Salary: Starting at £33,580 FTE per annum to £35,445 FTE per annum, Grade 3 point 26-28 - pro-rata for part-time hours

Location: Ideally based in Hertfordshire, Buckinghamshire, Bedfordshire, Cambridgeshire, Essex or Greater London (north) with the ability to travel within this region.

Hours: Full-time (37 hours per week) or open to part-time (22 hours per week)

We are flexible on hours of work and open to discussing part-time hours and other flexible working options - it is expected that for the first 12 months after the role begins, travel to properties based in the above listed regions will be required several times per week.  After this period of time, we are open to this role being home-based or hybrid working with occasional ongoing travel required. This will be discussed in more detail with the successful applicant.

The Facilities department manages all Assets and Estates that Family Action own or lease across the whole organisation, overseeing all the services across England.

Working closely with the Head of Facilities, the successful post holder will be responsible for the management of Facilities Assets and the implementation of Health and Safety and Environmental Management in Family Action’s Central region (approx. 40 sites).  You will support with our assets across the whole of the charity, including supervising some external contractors.  You will be a confident communicator who is able to work under pressure, achieve targets and meet deadlines. And you will be comfortable working in a small team environment where priorities can change at short notice. 

Your skills

You will have a strong track record in delivering Facilities Management and a focus on quality, performance, safety, welfare and management controls. We want to hire a ‘can-do’ and energetic leader who will build and sustain positive working relationships with key internal customers, while developing partnerships that will continue to evolve and effectively meet the needs of the charity and every service user we support.

Main Responsibilities:

· Conduct Health and Safety site audits to a schedule across Family Action’s Central region.

· Support responsible managers with risk assessments across Family Action’s Central region.

· Support and give advice to local management teams regarding their Health & Safety system, through regular meetings and tickets raised within the Facilities helpdesk.

· To work closely with the Head of Facilities to develop corporate services for Family Action’s Central region sites.

· Help develop the Facilities departments’ JWA (SLA) and ensure they are consistently applied and regional measurables are reported to the Head of Facilities.

· Assist local management teams with planning and undertaking repairs and refurbishment as well as the day-to-day maintenance of Family Action assets (properties and equipment) in conjunction with the relevant budget holders and landlords.

· Monitor and respond to tickets raised within the Facilities helpdesk system (SalesForce), as well as all relevant emails sent to the Facilities mailboxes.

· Collaborate with stakeholders and suppliers, including the engagement of new suppliers and nurturing of existing relationships through meetings and KPIs.

Main Requirements (for details check the job description and person specification):

· Member of IWFM to at minimum at Affiliate level (or equivalent).

· Trained to IOSH Managing Safely Level.

· Good working knowledge of standards and legislation applicable to Facilities Management.

· Experience of delivering site relocation and mobilisation projects.

· A friendly, helpful, and welcoming manner as well as excellent written and oral communication skills.

· Experience of setting up new properties, developing systems, and manging projects.

· Experience with Office 365, One Drive, Outlook, Word, and Excel.

· Ability to organise own work and time, using own initiative and recognise matters that require urgent attention.

· To work flexibly as may be required by the needs of the team and carry out any other reasonable duties as required.

Fundraising Events Officer

Location: The role is based at the Trust’s office in West Berkshire with a minimum of three days per week expected to be worked at our Newbury office. Flexible working arrangements are available with the understanding that this must meet the objectives of the charity and requirements of the role.

Accountable to: Fundraising Events Manager

Start date: As soon as possible

Hours of work: Full-time, permanent.

Salary range: £22,000 - £25,000 FTE, depending on experience.

Purpose

This is an exciting and vital role supporting the delivery of the events programme within a leading mental health charity.

We are looking for someone with a love for events and a passion for supporting people wanting to raise money to make a difference for young people’s mental health. You will be an excellent communicator, highly organised, and able to work on multiple projects concurrently. You will be committed to delivering an exceptional supporter experience for our event participants and community fundraisers. Experience within the third sector is desirable but not a necessity.

As Fundraising Events Officer, your role is to support the Fundraising Events Manager to plan, deliver and review an exciting calendar of Charlie Waller fundraising events, supporting a wide range of third-party challenge events and community led activities.

Key responsibilities and duties

The Fundraising Events Officer will support the overall delivery of our varied events programme, bringing their enthusiasm to a calendar of events that aim to raise significant income for the charity, whilst also raising the charities profile and reach. They will play a key role in the delivery of well-loved annual events and support our growing network of event participants. Including but not limited to:

• Supporting the overall delivery of our events programme, working closely with the Fundraising Events Manager, Head of Fundraising and fundraising committees.
• The opportunity to take a lead role on the planning, delivery and evaluation of a number of events, managing the expenditure budget and meeting income targets.
• Maintain event income and supporter records in the database, working closely with the Fundraising Assistant and finance team on processing income and invoices.
• Support the fundraising committees with their activities, providing administrative support and guidance as needed.
• Support the promotion of our fundraising events, writing copy, building emails and supporting social activity.
• Support the development of our event marketing collateral, to support participants fundraising efforts.
• Build relationships with third-party event organisers.
• Provide regular updates on progress against agreed objectives and contribute to wider departmental fundraising reports as required.
• Represent The Charlie Waller Trust at events as required which will include ad-hoc evenings and weekends for which time off in lieu will be given.
• Monitor online fundraising, through supporting those raising funds, to creating and maintaining clear income and communication records.

• Liaise with a wide variety of people and organisations including supporters of the charity, trainers, funders, other statutory and voluntary organisations who work in the mental health field, and members of the public.

