Job Purpose:
Oversight of all aspects of the finance of the Irish Chaplaincy: including pay roll, payment of bills, preparation of regular management accounts and the annual budget.

Key Responsibilities:
Internal & External Communication
• Organising monthly payroll, including pension payments.
• Processing receipts (cash, cheque, online, BACS) and payments in a timely manner, whilst ensuring good record keeping.
• Preparing reconciliations - bank, credit card and balance sheet.
• Preparation and presentation of finance reports to the Board of Trustees.
• Assisting with preparation of Statutory Accounts.
• Preparation and submission of expense and Gift Aid claims.
• Preparation of Annual Budget, in collaboration with the CEO.
• Assisting with any audits which need to be undertaken.
• Liaising with banks where necessary.
• Maintaining the monthly balance sheet reconciliation.

Skills and Competence:
Essential:
1. Qualified management accountant.
2. A detailed understanding and experience of working with the Quickbooks accounting software package.
3. Experienced in Fund account management, relevant to charities.
4. Able to work independently, with sound judgement, good time management and prioritisation skills. Consistent attention to detail and ability to work to deadlines is critical.
5. The ability to problem solve and seek appropriate support where necessary.
6. Excellent written and verbal skills.
7. Excellent level of IT literacy, including MS Excel and MS Word.

Finance Assistant

The role

On a typical day you might be checking invoices and then supporting the Business Accountant to process them, reconciling the charity’s bank accounts and company credit cards, checking staff expenses and preparing claims for payments of grants. You will also provide ad hoc support across the finance team, such as providing calculations or analysis.

This role will be primarily responsible for processing of all philanthropic donations to the Foundation efficiently and effectively. You will ensure all gift processing is completed to a high standard, coupled with the successful monthly reconciliation between the fundraising database and the charity bank account. Additionally, you will offer support to the Finance team in their mission to process and report financial information of the utmost quality. Key Responsibilities

• Process donations onto the fundraising database meticulously, adhering to established guidance and procedures with exceptional accuracy.
• Collaborate with internal and external stakeholders, ensuring prompt and comprehensive responses to inquiries regarding gift processing, fostering constructive working relationships.
• Conduct visits to external fundraising sites to collect donations, including cash, employing responsible and secure procedures aligned with best practices.
• Import gifts and donor details from diverse fundraising platforms promptly, proactively identifying and rectifying any inaccuracies or errors.
• Monitor weekly banking activities and conduct monthly cumulative reconciliations, promptly investigating and resolving any discrepancies or issues.
• Collaborate with the Data and System Teams to develop and document gift processes, supporting any necessary system upgrades and refining processes as required.

A Partner in Education (APIE) is a small charity established in 2009 to support education development in Rwanda and make a positive difference to children’s futures. APIE has developed teacher training programmes in Early Childhood Education and Education for Positive Peace. • Complete all required financial reports and file tax returns
• Manage annual membership subscriptions
• Work with the Director in identifying and securing core grant funding

2. Manage the administration of the Secretariat

• Produce GADN’s Annual Review
• Respond to external enquiries in the ‘Coordinator’ and ‘Recruitment’ inboxes
• Manage GADN volunteers
• Keep all HR and other files and records in order
• Maintain internal communications systems (email, calendars, document sharing, team meetings) 
• Manage the monitoring and evaluation processes of the network
• Ensure all legal reporting requirements are met

3. Coordinate support to the network’s members

• Act as a friendly, supportive and approachable face of the network
• Provide support to the network’s Working Groups, liaising closely with their Chairs
• Organise four Members’ Meetings per year, working with others in the team
• Organise other events and support for network members working with others in the team
• Induct new members
• Respond to requests for information from members

4. Coordinate support for the different branches of the network

• Service the Board of Trustees including arranging meetings, preparing papers and taking minutes
• Organise and minute meetings of the Network’s Advisory Group and Chairs of Working Groups
• Ensure communications and updates are shared between different branches of the network including reporting to the Board on Working Group activities
• Administer annual planning processes and support the development of the network’s next three-year strategy

5. Other

• Undertake any other reasonable task as needed

Management

The post is line managed by the Director. The Network Coordinator will also work closely with the Head of Policy, Communications and Policy Assistant, Co-Chairs of the Board, Treasurer, Working Group Chairs and members of the Advisory Group.

Skills and Experience

Essential 

• Demonstrable financial numeracy and experience of organisational financial systems including accounts, budgets, spreadsheets and banking
• At least two years worth of administrative experience
• IT literacy - ideally including Microsoft Word, Excel, G Suite, and Squarespace
• Ability to write clearly
• Proven ability to organise and plan effectively, prioritise workloads and work on own initiative with limited support
• Demonstrated commitment to, and enthusiasm for, promoting women’s rights and gender equality
• Excellent interpersonal and communication skills
