The vacancy

You will be central to the leadership and management of Outward Bound and realising the ambition set out in The Next Horizon, leading the financial stewardship of the organisation. You will both oversee the management of the organisation’s financial resources and provide leadership in their utilisation to further the charity’s mission. You will also be responsible for the organisation’s environmental sustainability journey, and for IT, Digital, and trust-wide systems and processes.

The location for the post-holder is flexible, although will require frequent working from the Head Office near Penrith and regular travel for Board, Senior Management and other meetings.

About you

The successful candidate will be central to the leadership and management of the charity in the coming years working closely with the CEO and the Senior Leadership Team. You will be astute, collaborative, risk aware, have an attention to detail and thrive on working in a fast paced environment.

A fully qualified accountant with proven experience at a senior level in a finance role with responsibility across the whole finance function, you will have substantial financial leadership and commercial acumen. Experience in a national level organisation of comparable complexity is also required.

This is a newly created role and there is a great deal of untapped potential here for a proactive leader to support the CEO and SLT to create efficiencies in how we manage our internal infrastructure (IT Systems and processes), Finance and charity Governance, and HR/people to ensure we maintain and develop a thriving and nurturing working environment. We are seeking a skilled and experienced Fundraiser, working full-time on-site. The Fundraiser who will play an integral role within our team, working with the CEO, and senior management team, responsible for developing and implementing fundraising strategies, organising events and campaigns, maintaining donor relationships, and researching and identifying new funding opportunities, building a strong pipeline of core and restricted funding, as well as donations and gifts.

You will seek to maximise funding opportunities, expand our portfolio of grant funders, and contribute to a growth in income from Trusts & Foundations. The successful candidate will be responsible for researching and identifying prospective funders, writing, and submitting high-quality grant applications, and delivering excellent grant management.

You should be a proactive self-starter, with excellent written communication skills and demonstrable strong attention to detail. With experience of successful fundraising bids to trust, charities and local authority, working with grant applications and/or funding proposals utilising a range of tools to identify new funding opportunities, as well as some experience of philanthropic fundraising.

Summary of Job Purpose

The Business and Operations Lead plays a vital role in managing and developing the operational business functions of the organisation and supporting its charitable aims; working closely with the CEO to deliver and improve the organisation’s strategic planning, operational delivery, and budgeting/ finance processes. The postholder plays a vital role in ensuring that the day-to-day operations of the iHV run smoothly, with key functions:

• Leading iHV business and financial management, including accounting, budgeting, reporting, strategic planning and risk management.

o Work closely with the CEO, senior leadership team and our accountants to align financial and operational strategies.

o Manage financial controls, procedures, and systems.

o Collaborate with various departments, including external stakeholders, for effective budgeting and operational management.

• Leading iHV operations:

o Senior responsibility for administrative, legal, and compliance functions, ensuring smooth operations. This will include management of our Emsworth Office, IT and risks, supporting business planning and change management.

o Lead the operational change for a new Customer Relationship Management (CRM) system and website. iHV Project Lead working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification.

o Working closely with our part-time Head of HR, supporting the senior management team and line managers with HR matters, including recruitment.

o Line management responsibilities of designated staff in the corporate team, supporting business administration.

o Working with the CEO to ensure good governance of Board-related matters, collating Board papers and attending quarterly Board meetings.

Key areas of responsibility:

Business and financial management:

• Maintain and develop robust quality assurance processes for income and expenditure, working with our CEO and accountants, to ensure all financial and reputational risks are effectively managed.
• Ensure effective financial processes across the iHV, with systems in place for invoicing, managing iHV payments and standing orders, and chasing outstanding payments and debtors.
• Build departmental budgets, supporting leads with forecasting, budget tracking, monthly monitoring (management accounts are produced by our independent accountants) to inform workforce planning.
• Work with department leads to prepare budgets for tenders and project/ research grant applications, including determining when VAT is applicable.
• Process invoices, iHV card payments, direct debits, standing orders, expense claims forms and ordering of office supplies, with support from the Corporate Team Administrator.
• Support leads to manage contracting, invoicing and reporting to external funders in accordance with funder requirements. Ensure all new funding streams and other costs are accurately recorded by the accountants.
• Ensure management of the corporate member joiners to the organisation, including invoicing and setting up a process for re-invoicing.
• Work closely with the external accountants to provide information on monthly suspense, debtors, mis-postings and general queries in relation to iHV finance. Ensure the iHV’s reconciliation and remittance records are updated weekly.
• Ensure all financial documentation is available for scrutiny as required, including support for annual financial audit by independent auditors.
• Make recommendations, provide advice, and prepare strategic reports and briefings as required.

