Tommy's are a mid-sized charity and lead the way in their field. Established in 1992, their mission is to work towards making the UK the safest place in the world to give birth. They do this through research the causes of baby loss, providing information to make pregnancy safer, supporting families after baby loss and working to improve maternity care.

This is an exciting time to be joining them, as they bed in their new strategy and look to increase their internal data presence and explore ways of adding insight to their action.

As the person flying the Data flag in the world of Tommy's, you will take accountability for maintaining, upgrading, and developing their fundraising database so that they can improve their donors' experience and communicate effectively with them. You will lead a team of two Database Officers and coach them to becoming a highly effective team.

As part of the role, you will develop strong relationships within the Fundraising team, helping to understand their needs. You will also develop and establish organisational ways of working with the database, including leading on training staff and developing a user manual to highlight good practice. As the data champion, you will be the main point of contact for data, reporting and analysis queries internally, delegating to the Database Officer as appropriate.

Job Description

Summary of Job Purpose

The Business and Operations Lead plays a vital role in managing and developing the operational business functions of the organisation and supporting its charitable aims; working closely with the CEO to deliver and improve the organisation’s strategic planning, operational delivery, and budgeting/ finance processes. The postholder plays a vital role in ensuring that the day-to-day operations of the iHV run smoothly, with key functions:

• Leading iHV business and financial management, including accounting, budgeting, reporting, strategic planning and risk management.

o Work closely with the CEO, senior leadership team and our accountants to align financial and operational strategies.

o Manage financial controls, procedures, and systems.

o Collaborate with various departments, including external stakeholders, for effective budgeting and operational management.

• Leading iHV operations:

o Senior responsibility for administrative, legal, and compliance functions, ensuring smooth operations. This will include management of our Emsworth Office, IT and risks, supporting business planning and change management.

o Lead the operational change for a new Customer Relationship Management (CRM) system and website. iHV Project Lead working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification.

o Working closely with our part-time Head of HR, supporting the senior management team and line managers with HR matters, including recruitment.

o Line management responsibilities of designated staff in the corporate team, supporting business administration.

o Working with the CEO to ensure good governance of Board-related matters, collating Board papers and attending quarterly Board meetings.

Key areas of responsibility:

Business and financial management:

• Maintain and develop robust quality assurance processes for income and expenditure, working with our CEO and accountants, to ensure all financial and reputational risks are effectively managed.
• Ensure effective financial processes across the iHV, with systems in place for invoicing, managing iHV payments and standing orders, and chasing outstanding payments and debtors.
• Build departmental budgets, supporting leads with forecasting, budget tracking, monthly monitoring (management accounts are produced by our independent accountants) to inform workforce planning.
• Work with department leads to prepare budgets for tenders and project/ research grant applications, including determining when VAT is applicable.
• Process invoices, iHV card payments, direct debits, standing orders, expense claims forms and ordering of office supplies, with support from the Corporate Team Administrator.
• Support leads to manage contracting, invoicing and reporting to external funders in accordance with funder requirements. Ensure all new funding streams and other costs are accurately recorded by the accountants.
• Ensure management of the corporate member joiners to the organisation, including invoicing and setting up a process for re-invoicing.
• Work closely with the external accountants to provide information on monthly suspense, debtors, mis-postings and general queries in relation to iHV finance. Ensure the iHV’s reconciliation and remittance records are updated weekly.
• Ensure all financial documentation is available for scrutiny as required, including support for annual financial audit by independent auditors.
• Make recommendations, provide advice, and prepare strategic reports and briefings as required.

Operational Management and Governance:

• Support the CEO and department leads in managing human resources, risk management, quality assurance, operational change, and board functions.
• Support iHV business planning and the development of key objectives and priorities for the corporate Team (in partnership with the CEO and other leads within the corporate team).
• Oversee the operational needs of the Institute – supporting leads within the organisation with workflow mapping, business continuity and planning to support matrix working across the organisation.
• Recording and monitoring of business risks across the organisation to enable risk management, reporting to the Board and providing support in association with the CEO.
• Support the board, providing secretariat functions to board meetings, including ensuring all papers are provided on time, managing sensitive information, and taking board minutes.
• Work with the CEO to develop, coordinate and implement organisational policies throughout the Institute.
• Support the CEO with reporting to the Charity Commission/ Companies House and ensuring that the organisation’s charitable obligations are met. Work with external auditors to deliver the annual audits; and ensure that the relevant documentation is held in line with requirements, is available for external auditing, and the delivery of audit recommendations are tracked.
• Support Health & Safety risk management, ensuring risk assessments are in place, processes and policies are up to date, and staff are trained and informed with any changes.

