We are seeking an enthusiastic and well-organised Events Assistant to support the planning and delivery of ABN’s events programme. This varied and rewarding role is ideal for someone looking to gain hands-on experience in events and stakeholder coordination within a national medical membership organisation. The successful candidate will work closely with the Events & Business Development Manager and wider ABN team. The position is offered on a fixed term basis for 12 months.

The ABN is the professional body for neurologists in the United Kingdom. Our mission is to improve the health and well-being of people with neurological disorders by advancing the knowledge and practice of neurology in the British Isles. The ABN is a dynamic membership society with over 2000 members, working hard to raise the voice of neurology at a national level.

About the role

This role supports the planning, coordination, and delivery of ABN events such as conferences, webinars, and training sessions, ensuring smooth logistics for both virtual and in-person activities. Key responsibilities include managing delegate and speaker administration, maintaining accurate event records, preparing event materials, and handling post-event feedback and reporting. The position also provides general administrative support, assists with website updates, sponsorship information, and CPD requirements, while ensuring accurate membership and event history records are maintained.

About you

We are looking for someone with the following skills:

• Previous experience (voluntary or paid) in an administrative, customer service, or eventsrelated role.
• Highly organised with excellent attention to detail
• Confident communicator (written and verbal), with a polite and professional manner

The Down’s Syndrome Association (DSA) aims to create and develop the conditions that will enable people who have Down's syndrome to lead fulfilling and rewarding lives. We are seeking an organised and enthusiastic Fundraising Events Officer to join our fundraising team.

Reporting to the Fundraising and Events Manager, the successful candidate will manage all challenge events in the portfolio.  This includes the planning, organisation, marketing, delivery, recruitment and stewardship of participants and day to day administration for all DSA events.

The Main Responsibilities of the role are:

Assist the Fundraising and Events Manager with future event plans and creating and building on our Community Fundraising offer.

Managing the Events Inbox; Replying to all enquiries coming into the inbox.

Sending out application forms via email and any other information requested by the supporter.

Input all application form information onto Saleforce, ensuring GDPR is adhered to at all times. Set reminders on all records – FR chasing, Good Luck emails, Thank You Letter reminders, etc. to keep on top of everyone’s supporter journey.

Assist in the sale of items from the shop- especially Christmas cards, socks and merchandise.

Work closely with the Communications Team to develop promotional plans for each event maximising recruitment and exposure through our newsletter and social media platforms.

Provide support to your team members during particularly busy times (and vice versa) such as Down’s Syndrome Awareness Week.

Attend and participate in events as required.  This may involve occasional evening and weekend work, for which you will receive equal time back in lieu.

To work in conjunction with the Fundraising Team in the production of budgets and in developing and implementing the Events teams strategic plans in order to maximise income and support across our events programme.

Identify and research new opportunities to develop the events programme and maximise income as well as maintaining and extending the existing events which generate a healthy ROI.

Work with the membership officer to develop relationships with members, supporters who participate in events taking responsibility for the supporter journey; providing motivation and encouragement from start to finish to ensure they continue to support.

Evaluate the current processes and procedures with the Fundraising and Events Manager and implement improvements where necessary.

Manage the fundraising pages of the website ensuring copy is up to date and relevant and those events that require extra marketing are featured on the home page.

To undertake any other duties as required by the Fundraising Manager that fall within the grade and remit of this post.

The Events Officer will be responsbile for delivering a wide range of events to our members such as training courses and the annual conference, and must be a highly organised and enthusiastic individual working in collaboration and partnership with one other part time Events Officer. You will require an eye for detail, have excellent liaison skills and have the ability to manage multiple tasks efficiently.

Our courses and the AGM are delivered online, with our annual conferences delivered in-person or hybrid. The annual conference is an important event for BAAT and an exciting, key responsibility for this role.

This role requires the additional responsibility of managing the Events marketing activity, working in partnership with the Senior Digital Comms Officer.

The successful applicant will join a small, professional staff team based in London. We are hybrid-working, with a mix of home-based working and part (usually at least one day a week) in-office working practice.

For over a century we've been helping former servicemen and women deal with issues like post-traumatic stress disorder (PTSD), anxiety and depression. KEY RESPONSIBILITIES

Administrative Support

• To be the first point of contact for challenge event supporters - ensuring that they receive responses within agreed timeframes, and always in a warm, friendly, and supportive manner.
• To work with the team to ensure systems and processes run efficiently, and update these where necessary.
• Assist with the administration, preparation and implementation of challenge events to include updating the events on the Combat Stress website.
• Maintaining the fundraising database, Raiser's Edge, ensure all supporter information is accurate and up to date.
• Ensure fundraising stewardship strategy and GDPR guidelines are adhered to.
• Maintaining accurate financial records, including coding expenditure and filing invoices.
• Respond to and co-ordinate requests for fundraising literature, merchandise and the distribution of promotional materials.
• Help manage our on-line fundraising platform Fundraisin and other fundraising platforms including JustGiving, Enthuse etc.
• Working with the wider Challenges and Community team, co-ordinate and create our Challenge eNews, providing suitable fundraiser stories for this and our social media.

