The Communications Officer is a key supporting role within the Communications team. The post holder will research, write, and publish content across various channels, liaising with teams across the organisation to help identify content. They will report to the Communications Manager and contribute to the work of the wider communications team, helping to deliver marketing campaigns and the communications strategy. The post holder will have a data driven approach and be comfortable reporting on analytics, whether that’s in relation to PR, social media or on specific campaigns. Excellent verbal and written communications are essential to this role as is the ability to work across all teams within the organisation.
CCT is moving into a new strategic period, which is an exciting opportunity to embed recent audience development research into our work. The post holder will be familiar with audience research and understand segmentation and audience personas.

Role: CRM & Systems Administrator

Purpose of job: To work with the Partnerships and Philanthropy/Fundraising, Finance and across all Foundling Museum teams by providing excellent CRM & systems administration. This will support income generation, research, data capture and information security throughout the Museum. The position of CRM & Systems Administrator sits at the heart of this continued transition, following the successful implementation and migration to Shopify, Xero & Beacon CRM in 2023.
This new role is essential to the success of Philanthropy and Partnerships, Director’s Office and the whole team, in providing effective research and administration support. The CRM & Systems Administrator will provide support across all fundraising areas including individual giving, corporate sponsorship and trusts and foundations as well as playing a vital role in keeping all Museum systems working effectively.

Key objectives in first 6 months:
- Completed the migration of supporter data to Beacon CRM, working closely with the Project Manager: Director’s Office to ensure that data is managed in the most effective way to aid relationship management and income generation going forward
- Planned a phased migration of day-to-day organisational information into SharePoint over 12months to ensure effective working practices across the organisation
- Supported all staff with records management and general administration
- Supported the HR Manager with timely and efficient HR administration including inductions, off-boarding, staff training & events
Key responsibilities:
CRM Administration & Finance Processes
- Maintain and regularly update the CRM system by logging all applications made and pending, prospects, funding received, reporting deadlines, reports, thank you letters and all other supporter correspondence
- Process donations, pledges and ticket payments from individuals, organisations and trusts and foundations, ensuring gift acknowledgements on CRM are up-to-date and any information related to gifts, grants and donations received is captured accurately and consistently
- Day-to-day administration of the Museum’s Friends, patrons and corporate sponsorship schemes and 1700 Clubs, as directed by the Philanthropy and Partnerships team
- Support the maintenance of accurate financial records of funded projects
- Support the Finance team with Gift Aid administration as required
Data & Insights
- Assist in data capture and gathering, including statistics or insight to support reporting, business cases, reports and funding bids
- Research trusts, businesses, and individuals with a view to identifying potential supporters and maintaining an up-to-date and accurate records of such contacts, updating the team, CRM and prospect pipelines on changes to information
- Ensure that strict confidentiality and GDPR legislation and guidance is adhered to in all aspects of recording data and sharing information in research profiles
- Work with internal teams to appropriately segment and steward new contacts through the CRM, including making data selections for email marketing campaigns.
- Monitor data quality by regularly creating and executing processes to cleanse and standardise data in the CRM

Organisational Infrastructure
- Schedule priority internal meetings, including all-staff meetings, diary meetings and training sessions
- Support Project Manager: Director’s Office with Leadership & Governance, including setting up and scheduling of Trustee meetings, ensuring hybrid options are delivered, catering etc
- Arrange staff away-days, outings and celebrations
- Deliver general administrative support to SMT and colleagues as required, including basic IT support and HR admin, as directed by the HR Manager
- Manage the ordering of office items, including stationary and support users with IT inductions, including DSE requirements and checklists

About the role
The London Library is looking for an Acquisitions and Discovery Assistant to assist in the acquisition and management of Library E-resources and print resources.
The role includes supporting the successful acquisition and seamless delivery of electronic resources to library users, utilising and maintaining relevant library systems and records; assisting purchasing decisions and supporting licensing, ordering and payment processes; verifying access, liaising with suppliers & Library IT, and ensuring correct metadata is presented to users; plus monitoring resource use and collecting data for the evaluation of subscriptions. There is the opportunity to support membership and services, including giving tours to prospective members.
In addition to assisting with the administration of E-books, the role requires processes associated with the management of the print journal collection, including serials and donated materials, such as checking in new issues and ensuring publications are shelved correctly, applying stamps, recording invoices, recording changes in publishers' information and preparing completed volumes of serial parts for binding and checking.
There is potential to grow and develop the role, which will join our busy Acquisitions and Discovery team and assisting with administrative tasks associated with cataloguing along with supporting the Library’s internal Digitisation processes as required.
About you
Flexible and adaptable, with an ability to get on with a wide variety of people, even under pressure, you will have proven experience of working in a Library environment and of basic clerical/administrative routines.
You will have exceptional organisation and communication skills with the ability to convey information clearly and courteously, with a methodical approach to tasks, including physical duties such as shelving.

Overview

Role of the Company Administrator
The Administrator will be responsible for the key administration functions of the Trust; planning, directing, managing, and coordinating all operational functions including the office management, day to day finance records, events support and site maintenance.
1. Overall
1.1 To be part of the inspiring work of the National Paralympic Heritage Trust, supporting the wider team and often being the first line of contact to visitors and partners in person, online and via telephone.
1.2 Manage the provision of office services including the management of day to day finance and payments, staff rotas, stationary orders, supporting events and bookings and ensuring the smooth running of the office.
1.3 Organising the day-to-day maintenance of the Heritage Centre and the displays at the National Spinal Injuries Centre.
Main Duties
1.4 The management of office systems, operating practices, record keeping, policies and budget monitoring systems including supporting returns to funders, monthly invoicing records and payments.
1.5 Administration of training, Heritage Centre bookings, events and meetings, including organising catering when relevant.
1.6 Management of general correspondence, answering phone calls, managing the admin mailbox and processing post.
1.7 Oversight and coordination of environmental action plans.
1.8 Drafting, formatting, and printing of relevant documents for meetings as required.
1.9 Maintaining stock lists and ordering of office supplies as needed.
1.10 Coordinate agendas and take meeting notes for the Board of Trustees and the Finance and Development Committee.
1.11 Management of purchase orders and invoicing.
1.12 Photocopying and filing of appropriate documents as needed.
1.13 Maintaining databases, and the google drive.
1.14 Support processing of DBS checks for staff and volunteers as directed by the wider team.
1.15 Other
· To support communications, digital content and evaluation consultants.

2. Meetings and reporting
2.1 The Administrator will be employed by the National Paralympic Heritage Trust and be responsible to the Board of Trustees.
2.2 The Administrator will report to and be supported by the Head of Programmes.
2.3 The Administrator will have monthly meetings with the Head of Programmes, reporting on progress and raising any areas of concern.

4.1 The proposed fee is £25,000 a year Pro rata 3 days a week (24 hours).
4.2 In addition to the payment outlined above the Administrator will be paid reasonable agreed expenses incurred subject to the supply of receipts/travel expense claim and a stakeholder pension.

Complete daily bank reconciliations for all entities, including recording and banking cheques and processing petty cash.

Raise sales invoices as requested, following procedures to set up in customer systems, and follow up with customers to ensure timely payment.

Set up weekly payment runs for approval by the Head of Finance.
