Prospectus is pleased to support a homelessness organisation in recruiting for a Supported Housing Operations Manager. Operating in Hertfordshire, Bedfordshire, Buckinghamshire, and Berkshire, this national charity is dedicated to supporting individuals in need of care and those who cannot afford to buy or rent homes at market rates. They fulfil this mission by constructing hundreds of essential new homes and offering care and supported housing services to a diverse range of people.

The Supported Housing Operations Manager (Homelessness) will be responsible for the effective day-to-day management of several supported housing schemes designed for individuals experiencing homelessness and multiple disadvantages. This role is critical in ensuring that the services provided are psychologically and trauma-informed, aligned with the Making Every Adult Matter (MEAM) principle.

Key responsibilities include:

• Overseeing the performance and management of services, including supported housing and community-based outreach/support services.
• Ensuring budget control and the provision of high-quality, appropriate support.
• Adhering to policy/procedures, health & safety, and risk management protocols.
• Supporting service development, including taking the operational lead in developing new services and transforming existing ones.
• Collaborating with Scheme Managers to ensure team meetings effectively address key operational issues.
• Developing and reviewing annual plans for services in alignment with the Supported Housing department’s strategic objectives.

This position is part of the middle management team and involves direct management of two scheme managers, focusing on promoting a trauma-informed and psychologically sensitive approach to service delivery.

The successful candidate will have demonstrable experience of developing formal relationships with other organisations, experience of developing operational procedures, experience of safeguarding adults and responding to safeguarding concerns and currently hold or willingness to study to NVQ Level 5 Health and Social Care qualification or equivalent.

Doctors in Distress was founded in 2018 by Amandip Sidhu following the suicide of his brother Jagdip. Jagdip was a consultant cardiologist. He was overworked, burned out and felt he had nowhere to turn. He believed taking his life was the only answer. Amandip established the charity so no other healthcare worker would have to experience the same pain as Jagdip.

Healthcare workers are facing immense pressure. A 2023 survey showed that 34% of staff were suffering from burnout and 37.4% were emotionally exhausted because of work. The mental impact of the pandemic is still being felt by many, on a daily basis. Doctors in Distress is committed to reducing burnout and distress through support programmes and campaigns.

The Operations Assistant will play a key role in ensuring the smooth operation of Doctors in Distress, managing a range of administrative functions across programmes, operations, marketing and communications, finance, and campaigning activities.

Key Responsibilities

• Online Programmes: You will coordinate programme delivery, manage speakers and registrations, and gather feedback.
• Operations: You will manage the main inbox, support financial tasks, assist with IT and CRM management.
• Campaign Support: You will contribute to impactful campaigns, such as the National Memorial Tree Campaign.

The Operations Assistant will have 3-5 years of administrative experience and strong organisational, multitasking, and communication skills. The successful candidate will be proficient in CRM systems (Beacon or similar) and experienced in using Microsoft Office, including Teams, and with experience using Zoom. You will be proactive, self-motivated, and detail-oriented and capable of managing multiple priorities. The successful candidate will also be empathetic towards healthcare professionals' challenges.

The Role

About the Role:

The Transformation & Change Programme Manager is a newly created role and is responsible for leading and managing our defined reform programme. You will play a key role in helping CSSC adapt to change with minimal disruption to its operations and key stakeholders (staff, volunteers and members). 

The role will be responsible for any change initiatives within our operational plan ensuring that all changes are smoothly and successfully implemented. About You: 

• Educated to a higher level (degree level qualification or equivalent) or relevant experience.

• Relevant professional qualifications and training specific to transformational change and programme management. 

• Significant experience of delivering large, highly complex people change programmes.

• Demonstrable experience in people change and building business capability. 

• Evidence of a track record of successfully communicating to a variety of audiences, ability to build rapport and trust quickly.

As Lewisham Foodbank Warehouse Operative you will play an important role in helping to facilitate the day to day running of the Foodbank. You will support the Warehouse Manager to ensure accurate processing of donations and purchased stock, unloading and loading of vehicles, coordination of van deliveries and pickups, as well as accurately managing and recording stock. You will work with a team of volunteers to ensure that the correct food is delivered to our centres and we are able to continue to effectively provide food parcels to those in need across the borough of Lewisham.

Role Purpose:

This is an exciting opportunity to lead the integration and management of a new Operations function ensuring the best possible outcomes for CAF’s donor clients and charity partners by creating a highly efficient operating model that delivers excellent support for frontline teams. 

