The Team Administrator will provide a range of administrative and personal support to the Archbishop's Chaplain and the wider team at Bishopthorpe Palace. They will also act as one of the main points of contact for visitors and callers and will be expected to work closely and collaboratively with the other Team Administrator to ensure duties are always covered.

Responsibilities

Support to the Archbishop's Chaplain
Provide administrative support to the Chaplain including but not limited to:

• Managing the Chaplain's diary using Outlook, including booking rooms and hospitality where appropriate.
• Booking travel and hotel accommodation as required.
• Taking minutes of meetings on an occasional basis.
• Preparing background information for Clergy Current Status Letters (CCSLs).
• Assisting with the printing of materials for worship.
• Responsible for the administration of the clergy charity funds, in liaison with the Archbishop's Chaplain. Liaising directly with the Suffragan Bishops and Archdeacons of the Diocese of York in the allocation of these funds.
• Clergy retirement/resignation letters - In liaison with the Records and Correspondence Manager, making sure that all resignations and retirement notifications are actioned.
• Providing general administrative support to the Chaplain, and any other duties that may arise as required.
• Providing support to the Chaplain on the administration of PTOs, and any other duties that may arise as required, in the absence of the other Team Administrator.

Assisting with the administration and organisation of the following events:

• Consecrations and Confirmation of Elections;
• Provincial Visits;
• Annual Northern Church Leaders' Retreat;
• Diocese of York Clergy Quiet Days;
• Diocesan Clergy Conference;
• Ordinations of deacons.

Reception duties (shared with the other Team Administrator):

• Answering incoming calls to the main Palace phone, ascertaining the purpose of the call and transferring to the appropriate member of staff, giving full information.
• Answering video-entry phones at the main office door and disabled entrance, greeting visitors, assisting disabled visitors, issuing visitor badges, and alerting the appropriate member of staff of their arrival.
• Fulfilling other general receptionist duties, including ensuring the reception area is kept clean and tidy and that publications/circulars made available in that area are relevant and up-to-date, organising visitor refreshments and organising taxis for visitors as required. Ensuring reception/telephone cover is maintained when away from the front desk.
• Overseeing the office stationery supplies to ensure that stocks are maintained, negotiating prices with suppliers and ordering goods.
• Responsible for the franking/preparation of outgoing post, including the completion of paperwork for non-standard postal services, and ensuring the post is taken to the post office each evening ahead of closure deadlines.
• Preparation and circulation of a staff weekly whereabouts sheet.
• Maintaining and updating the staff signing-in boards.

General administrative duties (shared with the other Team Administrator):

• Processing incoming post before passing to the Records and Correspondence Manager for further action.
• Assist in the administration of central office emails, filtering the messages and forwarding those requiring further action to the Records and Correspondence Manager.
• Production of standard letters as directed by the Records and Correspondence Manager.
• Booking of travel/hotels for members of the Archbishop of York's team as required.

Essential

Knowledge/Experience

• Proven ability in managing diaries, correspondence and papers for a manager with the ability to find creative solutions.
• Experience of, and confidence in, dealing with a wide range of people in the course of work, including at a senior level.
• Experience working in a high-pressure environment.

We are seeking an experienced mental health professional to join our exciting new project, working with those engaging in gambling harms behaviours and affected others. The role will include various workstreams to the service, including: crisis de-escalation, casework, psychoeducation workshops and facilitating a space for peer-led activities.

Your role as a support worker will be to de-escalate those in a state of crisis which is exacerbated or influenced by gambling related behaviours. You will be expected to manage crises within a drop-in model. You will be expected to hold your own caseload of clients, providing 1:1 bespoke advice surrounding gambling and mental health support. In addition, you will aid in facilitating peer-led psychoeducation groups addressing root causes of gambling and a safe environment for loved ones to build meaningful peer connections. You will be joining a small team and be expected to work in partnership with your peer support workers and service lead. We are seeking autonomous, creative individuals with experiences of working with behaviours around addiction.

What does this role do?

 Accountabilities:

Executive and CEO Office Support

• Proactively manage the CEO's diary, inbox and correspondence, exercising independent judgement in prioritising requests and protecting time for strategic priorities.

• Prepare and commission high-quality briefings, background notes, talking points and presentation materials to ensure the CEO is fully prepared for all meetings and engagements.

• Draft, review and quality-assure outgoing correspondence, reports and communications on behalf of the CEO.

• Coordinate and manage complex domestic and international travel arrangements, itineraries, visas and logistics for the CEO and COO, ensuring efficiency and value for money.

• Manage the CEO and COO’s expense reporting and the Executive Office budget, maintaining accurate records and flagging issues proactively.

• Serve as the first point of contact for the CEO's office, managing enquiries from staff, partners, donors and stakeholders with professionalism and discretion.

• Work closely with the Internal Communications and Social Media team lead to ensure CEO internal and external communications are delivered well.

Board and Governance Administration

• Lead the end-to-end administration of Board of Trustee meetings and sub-committees, including scheduling, preparation of Board papers, agenda coordination and minute-taking, utilising AI. The majority are virtual due to the international nature of the board. In-person meetings take place approx. every 18 months.

• Maintain the governance calendar and ensure all regulatory and statutory reporting deadlines are met in coordination with the Company Secretary, CEO and COO.

• Support the onboarding of new Trustees and maintain up-to-date records of Board membership, terms of office and declarations of interest.

• Build strong working relationships with Trustees, acting as a responsive and reliable point of contact between Board meetings.

• Assist with the organisation of the Annual General Meeting and other governance events.

Leadership Team Coordination

• Coordinate the Global Leadership Team (GLT) meeting cycle, including agenda-setting, papers, actions and follow-up, working closely with the CEO and members of GLT.

• Support the CEO in tracking GLT action items, strategic priorities and key commitments, flagging issues and ensuring accountability.

• Co-ordinate with Regional and Country Directors on the Senior Leadership Team (SLT) meetings, including agenda-setting, papers, actions and follow-up,

• Assist with the preparation of materials for all-staff communications, leadership away-days and organisational events.

• Build effective working relationships across Practical Action's global offices, navigating time-zone differences and cultural contexts with sensitivity.

Stakeholder and Partnership Support

• Support the CEO's engagement with major institutional donors, trusts and foundations, bilateral agencies and high-value partners, including managing contact records and briefing materials, liaising closely with the business development and philanthropy teams.

• Coordinate logistics for high-level external visits, delegations, conferences and events involving the CEO.

• Assist with donor stewardship activities and the preparation of materials for fundraising and partnership development.

• Represent the CEO's office professionally in interactions with government officials, international organisations and peer NGOs.

Project and Research Support

• Take on research and project management tasks as directed by the CEO

• Continue to test and utilise AI tools to increase efficiency and effectiveness and share learnings with other members of Practical Action

• Support the delivery of special initiatives and cross-organisational projects led from the Executive Office.

• Maintain confidential files and records management systems for the CEO's office, ensuring compliance with GDPR and information governance policies.

To be successful in this role, the ideal candidate will be able to demonstrate:

 Essential

• Significant experience (typically five or more years) as an Executive Assistant or Personal Assistant supporting a Chief Executive or equivalent senior leaders in a complex and or charitable organisation.

• Demonstrable experience of Board and governance administration, including minuting meetings and managing trustee or director-level relationships.

• Excellent written and verbal communication skills, including the ability to draft high-quality correspondence, briefing papers and presentations to Board or senior stakeholder standard.
