Coproduction & Activities Coordinator

Full time (35 hours per week) – Permanent - £42,588 pa

As lead for coproduction across our Care & Supported Housing Department, the post holder will have a firm understanding of  the breadth of strengths and skills of the people using our services, while also having an awareness of the operational requirements of the department. Maximising opportunities to work together, improving communication and fully embracing the experiences of all the people we support so that we continue to improve services, enhance support and offer solutions and services that are truly coproduced.

The role, will lead Hightown's coproduction group 'VoiceBox', overseeing all coproduction activities, seeking new coproduction opportunities, recording successes, outcomes and monitoring activities all in accordance with Hightown's coproduction strategy. Performance will be reported to Hightown's Board.  

Additionally the post holder will also  encourage, promote, and celebrate the wide range of activities carried out by our diverse services. This role will look to identify, highlight and promote the activities already being undertaken as well as seek new opportunities, funding, access and awareness of an increased range of activities for all the people we support to further enhance their lives and better their outcomes. They will encourage services to broaden their range of activities and oversee the introduction of an activities database.

Training Link is recruiting a new Green Learning Coordinator who will develop and run environmental workshops for local residents in Somers Town, Camden.

The purpose of the role is to design and deliver a new Green Learning programme for Training Link and to support residents in Somers Town in their journey to becoming cleaner and greener through community engagement, training and project delivery.

About Training Link

Training Link is a small charity with nearly 40 years’ experience of supporting people in Somers Town. We offer courses for adults to help people get a job or return to work, often after a long absence. Many of our learners are reluctant to go to a large adult education college where in practice they would receive little individual support in their learning; we offer a supportive, friendly learning environment where people feel comfortable and welcomed.  Current classes include ESOL, IT and Maths. We also provide one to one sessions for those needing support around literacy. 

Purpose of the role: 

• To design and deliver new Green Learning programme for Training Link.
• To develop and run high quality, engaging, fun and interactive community-based environmental awareness classes and activities tailored to adult learners, including learners speaking English as a second language.
• To support residents in Somers Town in their journey to becoming cleaner and greener through community engagement, training and project delivery.
• To help Training Link team to positively engage and communicate with local residents and community leaders/ groups on climate emergency and positive actions.
• To create a welcoming, inclusive and positive learning environment.
• To enable those learners who wish to study further to gain an accredited qualification in Environmental Awareness, including environmental awareness in the workplace.

Key Responsibilities: 

• To record and monitor learners’ attendance, progression and achievement.
• To contribute to the evaluation of teaching and learning to inform future planning, ensuring learner involvement in the process.
• To keep up to date with local and wider issues related to the Climate Emergency, from a lay person’s perspective.
• To liaise with the Director and participate in the appraisal process when required.
• To carry out duties with due regard to Training Link’s Equality and Diversity, Information, Governance, Data Protection, Safeguarding, and Health and Safety policies and procedures.
• To ensure that each learner provides personal information as required, and complete a learner agreement enrolment form and evaluation form at the end of the course. To keep a register for each session.

Essential Requirements for the Role

• Knowledge and Qualifications:
• Good understanding of the Climate Crisis and what can be done at a grass roots level to address it.
• An adult teaching or coaching qualification is desirable, or willingness to be working towards one.

• Excellent interpersonal, oral and written communication skills

About the role 

We're looking for a highly motivated and skilled Bid Manager who can actively craft commercial tender submissions and work with the team to ensure we submit high-quality, winning bids within UK government procurement rules.

You will sit in the Business and Strategy directorate and lead bid-writing across the organisation, line-managing a team of Bid Writers and working closely with other colleagues across Business Development, Marketing and Operations.

This position is a full-time, 35 hours a week, permanent contract with a starting salary between £44,500 - £50,000 per annum depending on skills and experience. Summary of Job Purpose

The Business and Operations Lead plays a vital role in managing and developing the operational business functions of the organisation and supporting its charitable aims; working closely with the CEO to deliver and improve the organisation’s strategic planning, operational delivery, and budgeting/ finance processes. The postholder plays a vital role in ensuring that the day-to-day operations of the iHV run smoothly, with key functions:

• Leading iHV business and financial management, including accounting, budgeting, reporting, strategic planning and risk management.

o Work closely with the CEO, senior leadership team and our accountants to align financial and operational strategies.

o Manage financial controls, procedures, and systems.

o Collaborate with various departments, including external stakeholders, for effective budgeting and operational management.