The Role  

This is a fantastic opportunity for a professional with up to 3 years of experience in administration which includes administering and monitoring databases. The post will provide the Team with accurate, timely and comprehensive data, reports and minutes to support and enable effective grant making and decision making. Training and Projects Officer

Hours of work: Full-time (0.8-1FTE negotiable), Monday-Friday, permanent.

Salary range: £26,000 - £28,000 FTE starting salary, depending on experience.

Purpose

This is an interesting and important position at the Trust, with the postholder taking responsibility for a range of administrative and project management tasks supporting our Education programme, working to both the Education Project Manager and the Trust’s Head of Programmes.

Our Education Programme is our body of charitable activity delivering training and resources appropriate for schools, colleges and universities, often working with education institutions to create a whole school/college approach to promote good mental health in students and staff alike.

The postholder will be the first point of contact for our training team, enabling our mental health training delivery to take place. There will be opportunities to play a key role in monitoring and evaluation, and obtain a good understanding of the sector. This is a key role in ensuring the Trust and its activities are serviced with robust, reliable and up-to-date evidence and information.

You’ll need to be confident in dealing with the charity’s delivery partners and beneficiaries, both over the telephone and face to face. You’ll enjoy working with and supporting our trainer and office teams, and be super organised and proactive. You’ll manage a varied workload, prioritising tasks as necessary, and will be comfortable communicating with a wide range of people at all levels. We have a small office team, and the successful applicant will need to be a flexible team player.

Key responsibilities and duties

• Work closely with and provide administrative support to the Education Programme.
• Support trainers with the day-to-day running of online and face-to-face courses and maintain effective communication links with the freelance trainers. The postholder is the primary office contact for the training team.
• Liaise with freelance trainers to provide logistical and technical support in the day-to-day delivery of training, Charlie Waller Trust (CWT) conferences and open access webinars.

Aid Box Community (ABC) is a Bristol charity that provides hope, love and a sense of belonging to people seeking asylum in Bristol. The charity was started 7 years ago on the Refugee camps in France by a local mum and has grown and evolved to support over 5000 people a year through our Free Shop and Welcome Hub, Activity Groups and Trips and Connections Befriending program. We have 336 volunteers and a fantastic, small team and we are looking for a part time Finance Officer. 

The job is for 15hrs a week ideally to be worked over 2 or 3 days Tuesdays, Wednesdays and Thursdays. Based at the ABC office, Portland Square, Bristol and some home working on agreement.

We are a small team, and you may be asked to do something outside of your Job Description and help support other members of the Aid Box team.

Job Description:  

The Finance Officer will have a wide variety of financial management and control tasks from day to day bookkeeping to filing year end accounts. They will formally report to the Director of Strategy and liaise regularly with the Board Treasurer.

Role Overview 

The Finance Officer is responsible for the smooth running of all day-to-day aspects of the financial management of Aid Box Community (ABC): 

• Provide a high quality and effective financial management and Bookkeeping service to the charity 

• Prepare, develop and analyse management accounting information and reports, including a standard suite of monthly reports and ad-hoc reports as required by the Charity 

• Ensure compliance with all relevant financial statutory and regulatory matters relevant to the Charity 

• Liaison with the external Auditor in preparing and getting approval and sign off of the annual statutory accounts

Key responsibilities:  

The postholder will advise the charity on all matters relating to the finance of the organisation and provide management information for the Board of trustees. They will also be expected to contribute to future strategy, business planning, year-end accounts, monitoring of budgets and performance, and full adherence to al financial policies and procedures in accordance with the Finance Manual. Duties include: 

Financial Management 

Accountancy and Bookkeeping Systems 

Maintenance of all accounting records on an ongoing basis to include: 

· Manage all income and expenditure processing. 

· Maintain and improve bookkeeping and accountancy systems (both computerised and manual) including: 

- Bank reconciliations. 

- Cash flow management. 

- Income and grant analysis (restricted and designated funds).

 Produce regular management information so that key officers and trustees know how well the charity is  performing against its budget. To include: 

• Provide regular monthly management financial information (including financial highlights/budget against actual/restricted and unrestricted funds/fund movement summary/fund balances/balance sheet) for the Director of Strategy and Board of Trustees. 

• Quarterly financial reports for the Board of Trustees including detailed analysis of income and expenditure. 

• Assisting with fundraising applications and reports. 

Annual Financial Audit 

• Liaising with the external accountants for Annual Financial Accounts and Annual Review preparation before presenting to the Board annually for approval alongside the Director of Strategy. 

• Filing Annual Return to the Charity Commission. 

Bank and Treasury Management 

• Treasury management in connection with cash and investments held by the charity. 

• Manage cash flow and ensure that bank charges are kept to a minimum. 

Fundraising 

· Assisting with applications for funding ensuring that all grants, sponsorship and donations are paid on time and the financial conditions met. 

Communication and Coordination 

• Ensure the efficient circulation of financial information as needed, including that required from external advisers, e.g., auditors.

An exciting opportunity has arisen at Mind CHWF to join our Psychological Therapies and Wellbeing team as a Wellbeing Network Admin Coordinator. We are seeking an individual who will be immersed in the day-to-day running of Psychological Therapies and Wellbeing services at Mind CHWF and contribute to its smooth running and efficiency under the guidance of its managers. This will include direct client contact and involve the setting up of psychological therapies assessments, allocations, group courses, room bookings and the management of Salesforce. The role also requires initiative in marketing and publicising services, maintaining an accurate timetable of group courses, as well as a keen eye for detail in collecting statistical data using an online database (Salesforce).

This role will suit a proactive, organized and efficient self-starter, seeking a wide range of training and professional development opportunities, working as part of a team to impact on the psychological wellbeing of the communities of Mind CHWF.

We promote both recovery from ill health for people with recurrent and enduring mental health difficulties and early intervention for those at risk of developing mental health issues, or who struggle with common mental health conditions.
