food
• Work with hauliers to plan transport requirements and ensure that we are able to meet network demand
• Work with Regional Centres to coordinate and plan routes for internal FareShare logistics
• Reactively solve transport issues throughout the working day

Data and Analysis

• Use FareShare PowerBI reports to ensure optimal product allocation within contract requirements
• Specify, build, monitor and analyse Salesforce reports to increase efficiency of allocation
• Use dashboards to monitor network issues
• Lead regional network agreement service level review meetings
• Report on data integrity issues to the Network Analyst

Team coordination and representation

• Support the Team providing assistance and cover when required e.g. during busy periods, annual leave and sickness to ensure an even spread of work across the team
• Support the training of new team members
• Represent the Supply Chain and Logistics team at network cluster and food category meetings
• Deputise for the Supply Chain and Logistics Manager when required
• Keep team process instructions up to date Project support
• Act as Supply Chain and Logistics team lead on cross functional projects as required alongside stakeholders including: retailers, funders, and strategic food partners
• Project review; share learnings with the Supply Chain and Logistics team
  
   

Person Specification

Essential Criteria

• An understanding of food insecurity and sustainability issues, and passion for the mission and values of FareShare
• Excellent communication skills (written and oral)
• Evidenced problem solving ability
• Excellent customer service skills
• Excellent organisation skills – able to prioritise with competence managing ongoing projects alongside reactive daily tasks
• Computer literate with good working knowledge of MS Office, in particular Excel and Word
• Self-starter, ability to work within clearly defined and agreed parameters with limited supervision
• Proven ability to build and maintain relationships with multiple stakeholders and third parties
• Ability to handle and analyse data, spotting trends in data and reports
• Experience of working in a fast paced and pressured operations role

Administration and Systems Manager 

£35k p.a. 

Location: initially remote working but to be hybrid based in W/NW/SW London.

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

Key responsibilities

Team management
Directing the team to make sure work is scheduled, fully completed and managed efficiently.

Line managing and coaching team members to achieve their objectives and develop their skills, confidence and abilities. 
Systems management.

Managing the impacts and interactions between processes and systems which can be complex and far reaching. 

Monitoring and ensuring all systems used are accurate and up to date, performing, interpreting and following up on system audits.  
Information review, reporting and continuous improvement.

Create, review and report on operational data and use this information to solve potential problems or strengthen business performance. 

Evaluate processes and policies, look for and make improvements as necessary. Ensure that processes and policies are easy to understand and up to date. 

Stakeholder management

Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.

Quality of service 

Ensure all queries and contacts are dealt with professionally, accurately and promptly. 

Manage all aspects of the administrative tasks and process required.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

The Programme Manager role will report to the Senior Programme Manager and sit within the Programmes Team.

The Programme Manager will be responsible for project managing a number of our services. You will have a clear focus of delivering high quality programmes that are run smoothly, efficiently, within budget, and achieve the desired outcomes and objectives for both the partners and the young people.

You will lead and support others within your team to deliver high quality programmes from initiation through to evaluation and review, that will directly contribute to the company’s growth strategy and impact.

The Programme Manager will also be a key member of the department and contribute to, departmental strategies, systems and maximising efficiency, delivering programme management to an excellent standard that produces high impact for our young people and partners.

About the role 

We're looking for a highly motivated and skilled Bid Manager who can actively craft commercial tender submissions and work with the team to ensure we submit high-quality, winning bids within UK government procurement rules.

You will sit in the Business and Strategy directorate and lead bid-writing across the organisation, line-managing a team of Bid Writers and working closely with other colleagues across Business Development, Marketing and Operations.

Our Maintenance Assistants provide integral support in ensuring our three Battersea sites remain operational. We currently have an opportunity for someone with experience in general maintenance to join us and deliver a programme of planned preventative maintenance tasks. This work will keep our buildings, site, and equipment in the best condition possible.