Information Technology

• Management of robust administration and business support systems, including negotiation and management of IT agreements, subscriptions, licences and contracts as required, providing recommendations for improvements and efficiencies to the CEO.
• Facilities management of required IT and infrastructure to include details of equipment held and provision of Microsoft/ other required licences.
• Liaise and schedule work to be undertaken under external IT support contract.
• Lead operational change for new Customer Relationship Management (CRM) system and website – working with a dedicated project manager who has scoped our organisational requirements (almost completed), to finalise the invitation to tender (ITT), manage the procurement process, evaluate submissions with a small in-house change team at the iHV, and make recommendations to the board. The postholder will lead the project for the iHV, working with the supplier, the Project Manager and a small team at the iHV to ensure that the project is delivered within the specified time, cost and quality parameters of the specification and is robustly tested before launching.
• Information management and analysis to highlight issues/ risks and support decision making – work with Head of HR to ensure iHV compliance with GDPR.

Human Resources

• Management of our Emsworth office with line management responsibility for a small number of designated staff in the corporate team who support business management (currently the Corporate Team Administrator), supporting the delivery of team objectives within the iHV Business Plan.
• Support, motivate and develop staff, managing direct reports’ annual performance development review (PDR) and performance management, if required.
• Work closely with the Head of HR to make sure that good employment practices are universally embedded operationally within the iHV.
• Support staff recruitment and the induction of new staff; provide advice to staff on corporate policies and procedures and communicate changes.
• Support the Performance Development review process for the iHV, collating 360 feedback for iHV employees where requested, and maintaining records for annual PDR outcomes.
• Maintain oversight of the recording of annual leave with the Corporate Team Administrator, Head of HR, and department leads.
• Provide operational leadership and management for team awayday (leading a small team to plan this each year), to support team building and staff development.

Other:

• Have an excellent professional working relationship with colleagues to deliver corporate goals and objectives in line with iHV Vision and Values.
• Help at iHV conference and events, working with our Events Manager and overseeing the work of the Corporate Administrator to ensure that venues, travel, accommodation and materials are booked and delivered on time.

In the role, you will support the Head of Fundraising and Director of Income Generation to develop and deliver the major giving programme and will support the management of major donors and potential major donors, making sure that they receive the best possible experience as a Tŷ Hafan supporter.

We are recruiting for a Fundraising Compliance Manager looking to make a difference in how we fundraise and support our fundraising charities: Guy’s & St Thomas’ Charity, Evelina London Children’s Charity and Guy’s Cancer Charity.

The successful candidate will need to be a detail orientated, solution focused, project manager with expert knowledge in fundraising and data protection regulations. We are looking for someone to lead and maintain a culture of compliance across all elements of fundraising and supporter engagement in this stand alone role.

As our Fundraising Compliance Manager, you will be the focal point for compliance, providing guidance and advice to colleagues ensuring that we have sufficient controls and processes in place across all areas of fundraising. In addition, you will provide comprehensive front line and administrative support, to facilitate best practice across Fundraising/Charity regulation and the General Data Protection Regulation and help embed this in our ways of working. You will produce and deliver training and supporting documents to upskill staff and to ensure consistency across the team, as well as identifying areas for improvement and development. You will keep your knowledge up-to-date and will be confident in communicating with staff at all levels and with varying levels of understanding; in an engaging and accessible manner.

Excellent organisation and project management skills will be required to ensure that projects and the day-to-day delivery and reporting of compliance is on track.

Key Responsibilities

Overarching responsibilities

• To oversee and be the main port of call for all compliance, data protection and gift administration queries in respect of fundraising.
• To develop and maintain robust operational frameworks, processes, systems and governance structures for compliance and gift administration that instil confidence and assurance in our fundraising operations and our ability to fulfil our contractual obligations as data processors and controllers.
• To provide guidance to fundraising colleagues and other stakeholders on compliance and data protection queries.
• To develop and maintain a culture of compliance across the Foundation through developing and delivering training and producing guidelines and departmental policies.
• To conduct periodic reviews or audits (to include external suppliers) to ensure that compliance procedures are followed and fit for purpose.

