JOB PURPOSE

The Office Administrator will undertake all administrative support duties, typing, creating letters/templates, maintaining all databases of contact and contractors, filing, and responding and maintaining records to standard enquiries. The role also requires answering the phone and logging calls, checking voicemails, opening mail, creating Notices, and populating the Notice Boards at regular intervals, ensuring the confidentiality of sensitive information, and abiding by Goulden House Co-Operative Ltd GDPR regulations.

£28,000 per annum pro-rata (3 day & 5-day weeks)

MAIN DUTIES

• Resident engagement, taking and responding to residents’ calls, ensuring that all such engagement is documented on the Goulden House Resident Engagement Database
• Updating the Goulden House Registers (Risk Register, Complaints Register, Anti-Social Behaviour Register, Intercom Databases etc)
• Raise Works Orders and Purchase Orders and services on SAGE as per Estate Manager instruction
• Taking responsibility for the Approved Contractor List, ensuring that the contractor’s documentation is correct and current, i.e. Public Liability, relevant Health & Safety certification.
• Liaise with contractors and organising repairs whilst ensuring compliance with the Goulden House Co-Operative Ltd Procurement Policy
• Issuing resident/visitor parking permits
• Monitor CCTV daily putting particular emphasis on fly-tippers.
• Updating of Notice Boards across the site
• Inspecting the cleanliness of the Communal Areas twice weekly and signing off of the Cleaning Schedules which are placed in all the Communal Areas, in the absence of the Estate Manager.  
• Estate walk around as required or in the Estate Manager’s absence.
• To undertake such duties as are reasonably assigned to you from time to time by Estate Manager

SERVICE DELIVERY

• To take a pro-active role in Health & Safety issues on the estate.
• To assist in ensuring the Co-operatives’ aims in relation to customer awareness are achieved.
• To promote a positive image through the development of good working relationships with tenants, lessees, committee members, contractors, Wandsworth Council staff and other agencies.

BIAS’s housing advice service supports members of the local Irish community and beyond with a range of complex housing issues, including homelessness, rehousing, tenancy sustainment and disrepair. We are looking to appoint a dynamic, enthusiastic person who has a background or demonstrable interest in advice, housing or homelessness to join our friendly advice team. Your role will involve contributing to the day-to-day running of BIAS’s advice service, providing specialist advice on housing via one-to-one client appointments, completing casework and advocating for positive outcomes for your clients.

You will need to have strong people skills and the ability to build good working relationships with colleagues and clients, excellent organisational skills and the ability to digest complex briefs. You will be required to manage an active caseload, ensuring that cases are appropriately actioned and recorded and that deadlines are met.

KEY WORK AREAS AND MAIN DUTIES

• Providing appropriate advice, information and practical help to clients, via in-person appointments, outreach visits, telephone, letter or email. Where necessary, advocating on behalf of clients in the appropriate forums.
• Ensuring that all casework records are kept up to date and completed clearly and effectively.
• Contributing to monitoring service delivery and recording client outcomes.
• Maintaining a good knowledge of other available services, and signposting or referring clients as needed.
• Participating in regular team file reviews and supervision sessions, and contributing to maintaining BIAS’s high-quality service in line with Advice Quality Standard (AQS) requirements.  
• Engaging positively and constructively with other service providers, including local authorities and housing providers, to maintain partnerships.
• Staying up to date with developments in housing legislation and identifying opportunities to effect positive change to housing policy, together with the Advice Manager.

These are the basic duties required of the Housing Adviser. However, it is necessary for all staff to be flexible and you may be required from time to time to perform other reasonable duties which are required for the efficient running of the organisation. We will also offer training opportunities to support your career development.

Candidates must be eligible to work in the UK. This role will be based primarily in our advice offices in Willesden (Brent), with some outreach work in Haringey borough. There may be some options for flexible working (one day per week)

BIAS is a local charity which has supported England’s largest Irish community in Brent for over forty-five years. We deliver our support through our welfare advice drop-in service, our Active Ageing Clubs and our Be-a-friend volunteer scheme. We raise over £2 million in extra income for the most vulnerable every year and have over 3000 attendances at our club services. BIAS has exciting plans for further expansion in Haringey in 2025 and has a range of medium- to long-term grant funding, including from Ireland’s Emigrant Support Programme.

This role entails overall responsibility for the coordination and management of FPP’s Environmental Governance Programme/EGP, and acting as the central contact point for the programme. Key Responsibilities

1.Regular Reporting

• Forecast and create monthly cash flow as requested. 
• Report on cash reserve levels with reference to the reserves policy.
• Produce timely and accurate management and financial accounts information, as requested by the Director or Trustees each month, with full explanation on significant areas and variances from budgets, using accrual accounting methods.
• Prepare and send quarterly & yearly reports to the financial team of the International Board.
• Produce other reports and recommendations as appropriate or requested. 

2.Budgets

• Help to generate annual budgets. 
• Work with staff and Treasurer to identify risks & opportunities to help deliver within the budgets. 
• Facilitate financial support and guidance to budget holders.

