Fundraising Events Officer

Location: The role is based at the Trust’s office in West Berkshire with a minimum of three days per week expected to be worked at our Newbury office. Flexible working arrangements are available with the understanding that this must meet the objectives of the charity and requirements of the role.

Purpose

This is an exciting and vital role supporting the delivery of the events programme within a leading mental health charity.

We are looking for someone with a love for events and a passion for supporting people wanting to raise money to make a difference for young people’s mental health. You will be an excellent communicator, highly organised, and able to work on multiple projects concurrently. You will be committed to delivering an exceptional supporter experience for our event participants and community fundraisers. Experience within the third sector is desirable but not a necessity.

As Fundraising Events Officer, your role is to support the Fundraising Events Manager to plan, deliver and review an exciting calendar of Charlie Waller fundraising events, supporting a wide range of third-party challenge events and community led activities.

Key responsibilities and duties

The Fundraising Events Officer will support the overall delivery of our varied events programme, bringing their enthusiasm to a calendar of events that aim to raise significant income for the charity, whilst also raising the charities profile and reach. They will play a key role in the delivery of well-loved annual events and support our growing network of event participants. Including but not limited to:

• Supporting the overall delivery of our events programme, working closely with the Fundraising Events Manager, Head of Fundraising and fundraising committees.
• The opportunity to take a lead role on the planning, delivery and evaluation of a number of events, managing the expenditure budget and meeting income targets.
• Maintain event income and supporter records in the database, working closely with the Fundraising Assistant and finance team on processing income and invoices.
• Support the fundraising committees with their activities, providing administrative support and guidance as needed.
• Support the promotion of our fundraising events, writing copy, building emails and supporting social activity.
• Support the development of our event marketing collateral, to support participants fundraising efforts.
• Build relationships with third-party event organisers.
• Provide regular updates on progress against agreed objectives and contribute to wider departmental fundraising reports as required.
• Represent The Charlie Waller Trust at events as required which will include ad-hoc evenings and weekends for which time off in lieu will be given.
• Monitor online fundraising, through supporting those raising funds, to creating and maintaining clear income and communication records.
• Develop excellent and enduring relationships with existing supporters, fundraisers and community groups and engage new audiences. Including recognising and supporting their fundraising efforts and thanking them appropriately.
• Send fundraising materials (including t-shirts, information packs, etc.) to individuals raising money for us.
• Ensure that systems and processes are used as expected, and that our database is being updated and utilised as the central source of information.
• Liaise with a wide variety of people and organisations including supporters of the charity, trainers, funders, other statutory and voluntary organisations who work in the mental health field, and members of the public.
• Ensure compliance to data protection, safeguarding, confidentiality and relevant organisational policies and procedures.
• Other duties as may be reasonably prescribed by the trust, appropriate to the grade and responsibilities of the post.
• Routine call handling as part of the wider office administrative team.

Job Purpose

BSR events are a key benefit to members and the wider rheumatology community, offering the very latest in science, innovation, research and cases. 

Our events team deliver the award-winning Annual Conference (Manchester 28-30 April 2025) in a hybrid format to c2000 delegates, plus our Case-based conference (Leeds 5-6 Nov, in-person c300 delegates) as well as a programme of celebratory awards. 

The Events Executive works alongside the Events Manager, Digital Events Manager and Head of Events to deliver our events. Working on a range of areas from registration, logistics, being the main point of contact for delegates and liaising with venues and suppliers. This is an exciting role for someone looking to get more exposure to different areas of events and liaise with multiple stakeholders.

Main responsibilities

Event coordination

• Coordinate the registration management process for BSR conferences, including: arranging our registration services, data management and reporting.
• Manage the events inbox, being the main point of contact for delegates for all queries.
• To coordinate networking sessions and taster workshops within annual conference.
• Organise logistical elements including award prizes, abstract poster submissions and processes, arranging site visits, accommodation, travel arrangements and expenses.
• Manage CPD accreditation of events and activities.
• Provide content for webpages and emails to keep delegates informed.
• Input into our event budgets by monitoring progress and providing financial reporting and reconciliation against income and expenditure.

General

• Be a core member of the events team by attending and inputting into all planning meetings, venue site visits and delivery of events onsite.
• Identify and contribute ideas on how to improve processes and ways of working.

Please note: This role will require travel, overnight stays and weekend work, for example at our conferences (6 day stay). As we are a small team you’ll have the opportunity to get involved in cross-departmental projects, lead or contribute to agile sprint working and support wider business needs. We are looking for a senior development programmes coordinator to take responsibility for the efficient coordination of this work, elements of which are delivered virtually, in-person or hybrid.

About us: 

The Childhood Trust is London’s child poverty charity. Children growing up in poverty face multiple and complex challenges which limits their potential and development, leading to poor health and life chances in adulthood. The role: 

This is an exciting opportunity to play a crucial role in our fast-growing Fundraising Team, and leading our new business efforts by identifying, cultivating and securing new corporate partnerships at the six and seven-figure level as well as playing an active part in the wider team’s endeavours to secure and uplift our corporate partnerships.

You will report to our Director of Development and will manage and grow our relationships with like-minded businesses across multiple industries to generate income and engage new audiences for the Childhood Trust to achieve our strategic goals.

