Role Summary

The Operations Executive will join a small but rapidly growing team working at GH50/50. Within this role, and in close collaboration with the Head of Operations you will ensure high quality administrative support across GH50/50, setting the entire team up for success. This is a crucial role that will ensure that things run effectively and efficiently in support of our mission.

This is a brand new role for GH50/50, therefore we are looking for a bright, self-starter who can work with the Head of Operations to shape the role; providing recommendations to the organisation on administrative processes and own their projects from conception to delivery.  You will play a pivotal role in supporting the charity's administrative and strategic initiatives as we enter a new phase of growth. We foresee that the successful candidate will enjoy variety, will be highly organised and will have a can-do attitude.

Job Responsibilities:

o Support the Head of Operations in the smooth and efficient running of the GH50/50 office.

o Collaborate with the Head of Operations to source and roll out a new organisation-wide management system for GH50/50, ensuring thoughtful integration into our current working practices.

o Organise the Co-CEOs calendars, including scheduling meetings and appointments.

o Support the Head of Operations to prepare and manage correspondence, reports, and documents as required.

o Alongside the Head of Operations, maintain effective office management and administrative procedures.

o Manage and triage the organisational email account

o Monitor and update the organisation-wide contact database

o Ensure compliance with data protection and ethics legislation, including being up to date with GDPR requirements (training can be provided).

o Coordinate support to the team on basic financial management tasks, including expense claims and other reporting.

o Arrange and coordinate internal and external meetings, including managing calendars, conference call logistics, venue booking and wider meeting preparation tasks, preparing agendas, and minute-taking/dissemination of actions.

o Attendance at internal meetings across all work streams to increase information sharing and keep a sense of organisations objectives

o Coordinate the distribution of board and trustee and advisory group(s) meeting materials and invites.

o Support the Head of Operations to improve the ease of filing documents through our current system - SharePoint.

o Own the planning and organising of certain events, including launches, roundtables and conferences. This will include event management and travel booking, when required.

o Flexibility to take on additional administrative tasks as and when needed in support of the charity.

Skills and Qualifications:

● A keen self starter, who is passionate about the GH50/50 mission and where they can have impact.

● Experience in working with or for academic institutes for research organisations would be beneficial, as would experience working with a remote team with globally based stakeholders

● Excellent organisational and time management skills.

● Strong communication skills, written and verbal, with high emotional intelligence.

● Proficient in Microsoft Office Suite, and familiarity with HR and financial management systems.

● Excellent interpersonal skills and the ability to build collaborative professional relationships with a wide range of partners across diverse contexts, including whilst working remotely.

● Ability to handle confidential information with discretion.

● Knowledge and understanding of the charity sector.

POSITION SUMMARY

Business Launchpad wishes to hire a highly organised, process-driven individual to oversee operations for its Tooting Works business centre.

As a key member of the Tooting Works team, the Operations Manager oversees the renting of our office units, tenant relations, and building maintenance and management, among other things. The post holder ensures the centre is run to a high standard, including excellent customer service, compliance with all current building and health and safety legislation, a high occupancy level and operation within budget.

The Operations Manager line manages four team members, making up the lettings team and the maintenance team, and works closely with other teams, including marketing, finance and the delivery team for the Business Launchpad charity.

Tooting Works is a business centre and community hub in Tooting Broadway, offering office space, co-working, an event space and more. It has been offering affordable office space and helping local businesses and organisations to flourish and grow for over 30 years. 

Business Launchpad operates on-site at Tooting Works and is a registered charity which provides support and training for entrepreneurs aged 16-30 years from across London who want to set up their own businesses. 

ROLE & RESPONSIBILITIES

Centre Operations Management

• Oversee the day-to-day operations of the business centre, ensuring all facilities are well-maintained and running smoothly, and that the lettings process is compliant and well-managed.
• Implement and monitor operational policies and procedures to improve efficiency and service quality, including opportunities to digitise procedures and services.
• Manage building improvement and repair projects in collaboration with the maintenance team and the operations director.
• Ensure compliance with health and safety regulations and manage risk assessments.
• Identify, anticipate and address problems and opportunities for the business centre in collaboration with senior management.

Customer Service

• Act as a point of contact for tenants, addressing any issues or concerns promptly and professionally.
• Foster strong relationships with tenants, ensuring high levels of customer satisfaction and retention.
• Collaborate with the marketing team to develop and implement strategies to attract new tenants and retain existing tenants with the goal of maintaining high occupancy levels.