• Leading iHV operations:

o Senior responsibility for administrative, legal, and compliance functions, ensuring smooth operations. This will include management of our Emsworth Office, IT and risks, supporting business planning and change management.

o Lead the operational change for a new Customer Relationship Management (CRM) system and website. iHV Project Lead working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification.

o Working closely with our part-time Head of HR, supporting the senior management team and line managers with HR matters, including recruitment.

o Line management responsibilities of designated staff in the corporate team, supporting business administration.

o Working with the CEO to ensure good governance of Board-related matters, collating Board papers and attending quarterly Board meetings.

Key areas of responsibility:

Business and financial management:

• Maintain and develop robust quality assurance processes for income and expenditure, working with our CEO and accountants, to ensure all financial and reputational risks are effectively managed.
• Ensure effective financial processes across the iHV, with systems in place for invoicing, managing iHV payments and standing orders, and chasing outstanding payments and debtors.
• Build departmental budgets, supporting leads with forecasting, budget tracking, monthly monitoring (management accounts are produced by our independent accountants) to inform workforce planning.
• Work with department leads to prepare budgets for tenders and project/ research grant applications, including determining when VAT is applicable.
• Process invoices, iHV card payments, direct debits, standing orders, expense claims forms and ordering of office supplies, with support from the Corporate Team Administrator.
• Support leads to manage contracting, invoicing and reporting to external funders in accordance with funder requirements. Ensure all new funding streams and other costs are accurately recorded by the accountants.
• Ensure management of the corporate member joiners to the organisation, including invoicing and setting up a process for re-invoicing.
• Work closely with the external accountants to provide information on monthly suspense, debtors, mis-postings and general queries in relation to iHV finance. Ensure the iHV’s reconciliation and remittance records are updated weekly.
• Ensure all financial documentation is available for scrutiny as required, including support for annual financial audit by independent auditors.
• Make recommendations, provide advice, and prepare strategic reports and briefings as required.

Operational Management and Governance:

• Support the CEO and department leads in managing human resources, risk management, quality assurance, operational change, and board functions.
• Support iHV business planning and the development of key objectives and priorities for the corporate Team (in partnership with the CEO and other leads within the corporate team).
• Oversee the operational needs of the Institute – supporting leads within the organisation with workflow mapping, business continuity and planning to support matrix working across the organisation.
• Recording and monitoring of business risks across the organisation to enable risk management, reporting to the Board and providing support in association with the CEO.
• Support the board, providing secretariat functions to board meetings, including ensuring all papers are provided on time, managing sensitive information, and taking board minutes.
• Work with the CEO to develop, coordinate and implement organisational policies throughout the Institute.
• Support the CEO with reporting to the Charity Commission/ Companies House and ensuring that the organisation’s charitable obligations are met. Work with external auditors to deliver the annual audits; and ensure that the relevant documentation is held in line with requirements, is available for external auditing, and the delivery of audit recommendations are tracked.
• Support Health & Safety risk management, ensuring risk assessments are in place, processes and policies are up to date, and staff are trained and informed with any changes.

Information Technology

• Management of robust administration and business support systems, including negotiation and management of IT agreements, subscriptions, licences and contracts as required, providing recommendations for improvements and efficiencies to the CEO.
• Facilities management of required IT and infrastructure to include details of equipment held and provision of Microsoft/ other required licences.
• Liaise and schedule work to be undertaken under external IT support contract.
• Lead operational change for new Customer Relationship Management (CRM) system and website – working with a dedicated project manager who has scoped our organisational requirements (almost completed), to finalise the invitation to tender (ITT), manage the procurement process, evaluate submissions with a small in-house change team at the iHV, and make recommendations to the board. The postholder will lead the project for the iHV, working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification and is robustly tested before launching.
• Information management and analysis to highlight issues/ risks and support decision making – work with Head of HR to ensure iHV compliance with GDPR.

Human Resources

• Management of our Emsworth office with line management responsibility for a small number of designated staff in the corporate team who support business management (currently the Corporate Team Administrator), supporting the delivery of team objectives within the iHV Business Plan.
• Support, motivate and develop staff, managing direct reports’ annual performance development review (PDR) and performance management, if required.
• Work closely with the Head of HR to make sure that good employment practices are universally embedded operationally within the iHV.
• Support staff recruitment and the induction of new staff; provide advice to staff on corporate policies and procedures and communicate changes.
• Support the Performance Development review process for the iHV, collating 360 feedback for iHV employees where requested, and maintaining records for annual PDR outcomes.
• Maintain oversight of the recording of annual leave with the Corporate Team Administrator, Head of HR, and department leads.
• Provide operational leadership and management for team awayday (leading a small team to plan this each year), to support team building and staff development.

