Job Purpose - Facilities Manager - Projects 

The role holder will report directly to the Head of Estates whilst working closely with the Facilities Manager and the wider team, as well as operational colleagues.

The role holder will be responsible for the delivery of specific ad hoc estates projects, whilst also providing support to the wider Estates team in the delivery of business-as-usual activity to ensure the development of an estate that delivers outstanding outcomes for the people we support, ensuring the portfolio is managed safely, cost effectively and in accordance with statutory and regulatory requirements.

This role requires an individual with strong project management capability within an estate’s environment, with a demonstrable track record of delivery of projects on time, to Budget and to the requisite level of quality.

Reporting directly to the Head of Estates, the role holder will: 

• Lead the estates input in the expansion of the existing property footprint.
• Onboard new additions to the estate’s property portfolio efficiently and effectively.
• Work collaboratively with operational colleagues ensuring “best outcomes” are delivered for the people we support in the development and maintenance of the estate.
• Support the wider estates team in the delivery of business-as-usual activities.
• Be visible and on site to ensure the smooth running of projects and the timely resolution of issues. 

Dimensions

Whilst the role currently has no direct reports assigned, the level of project activity and the consequential resource requirements will determine any additional staffing needs. The nature of individual projects will determine this although it is anticipated that project spend will be circa £0.5m+ per annum.

Principal Accountabilities

Estates and Facilities Management 

• Responsibility: Act as the senior estates and facilities professional on project work assigned. 

• Project Plans: Ensure there is a clear and documented estates plan for each project assigned and lead the implementation of these plans to ensure best possible outcomes for the people we support. In the planning and delivery of projects, the role holder must ensure that due consideration is given to operational requirements. 

• Project Performance: Ensure a robust contract performance management framework is in place for each project. 

• Regulatory: Ensure all project work is undertaken in accordance with applicable regulatory and statutory requirements. 

• Resource Management: Manage and co-ordinate both AFG staff and external contractors in the delivery of projects. Where required mitigating actions/plans may need to be taken to ensure that projects are delivered to requirements. 

• Onboarding: With support from the Head of Estates, lead the estates input re. property acquisition (both support with the identification of appropriate property and subsequent due diligence). 

• Expansion: With support from the Head of Estates, lead the estates input re. the expansion of existing estates footprint. 

• Business Cases: Prepare business cases, feasibility studies for consideration by the Head of Estates and onwards by the Executive/Director team. 

• Business as Usual Estates Activity: The role holder will be required to work alongside the Estates Manager and the wider estates team in the delivery of business-as-usual estates activity (including site visits, contract monitoring meetings, supervision of reactive repairs etc.), where project requirements mean the role holder has capacity to undertake this work. 

Financial Management

• Financial Performance: Manage project related budgets, ensuring projects are delivered to Budget, to the requisite quality and to time. 

• Procurement: Work closely with the Procurement team to source potential suppliers for services and ensure those services are sourced on a “Value for money” (VFM) basis, and in accordance with the terms of the Scheme of Reservation and Delegation. 

• Tenders: Working closely with the Procurement function of the Charity, take the estates lead in tender activity where assigned, ensuring that activity is undertaken in accordance with the Scheme of Reservation and Delegation. 

• Cost Reduction/Service Improvement: Lead in ensuring we are continually striving to reduce cost/improve service provision. 

• Commercial Acumen: Commercially savvy to drive continuous improvement opportunities (both financial and operational). 

Sustainability, Efficiency, and Innovation 

• Estates Development: Ensure development activity within the estate takes account of environmental considerations/technological advances in the go-forward design.

Experience

• Minimum of 3 years’ experience in an estate’s management/estates project management role.
• Experience of working in an environment delivering both planned and reactive maintenance and delivery of capital projects.

