Summary of Job Purpose

The Business and Operations Lead plays a vital role in managing and developing the operational business functions of the organisation and supporting its charitable aims; working closely with the CEO to deliver and improve the organisation’s strategic planning, operational delivery, and budgeting/ finance processes. The postholder plays a vital role in ensuring that the day-to-day operations of the iHV run smoothly, with key functions:

• Leading iHV business and financial management, including accounting, budgeting, reporting, strategic planning and risk management.

o Work closely with the CEO, senior leadership team and our accountants to align financial and operational strategies.

o Manage financial controls, procedures, and systems.

o Collaborate with various departments, including external stakeholders, for effective budgeting and operational management.

• Leading iHV operations:

o Senior responsibility for administrative, legal, and compliance functions, ensuring smooth operations. This will include management of our Emsworth Office, IT and risks, supporting business planning and change management.

o Lead the operational change for a new Customer Relationship Management (CRM) system and website. iHV Project Lead working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification.

o Working closely with our part-time Head of HR, supporting the senior management team and line managers with HR matters, including recruitment.

o Line management responsibilities of designated staff in the corporate team, supporting business administration.

o Working with the CEO to ensure good governance of Board-related matters, collating Board papers and attending quarterly Board meetings.

Key areas of responsibility:

Business and financial management:

• Maintain and develop robust quality assurance processes for income and expenditure, working with our CEO and accountants, to ensure all financial and reputational risks are effectively managed.
• Ensure effective financial processes across the iHV, with systems in place for invoicing, managing iHV payments and standing orders, and chasing outstanding payments and debtors.
• Build departmental budgets, supporting leads with forecasting, budget tracking, monthly monitoring (management accounts are produced by our independent accountants) to inform workforce planning.
• Work with department leads to prepare budgets for tenders and project/ research grant applications, including determining when VAT is applicable.
• Process invoices, iHV card payments, direct debits, standing orders, expense claims forms and ordering of office supplies, with support from the Corporate Team Administrator.
• Support leads to manage contracting, invoicing and reporting to external funders in accordance with funder requirements. Ensure all new funding streams and other costs are accurately recorded by the accountants.
• Ensure management of the corporate member joiners to the organisation, including invoicing and setting up a process for re-invoicing.
• Work closely with the external accountants to provide information on monthly suspense, debtors, mis-postings and general queries in relation to iHV finance. Ensure the iHV’s reconciliation and remittance records are updated weekly.
• Ensure all financial documentation is available for scrutiny as required, including support for annual financial audit by independent auditors.
• Make recommendations, provide advice, and prepare strategic reports and briefings as required.

Operational Management and Governance:

• Support the CEO and department leads in managing human resources, risk management, quality assurance, operational change, and board functions.
• Support iHV business planning and the development of key objectives and priorities for the corporate Team (in partnership with the CEO and other leads within the corporate team).
• Oversee the operational needs of the Institute – supporting leads within the organisation with workflow mapping, business continuity and planning to support matrix working across the organisation.
• Recording and monitoring of business risks across the organisation to enable risk management, reporting to the Board and providing support in association with the CEO.
• Support the board, providing secretariat functions to board meetings, including ensuring all papers are provided on time, managing sensitive information, and taking board minutes.
• Work with the CEO to develop, coordinate and implement organisational policies throughout the Institute.
• Support the CEO with reporting to the Charity Commission/ Companies House and ensuring that the organisation’s charitable obligations are met. Work with external auditors to deliver the annual audits; and ensure that the relevant documentation is held in line with requirements, is available for external auditing, and the delivery of audit recommendations are tracked.
• Support Health & Safety risk management, ensuring risk assessments are in place, processes and policies are up to date, and staff are trained and informed with any changes.

Information Technology

• Management of robust administration and business support systems, including negotiation and management of IT agreements, subscriptions, licences and contracts as required, providing recommendations for improvements and efficiencies to the CEO.
• Facilities management of required IT and infrastructure to include details of equipment held and provision of Microsoft/ other required licences.
• Liaise and schedule work to be undertaken under external IT support contract.
• Lead operational change for new Customer Relationship Management (CRM) system and website – working with a dedicated project manager who has scoped our organisational requirements (almost completed), to finalise the invitation to tender (ITT), manage the procurement process, evaluate submissions with a small in-house change team at the iHV, and make recommendations to the board. The postholder will lead the project for the iHV, working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification and is robustly tested before launching.
• Information management and analysis to highlight issues/ risks and support decision making – work with Head of HR to ensure iHV compliance with GDPR.