Operational Management and Governance:

• Support the CEO and department leads in managing human resources, risk management, quality assurance, operational change, and board functions.
• Support iHV business planning and the development of key objectives and priorities for the corporate Team (in partnership with the CEO and other leads within the corporate team).
• Oversee the operational needs of the Institute – supporting leads within the organisation with workflow mapping, business continuity and planning to support matrix working across the organisation.
• Recording and monitoring of business risks across the organisation to enable risk management, reporting to the Board and providing support in association with the CEO.
• Support the board, providing secretariat functions to board meetings, including ensuring all papers are provided on time, managing sensitive information, and taking board minutes.
• Work with the CEO to develop, coordinate and implement organisational policies throughout the Institute.
• Support the CEO with reporting to the Charity Commission/ Companies House and ensuring that the organisation’s charitable obligations are met. Work with external auditors to deliver the annual audits; and ensure that the relevant documentation is held in line with requirements, is available for external auditing, and the delivery of audit recommendations are tracked.
• Support Health & Safety risk management, ensuring risk assessments are in place, processes and policies are up to date, and staff are trained and informed with any changes.

Information Technology

• Management of robust administration and business support systems, including negotiation and management of IT agreements, subscriptions, licences and contracts as required, providing recommendations for improvements and efficiencies to the CEO.
• Facilities management of required IT and infrastructure to include details of equipment held and provision of Microsoft/ other required licences.
• Liaise and schedule work to be undertaken under external IT support contract.
• Lead operational change for new Customer Relationship Management (CRM) system and website – working with a dedicated project manager who has scoped our organisational requirements (almost completed), to finalise the invitation to tender (ITT), manage the procurement process, evaluate submissions with a small in-house change team at the iHV, and make recommendations to the board. The postholder will lead the project for the iHV, working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification and is robustly tested before launching.
• Information management and analysis to highlight issues/ risks and support decision making – work with Head of HR to ensure iHV compliance with GDPR.

Human Resources

• Management of our Emsworth office with line management responsibility for a small number of designated staff in the corporate team who support business management (currently the Corporate Team Administrator), supporting the delivery of team objectives within the iHV Business Plan.
• Support, motivate and develop staff, managing direct reports’ annual performance development review (PDR) and performance management, if required.
• Work closely with the Head of HR to make sure that good employment practices are universally embedded operationally within the iHV.
• Support staff recruitment and the induction of new staff; provide advice to staff on corporate policies and procedures and communicate changes.
• Support the Performance Development review process for the iHV, collating 360 feedback for iHV employees where requested, and maintaining records for annual PDR outcomes.
• Maintain oversight of the recording of annual leave with the Corporate Team Administrator, Head of HR, and department leads.
• Provide operational leadership and management for team awayday (leading a small team to plan this each year), to support team building and staff development.

Other:

• Have an excellent professional working relationship with colleagues to deliver corporate goals and objectives in line with iHV Vision and Values.
• Help at iHV conference and events, working with our Events Manager and overseeing the work of the Corporate Administrator to ensure that venues, travel, accommodation and materials are booked and delivered on time.
• To participate in all mandatory and individual training as required. To highlight their learning and development needs to the CEO on induction, at the annual PDR, and as needed, to ensure capability to deliver key role functions.

The Ripple Pond is a charity that supports adult family members of physically and/or psychologically injured British Armed Forces personnel and veterans. Many of these individuals and family members are hard to reach and often isolated.

Your role will be to ensure that more and more of the military community, professionals and other interested parties know who we are and how to access our support.

You will also help to organise our exciting programme of online talks and activities for our Members (service-users) to help ensure they are well-informed, involved and feel part of a supportive community. Making sure that Members are always involved in generating ideas and production.

We are looking for someone who is dynamic and determined, but you also need to be invested in our mission as a charity and care about people.

This role is about;

• working with a wide range of groups and individuals to help raise awareness of the charity and to create opportunities to identify new Members (service users);

• being responsible for networking, identifying, and establishing partnerships with key individuals and organisations and nurturing existing relationships;

• developing and rolling out strategies to engage with hard-to-reach and isolated military carers and families;

• coordinating a range of activities (mainly online) to deliver information to Members, potential Members, referrers, and other stakeholders. These will include online talks from staff, Members and other “subject matter experts”; and

• helping to ensure the charity continues to understand the developing needs of its Members.

Although the role is home-based, you will not be working in isolation; you will be supported by the managers and workforce.

