Office & HR Assistant (10 month fixed term contract, maternity cover)

The position
To support the AKF(UK) team by running efficient and effective systems for front office and office operations. To support the Head of HR and work closely with the HR Officer in HR Administration. To cover for PA duties to the CEO when the PA to the CEO and Office Administrator is not available. This support and coordination role will help the office as a whole to sustain high professional standards and effectiveness. The Office & HR Assistant is responsible for: office administration (50%), HR, Health& Safety & security administration (45%), and IT administration (5%).
KEY RESPONSIBILITIES AND CORE TECHNICAL COMPETENCIES
Office administration (50%)
- Answer the AKF UK main phone line and pass on messages to AKF (UK) employees as appropriate
- Open and process the post at the Aga Khan Centre and deliver to the relevant AKF (UK) employee
- Manage the “front office” email account and ensure emails are replied to or forwarded to the relevant AKF (UK) employee
- Support the greeting and receiving of AKF (UK) guests at AKC
- Book meeting rooms at AKC for colleagues and external partners and arrange catering as required
- Support AKF(UK) events, facilitate and support hosting of meetings and events for partners, including travel, visas, accommodation, and catering; this may require some out of office duties
- Manage the meeting schedule for All Staff Meetings
- Support the management of the organisation’s travel agent
- Support the management of the organisation’s mobile phone provider
- Arrange couriers for AKF (UK) employees as required
- Collect and maintain a detailed inventory of office equipment, IT equipment (mobile phones, laptops, desktops etc) and supplies
- Maintain the equipment purchasing guide with input from the IT Department
- Support the management of GDPR data lists and data requests
HR, Health, safety & security administration (45%)
- Maintain a detailed contact list for all AKF (UK) employees and keep it up to date
- Keep the AKF (UK) Emergency WhatsApp group up to date and share emergency messages as required
- Support recruitment processes by placing job adverts internally and externally
- Preparing and sending out offer letters and contracts as directed by the Head of HR
- Support the onboarding process including sending reference requests and background check requests
- Arrange induction and logistical arrangements for new employees including setting up phone, email, mobile, laptop, etc and purchasing new equipment as necessary
- Add new members to benefit schemes such as the private healthcare plan
- Arrange leaving process for AKF (UK) employees and ensure all equipment is returned
- Support the Head of HR with the administration of the HR Management System (MyAKF)
- Troubleshoot any issues or problems with the MyAKF HR system, working with the MyAKF helpdesk
- Provide MyAKF system training to new starters.
- Draft visa sponsorship letters for all AKF (UK) employees and submit for approval and signature
- Provide Visa invitation letters to visiting delegates/employees.
- Coordinate with our travel insurance providers to arrange additional coverage for employee travel where required.
- Act as a Health and Safety Officer and Fire Marshal for AKF (UK)
- Act as a AKF (UK) First Aider including obtaining annual certification
- Create and cultivate an office culture that contributes to the happiness and well-being of all employees.
IT administration (5%)
- Liaise with internal IT support as necessary to trouble-shoot issues and order equipment
- Work with IT services to ensure that all software is updated and maintained on individual’s computers and hardware on a regular basis.
Other
- Cover the PA to the CEO and Office Administrator’s workload during periods of sickness or annual leave

- Educated to A-Levels desirable
Skills
- Highly organised with strong logistical skills and proven consistent attention to detail
- Strong interpersonal skills, tact, patience and ability to work in a cross-institutional, multicultural environment dealing with senior and high-level officials/persons and VIPs
- Excellent written communication and presentation skills and ability to draft and write effective copy and present to a range of audiences from senior-level to partners and suppliers
- Comfortable working independently and under minimal supervision but also forming an essential component of a team
- Strong operational and IT skills as well as an openness to learning new software and tools
Knowledge
- Knowledge of Microsoft Office Suite and Apple applications
- Keen interest in international development and improving knowledge of these issues will be a distinct advantage
Experience
- Proven strong experience of office administration
- HR administration experience is desirable.
- Proven ability to multitask in a busy, open-plan office environment; ability to work under pressure, juggling various requests and deadlines
- Proven ability to deliver a consistently high level of accuracy in preparing and entering information
- Flexible approach to working, able to pick up a variety of tasks/projects with minimal supervision; ability to anticipate issues or scenarios when planning calls, meetings, or business trips, and to address them proactively

We are seeking an experienced, strategic and collaborative Head of Programmes to join our Senior Leadership Team and play a pivotal role in shaping our fast-growing Martingale Scholarship Programme.
As Head of Programmes, you will join our senior management team, overseeing the growing programmes team. Working closely with the CEO, you will oversee all aspects of Martingale’s Scholarship Programme from application to alumni, ensuring that the programme maintains a strong reputation for being both supportive and prestigious.
You will set the strategic direction of Martingale’s Scholarship Programme, working closely with the CEO on a day-to-day basis to ensure that as we expand across STEM the programme remains of a high quality and meeting Martingale’s mission. You will ensure that Martingale’s programmes are impactful, data informed and meet the needs of the scholars we are supporting. You will also be responsible for managing relationships with various external stakeholders including universities, funders and evaluation partners.