The department delivers various functions including due diligence on our donors (customer due diligence) and charities that we fund (charity verification), payments to charities, operational and administrative support and contact centre.

We are in the midst of a key digital transformation programme that will help us to deliver a step change in growth and efficiency and are about to embark on our next three-year strategy.

We’re looking for a talented Head of Operations to join our senior leadership team and help to guide the organisation through this critical juncture.

Key Responsibilities:

Strategy and leadership

• Integrate and lead a newly formed Operations team that brings together the contact centre, customer due diligence, charity verification and payments teams, forming an integral part of Giving and Impact Services 
• Lead the team in its work to deliver excellent operational support to frontline teams constantly improving service standards and operational efficiency
• Take the lead role in the operations stream of CAF’s strategy with responsibility for day-to-day management of the strategy
• Work closely with colleagues in product to leverage customer insight, make continual improvements to CAF’s products and ensure full integration with the strategy
• Ensure that the size, skills and structure of the new Operations team is commensurate with providing excellent client service and creating a financially sustainable organisation
• Actively foster a customer-centric culture dedicated to finding new and innovative ways to serve all stakeholder groups, maximising impact and effectiveness
• Work closely with HR to ensure effective training and development needs are identified and appropriate programmes are delivered across the division to support succession planning and provide development opportunities
• Play a leading role in CAF’s Leadership Group enlisting support of peers and sharing expertise with other areas of CAF
• Play a key role in the Giving and Impact Services leadership team working closely with the other heads of department to maximise collaboration between teams 
• Take a data-driven approach to improving customer services and operations including the key cause of client complaints, transaction processing times and bottlenecks, and the end-to-end transaction journey

Governance

• Work with relevant colleagues to ensure that CAF maximises the value of its data and implements effective data governance
• Take overall responsibility for the delivery of quality management information ensuring this is shared in a manner that drives continual improvement 
• Set and help deliver targets/KPIs across operations to keep the team focussed on the most important activities
• Working with the Managing Director, Giving and Impact and other colleagues to ensure that robust governance is in place especially risk management, financial crime, compliance with charity regulation and governance of BAU activity
• Ensure compliance with all risk management practices and policies across the team
• Ensure timely reporting to regulators including the annual Give As You Earn submission to HMRC

 Policy and Process

• Own all Policies and Standards related to: Non-cash donations, Verification and Donor-Led Loans, including their regular review and improvement for better customer outcomes
• Challenge existing processes where they cause inefficiency or result in a poor customer experience, leading on the implementation of alternatives
• Work with the Transformation team to design and develop new systems and processes that improve the customer experience and are easy to manage

 Payment processing

• Lead the creation of a new, centralised distribution (payments) unit to create savings in processing time, workflow, cost and resource and deliver better customer outcomes

Due Diligence responsibilities

• Work with the General Counsel and Executive Director for Governance to strengthen the ‘First Line of Defence’ capability within Charities Aid Foundation (UK) 
• Accountable for the design and implementation of appropriate controls and processes to ensure they are compliant with internal policies and external regulation, in particular FCA for AML\KYC, HMRC and Charity Commission for gift aid and charity verification
• Accountable for the development and implementation of the Charity Verification policy, ensuring it meets internal policy requirements and those of external regulators such as HMRC and FCA

We provide professional learning and development that supports thousands of schools each year, through our national CPD programme and our network of Regional Mentors across England.

Job summary

The Director of National Programme has overall responsibility for PSTT’s UK-wide programme of support for primary science teachers. They lead the development of the Primary Science Teacher College, ensuring that our Fellows develop professionally and can play their part in delivering our strategy more widely. They also run the annual Primary Science Teacher Awards, with a new focus on increasing the diversity of nominees.

The Director builds on sector partnerships to increase shared understanding of what works in primary science, and – working with the Director of Regional Programme – to incorporate this into PSTT’s core national offer. The Director leads on PSTT’s national thematic activities and our offer for trainee and early career teachers, and commissions new projects and resources as required. They are also responsible for managing our team of Area Mentors and other National Programme staff.

We’re looking for a highly-skilled techy, people-person. Someone who loves to build, develop and problem solve with tech tools, while taking greatest satisfaction from seeing others succeed because of the help, support and encouragement you’ve given them.

You have strong confidence with CRM, data interpretation, manipulation and automation tools, alongside experience as a trainer or teacher. Combined with creativity and excitement for improving existing systems and building new ideas from the ground up.