3.Audit and Year End

• Prepare the information for statutory annual accounts for the auditors.
• Liaise with external auditors or equivalent, as needed.
• Submit annual returns to the Charity Commission on time. 

4.Controls, Procedures, Systems

• Ensure accounting process remains compliant with the appropriate Charities SORP (Statement of Recommended Practice).
• Manage the annual report process to ensure a quality annual report is produced with an accurate and dynamic reflection on the year that the report refers to.
• Provide support in reviewing, monitoring and developing an appropriate and effective financial framework (policies, regulations, procedures and controls) that are in line with MEM’s strategy and values.
• Ensure financial processes and policies are up to date, communicated to and understood by the staff team and the Trustees. Ensure they are also in line with any regulatory requirements.
• Ensure appropriate risk management techniques and financial controls are embedded throughout the charity at strategic and operational levels. 

5.Donor Support

• Deal with any donor queries that come by email.
• Maintain up-to-date records of donors, field staff and other contacts in the MEM’s database. 
• Support the team with gift acknowledgements.
• Set up standing orders and keep records. 
• Process and record completed Gift Aid declarations, and regularly submit Gift Aid reclaims to HMRC.

6.Financial Administration

• Input all financial data (income and expenditure) into organisation’s CRM, accounting and other relevant software.
• Prepare and follow up suppliers’ invoices for payment. 
• Make payments for all authorised invoices.
• Process expense claims and make payments. 
• Manage the banking of income (cheques and cash). 
• Schedule transfer of funds to the field on a regular basis, making sure the transfer statements have the right codes. 
• Act as one of the signatories for the bank accounts making amendments, payments and being a first point of communication with bank as required. 
• Liaise directly with the outsourced payroll provider. Prepare, submit and issue P11Ds and ensure appropriate payment. 
• Manage pension details and ensure contributions for all staff are made on time.

7.Other Duties

• Provide support during the recruitment process.
• Collate staff timesheets, keep track of holiday and staff sickness in line with MEM policies.
• Prepare and check monthly payroll details before sending to the payroll provider, including sickness reporting etc.
• Manage incoming post and liaise with Mailbox administration (mail will be forwarded to your address).
• Be the primary contact with the Charity Commission.
• Determine the insurance needs and negotiate suitable policies on a timely basis.

Your Role

As Head of Harm Reduction and Engagement, you’ll lead our Drug & Alcohol Support Hub (DASH) service, detached outreach provision and youth justice support – while driving innovation in youth empowerment, Diversity, Equity and Inclusion (DEI), and new service models. You’ll be our subject expert in harm reduction, criminal justice, and engagement with vulnerable and marginalised young people.

You’ll play a key role as part of our Senior Management Team, and lead a passionate, experienced team delivering critical services to young people across Southampton and Hampshire. You will also lead on maintaining strong strategic partnerships, including with our substance use lead provider, Change Grow Live.

Your key responsibilities will include: 

• Leading and managing our DASH service, detached team, and young people’s link workers
• Overseeing delivery of effective, evidence-led services that meet contractual and community needs
• Driving our organisational response to DEI in service delivery
• Supporting innovation and emerging projects such as Alternative Provision
• Leading strategic partnerships with statutory, voluntary and community organisations
• Representing No Limits externally as a senior manager and subject expert
• Managing teams, budgets, quality assurance, safeguarding, and development of new services

• Ability to lead partnerships and represent your service area internally and externally
• Confident communicator and able to lead with influence

Job Title: Housing Support Worker

This is an opportunity to join Refuge as a Housing Support Worker to provide high quality practical and emotional support to survivors of domestic abuse and their children living in our dispersed refuge accommodation in Warwickshire.

You will be forming a team that makes up the Warwickshire Dispersed Safe Accommodation service. This service will provide emergency safe accommodation across Warwickshire with high-quality domestic abuse support, ‘by-and-for’ services for survivors of domestic abuse and their children.

Housing Support Workers will work closely with the Floating Support Workers and Child Support Workers (who provide the personal support to survivors of domestic abuse and their children) to ensure that the emergency accommodation and support meets the whole range of survivors’ needs.

The post holder will be responsible for the Health and Safety and maintenance of emergency safe accommodation units in multiple 1–3-bedroom properties across Warwickshire. This will include the practical set up and maintenance of home furnishings and utilities in each property and the management of the cleaning and replacements required between each use of the accommodation unit.

The post holder will provide support to survivors fleeing domestic abuse around accessing housing benefit for the dispersed accommodation and support survivors with exploring and accessing move on accommodation.

The Housing Support Worker (HSW) will be responsible for ensuring that the properties will maintain Refuge’s accommodation standards and comply with all Health and Safety legislation and requirements

Housing Support Workers will work in partnership with both statutory and voluntary sector partners to ensure that the properties are managed to a high standard and ensure a welcoming approach to all survivors and their children.

As part of this role, you will be required to participate in an out-of-hours on call rota.

This post is restricted to women due to the nature of the role. The Occupational Requirement under Schedule 9 (part 1) of the Equality Act 2010 applies.
