Events coordinator
· Time commitment: 80% to 100%

Job Purpose: To support the CHS Alliance secretariat to ensure it delivers professional external events that meet the needs of our key audiences and advance our strategic goals, on time and within budget. Primary focus of this role will be the coordination and logistical management of the General Assembly in December 2024.
Background: The Events Coordinator role sits within the Network Engagement and Communications department and works closely with staff across the CHS Alliance, including those working on CHS outreach, HR/Governance and the Executive Director, on events organisation and delivery.
Main Responsibilities:
Event coordination
1. Coordinate the team and workplan to support smooth and timely delivery of key CHS Alliance events, with particular focus on the General Assembly (GA) taking place in Bangkok 5-6 December 2024.
2. Prepare and attend event working group meetings (e.g. set agenda, organise doodle polls, book conference rooms, take notes, etc.)
3. Overseeing and updating the event workplan (e.g. gannt chart), flagging upcoming milestones and deadlines to event lead
Event logistics
4. Assist in identifying service providers by providing quotes and completing any other tasks requested by the line manager or event lead.
5. Procure supplies for event and ensure all material needed on site is prepared and up to date.
6. Follow up with the venues; liaise with the venue prior to, during and after the events.
7. Assist with all logistical aspects linked to catering, refreshments, room equipment (incl. audio visual), stationery, signs and identification (badges, etc.), and trip booking (hotels, flights, visa) where required, etc.
Communications & IT
8. Set up events on relevant platform (e.g. Zoom, CHS Alliance website)
9. Prepare and update registrations and participants’ lists
10. Draft and send communication materials to participants, using software like Mailmerge or Mailchimp
11. Assist with speaker outreach and briefings as appropriate.
12. Manage the Alliance’s Zoom account as an administrator
Reporting and monitoring
13. Monitor and report on project progress and related expenses according to the CHS Alliance financial policy and procedures.
14. Manage and maintain an external events calendar for the CHS Alliance, to assist staff with horizon scanning and scheduling.
15. Carry out any other relevant activities as required.

Senior Community and Events Fundraiser, an excellent opportunity to join a long-standing regional Hospice, with Head Office based in Surrey area.

The opportunity
University of the Arts London (UAL) is looking for an Event Manager to join our Development Events Team on a fixed term basis, covering a period of maternity leave.
Supported by an Events Officer, you will lead on the end-to-end planning and delivery of key events to support UAL’s first major fundraising campaign, launching this Autumn. Recently this has included a programme of bespoke cultivation events such as exhibition tours and Meet The Artist discussions, and annual flagship stewardship events such as the Scholars’ Celebration.
You will have the opportunity to help shape our future programming, working closely with the Head of Events to design creative and engaging events that expand our networks, delivering UAL’s strategic priorities and reflecting our world-leading credentials.
More broadly, you will be an advocate for best practice in event management at UAL, advising colleagues across the University as required. In this capacity, the team has recently taken on the project management of UAL’s Graduation ceremonies and all-staff Summer Party, the latter of which will be led by the Event Manager.

This is an important role for a creative individual with experience of delivering cultivation and stewardship events for donor audiences.

Office Location – Wendover, Bucks.
Salary - Up to £30,000 (FTE)
Benefits – 25 days annual leave (FTE) + 8 statutory days. Workplace pension 5% employer contributions. Must be able to attend events and meetings across the UK, some of which will be outside of normal office hours. (Clean driving licence and own vehicle essential, mileage will be reimbursed).

About the Role
The Events Fundraiser will support the charity’s aim to provide all life-limited children, their families, and carers, within their hospice, emotional support through the power and pleasure of nature. The post holder will be responsible for generating income through the management of a range of fundraising events, as well as supporting individuals organising their own fundraising activities within their community and/or corporate environment.
You will ensure efficient event management and administration as well as provide excellent supporter care.
The Event Fundraiser will:
- Project manage a range of events, including planning, marketing, and supporter stewardship, through to event delivery and evaluation.
- Effectively manage internal and external stakeholders to deliver and schedule events, on time, within budget, meeting fundraising goals.
- Deliver exceptional supporter care to those who support the work of the charity.
- Plan and deliver events, including logistics, briefing of stakeholders and volunteers, compiling risk assessments and any other tasks relevant to ensuring an excellent supporter experience.
- Ensure the supporter database is accurate and up to date, as well as follow all relevant financial processes to ensure event income and expenditure are accurately recorded.
- Report fortnightly to the Director of Fundraising & Communications on agreed fundraising targets and activity.
- Be responsible for ensuring relevant community and events pages, news, and forms on the Greenfingers website are accurate and up to date.
- Work collaboratively with the team.
- Carry out any other duties as may be reasonably required.
- Work in line with the Fundraising Regulator and Charity Commission guidelines, and other relevant codes of conduct.
Working as an integral part of the Fundraising & Communications Team, you will be:
- Self-motivated and able to work independently as well as part of a team.
- Able to manage multiple projects and meet tight deadlines.
- A great people person with good public speaking and presentation skills as well as strong networking skills.
Essential:
- Experience of excellent high-quality event planning and delivery.
- Knowledge of the principles and methods of Community and Event Fundraising.
- Demonstrable experience of growing events, in terms of both income and participant numbers.
- Experience in providing excellent levels of supporter care and building strong relationships.
- Excellent verbal and written communication skills.
- Experience in managing third-party suppliers.
- Experience working to agreed budgets and deadlines.
- An excellent networker, excited about working for the gardening industry’s favourite national charity.
- Experience of, or willingness to learn to use the Donorfy database.
- Willingness to travel and attend events across the UK (some overnight stays may be required).
Desirable:
- An understanding of the principles of relationship marketing and supporter care.
- Experience in volunteer management.
Must possess a full driving license.
Partnerships Executive - Church Events & Festivals
