Project Administrator

We are looking for an experienced Administrator to join the team.

Position: Project Administrator

Location: Huddersfield/ Hybrid

Hours: Part Time – 22 hours per week

Salary: £24,242.40 pro rata

Contract: Temporary until August 2027

The Role

You will be responsible for organising the logistics and administration of delivering projects and contracts  within the project delivery team.  This includes supporting customers on their journey through the Champions programmes, progress logging, financial administration and post-delivery evaluations.

Key duties include:

• Collate, update and maintain data and records
• Provide administrative support for the monitoring of organisational and contractual targets.
• Maintain and manage emails and outlook calendar
• Support the wider team with the co-ordination of the project
• Handle and answer incoming calls and emails about projects and contracts
• Maintaining regular contact with programme settings to ensure ongoing support and progression.
• Support the department in conducting post-delivery evaluations and assessing impact of delivery, reporting feedback to line manager.
• Work with Programme Early Years Advisors to update contact logs and records.

About You

You will have previous experience of general administration in a service / customer focussed environment with experience of team working, data collation, input, recording and processing. You will be comfortable using video conferencing technology and systems for processing payments and ideally have experience of customer care.

Training and Implementation Specialist

The Opportunity

Our Membership Platform supports the College membership functions to make a difference to the lives of over 3.6 million children taught by our members. It is used to track, manage and support our members to access their benefits.

We are recruiting a Ruby Developer within the Service Operations team to manage our membership platform and provide support to users who access it. During the contract you will:

• Monitor and resolve any issues arising with the platform.
• Manage and maintain the platform so it remains operational. 
• Work closely with the Head of Data and Digital to successfully transform and move the current data and services to a new platform built on Salesforce.
• Support membership operations with reporting, payment and refund requests.

This would be an ideal opportunity to work on a project to move our data and processes from a Ruby platform to Salesforce which will move the College’s processes forward to ensure a strong future. In this role you will: 

• have autonomy for maintaining and managing our existing membership platform;

• help to grow the professional membership organisation for the teaching profession and be  part of the team driving the organisation forward at an exciting time for the future of the College.

Platform Management and Maintenance

Most of the time, you will be managing the membership platform, fixing any bugs, keeping the server up to date, ensuring stability, and providing reports to various stakeholders within the College.  You will also provide support to the membership team with refund requests through GoCardless and Stripe.

Data and Process Transition

You will spend some of your time working with the Head of Data and Digital to move all relevant membership data and processes over to Salesforce.  This will entail preparing data in the correct format and providing support to move automated processes over to the new system.

What we’re looking for:

As Project Manager, you’ll play a key role in delivering the day-to-day activities and projects of Nine Point Eight. Reporting to the Board of Trustees, you’ll coordinate programming, manage timelines, track budgets, liaise with partners and beneficiaries, and ensure our charity’s impact is delivered effectively and efficiently. 

This role is ideal for someone highly organised, people-focused, and passionate about the arts, events, and social impact.

What you’ll be responsible for: 

Project Planning & Delivery

• Lead the coordination and delivery of key projects and programmes (e.g. grant rounds, venue activations, artist mentorships).
• Manage project timelines, budgets, and workflows across multiple streams.
• Ensure effective liaison with internal teams, partners, artists, and beneficiaries.

Monitoring, Reporting & impact

• Track and report on progress against KPIs, outputs, and milestones.
• Support data collection, case studies, and impact evaluation for reports and funders.

Partnerships & Stakeholder Support

• Serve as the first point of contact for project-related queries from partners, funders, and community groups.
• Coordinate with partners and venue teams to align programming and logistics.

Administration & Operational Support

• Maintain accurate project documentation, schedules, and budget tracking tools.
• Support events, board meetings, and funding rounds with timely preparation and follow-up.

Team

• Communicating your training needs and actively participating in your own development in line with the line manager’s expectations.
• Creating a work environment that aligns with Nine Point Eights charitable objectives, values and mission.

• Carrying out ad hoc duties when required to.

What is the overall purpose of the role?

At Youth Action Alliance, our mission is to support the personal and social development (their values, beliefs, ideas and skills) of the young people living in Kensington and Chelsea, enabling them to increase their resilience and skills in the present and promote their ambitions for the future.

We are ambitious to grow, to continue supporting more young people and influence positive change. To achieve this, we are seeking to appoint a Lead Worker for the Irish Traveller cohort to develop and deliver an innovative and progressive project in a safe, industrious, and supportive environment, working primarily with this community.

The project provides the following for Irish Traveller young people 11-19 years old including;

• A weekly girls’ workshop
• Targeted mentoring and support - helping them to stay in education, enrol in college, seek work opportunities, and access additional support services.
• Off-site holiday activities

Please note, work may extend to ages 8–21, subject to funding.

Key Responsibilities

Programme Leadership & Delivery

• Plan and deliver an innovative, progressive programme of activities, developed in collaboration with young people and colleagues.
• Create safe, supportive spaces that foster personal and social development.
• Deliver 1 to1 and group support sessions through a variety of methods (in-person, phone, digital), providing advice, guidance, mentoring, and signposting to other services.
• Organise trips, workshops, and positive activities in line with the project delivery plan.

Project & Partnership Management

• Lead the day-to-day operational and administrative management of the project.
• Develop and manage partnerships with schools, local agencies, and trusted community stakeholders.
• Represent YAA at borough, London-wide, and partnership meetings to champion Traveller young people’s voices.
• Manage project budgets, expenditure records, and ensure assets and equipment are safeguarded.
• Supervise project staff, support workers, and facilitators, ensuring high-quality delivery and compliance with YAA standards.

Monitoring, Evaluation & Reporting

• Record attendance, case notes, and data consistently and accurately in the online database.
• Capture and share the impact of young people’s journeys through case studies, feedback, quotes, photos, and video.
• Produce monthly, quarterly, and annual performance reports for senior management and the Board of Trustees.
• Contribute to fundraising efforts by demonstrating impact and supporting applications to secure sustainable funding.

Essential Skills & Experience

• A minimum Level 3 Youth Work qualification (or equivalent).