Gift Administration and Implementation

• Support our fundraising colleagues to maximise their income and engage with supporters in a compliant way
• Triage and respond to gift administration and compliance queries and requests within defined service level times
• Produce and keep updated, relevant guidance, tools and resources for colleagues across the fundraising function
• Develop new strategies to provide the best support for our fundraisers and work to build new and lasting relationships with key stakeholders
• Advise senior stakeholders on the benefits and risks of our activities and advise on the best course of action
• Working with the legal team, develop and maintain the appropriate gift agreements and similar documents, supporter communications and online pages, and support fundraising colleagues and supporters to complete the appropriate paperwork ·
• Manage the Fundraising Support email address/enquiry channels
• Ensure policies around philanthropy and gift management are up to date and disseminated appropriately across the Foundation.

Fundraising compliance and data protection

• To evaluate and apply the Data Protection principles to variable and challenging scenarios, supporting colleagues to find solutions to their problems within the limits of the law.
• Ensuring we are aware of and reacting to any fundraising and data protection regulations changes. Regulations include GDPR/UK Data Protection Act 2021, Fundraising Regulator's Code of Fundraising Practice, Charity Commission guidelines, BACS, and PCI DSS Compliance. HMRC Gift aid guidelines.
• Recognise that a change in procedure or legislation external to the Foundation has implications and who needs to be notified of the changes.
• Produce and continually monitor our operational policies; modelling best practices against the Fundraising Regulator's Code of Fundraising Practice
• Responsible for reviewing all fundraising contracts and third-party agreements for data capture to ensure they are in line with all compliance regulations, ensuring our supporter data is adequately protected, any new fundraising processes and procedures are compliant, and fulfilling the operational commitments associated. Suggest and negotiate amendments, and if the necessary compliance clauses cannot be met then decline authorisation to work with that third party.
• Assess data risks and complete Data Protection Impact Assessments where required, being prepared to work with colleagues to pull together the relevant information and present to the data protection lead for sign off. ·

Leadership

• Where necessary, be prepared to make pragmatic decisions on where we should be focusing resources.
• To develop a programme of training and guidelines to cover complicated rules and processes in a concise and accessible manner. To identify and address where the knowledge gaps exist.
• Monitor workflows and procedures identifying and implementing new efficiencies to increase work output and reduce service delivery timeframes

Skills and Experience

Essential criteria

• Experience of working in a compliance or similar function
• Experience of working in fundraising or with fundraisers
• Project management experience, leading multi-faceted projects
• Experience of working in a regulated environment
• Experience in creating and delivering strategic objectives and plans
• Experience of reviewing a variety of legal agreements, including gift agreements and similar documentation
• Experience of writing policies and procedures Knowledge of the Raiser's Edge or similar fundraising CRM system (desirable) or demonstrable ability to get quickly to grasp with new data systems Essential criteria

We’re looking for a qualified accountant to join our team and provide operational leadership for the Charity’s Finance function, supporting the Director of Finance & Governance and providing line management for our friendly finance team.

You will be responsible for ensuring The Charity complies with statutory requirements, operates effective controls, provides meaningful insight on financial matters and adapts processes to suit our growing Charity.

You will take a lead on statutory compliance such as audit, tax and Charity Commission submissions. You will work with the Finance Manager to ensure the integrity of finance records and systems, the accurate and timely production of monthly management accounts, making of payments to Team Members and suppliers and ad hoc reporting.

You will take a leading role in budget preparations and forecasting.

Who we’re looking for:

A qualified accountant with at least five years’ experience in a similar role from any sector. You will have experience of and be comfortable with filing VAT returns, preparing statutory accounts, dealing with auditors, and managing a small team.