• Experience of managing complex estates projects (resource, finances, scope).
• Experienced in managing contractors and sub-contractors including conflict resolution.
• Experience in both the development of and management of financial Budgets and Reforecasts.
• Experience in undertaking property related “due diligence”.
• Experienced in the preparation and presentation of business cases for consideration by the Head of Estates.
• Experience of working with a Computer Aided Facility Management (CAFM) system.
• Able to develop frameworks to understand a problem, identify practical options to solve the problem, and identify the most optimal solution.

Qualifications & Training

• Level 3 Facilities Management qualification.
• GCSE Maths and English

• Full driving license.
• On occasion emergency contact for the properties and therefore may need to attend out of hours.

This role is home based, with occasional travel within the north west of England required. This role is Band II as per our structure

Main Responsibilities:

 Plan and deliver a structured programme of enjoyable, recreational, high-quality activities to meet the needs of children and young people with additional needs and disabilities who attend Short Breaks clubs

Lead and line manage a team of workers and volunteers, and to assist in the recruitment and training of the Disability sessional team

To coordinate and take responsibility for the planning, allocation of places, and staffing to ensure safe delivery of Short Breaks clubs

Have responsibility for processing of new referrals, initial assessments and individual care plans and any associated risk assessments

To develop strategies and behavioural support plans for young people attending activities and access YMCA Disability Services

To be aware of Ofsted requirements and ensure Short Breaks clubs for children are compliant, with ongoing monitoring

Administer medication for children and young people with health needs and undergo relevant training and transfer this knowledge onto the staff team

Work closely with individual children and young people and their families to identify a range of social, recreational and leisure activities to meet the needs of young people and children

DESCRIPTION

Job Purpose:To coordinate and deliver an exciting range of Short Breaks activity clubs for children and young people aged5 - 17 with additional needs and disabilities at weekends and school holidays.

Hours of work:35 hours per week including one evening per week.

Term time hours: Wednesday – Sunday 09:00 – 17:00 or Tuesday – Saturday 09:00 – 17:00

School holidays hours: Monday – Friday 09:00 – 17:00

Location : Based at YMCA Sovereign Centre, Slipshatch Road, Reigate, RH2 8HA. Managing Short Breaks Schemes located in Epsom.

Annual leave:Starting allowance - 25 days plus Bank Holidays

Complex Needs Worker: Women Experiencing Homelessness

Our client, a leading homelessness charity based in London, are looking for a Complex Needs Worker to work in a complex needs service for women experiencing homelessness in south London. Due to a rise in female rough sleepers, and the need to safeguard the most vulnerable in society, a new female only rough sleeper service has been commissioned to provide support and ongoing casework to vulnerable women engaged at the service with the aim of rehousing clients into more independent accommodation. Clients will be referred to the service via homeless assessments services, street outreach teams and other referral pathways.

Candidates for this role will need:

• Experience of working with the homeless and ideally complex needs women and the challenges the specific client group face
• Experience of working in a homeless assessment capacity
• Resettlement experience and knowledge of housing options
• DBS certificate issued within the last 12 months or registered to the online update service

Candidate duties:

• Offering advice and guidance on housing and resettlement related issues to clients
• Overseeing the casework delivery for around 4 clients within a supported housing unit
• Conducting needs and risk assessments and putting in place well-being and risk management plans

Right now, one of our partners, Richmond Fellowship, is looking for two Employment Specialists to join our team in Chertsey and Leatherhead, Surrey. We help individuals with mental health problems to find paid employment. We also support people to retain their employment when they are struggling at work due to their mental health. We also advise and support employers about mental health in the workplace. But, it’s only possible with the help of people like you.

Your challenge? To do everything you can to help the individuals we work with to source appropriate work experience placements with local organisations/employers. Day to day, you’ll offer support, careers advice and guidance, helping people to set their own recovery and employment focused goals and provide training in personal and skills development such as CV preparation, interview techniques etc. You’ll also be responsible for establishing and maintaining positive links with partner organisations, local employers and Mental Health teams and have the initiative to develop and promote the service. Additionally, you will have responsibility for maintaining efficient admin systems to ensure referrals, assessments and reviews are completed in a timely manner.