Financial Management

• Manage the operational budget, ensuring cost-effective management of resources and that projects are delivered within budget.
• Negotiate contracts with suppliers and service providers to secure cost-effective deals.
• Ensure tenant arrears are regularly monitored and managed.

Line Management

• Lead, mentor, and manage the lettings and maintenance teams, ensuring high performance and productivity.
• Conduct regular team meetings, performance reviews, and provide ongoing training and development opportunities.
• Handle recruitment, onboarding, and offboarding of staff members as needed.

Essential Skills / Experience

•  Bachelor’s degree or higher.
• At least 2 years’ experience in operations work.

Member engagement and Community of Practice

• The Community of Practice is a group of data practitioners from ISEAL community member organisations, who come together to share learning, discuss issues and trends and look at potential innovation based on data and technology.
• Act as the main point of contact for the Data Community of Practice (CoP), scheduling meetings and managing communications on the ISEAL online platform
• Establish and build relationships with Community Members’ data practitioners to understand their current capacities and identify priority topics for cross-learning related to data
• Support in planning outreach to Community Members, using tools such as Salesforce to track participation and identify opportunities to increase engagement in the Data CoP
• Facilitate Community Members’ understanding and self-assessment of relevant data maturity themes and topics
• Support in the design, content development and facilitation of engagement opportunities that feature Member exchange and learning about data
• Support the planning, delivery, and follow-up of Data CoP events

Project support

• Coordinate project processes, including implementing procurement procedures, drafting contracts with consultants (based on ISEAL templates) and maintaining project-related systems
• Support drafting and production of relevant newsletters, website articles, and report sections
• Proof-read, edit, design, and format documents in Word and Powerpoint, using ISEAL templates

Essential attributes, skills & knowledge

• Experience working in a project support role or data-related role focused on project administration, data and information management, data analysis, and/or stakeholder engagement
• Experience and comfort working with data and digital related subject matter, possibly gained through research, project communications and/or analysis and review of data sets
• Strong organisational skills, and experience with administration, meeting coordination, logistics contracts, budget tracking, etc.
• Good communication skills for partner and external communication and comfortable providing facilitation support (e.g. webinars, workshops etc)
• Good time management and ability to organise multiple simultaneous tasks efficiently with precision and strong attention to detail
• Ability to communicate and work effectively with cross-functional teams in a fully remote, international environment, including regular international time-zone calls
• Ability to thrive in a dynamic work environment with changing projects and working with multiple project leads

About the role: 

This is an exciting opportunity for a motivated Grants Officer to join our dynamic organisation. During this maternity cover, Grants Officer will report directly to the Director of Grants, Contracts and Compliance. They will work across all of Internews’ geographies to provide the highest standard of grant management support to partners receiving higher value grants from us. The incumbent will have a unique opportunity to learn about Internews’ work and to contribute meaningfully to the advancement of our missions across the World.

KEY RESPONSIBILITIES:

Grant Management and Compliance

· Provide grant management support to Programme Management Units, country offices and partners. Participate in regional portfolio reviews.

· Support start‐ups of partner projects by coordinating project stakeholders and ensuring that all relevant processes and procedures are in place.

· Develop guidance documents and procedures to enable effective and compliant operation of partner projects. Supports project teams in adapting Internews’ standard sub-granting policies, procedures and toolkits to country contexts.

· Review and sign off on alldue‐diligence assessments in preparation for sub‐granting to partners.

· When requested, support project teams and the Business Officers, in monthly spend and burn rate reviews and donor report submissions

· Monitor the compliance from HQ to satisfy organisational and donorrequirements.

· Monitor the implementation of partner projects to ensure the implementation process is in line with grant agreements; and proposes solutions to implementation issues. Quality‐assure partner reporting, and track co-financing liabilities.

· Provide end-to-end management of partnership agreements, including drafting.

· Participate in project close-outs. Contribute to audit; support the audit manager on queries about sub-grants.

· Maintain records on the organisational grant management system.

Partnerships and Development

· Design and implement grant management and compliance trainings for partners and Internews staff.

· Identify and document best grant management practices from individual grants, works with M&E colleagues to coordinate debriefings with stakeholders.

· Advise development colleagues on key considerations relating to donor and statutory compliance requirements as related to sub-grants.

