About the role

The Regional Communications Officer role is an exciting and varied opportunity to work with Emmaus communities across the South of the UK, helping to raise their profile and engage supporters.

You will work closely with up to four Emmaus communities to identify their communications needs and deliver a mix of activity to help them achieve their goals. As part of a wider team, you will also share ideas and build on each other’s experience to maximise PR, digital and communications opportunities.

This is a hybrid role, offering the flexibility to work from home or from within an Emmaus community.

Building and maintaining strong relationships with a wide range of stakeholders will be key to this role. Regular travel to your allocated communities is essential, typically at least once a week. This will initially be Emmaus Norfolk & Waveney, Emmaus Colchester and Emmaus Suffolk, so we are looking for a candidate based in Norwich, Colchester, Ipswich or the surrounding areas. You will also attend quarterly team meetings, usually held in Birmingham, although these may occasionally take place elsewhere in the UK and may require an overnight stay.

This is a full-time role, Monday to Friday, 37.5 hours a week.

Who are we looking for?

We are looking for someone with a strong communications skillset and at least two years’ experience in a busy communications, public relations or marketing role. While not essential, knowledge of homelessness and the charity sector would be an advantage.

Creativity and passion are essential. You will have a broad range of communications skills, enjoy seeing your ideas come to life and be keen to continue developing your experience within a national homelessness charity.

PURPOSE OF THE ROLE

• To support the community work of Adoption UK Scotland community support services, to plan and deliver community events, provide professionals, parents/carers, children, and young people access to information, resources, and services and to engage with families in their local communities. 

• To offer a front-line service, primarily to adoptive and kinship families, and care experienced individuals and young people, by supporting delivery and administration for activities and events, including regular support groups delivery, youth and teens/young adults, and family events. Support of events across Scotland based on resources and availability.

• Support planning, organisation of, and attendance at, in person and online events through funded projects and services to bring together adopted and care-experienced individuals and young people and adoptive and kinship families, enable peer support, build a sense of community and promote an active and supportive Community Network.

• To be part of the wider communities within Adoption UK Scotland, working across teams and services.

MAIN DUTIES AND RESPONSIBILITIES

• Working alongside service leads within the communities team, and with the wider Adoption UK Scotland team members to plan and deliver specific events and activities for adoptive and kinship community members, and care experienced children and young people via our E Project youth service for children, teens and young adults.

• Provide administrative coordination for community event provision, including collating event materials, gathering feedback and evaluations for reporting purposes, supporting delivery of events, maintaining records using existing required systems, and responding to enquiries via our Information and Support line and relevant email inboxes.

• Working alongside Communications colleagues and across teams to ensure promotion of events to relevant target groups 

• Attending events to promote the wider work of AUK Scotland at conferences or support groups

• To hold responsibility for administrative requirements relating to community events, including setting up booking pages, sharing information via newsletters and social media, and recording service delivery interactions, using existing Adoption UK systems and processes

• To work with colleagues in the Foundations for Families kinship support service to support delivery and coordinate activities between services where appropriate.

• To report to line manager and directors in Adoption UK Scotland relating to service delivery, including contributing to monitoring and reporting on activities.

The Compliance & Recruitment Officer plays a vital role supporting the Recruitment and Compliance Team Partners to ensure that our recruitment and onboarding processes for permanent staff, temporary workers, and volunteers align with regulatory requirements and maintain the integrity and compliance of our hiring practice.

As a Compliance & Recruitment Officer you will deliver a high quality and responsive service to prospective candidates, recruiting managers and business stakeholders. In addition, you serve as a subject matter expert to the People Team and the wider organisation, ensuring that we prioritise the safeguarding of the children and young people right from the start of an employee’s recruitment and onboarding journey. 