Relationship Management, Development and Stewardship

• Develop strong working relationships internally to ensure the portfolio is delivered efficiently, particularly with the Community, Corporate, Database, Digital and Communications teams
• Assist with marketing, recruitment and organisation of all challenge events, and stewardship of challenge event participants on their supporter journey.
• Manage our DIY fundraising programme, making sure supporters' personal stories are recognised and they receive the best possible experience to encourage long-term engagement.
• Represent Combat Stress at meetings, events and presentations outside normal office hours (evenings and weekends) as required. You will be given time off in lieu of these hours.

Flagship events include the Commonwealth Day Service at Westminster Abbey, an Award Ceremony for The Queen’s Commonwealth Essay Competition at Buckingham Palace, the High Commissioners’ Banquet at Mansion House, and other ceremonial, stakeholder, youth, and fundraising engagements.

Key responsibilities: 

• Lead the end-to-end management of all RCS events, ensuring the successful delivery of high-profile, ceremonial, and fundraising events.
• Oversee event planning, including venue sourcing, contract negotiation, supplier coordination, protocol, security, AV, catering, and staffing.
• Manage the delivery of the Commonwealth Day Service at Westminster Abbey, ensuring coordination with the Royal Household, Westminster Abbey, the BBC, and government departments.
• Deliver a Commonwealth Concert as a key fundraising and engagement event, managing all artistic, production, and logistical elements.
• Organise the High Commissioners’ Banquet at Mansion House, coordinating with the City of London Corporation, the Commonwealth Enterprise and Investment Council, diplomatic missions, and keynote speakers.
• Support other public-facing events, including those connected to The Queen’s Commonwealth Essay Competition, and the Commonwealth Clean Oceans Plastics Campaign.
• Prepare and manage budgets, ensuring events are delivered on time and within financial parameters.
• Oversee guest and stakeholder management, including invitations, RSVP tracking, VIP handling, seating plans, and pre-event briefings.
• Prepare comprehensive briefing materials for events, including biographies, guest lists, and running orders, ensuring accuracy and alignment with protocol requirements.
• Draft and coordinate speaking notes for key participants and speakers, tailored to the event’s purpose, audience, and messaging objectives.
• Maintain and update key documentation, including event timelines, run sheets, contact lists, and risk assessments.
• Support post-event evaluation, producing summary reports and identifying lessons learned.
• Assist in fundraising endeavours such as grant writing and donor stewardship.
• Other duties as and when required.

Salary range:£ 26,521 - £33,456 per annum, depending on experience
Location: London – EC4Y 8EE (Hybrid - The Education team is office-based on an agreed day once a week, then a    required one day each month for all staff)
Contract: Permanent, full-time (31.5 hours over 5 days)

Job Purpose

BSR education programme is a key benefit to members and the wider rheumatology community, providing updates on the essentials needed to deliver top-quality care for patients and ensuring professional development opportunities.  

This role sits within the Education team who are responsible for delivering BSR’s educational activity. Working alongside the Head of Education, the Events and Education Manager, Event Executive and the Digital Events Manager, you will assist in the planning and delivery of a range of education courses, webinars, bursary schemes and digital learning activities.  You will work with the team to support the work of our Education Committee, Trainee Committee and Digital Learning Board.  

This is an exciting role for someone looking to get more hands-on experience in planning and executing a variety of educational events and activities and liaising with multiple stakeholders. It is a unique opportunity to be part of the team at the forefront of rheumatology education, making a tangible impact on the professional development of members and the broader rheumatology community. 

Main Responsibilties 

Event & Course Management 

• Lead on course and webinar registration processes, including delegate bookings, communications, data management and reporting, and producing delegate materials. 
• Support course logistics including venue sourcing and management, accommodation and travel, catering and AV. 
• Support stakeholder management at education courses, including communications with patients, sponsors and event supporters. 
• Occasional travel, including attendance and overnight stays at BSR conferences, courses and events.

Systems & Data Management 

• Oversee the team’s CRM (Microsoft Dynamics) and registration systems, ensuring data integrity, implementing system enhancements, coordinating stakeholders, and carrying out testing.  

Project Coordination 

• Coordinate the rheumatology training webinar series, including topic development, speaker management and live delivery. 
• Coordinate the education bursary programme, including promotion, application management and financial reconciliation. 
• Coordinate CPD accreditation of educational activities. 
• Support the delivery of digital sponsorship and educational partnership opportunities. 

Marketing & Communications 

• Work with the Marketing and Communications team to create digital content to engage target audiences.

General Duties 

• Manage events inbox and education team enquiries, delivering excellent customer service. 
• Input into education budgets by monitoring progress against income and expenditure for owned projects.
• Support with BSR Committee liaison and logistics. 
• Undertake any other reasonable duties as required by the Head of Education and the Events and Education Manager.