Other:

• Have an excellent professional working relationship with colleagues to deliver corporate goals and objectives in line with iHV Vision and Values.
• Help at iHV conference and events, working with our Events Manager and overseeing the work of the Corporate Administrator to ensure that venues, travel, accommodation and materials are booked and delivered on time.
• To participate in all mandatory and individual training as required. To highlight their learning and development needs to the CEO on induction, at the annual PDR, and as needed, to ensure capability to deliver key role functions.

How you will make a difference

As the Workplace Mental Health and Training Manager, I develop, deliver and manage mental health training and initiatives to support employers, employees and others, in creating mentally healthy workplaces and communities.

I create, and oversee the creation of, new and bespoke training, initiatives and contribute to the design, development and delivery of consultancy services, aligned with our other services.

I review our existing products and services for reliability, evidence-base, relevancy and effectiveness and apply or project-manage improvements.

I ensure the continued high-quality of delivery of our mental health training and initiatives to external audiences across both Rethink Mental Illness and Mental Health UK.

About the role 

We are currently at the beginning of an exciting and ambitious program to transform our organisations Digital, Data and Technology - becoming a trusted partner for colleagues in the organisation. 

In the last year we have implemented a new CRM platform based on Salesforce and Azure platforms while continuing to adapt to modern ways of working post pandemic that have changed how our physical locations are best utilised.

As Senior Network Engineer, you'll play a key role in maintaining and supporting our current physical network hardware and solutions while we look to adopt a cloud first approach moving away from our current dependency on physical locations and legacy services. 

You'll work closely with the wider technology team on the development of our office infrastructure as we look to expand our current use of Meraki solutions to support us in providing office services to several charity partners alongside Save the Children UK.

Reporting to the Infrastructure Manager, you will be responsible for: 

• Monitoring our office and server platforms network connectivity to ensure availability, uptime, and responsive systems for the organisation using tools such as WhatsUpGold and Meraki portals and Azure monitor
• Maintaining our server platforms network connectivity, whether on premises, in private cloud or public cloud
• Maintaining and developing our physical office locations connectivity for end users and tenants alongside our Facilities team
• Working with our partners to maintain our WAN and cloud connectivity
• Helping implement solutions that are secure and follow Zero trust principles
• Maintaining current technologies such as Fortigate firewalls
• Implementing new technologies such as Zscaler and Azure Firewall
• Providing connectivity solutions that meet business requirements
• Documenting current and future solutions to ensure accountability and to promote Team and Organisation understanding of technologies.

About you

You'll have a track record of delivering solutions/platforms that empower organisations and understand how networks and connectivity provide the backbone of solutions and how critical infrastructure is to delivering business services.

To be successful, it is important that you have:

• Significant experience in a hands-on role delivering enterprise class networking – switching, routing and Wifi
• Demonstrated experience working as a Senior / established Network Support Engineer supporting department colleagues and business users in a large-scale organisation
• Ability to Troubleshoot a variety of Technologies both independently and with third parties
• Enterprise Switching and Routing expertise
• Firewall management experience – Fortigate or equivalent Next Generation Firewalls
• Experience implementing and supporting virtual private network solutions
• CCNP equivalent level experience.

The Pandemic Sciences Institute (PSI) is recruiting a Monitoring, Evaluation, and Learning (MEL) Manager to provide expert support to two major programmes and also more broadly across PSI. This is an exciting new role which will concentrate on developing and embedding evaluation and learning practice within PSI’s activities, with significant opportunity to add value. It is anticipated that you will divide your time between three broad areas of work.

Africa Pandemic Sciences Collaborative (working title)

You will support the development and implementation of a MEL workplan for this initiative, based around the Theory of Change (ToC) and working closely with collaborators at Science for Africa Foundation in Nairobi.

The International Severe Acute Respiratory and emerging Infection Consortium (ISARIC)

You will lead on the design, implementation, delivery and continuous improvement of a MEL framework based on the ISARIC ToC model, using research and insight to inform developments. This will include defining and implementing cross-team data collection processes and tools, creating and championing a strategy for dissemination of and access to ISARIC outputs, and preparing reports.

PSI-wide activity

You will deliver guidance to other groups within PSI. This will include supporting researchers to articulate impact in grant applications and publications, and providing MEL expertise to ongoing projects. You may also be required to work with colleagues across the wider Department of Medicine to prepare material for the Research Excellence Framework 2028.

It is essential that you hold a Master’s degree in a relevant discipline, alongside significant experience of planning and conducting monitoring and evaluation using different methodologies, gathering and analysing quantitative and qualitative data to demonstrate reach and significance of research impact. You will have excellent diplomacy, interpersonal and listening skills with proven ability to relate well to staff at all levels.  Familiarity with the UK Research Excellence Framework and experience in monitoring and evaluation of scientific, global health or policy research would be desirable.
