Location: Horsham, West Sussex
Hours: Part-time, 12 to 16 hours per week
Contract: Temporary, 2 months
Pay: £20 per hour (+ holiday)

Prospectus is delighted to be supporting our client, the UK’s only charitable organisation dedicated to supporting and promoting the interests of professional proprietors of equestrian establishments, in their search for a temporary PA / Office Manager.

This is a fantastic opportunity for an experienced administrator to join a small, friendly charity and play a key role in supporting its members, trustees, and daily operations. The successful candidate will be highly organised, proactive, and confident managing a broad range of office and membership administration responsibilities.
Responsibilities

  • Act as the first point of contact for members and stakeholders, handling enquiries via telephone and email.
  • Manage the office inbox and ensure correspondence is dealt with promptly and professionally.
  • Support membership administration, including processing new memberships, updating member records, and maintaining accurate databases.
  • Coordinate safeguarding course bookings and issue certificates to participants.
  • Prepare, send, and maintain records of membership and course-related certificates.
  • Update Excel spreadsheets, CRM systems, and internal records to ensure accurate reporting and administration.
  • Provide administrative support to trustees, including diary coordination and assistance with ad hoc tasks.
  • Undertake general office administration, including filing, scanning, printing, post management, and document preparation.
  • Help maintain efficient office systems and processes that support the smooth running of the organisation.

Requirements

  • Proven experience in an administrative, office management, or PA position.
  • Strong working knowledge of Microsoft Office, particularly Excel and Word.
  • Excellent organisational skills with strong attention to detail and the ability to manage multiple priorities.
  • Confident communicator with excellent written and verbal communication skills.
  • Able to work effectively both independently and as part of a small team.
  • Experience working with CRM systems and databases would be advantageous.
  • Experience using Xero would be beneficial but is not essential.
  • A full driving licence and access to a vehicle is required due to the office location.