As well as a good understanding of mental health problems and the issues and barriers this can create for our clients, you’ll need excellent motivational, presentation and listening skills and a willingness to travel in the local area and to work outside of office hours as required.

The post holder will need to be a car driver or have the ability to travel independently across a large geographical area within Surrey and deliver to the areas of Surrey Heath, Farnborough, Farnham and Aldershot.

This is a permanent full time post, requiring the post-holder to work 37.5 hours per week.

Richmond Fellowship is part of Recovery Focus, a national group of charities highly experienced in providing specialist support services to individuals and families living with the effects of mental ill health, drug and alcohol use, gambling and domestic violence. From 1st June 2024 Richmond Fellowship will be merging with the mental health charity Humankind to form a single organisation that provides the joined-up mental health, housing and drug and alcohol support we’ve all known has been needed for decades. The Pelham is a local Christian charity that enriches lives in real and diverse ways for our community in Sidley, Bexhill. The Pelham aims to benefit the community through our charitable activities & projects, and effective partnership working.

This exciting opportunity to join a dynamic and vibrant local charity also represents a growing youth work provision, which has been developing over the last 5 years with an engaged group of local young people and strong links to local schools, community groups and churches. We are looking for a visionary and passionate youth worker to build on what has worked well to date and establish new opportunities and activities for local young people to benefit from. We are passionate about seeing local people’s lives lived to the full and reaching their potential in a supportive environment.

Following the opening of the basement in September 2023, The Pelham has a designated space for children and young people to call their own. In our current work as a Community Hub, we have over 60 partner organisations and over 400 people a week coming through the doors, and our vision is to see the range of activities and partners be replicated for local youth.

As well as leading the youth work, this postholder will join part of The Pelham’s project leadership team alongside the other four core projects:

· Our volunteer-run Coffee Lounge is open 5 days a week, providing a safe and warm space in the community to over 150 customers each week.

· The Pelham as a Community Hub welcomes over 400 people through our doors each week and hire our spaces out to over 60 different local organisations that use The Pelham as a base for their valuable assistance to help people in need locally. The range of organisations covers the voluntary, statutory and small business community to create a vibrant and dynamic space.

· RunningSpace is our suicide prevention project with a vision to champion life and beat suicide through walk2run groups. We currently run sessions in five locations, across East Sussex and Kent. We also host suicide prevention training too on a regular basis.

· The Pelham Counselling Service offers individual and group work therapy sessions with its team of 9 counsellors. It offers bursaries and a flexible service to best meet the needs of local people.

In joining the team, collaborative working will be at the heart of the development of the youth work, including group therapy sessions for young people, suicide prevention work and volunteering and employability pathways.

The current outworking of the role, fulfilled in 12 hours a week, includes:

· Running an after-school youth club for secondary school aged children on a Tuesday evening, supported by a team of volunteers. Currently, 30 young people on average attend.

· Working within the local secondary school’s pastoral care team on Monday and Tuesday lunchtimes

· Development of activities for The Basement, which is the designated space for children and young people at The Pelham. This space was opened in September 2023 following an extensive capital redevelopment.

· Providing a range of activities and events in the school holidays.

Main Purpose of the Role:

The Youth Worker will take the leadership role in the development of Youth work from The Pelham, as part of its charitable work and community service, working under the guidance of the CEO and as part of the Project Leadership team.

The role will include having vision to develop relevant and appealing opportunities in Bexhill for young people, working together with local partners, including schools and voluntary organisations. This will include innovative options outside of our current scope of work, which may include wellbeing activities, studying support, home education, group work therapy and more.

There will also be administrative responsibilities specific to this role, including safeguarding and risk assessing all activities and events as well as the young people that you will be working with.