Skills and Responsibilities 

On-Boarding & Compliance

• Coordinate all aspects of the onboarding and compliance process and ensure that the processes are completed accurately, efficiently and in a timely manner, including: issuing contracts, pre-employment compliance checks, and keying new starters/setting up new starters on the onboarding system.
• Ensure the accurate entry and maintenance of data onto the relevant HR Systems/ spreadsheets, by employing robust quality assurance and due diligence measures.
• Be the subject matter expert for Access Recruit & Onboarding and Better Impact for the team, the candidates/onboardees and the wider organisation
• Monitor and maintain ongoing compliance requirements across staff files, including (but not limited to): Right to Work documentation (i.e. valid Visas and passports); Professional Registrations; Dr’s professional insurance, etc.
• Ensure that all aspects of DBS process are managed in accordance with policy/procedures
• Assist the Recruitment & Compliance Manager in preparing, analysing and producing relevant reports and statistics.
• Conduct audit checks on new starters, volunteer and temporary worker files and report back to team to ensure continuous improvement and accuracy of data collected.
• Coordinate and/or supervise a regular and continuous calendar of personnel file reviews and audits, to ensure and maintain regulatory compliance, and where relevant escalate non- compliance issues to the Compliance Partner and/or the Recruitment & Compliance Manager.
• Assist in the coordination and delivery of an annual audit of CQC and Ofsted standards, across relevant business areas, e.g. The Children’s Trust School.
• Proactively maintain an up-to-date knowledge of our associated regulatory requirements, highlighting any updates and subsequent implications as soon as reasonably practical.
• Impart expertise and knowledge by delivering training sessions for new starters on compliance processes.
• In collaboration with the Organisation Development Team ensure the delivery of a seamless and engaging On-boarding and Induction experience for new staff and volunteers.

Recruitment & Selection

• Be responsible for the recruitment, on-boarding and compliance process for all types of permanent employees, Bank employees, temporary workers and volunteers. 
• Maintain the administration of recruitment and onboarding records, ensuring that these are complete and accurate
• Ensure all recruitment activities and the candidate life-cycle are underpinned by our Promises, whilst adhering to current employment legislation including Disclosure & Barring Service, Care Quality Commission, Ofsted, KCSIE and all policies and procedures
• Maintain an up-to-date list of vacancies, and ensure that all vacancies are advertised internally and/ or externally, in a timely manner.
• Support the Recruitment Team in the review and implementation of new and progressive recruitment initiatives, e.g. Employee Referral Scheme; Graduate Programmes; Apprenticeships; and overseas recruitment, with a view to increase the diversity and skill set of our workforce, across the organisation.
• Support the Recruitment & Compliance Partners with advertising vacancies, as well as the organisation and delivery of recruitment events and campaigns.
• Support the Recruitment & Compliance Manager with Bank Administrator recruitment and management of assignments.
• Supervise and coordinate the daily work tasks of team Bank Administration or Volunteer support, ensuring that all administrative aspects of the recruitment process are delivered to regulatory standards, on time and in a professional manner.

People Team Support

• Where required, contribute to the collation of relevant recruitment and compliance data, ensuring that these are complete and accurate, in order to support the preparation, analysis and production of relevant service reports, e.g. recruitment KPIs, time to hire (on-boarding KPIs), SCR school reports, right to work/visa reporting.
• Build strong internal and external relationships and provide a first class, added value service, to all staff and external partners/ customers.

As our Senior Water Industry Partnerships Officer, you will develop and implement the partner strategy for Northern Ireland Water and manage the Scottish Water partnership on a day-to-day basis.

In this role, you will:

The Marine Society and Sea Cadets (MSSC) is a leading maritime charity in lifelong learning and personal development and is the governing charity of the Sea Cadet Corps (SCC), a civilian voluntary youth organisation engaging some 15,000 young people over 400 Sea Cadet Units, throughout the UK.  The SCC offers a wide range of youth opportunities with the same enduring objective – to give young people the best possible head start in life through nautical adventure and fun.

We are seeking a Volunteer Support & Systems Manager to lead the development and maintenance of automated workflows used within the Volunteer Support Team.  

The role is responsible for ensuring the smooth running of the Volunteer Support function including overseeing the day-to-day administration of key volunteer processes. The postholder will also line manage the Volunteer Support Officers who act as the first point of contact to volunteers in assisting with these processes and wider administration.

