About the role

The Senior Event Manager is a pivotal new position within the Advancement team. You will play a leading role in planning, executing, and overseeing events and experiences which will not only build momentum towards and launch UCL's next fundraising campaign in 2026, but will also maintain stakeholder engagement with the campaign during its duration.

Globally, you will build and deliver a programme of insider and teaser experiences, launch events, tours, reunions, and gatherings around campaign themes. This will involve travel to regions where UCL builds important philanthropic relationships, including countries in East Asia, North America, Europe, and the Middle East, approximately 2-4 times per year.

We are happy to consider applications to work on a part-time, flexible and job share basis wherever possible (minimum 0.8 FTE - equivalent of 4 days per week, stated salary to be pro-rata).

Job Purpose: To support the CHS Alliance secretariat to ensure it delivers professional external events that meet the needs of our key audiences and advance our strategic goals, on time and within budget. Primary focus of this role will be the coordination and logistical management of the General Assembly in December 2024.

 

Background: The Events Coordinator role sits within the Network Engagement and Communications department and works closely with staff across the CHS Alliance, including those working on CHS outreach, HR/Governance and the Executive Director, on events organisation and delivery.

 

Main Responsibilities:

 

Event coordination

1. Coordinate the team and workplan to support smooth and timely delivery of key CHS Alliance events, with particular focus on the General Assembly (GA) taking place in Bangkok 5-6 December 2024.

2. Prepare and attend event working group meetings (e.g. set agenda, organise doodle polls, book conference rooms, take notes, etc.) 

3. Overseeing and updating the event workplan (e.g. gannt chart), flagging upcoming milestones and deadlines to event lead

 

Event logistics

4. Assist in identifying service providers by providing quotes and completing any other tasks requested by the line manager or event lead.

5. Procure supplies for event and ensure all material needed on site is prepared and up to date.

6. Follow up with the venues; liaise with the venue prior to, during and after the events.

7. Assist with all logistical aspects linked to catering, refreshments, room equipment (incl. audio visual), stationery, signs and identification (badges, etc.), and trip booking (hotels, flights, visa) where required, etc.

 

Communications & IT

8. Set up events on relevant platform (e.g. Zoom, CHS Alliance website)

9. Prepare and update registrations and participants’ lists

10.  Draft and send communication materials to participants, using software like Mailmerge or Mailchimp

11.  Assist with speaker outreach and briefings as appropriate.

12.  Manage the Alliance’s Zoom account as an administrator

Reporting and monitoring

13.  Monitor and report on project progress and related expenses according to the CHS Alliance financial policy and procedures.

14.  Manage and maintain an external events calendar for the CHS Alliance, to assist staff with horizon scanning and scheduling.

15.  Carry out any other relevant activities as required.

• Tech support for events: Providing technical support for webinars and in-person events, including sound and lighting setup and safe storage, and ensuring a seamless experience for participants. This will involve working outside of regular business hours on occasion.

As a Fundraising Events Officer you:

• Will help to deliver a memorable on-the-day experience for the charity supporters.
• Will use data and insight to inform your work, to evaluate your projects and inform future activity, and
• contribute towards the annual planning of the team.
• Will form strong working relationships with internal stakeholders across the charity, following briefing processes and ways of working to ensure the efficient delivery of activity.
• Will help gather content for the media and digital teams through the relationships you develop with our supporters.

In order to be successful, you must have experienced :

• Experience and a proven track record of managing volunteers to undertake a fundraising activity and exceed their targets.
• Ability to interpret and analyse data and use insight to improve performance and help inform future strategies
• Excellent project management skills
• Excellent communication skills
• Experience of using appropriate IT suite and level of programmes associated with
• the role including databases, digital platforms and financial system

Salary: £35,702 per annum

Senior Community and Events Fundraiser, an excellent opportunity to join a long-standing regional Hospice, with Head Office based in Surrey area.

• This role can be either Full-Time (37.5 hours a week) or Part-Time (30 hours a week).
• Hybrid working pattern, with a min of 3 days office based for Full-Time hours.
• Salary; Full-Time - £35,000 per annum. Part-Time - £28,000 per annum.
• Must have a driving license.

As the Senior Community and Events Fundraiser, you will work with the Community and Events Lead, and be responsible for ensuring the delivery of the community and events fundraising plans and activities. You will managing a varied portfolio of events, including third party, challenges and bespoke. Along with engaging with the community to develop and implement plans for maximising income and support from individuals, groups and businesses.

Key Responsibilities for ensuring the delivery of community and events fundraising plans and activities:

• Manage, achieve and where possible exceed Community and Events income targets, taking a lead for specific projects, activities and events.
• Support the Community and Events Lead, contributing to the development of annual plans and budgets.
• Project manage challenge events (e.g. London Marathon, bike rides, skydives etc.), liaise with third-party organisers, participant recruitment and participant support.
• Work with other teams across Fundraising and MarComms to market and promote fundraising products, activities and events.
• Organise events, including liaison with venues, suppliers, monitoring expenditure, volunteers and participants and ensure all preparation is complete.
• Ensure an excellent level of supporter care and stewardship with supporters is maintained and developed.
• Provide regular reports and information about activities, supporters and volunteers.
• Line management of a Community and Events Fundraising Assistant.

To be successful in this Senior Community and Events Fundraiser role, you will have gained skills and experiences in the following areas;

• Previous experience working in fundraising in either a community, challenge or mass participant event capacity.
• Experience of establishing and maintaining strong relationships with individual fundraisers/supporters and/or, managing fundraising events.
• Experience of working to budgets, targets and plans.
• Previous experience of managing staff and/or volunteers.
• Knowledge of fundraising regulations.