The role will also involve hosting a range of regular session specifically for young people, as well as empowering and encouraging young people, in line with the vision and values of The Pelham as a charity.

Key Tasks:

1. To create a safe environment for young people to be at The Pelham, including all necessary safeguarding requirements and good practice.

2. To run youth activities at The Pelham on a weekly basis in term time, including but not limited to:

1. After school sessions

2. Evening sessions

3. Daytime sessions for home educated or de-schooled students

4. School holiday activities

3. To provide consistent and appropriate input into the lives of local young people living in our community, giving them purpose, value and significance.

4. To develop partnerships specifically focused on the usage of the basement during the daytime. This is focused around exploring connections with home educated students, and those outside of mainstream education.

5. To establish key links with existing youth provision in the town, alongside the schools, voluntary groups and faith groups.

6. To work alongside The Pelham Counselling Service to promote and support the wellbeing of young people, including through the use of group workshops.

7. To support a volunteer team to support in hosting youth activities, all with the appropriate DBS checks and training.

8. To work alongside the pastoral care team at Bexhill Academy to provide support to students during lunchtime(s) in the school week.

9. To explore and respond to the local need for young people, including helping to mitigate anti-social behaviour in Sidley with increased interaction and trust building. This will include working with local partners including Heart of Sidley, Rother Safety Partnership and Sussex Police.

10.  This will also extend into local connections in Sidley, Pebsham, Chantry and Bexhill Town Centre in providing opportunities for children and young people and their families, as well as other youth focused organisations.

Context of Job

AFK (Action For Kids) is a national charity helping young people with disabilities to develop their independence and find employment. Our vision is a world where all people living with a disability get to lead the life they choose.  As part of this we provide bespoke employment skills and organise work experience placements across North London.  At a national level, we provide mobility equipment not available on the NHS for disabled children and young people up to the age of 26.

Job Purpose

To support young people aged 18+ who have disabilities and/or are neurodiverse to gain employment. The role will be to primarily liaise with businesses and employers to broker new opportunities for supported and unsupported employment.  You will also work with a small caseload of young people, assessing their employability skills. You will work closely with the Employment & Skills team to place young people from the Employment Coaches caseloads into employment, as well as locate some voluntary roles and work placements. You will deliver one to one job coaching to enable young people to progress towards their own goals and objectives.

Working Conditions

The post is 35 hours a week, normally between 9.30am – 5.30pm. The post holder may be expected to work some evenings and weekends as required by the job. There is a TOIL policy. This role is peripatetic within London.

Principle Responsibilities

1. Engage with businesses and employers to source and secure employment opportunities for the young people AFK work with.
2. Encourage businesses and employers to offer volunteering, work tasters and work placements that may also lead to paid opportunities for young people.
3. Develop and maintain knowledge of the local labour market & opportunities relating to employment, work tasters, work placements and volunteering.
4. Develop and maintain effective working relationships with local employer groups, statutory, voluntary and private organisations to support the development of suitable opportunities.
5. Participate in employer visits with young people to engage them in the different workplace roles to further aid their choices in employment.
6. Provide training / advice to employers as required.
7. Provide employment support for the Employment & Skills team and produce monthly updates in line with AFKs key performance indicators (KPIs).
8. Work with 1 or 2 young people to identify and support their aspirations for future employment.
9. Identify any financial implications for individuals relating to full and part-time employment in connection with disability benefits.
10. Work closely with the Senior Employment Coach to match opportunities for young people from the caseloads of Employment Coaches.
11. Participate in regular 1-1 supervision with the Employment & Skills manager.
12. Support young people in the workplace if required.
13. Refer young people for specialist advice and support where appropriate.
14. Monitor the progress of individuals and keep appropriate records.
15. Provide timely reports and keep AFK recording systems up to date.
16. Undertake necessary administrative duties relating to the role.
17. Undertake learning & development as identified via appraisals and reviews.