 About the role

The purpose of the Volunteer Support & Systems Manager is to ensure the smooth and efficient running of the Volunteer Support function by ensuring that automated workflows are well maintained and continuously improved. This includes the onboarding process for new volunteers, management of mandatory training requirements of existing volunteers and volunteer record management through processing promotions transfers and leavers. The role also provides effective line management to a team of Volunteer Support Officers, supporting them to deliver a high quality of administrative support to volunteers to assist them with these processes.

Responsibilities

• To oversee the efficient operation, maintenance and continuous improvement of all Volunteer Support automated workflows

• To develop clear and effective guidance, to help volunteers access and use the various Volunteer Support digital systems  
• To line manage and support the Volunteer Support Team based at the MSSC Support Centre, empowering the team to deliver effective and consistent  support to volunteers.

• To functionally manage and support the Area Volunteer Support Team based across the 6 Area Offices, empowering them to deliver effective and consistent support to volunteers.

• To manage the “Safer Recruitment” and adverse disclosure process for volunteers, in line with MSSC policy, ensuring that criminal records checks are dealt with in a timely and appropriate manner

Requirements

• Experience of delivering a first-class service to clients or customers
• A strong understanding of the voluntary and community sector, ideally within the youth  sector

Advertised at Officer or Senior Officer level (subject to experience), the role delivers direct and digital marketing communications to grow awareness, and recruit and engage with new long-term CBM supporters, through creative and impactful fundraising communications.

Key responsibilities:

The position holder is responsible for developing and delivering fundraising campaigns that will engage with CBM target individual audiences; supporting the development of the annual public fundraising plan; building supporter journeys and testing new channels and messages.

Working closely with the Head of Marketing and across the Fundraising & Communications team to plan, coordinate and deliver donor acquisition appeals to recruit new individual supporters, using a variety of direct and digital marketing channels.

Regular giving (mostly monthly Direct Debits) are a large part of CBMs donor acquisition activity, and as such, part of this acquisition role is the planning and co-ordination of regular giving conversion, recruitment, retention, and upgrade campaigns.

Donor Acquisition (30%)

1. Working alongside the Head of Marketing and external agencies to plan and deliver a supporter recruitment programme, using channels that may include, but not limited to, inserts, press adverts, and door drops. email, paid social media adverts, Pay Per Click Googe adverts, and lead generation activities.
2. Optimise the performance (traffic and income) of website fundraising pages, including appeal landing pages and donation platforms. Ensuring pages on the CBM website are engaging to existing and new audiences and utilising Search Engine Optimisation tools.
3. Plan and coordinate an off-line and online welcome journey for new supporters to CBM, that will encourage ongoing engagement and long-term support.
4. Develop excellent working relationships with existing and new agencies and suppliers, including marketing agencies, writers, designers, print suppliers and mailing houses. Source new agencies and suppliers as appropriate.

Regular Giving (20%)

1. As part of the regular giving retention plan, deliver inspiring direct and digital marketing communications and updates to monthly supporters about CBMs work and the people their gifts are supporting. This can involve creating briefs, working alongside freelance copywriters and designers, and managing print and fulfilment suppliers.
2. Working alongside our inhouse Supporter Relations team and external telephone fundraising agencies to co-ordinate regular giving conversion, upgrade and retention campaigns over the telephone.
3. Deliver, test and refine a welcome and ongoing donor journey for regular giving supporters, across digital, post and phone channels, to update and thank supporters.

Legacy and In-Memoriam Giving (20%)

1. Work alongside the Head of Marketing and Senior Supporter Relations Officer to develop marketing plans for legacy and in-memoriam giving.
2. Responsible for legacy and in-memoriam giving direct mail and email appeals, and work alongside the Communications Team to ensure the legacy and in-memoriam giving website pages inspire new and existing supporters to support CBM in these ways.

New product testing (20%)

a.  Test and develop new fundraising ideas, channels and messages to engage with and raise funds from new and existing audiences.

b.  Maintain an awareness and anticipation of charity sector trends relating to direct marketing and keep abreast of competitor activities to enable CBM to respond and adapt quickly where appropriate.

Planning and reporting (10%)