Tasks will include maintenance of:
- Drainage
- Guttering
- Door furnishings
- Kennel and pen management
- HVAC and plant

You will also be involved in supporting discreet projects such as office moves, space conversions and other site and paddock improvements.

The Role

As a Project Lead for the ASB team you will be:

• Managing a small team of ASB caseworkers including performance management, monitoring and support
• Responsible for allocating cases within the team and analysing statistics and data in order to monitor daily caseloads against resources and look for trends/ pattern of behaviour
• Working with the Operations Manager to ensure delivery of the business plan and associated outcomes
• Responsible for capturing data and information to ensure the work of the team is outcome based and evidenced
• The subject matter expert for ASB within the service
• With key partners, developing mechanisms for identifying and referring those affected by ongoing and persistent ASB incidents and crimes, including those not engaged in criminal or civil law processes
• Completing DSO training to prioritise the safety of service users and ensure compliance with safeguarding policy
• Leading on delivery of training to local agencies, organisations and bodies to represent the service and increase knowledge and understanding of issues related to the ASB
• Contributing to and attending monitoring meetings with funders/commissioners and providing reporting when required
• Playing a lead role in developing VS’s ASB work at both local and national levels
• When the service requires, holding a small caseload providing high quality support to service users in line with VS policies and operating procedures.

The role is home-based within Devon and Cornwall and therefore is open to applicants who both live in this area and have access to an appropriately confidential space in which to work.  Regular travel within working hours will be expected across Devon and Cornwall to fulfil the role and travel expenses are paid.  Core service hours are between 9am – 5pm, with the expectation to flex to need where required, managed within flexible working arrangements.

About You

You will need:

• As this role involves regular travel across Devon and Cornwall and due to the location, a driving license and access to a vehicle is considered an essential requirement
• Experience of managing a team
• An understanding of confidentiality and safe working practice in accordance with safeguarding legislation, General Data Protection Regulation and other legal requirements
• Experience of effective delivery of services in the voluntary or statutory sector including complex case management and maintaining case management records
• The ability to build effective working relationships across internal and external stakeholders and work directly with in statutory, voluntary or multi agency settings
• High personal resilience to manage demands of working with ASB
• Competent IT and administrative skills including the use of Microsoft Office packages
• The ability to engage with vulnerable service users.

Your role

As Assistant Shop Manager, it is an exciting opportunity to work alongside the Shop Manager in Surbiton's brand new Scope shop (Victoria Road, Surbiton, KT6 4NS). The shop will be opening mid 2024.  You will be able to use your creativity and flair to flourish in our retail environment. Our retail roles are full of variety, and every day is different! One day you might be be generating and processing stock and designing an eye-catching window display. The next day you might be recruiting and training our wonderful volunteers. Every day there will be a different challenge that you’ll find extremely rewarding. You may also deputise and be responsible for running the shop when the shop manager is absent. A great attitude and willingness to learn are just as important as relevant experience.

About you

You’ll be a dedicated team player with a strong work ethic and committed to providing excellent customer service. You do not need specific retail experience. But we do ask that you are business minded and have worked in a fast paced, service environment where you put the customer’s needs first. You’ll also need to showcase a great attention to detail, solid IT skills and have a creative eye for displays. You will also demonstrate an appreciation of Scope’s values and ambition of achieving Everyday Equality for disabled people.

Key responsibilities include managing day-to-day operations, supplier relationships, continuous improvement initiatives, and strategic planning. This will include both the inbound and outbound movement of stock, as well as London-wide logistics infrastructure and contracts. You will work closely with the warehouse team on stock levels, policies and procedures, as well as with hub teams to have a complete picture of network stock levels and needs, in order to make efficiencies, improve stock flow and engage with the community.

The successful candidate will have experience in one or more of the following areas: logistics, retail, procurement, community engagement, and will be a confident and articulate person, who enjoys engaging with stakeholders from all backgrounds, whether it is a school or religious group, large corporate partner or individual donor. You must be practical and well-organised, happy reorganising a spreadsheet of stock items and must be a keen problem solver and strong team player.