Key responsibilities:  

· Build cases for support to engage funders. This will involve working with the Corporate Partnerships Team and wider organisation to build compelling cases for support for a variety of corporate partnerships, including strategic partnerships, COTY, Cause Related Marketing campaigns and sponsorship opportunities.

· Identify corporate partnership opportunities. This will involve conducting research to manage and grow a pipeline of corporate partnerships opportunities worth £50k+ and/or with significant media and communications value.

· Develop cultivation plans for key prospects and target industries to increase support for the Childhood Trust.

· Proactively approach and build new relationships with corporates, securing and attending meetings.

· Develop and deliver high quality communications to secure new corporate partnerships. For example, this could include brochures, proposals, and pitches which communicate the charity’s work, strategy, and a case for why companies should support the Childhood Trust.

· Work collaboratively with the Account Management team to embed new partnerships to ensure they are managed appropriately.

· Contribute to setting the annual budget and carrying out regular review of the pipeline

· Contribute to the ongoing development and execution of The Childhood Trust’s strategic goals.

Job summary
The Royal Society of Tropical Medicine and Hygiene (RSTMH) is a Society of over 1,700 members from 100 countries, who work in, or are interested in tropical medicine and global health.

RSTMH organises and participates in events as a crucial way of showcasing, discussing, and debating key areas of tropical medicine and global health research and practice. Our range of events are wide. We deliver conferences and webinars, social events, research meetings for early career professionals, and high-profile debates and discussions. They happen across the UK and around the world, both online and in person. Our events add to the impact of our work in tropical medicine and global health, but also raise funds to allow us to continue our work as a charity.

The Meetings and Events Manager would lead on the delivery of the RSTMH meeting and events strategy. The role requires a self-starter who is excited by the prospect of working on such a broad range of meetings and events. The candidate needs to have excellent communication and relationship building skills, and to be organised, flexible with a great attention to detail. They should be comfortable liaising with venues for meetings space, developing budgets for events, managing logistical aspects of the events programme and setting up new events online and in person.

Purpose of the Museum Public Events Executive role:

This role is key to support the growth of the programme at our Midlands site. Our Muscle Group meetings provide a warm, friendly space for people affected by muscle-wasting and weakening conditions to meet with others in their local area. The groups meet either in person or on Zoom; three meetings per year are held in each of the 14 regions. Muscle Group meetings are a relaxed, confidential forum for people to ask questions, share experiences and learn from guest speakers. They should be fully accessible to all, including family, friends, and carers of those living with conditions.

You will lead on the organisation of these meetings and management of the volunteers who chair them, ensuring throughout that meetings meet the needs of our community.  

You will also support the Volunteer Engagement Manager to ensure that volunteers across the organisation are recruited, trained and managed effectively. The Pepper Pot Centre is a vital, Caribbean & other  BME  community resource for the over 60s in Kensington & Chelsea and neighbouring Boroughs,  seeking to combat discrimination, isolation, depression and loneliness and help our members to take charge of their lives and  live in a healthy and independent manner.

Having formally opened our doors in 1981, we are a meeting place for older and retired members of the community and a day centre that provides a balanced Caribbean meal, recreational and cultural activities and lots more. In 1976 & 2006 was visited by the late Queen and by the Duchess of Cornwall in2020.

We are now seeking a part-time Events Coordinator to join our team for a one-year, fixed term contract, working 21 hours per week.

About the role

We are looking for a highly organised and creative  Events Coordinator to join our  growing team to plan, deliver and evaluate the effectiveness of events  targeted specifically at our 60+ community e.g. trips/visits to parks, museums, Theatre, Seaside and more.

Our new Events Coordinator  will support the planning and delivery of a key part of our work, namely: the management of our events programme designed to combat and prevent isolation, loneliness and depression amongst our elders. They will work closely with our sponsor,  Global Radio – LBC, Capital Xtra, Heart, Smooth, Classic FM, talkSPORT and more.

Specifically, you will:

• Develop an Events programme, trips, visits, excursions designed to combat discrimination, isolation, depression and loneliness.
• Publicise our programme of events, and activities via digital media, leaflet distribution, open days, and word of mouth etc.
• Support and encourage our members to attend the Events programme of activities.
• Recruit train and organise team of volunteers to support and expand the Events programme. 
• Plan, organise administer and accompany members on trips, visits and excursions within and outside the UK and you may be required to work outside normal office hours.
• Produce written reports for the management committee and our sponsor Global Radio.
• Evaluate the success of events through feedback mechanisms, attendance records, and make recommendations
• Adhere to PPC’s internal administrative protocols and procedures, including the Finance Procedures, Equal Opportunities, Health and Safety and Data Protection policies.
• With the Director, regularly review and update risk assessments for events.

About you

Essential:

• Understanding the essential needs of older people from Caribbean  backgrounds and other BME communities
• Previous experience of successfully coordinating events
• Experience of both planned and reactive approaches to event planning/work Proactive and able to work independently with minimal supervision as well as collaboratively as part of a team.
• Good organisational skills with a methodical approach to working on several tasks simultaneously and working to deadlines.
• Good interpersonal skills with the ability to communicate effectively  diverse populations and build rapport with clients
• Good written and research skills with the ability to draft letters, invites, reports skills