· Contribute to the development of partner budget proposals to ensure their appropriateness and compliance.

· Transfer grant-management expertise to country offices

· Support country office leadership teams to identify requirements and recruit grant management staff;

· Deliver trainings for key grant management staff in country offices and PMUs.

Expert advice

· Manage and develop the grants expertise at GC&C team ensuring the highest standards of grant management support to PMUs, country offices and regional and multi-country portfolios as required.

· Provide ongoing feedback to the Director of GC&C on required improvement and updates on donor regulations and contractual obligations to ensure organisational knowledge is built and improved continuously, with particular focus on the consistence and continuous improvement of sub-granting processes.

· Ensure good knowledge management across grants, including key project documentation, to enable all teams supporting the grant to access information and provide a fully auditable trail.

· Contribute to annual work planning and budgeting process.

Essential Skills and experience:

· Demonstrated experience in the context of international non-for-profit.

· Strong experience in the development and implementation of grant management processes and procedures.

· Deep understanding of rules of major European donors, including the European Commission, SIDA, and FCDO.

· Proven track record in conducting due diligence on organisations and their policies, ensuring compliance and alignment with standards.

· Proven track record in grant management training and mentorship for grantees.

· Comprehensive understanding of the setup, governance, and business models of non-for-profit organisations and media

· Exceptional verbal and written communication skills in English, enabling clear and effective interaction with stakeholders.

· Proficiency in interpreting budgets and accounts, facilitating informed decision-making.

· High IT literacy, including proficiency in grant management systems (preferably U4B), Microsoft Word, Excel, and PowerPoint.

· Demonstrated self-motivation and initiative, with the ability to work autonomously.

Key responsibilities include: 

1. Broad support to the Communications and Engagement team, including: 

• Helping draft content for the Alliance newsletter, website and social media.

New Art Exchange (NAE) is a pioneering creative space in Hyson Green, Nottingham. We’re the UK’s largest gallery dedicated to contemporary visual arts from the Global Ethnic Majority. Purpose of the role

The Facilities Manager will be a key member of NAE’s operations team, responsible for overseeing the maintenance and operations of our 4-storey building (including gallery spaces, meeting rooms, performance space, workshop, artist studio, cafébar, plant room and technical storage) is fit for purpose.

Main duties of the role

Oversee planned preventative maintenance (PPM), testing/inspections, and reactive repairs across all building services including but not limited to plumbing, electric wiring, HVAC, lifts, film alarm, emergency lighting, fire extinguishers and suppression systems, intruder alarm, CCTV, access control, pest control, etc, within budget.

Ensure NAE’s building is always well-presented, clean and aesthetically in a good state of repair, ensuring all areas are maintained in a tidy and well organised.

Ensure all maintenance and service works take place with agreed SLA’s, is delivered on time and to budget and service reports and other filing is well managed.

Responsible for premises cleaning (including line management of two part-time cleaners) and associated services such as waste management and sanitary collections.

Support the Executive Director to develop and implement an Environmental Policy to ensure that NAE considers the environment within all new and existing suppliers’ arrangements.Responsible for carbon footprint reporting.

Purpose

This is an interesting and important position at the Trust, with the postholder taking responsibility for a range of administrative and project management tasks supporting our Education programme, working to both the Education Project Manager and the Trust’s Head of Programmes.

Our Education Programme is our body of charitable activity delivering training and resources appropriate for schools, colleges and universities, often working with education institutions to create a whole school/college approach to promote good mental health in students and staff alike.

The postholder will be the first point of contact for our training team, enabling our mental health training delivery to take place. Essential:

• Strong organisational and administrative skills with the ability to work efficiently, accurately and at speed when necessary
• Good IT skills, including Microsoft365, Teams and Zoom
• Proven ability to organise and minute meetings and to follow up on actions.
• Dealing with enquiries and providing customer support
• Good level of numeracy and interest in statistics
• Excellent time management and ability to prioritise workload effectively to meet deadlines
• Logical approach to problem solving
• Ability to use initiative and work with minimum supervision
• Ability to exercise discretion and good judgement in dealing with confidential matters

Desirable

• Experience of project management
• Experience of Dynamics CRM or similar
• Experience of using Digital Samba for Webinars or similar
• Experience of managing E-Learning platforms
• Understanding of Impact Measurement

Attainment

Essential

• Maths and English GCSEs, Grade C minimum, or equivalent by experience