What's the role?

As Head of Business and Data systems you will lead every aspect of our data and information management across a portfolio of platforms. 

Working to ensure they speak to each other in smart and powerful ways, all offering team members and company the most up-to-date and high quality insight into the needs, priorities and challenges of members of the We Are In Beta community.

How you’ll be driving our mission forward (your responsibilities)

A. 40% making our current business and data systems work really well

• Lead data management and consistency across all systems, including 

  • Automated and manual flows needed for business activities and reporting

  • Run and refine processes for data health of contact and company records

  • Review and consolidate CRM properties, processes and protocols

• Refine and add new automations to capture most useful data instantly and robustly

• Regular cycle of updates of DfE data on schools and trust performance and demographics

B. 40% develop, improve and build out current systems to be more powerful, robust and sharp

• Develop our new newsletter platform - combining all channels into one place

  • Manage migration of current audiences

  • Design process for adding and removing subscribers, with data flow between CRM and newsletter

  • Unlock power of analytics on who is opening, reading and sharing our messages the most vs the least

• Augment sales process with increased automation

  • Identify and implement opportunities to streamline current processes

  • Automate routine steps where possible, maximsing face-to-face input for greatest return

• Iterate Airtable architecture to streamline data tools and increase robustness

  • Review of all DfE data held, processed and linked tables

  • Review back-up processes

• Research and deployment of wide-ranging new platforms/software that can supercharge how we work, maximising impact for our members and customers.

  • Explore options for eg data visualisation platforms for self-service access for members, member match-making, content hosting and discovery….plus many more.

C. 20% support the team to improve quality, efficiency and impact of how they use data and systems to succeed in their roles

• Provide training, support, and guidance to help the team achieve their data and CRM goals in the most effective ways possible.
• Understand the team's and individuals' working practices and pain points, offering improvements or hacks for using current systems, or recommending new systems that can help them achieve even greater success.
• Create email lists, campaigns, sequences, and workflows in collaboration with the team - whether handling the more complex tasks as commissioned work or acting as a guide, trainer, or enabler for straightforward ones.
• Build or update existing Airtable bases to consolidate member and school data for dedicated projects or programmes.
• Explore any and all methods to help the team leverage data to better understand, serve, and delight our members.

We also use a small number of scripts in Python to allow us to do more quickly and better. Principally focused on large data-set consolidation / pivots and file scraping.

What experience and track record do you have?

It’s not essential you tick every box. But the more boxes you can tick the better. It goes without saying, we can help you gain and learn from the experiences you haven’t had yet.

• Proven experience across CRM, databases, community/content platforms, newsletter distribution, integration and automation tools. This could be from previous roles such as data analytics, community building, digital marketing or business transformation.

• Comfortable with principles of coding in Python but no need to be a pro.

• Strong understanding of data management and GDPR requirements.

• Led digital transformation/change projects, with a strong approach to project management and stakeholder engagement.

• Designed and delivered training, and/or produced clear and concise written user guides, taking time to understand the needs and starting points of the team.

• Experience with management, analysis and visualisation of large-scale data sets - ideally in educational outcomes/performance.

• Experience of the realities of working for an early-stage organisation without a big team or huge budget. We are especially interested in those who have grown a tech team/function from the ground up.

Our expectation is that you have worked within the school education sector in England, though we are open to applicants who have not if you can show you have a good base of knowledge of the needs of school teachers and leaders.

About the role - Your main duties will include: 

• To ensure that a programme of safety audits and inspections, including fire risk assessments, is maintained.

• To advise on the management of accidents and incidents in accordance with RIDDOR and other regulations and to provide support in the investigation of accidents and incidents and insurance claims where appropriate.

• To review health and safety policies and update guidance regularly to ensure that Dimensions remain up to date with legislation.
• To attend meetings within their region to provide advice and guidance and produce regional data to highlight health and safety related issues

About you - The successful applicant will have: 

• A track record in a Health & Safety role
• NEBOSH General Certificate (fire safety qualifications are desirable but not essential)
• Knowledge, understanding and experience of conducting safety audits and inspections
• Knowledge of undertaking fire risk assessments and fire safety legislation
• Knowledge of Health and Safety regulations relevant to Dimensions’ services
• Clear verbal and written communication skills
• Ability to manage their own diary and ensure that audit/fire risk assessments visits are undertaken