· Accurate recording, reporting and use of restricted funds

· Review and commentary on finances and significant variances for Finance Committees

· Cash flow planning and management

· Banking compliance e.g. updating mandates

Role Summary

As the Director of Research and Public Affairs you lead a team working across the full range of research work (including commissioning, grant-making and in-house research) and public affairs work (including policy analysis, advocacy work and mobilising our activists). You also contribute to the charity’s strategies, leadership and governance as a member of the Executive Team. Ultimately, your role is to generate new knowledge; and communicate knowledge, ideas and emotions to change hearts and minds, creating tangible reductions in alcohol harm across the UK.

Key Tasks and Responsibilities

Leadership, strategy & planning

1. Lead the research and public affairs functions at Alcohol Change UK.

2. Produce and deliver plans across our research and public affairs work programmes that are ambitious for change (impact), realistic given our resources, and consistent with our strategy, our other work programmes, and our values.

3. Set budgets, tightly control costs and identify opportunities for making savings, growing income and making the case for investment.

4. Appropriately monitor and evaluate our research and public affairs work with a view to knowing, growing and showing the impact we make.

Research

5. Work closely with the CEO, Policy and Research Manager, R&P sub-committee and Wales Office to determine and oversee the charity’s programme of commissioned research, research grants, and in-house research.

6. Ensure that all research is designed with impact-in-mind and, once complete, that it delivers on that impact through active and ongoing communication of the findings to the right audiences with the right messages through the right channels.

7. Lead the research function to be the central hub for the charity on the topic of alcohol harm and its solutions, staying on top of new research.

8. Influence the research spending of other agencies (e.g. NIHR) with a view to maximising funding into alcohol research in general.

Public Affairs

9. Lead and manage the charity’s public affairs activity, deploying the CEO, Research & Policy Officer and other staff as a team.

10.  Lead our work with external alliances, such as the Alcohol Health Alliance and the Alcohol and Families Alliance, and on the APPG on Alcohol Harm.

11.  Develop excellent relationships with Parliamentarians, civil servants, charities and other important institutional actors in our field.

12.  Build Campaigner journeys for our engagement audience to best mobilise them to help us with our influencing work.

13.  Lead on the commissioning and management of any external public affairs agencies, parliamentary monitoring services and similar suppliers.

14.  Ensure our policy positions are kept up-to-date, based on emerging evidence and contemporary thinking, and consistent with our principles.

15.  Work closely with the Director of Engagement and Fundraising to effectively mobilise and deploy our activists, Community Champions and other supporters so they (i) make a difference, (ii) become better informed over time, and (iii) remain motivated to campaign for our cause.

16.  Work closely with the Director of Marketing and Communications to influence all forms of media to better support our desired outcomes.

Team Leadership and Management

17.  Lead and manage the research and public affairs team(s), ensuring excellent line management.

18.  Lead the process of recruiting and inducting new team members, as appropriate.

19.  Proactively develop your own skills and experience as well as those of staff within your team.

Cross-organisational Role

20.  Act as a spokesperson for the charity at high profile events and across media, including radio and TV.

21.  Be an active and positive member of the charity’s Executive Team.

22.  Work with colleagues across the charity to support their work and to act as ‘one team’.

23.  Work particularly closely with colleagues in the Wales office, optimising opportunities for joint working.

24.  Contribute actively and positively to the development of charity-wide strategies and activity.

The Head of Legacies and In Memory will work with the Associate Director of Fundraising and Marketing to build and develop the vital legacy and in memory programme. The role will include the development of innovative and engaging marketing strategies - including recruitment and stewardship across legacies and in memory. Furthermore, you will investigate new audiences and channels  to increase engagement and use your excellent budgetary management to produce detailed income forecasting.

• developing excellent stewardship plans for legacy enquirers, intenders and pledgers and for all in memory and tribute donors
• introducing new transformational projects and exploring new avenues and audiences for legacy and in memory giving beyond our existing audiences
• creating and implementing a detailed in memory and tribute fundraising plan based on analysis of donor sources, income and activity
• providing accurate, regular activity and income updates and forecasts to our Senior Leadership Team

To be considered for this position the ideal candidate will be able to demonstrate;

• Proven experience and a successful track record at a senior level in legacy fundraising, including the creation, development and implementation of strategic fundraising plans.
• A credible senior professional with good influencing skills and a can do and hands on approach.
• Demonstrable ability to deliver against agreed financial and performance targets, timescales and objectives.