Human Resources

• Management of our Emsworth office with line management responsibility for a small number of designated staff in the corporate team who support business management (currently the Corporate Team Administrator), supporting the delivery of team objectives within the iHV Business Plan.
• Support, motivate and develop staff, managing direct reports’ annual performance development review (PDR) and performance management, if required.
• Work closely with the Head of HR to make sure that good employment practices are universally embedded operationally within the iHV.
• Support staff recruitment and the induction of new staff; provide advice to staff on corporate policies and procedures and communicate changes.
• Support the Performance Development review process for the iHV, collating 360 feedback for iHV employees where requested, and maintaining records for annual PDR outcomes.
• Maintain oversight of the recording of annual leave with the Corporate Team Administrator, Head of HR, and department leads.
• Provide operational leadership and management for team awayday (leading a small team to plan this each year), to support team building and staff development.

Other:

• Have an excellent professional working relationship with colleagues to deliver corporate goals and objectives in line with iHV Vision and Values.
• Help at iHV conference and events, working with our Events Manager and overseeing the work of the Corporate Administrator to ensure that venues, travel, accommodation and materials are booked and delivered on time.
• To participate in all mandatory and individual training as required. To highlight their learning and development needs to the CEO on induction, at the annual PDR, and as needed, to ensure capability to deliver key role functions.

Qualifications (Essential)

• High level of numeracy, literacy, and IT skills.
• Degree in business administration or related field, or equivalent qualification/ postgrad evidence of additional training/courses undertaken.
• Programme Management qualification (PRINCE2, AGILE or equivalent).

Experience (Essential)

• Proven work experience as Operations/Finance Manager or similar role. Prior experience of strengthening organisational effectiveness.

We're looking for an enthusiastic and dynamic Operations Lead who will ensure the smooth running of CCX day-to-day operations. As lead of the Operations Team, you will oversee the finance, HR, coordination of data, IT applications and integration, and corporate governance functions.

The Gregory Centre for Church Multiplication (CCX) helps the Church make disciples in new and renewed ways. We work with willing partners across the Church to catalyse multiplication, equipping leaders through adaptive learning pathways.

CCX’s organisational structure is a hybrid management model, blending elements of both functional and project-based structures. Project teams are formed to address specific initiatives, tasks, or delivery projects. These teams are cross-functional, comprising individuals from different specialties, typically with a project manager working under the direction of a CCX lead. The two core teams of Operations and Media operate as shared services across the organisation.

Under the direction of the Bishop of Islington, a suffragan bishop of the London Diocese, CCX supports church planting and church growth work in London, nationally and beyond.

Collaboration and partnership will be key features of this role, working closely with the Bishop, Chief of Staff, and Team Leads. This role has a strong focus on agile and efficient systems development and improvement, resource optimisation and stakeholder engagement.

Key Duties and Accountabilities include:

● Ensure the deliverables of the CCX Operations Team are met in accordance with organizational goals and objectives.

To maintain good practice standards, provide timely information and advice to local churches, and operate a robust casework service.  To sustain and further develop a comprehensive safeguarding training programme that delivers nationally approved training effectively and with impact. 

We are seeking to appoint two experienced Safeguarding Officers on a permanent contract; altogether 1.3 full-time equivalent between the two posts, with hours being negotiable with successful candidates.The post holders will have a relevant professional qualification and be able to demonstrate a proven track record of direct safeguarding practice with vulnerable adults or children or both. The Supporter Relations Team plays a pivotal role in building relationships with our supporters and assisting our fundraising team to raise vital funds that will support our mission to beat blood cancer within a generation. The main purpose of this role is to lead and develop the Supporter Relations Team to deliver excellent customer service to our supporters from the beginning of their journey with Blood Cancer UK. Our processes need to be as efficient and effective as possible to get the best from our supporters.

About EFA

English for Action provides free, participatory, and empowering English language classes (ESOL) for migrants in London. Our classes are spaces to build community and support students to organise collectively around issues like employment and housing rights. Our work currently supports around 500 adult migrants across London. We’ve become a national centre of good practice for a radical participatory approach to ESOL, informed by the work of Paulo Freire, and we share this approach through trainings, research and partnerships.

This is a newly created role and there is a great deal of untapped potential here for a proactive leader to support the CEO and SLT to create efficiencies in how we manage our internal infrastructure (IT Systems and processes), Finance and charity Governance, and HR/people to ensure we maintain and develop a thriving and nurturing working environment. The individual will have significant involvement in the strategic vision of the organisation as a whole. With a broad portfolio, the role combines both operational and strategic elements and must be able to flex up and down accordingly. 

Avon Wildlife Trust are looking for a Head of People and Resources to shape the development of our workforce and ensure that our staff and volunteers have everything they need to fulfil their roles.

Like many organisations, we have recently moved to a hybrid working approach including homeworking and operational hubs throughout our area. We have embraced collaborative online working through Microsoft Teams and are making the transition to fully cloud based IT systems. We are operating effectively in our new model, but much remains to be done to ensure that staff and volunteers are supported by the best systems and facilities that we can provide. The Head of People and Resources is a new role in the Trust, introduced to help make and maintain this transition. You will also support the operation of our Board and the governance of the Trust.