You’ll be leading and broadening our commercial offer, helping us drive even greater impact in water efficiency, and the income to support it, across the UK. You’ll refine our proposition and pricing of existing services, seeking opportunities to cross-sell additional services to existing audiences, as well as broadening our reach, engaging with completely new audiences and developing and shaping new commercial services aligned to new customer needs. You will have strong experience at senior level in driving commercial impact for good, and everything this involves in terms of income, growth, commercial strategy and delivery, and risk management. The role will involve responsibility for overseeing the day to day running of the Garden Community Café, human resource management, food hygiene practices, health, and safety, ensuring that the café adheres to all of its legal responsibilities. Strategy Development and Implementation

About CleanupUK  

We’re a small charity that brings communities together to create cleaner, connected and safer urban and rural neighbourhoods by tackling the litter problems where they live. Litter-picking brings people closer together, enables neighbours to meet one another other and helps create a greater sense of pride and community in local areas.

Historically, we have delivered litter-picking focussed community engagement projects in London and Birmingham. Our current focus is developing partnerships with community organisations across England to expand our reach and increase impact.

Main duties of the role 

• To provide a pro-active, high-quality administration and support service to the Operational Team, Chief Executive and the Corporate Partnerships team. 

Operational Team: Deals with logistics, processes and day to day functions of our work on the ground with community partners and volunteers. 

• To attend weekly team meetings 

• To assist in research into new areas of operation for the charity. 

• To oversee orders of equipment and printed resources to our partners with various suppliers around the country.

• To maintain meticulous records regarding our growing national Cleanup Hub network of community partners.

This unique position will contribute to the strategic development of the charity, allowing the right individual to bring expertise from previous roles to expand external partnerships and influence.  Keychange is a Christian Charity working in elderly social care and homeless communities.  Keychange provides care, support, development, and well-being services across nine sites in England, consisting of seven residential Care Homes for older people and two Housing Communities for young people, with an additional housing site in development. Our office in London provides a support function of central services to our communities to enable them to operate at the most effective level with a focus on delivering quality care and support.

The Director of Strategic Partnerships reports to the CEO and is a part of the Senior Leadership Team (SLT) along with the Director of Finance, the Director of Operations and Facilities Business Manager.  The SLT is responsible for the leadership, culture and oversight of Keychange in the Central Office and Community Sites.

Home-Start Southwark works with families who are pregnant or have children under 5. Our core work is to provide weekly support from a trained peer volunteer or worker empowering families to make changes to improve their lives. Main Purpose:

• Work closely with the Chief Executive to develop and evolve Home-Start’s services in response to changing needs, informing the strategy for our family support and development of services.
• Provide vision, direction, and leadership to motivate staff and volunteers to deliver high-quality services that make a measurable positive difference to children and their families.
• Manage the HSS Family Support Team, coordinating and quality assuring their work.

We are seeking a dedicated and experienced operations manager to join our team. We are looking for someone who will help strengthen the foundations of our organisation, as well as help us expand our growing network of partner organisations across the UK. 

As a small charity, the role will require balancing practical tasks with strategic planning and management. Building on what has already been done, you will work directly with the CEO to help build the operational structure of Big Green Heart, and support its day-to-day operations. 

You will also facilitate the national deployment of Big Green Heart workshops across the UK, and will work with the CEO and trustees to implement the strategy needed to upscale the work of Big Green Heart.

RESPONSIBILITIES

• You will develop and implement operational policies, procedures and systems to improve efficiency and effectiveness of the organisation.

• You will monitor and evaluate the operational performance of the organisation, identifying areas for improvement and implementing solutions.

• You will manage the operational activity of our Big Green Heart experience days, supporting the CEO in the delivery of them. 

• You will work closely with our partner organisations who are using the Big Green Heart model, ensuring that the high standards and values of our teaching are maintained.

• You will also work with the Big Green Heart team to onboard new partner organisations. You will work with them to understand their needs and secure buy-in. 

• You will collaborate with the trustees, who also contribute to tasks linked with Big Green Heart's development. 

• You will manage the budgeting and financial planning processes, working closely with the Treasurer.

• You will be trained as a Big Green Heart facilitator with an expectation that you may be needed to facilitate a workshop during your time at the organisation.

• You will participate in professional and networking events related to Big Green Heart’s field of intervention.

• You will support staff members, trustees and volunteers, providing guidance and training in the operations of the charity as needed.

NECESSARY REQUIREMENTS

• At least two years experience in operations management, preferably within the charity sector. 

• A self motivated individual, capable of independent working.

• Ability to translate vision into a working practice. 

• Strong organisational and multitasking skills, with the ability to prioritise tasks effectively.

• Excellent communication and interpersonal abilities, with the capacity to work collaboratively with a diverse range of stakeholders.

• Familiarity with budgeting and financial management processes.

• Proficiency in Microsoft Office and other relevant software applications.

• Commitment to the mission and values of the Big Green Heart.

DESIRABLE REQUIREMENTS

• Experience of working in a start-up environment, supporting the operational needs of a fledgling organisation.