Overall Purpose of Job :
To manage the people and resources operations of the Trust, ensuring that our staff, volunteers and Trustees are supported by the systems, facilities and culture they need to fulfil their roles safely, effectively and inclusively.

Main Responsibilities :

• Develop our HR systems to attract, support, develop and retain talented people, including leading our systems and culture around equality, diversity and inclusion, performance management, volunteering, learning and development and internal communications. 

• Provide oversight and supervision of the Trust’s buildings, operational facilities, vehicles and other shared assets, ensuring that our people have the facilities and equipment they need to fulfil their roles. This includes the landlord responsibilities associated with Folly Farm Centre.   

• Ensure the effective development and maintenance of IT systems and infrastructure that supports our digital transformation, knowledge management and effective functioning of the Trust’s day to day operations.  
• Continuously develop the Trust’s Health and Safety, safeguarding and data protection systems, monitoring and driving compliance to provide assurance of a safe environment for people involved in the Trust’s activities. 

• Continuously develop systems to support the Trust’s effective operations, including project management and resource management systems, and monitor and report on implementation of the Trust’s Strategy Delivery Plan. 

• Support the effective governance of the Trust and the operations of the Board, including organising and supporting meetings, co-ordinating our annual report and AGM and managing the recruitment process for new Trustees.  

• Support the Trust’s procurement and contracting processes, including commissioning legal advice.

• Continuously improve the environmental footprint of the Trust’s operations, to go beyond net zero carbon and address the ecological impact of supply chains.

The projects we deliver are many and varied, and all enable people to play their part in reducing waste and living more circular lives. This is a new role, and you will be joining the team at an exciting point in its development, as we consider how we evolve the work. You will work closely with our Community Impact Lead to support both the delivery and the development of our community work. The Community Impact work at Resource Futures is an important part of our business; it captures a number of long-term projects which are at the heart of our company. These include Community RePaint, Community Action Groups Devon, Community Action Groups Somerset, the Fixy project, the Gloucestershire Real Nappy Project and more.

What you will be doing

• Project delivery: Getting involved in project delivery, such as foundational research for project development and delivering workshops.
• Project management: Overseeing the effective delivery of projects, including reporting, and supporting the planning and set up of new projects as they come online.
• Innovation and Development: Supporting us to improve and expand our projects and programmes. You will also assist in identifying new projects or funding opportunities and contribute to the preparation of funding proposals. This may involve exploring options for the governance structure of this area of work.
• Marketing and communications: Promoting our projects, developing our external communications and acting as an ambassador for our community work.
• Monitoring and evaluation: We are on a journey to better capture the impact of specific projects, and the impact that our community work has collectively. You will take an active role in supporting this element of our work.
• Partnership working: Collaboration is key to our approach. You will liaise with existing clients and partners for project delivery, develop new partnerships to further our aims and also take part in key networking and external events.
• Team development: You will work closely with the Community Impact Lead to contribute to the development of the team, during our team meetings and away days. You will be comfortable managing staff, teams and subcontractors to deliver desired outcomes.
• Day-to-day operations: Working closely with the Community Impact Lead, HR and Finance, to support our remote project teams, problem solve issues as they arise, develop our internal systems and processes, maximise efficiencies and drive improvements.

About the role

£18,975 for 22 hours, FTE salary is £31,051

In this varied and rewarding role you will develop and coordinate our team of volunteers and Sessional Workers (zero hours youth workers).  You will be instrumental in defining our volunteer strategy moving forward and identify other participation opportunities such as work experience placements, university placements, internships and apprenticeships.

You will also help develop internal engagement activities and participate in external awareness raising and fundraising activities, to support both volunteering and fundraising.

This role is for 22 hours per week, which will ideally be worked over 4 days.   There is the option of hybrid working.   We provide a surrey wide service, so the successful applicant will be willing to travel across the county to meet volunteers and sessionals as  well as participate in engagement opportunities.

Key responsibilities

• To coordinate the recruitment and induction process for volunteers and sessional workers.
• To coordinate, develop and deliver appropriate induction, training and supervision activities.
• To act as a central point of contact for volunteers and sessional workers

• To develop and manage partnerships with external stakeholders including Universities/volunteering hubs, local businesses and community groups to encourage a range of opportunities.

About you

You must:

• Have proven experience of recruiting and managing volunteers
• Have experience delivering information or training
• Have experience with having difficult conversations with volunteers or workers
• Have experience of working across different teams, networking and developing links with other agencies
• Be an effective communicator, with strong written communication skills
• Be able to multi-task, plan a workload, set priorities and manage time effectively, working without direct supervision
• Have a good professional knowledge of standard Microsoft packages and databases
• Ideally, have a driving license and use of own vehicle. Mileage expenses are paid.