Key Responsibilities:
Strategic Leadership of the Scholarship Programme
- Provide strategic oversight of the end-to-end Martingale Scholarship lifecycle, from selection and admissions through to scholar progression and alumni outcomes.
- Develop and deliver a multi-year operational strategy for Martingale’s Development Programme (MDP), ensuring scalability, academic excellence, and alignment with organisational growth plans.
- Continuously refine the scholar journey to ensure it is sector-leading, prestigious, and tailored to the needs of students from low-socioeconomic backgrounds.
- Build deep expertise in postgraduate education, research culture, and enabling access to inform programme evolution and innovation.
Admissions & Selection Strategy
- Lead the design, governance, and continuous improvement of a rigorous, fair, and high-quality admissions and assessment process across subject areas.
- Oversee shortlisting, interview frameworks, assessment centres, and final scholarship recommendations to the Selection Committee.
- Ensure alignment between Martingale’s selection processes and university partner requirements.
- Maintain oversight of scholar allocation, including place management, deferrals, intermissions, withdrawals, and reallocations.
Scholar Experience & Case Management
- Ensure effective advocacy for Scholars including maximising progression and retention across cohorts.
- Oversee complex scholar casework, including deferrals, intermissions, safeguarding concerns, funding queries, disciplinary action and university liaison.
- Ensure consistent, professional, and high-touch support across the scholar lifecycle.
- Strengthen cohort cohesion and long-term alumni engagement.
Safeguarding & Compliance
- Act as Designated Safeguarding Lead (DSL) for Martingale, ensuring safeguarding policy implementation and record keeping in line with best practice in relation to vulnerable adults.
- Oversee data protection compliance relating to scholar and applicant data, in partnership with the organisation’s Data Protection Officer.
- Ensure programme delivery complies with charity, funding, and regulatory requirements.
Budget, Contracting & Financial Oversight
- Hold responsibility for programme budgets, ensuring effective resource allocation, cost control, and value for money.
- Oversee scholarship programme financial management, and work with Head of Strategy and Operations on onwards grants including deferrals, funding adjustments, and invoicing.
- Work with the Head of Strategy and Operations on university contracting, scholarship agreements, and financial reconciliation with partners.
- Ensure timely and accurate invoicing and reporting processes across programme operations.
University & Sector Partnerships (Programme-Focused)
- Lead programme-level relationships with university partners, including Heads of Departments, Graduate Tutors, CDT leads, and admissions teams.
- Ensure universities meet partnership commitments and that Scholars are appropriately supported institutionally.
- Contribute to partnership negotiations where programme design or operational delivery is concerned.
- Identify opportunities to strengthen university research culture and scholar support mechanisms.
Monitoring, Evaluation & Impact
- Lead development and oversight of Martingale’s Theory of Change and evaluation framework, working with our external independent evaluators.
- Develop robust systems to track scholar progression, outcomes, and programme effectiveness.
- Provide high-quality reporting to the CEO, Board, funders, and partners, evidencing impact and continuous improvement.
New Programme Development & Innovation
- Work with the CEO to design new subject expansions, pilots, or initiatives aligned to Martingale’s mission.
- Assess operational, financial, and reputational implications of programme growth.
- Develop business cases, delivery models, and implementation plans for expansion.
Team Leadership & Culture
- Provide senior leadership to the Programmes team, including line management of programme staff.
- Build a high-performing, mission-driven team with clear accountability and ownership.

About us: Tender is an arts charity working with children and young people to prevent domestic abuse and sexual violence through creative projects. About the role: We have been appointed as the secretariat of an Expert Reference Group (ERG) comprising a network of organisations in the London-wide violence against women and girls (VAWG) sector. The ERG supports the Mayor’s Office for Policing and Crime (MOPAC) with its delivery of the Mayor’s VAWG strategy.
As the secretariat for the ERG, we will ensure that the VAWG sector is fully involved in MOPAC’s VAWG-related work. We will convene regular meetings and other opportunities for ERG members to raise, discuss and escalate to MOPAC relevant issues affecting the VAWG sector, ensure the needs of victim-survivors of VAWG are represented, and bring together the shared expertise and knowledge of the VAWG sector to provide expert insight to MOPAC’s VAWG-related work.
We are looking for a partner network coordinator to coordinate the operations of the ERG; support the partner network manager in liaising with MOPAC, the VAWG Board, and other key stakeholders; and ensure that the needs of both the VAWG sector and MOPAC are appropriately managed and represented through the ERG. Key responsibilities: The main responsibilities of this role are:

We provide a safe space with volunteers who listen to each client’s individual story. Last year, over 1000 volunteers helped people to get their thoughts in order, problem-solve and decide next steps, source relevant and reliable legal information, explain complex procedures, complete court forms, and clearly present statements.

You’ll be stewarding our 25th anniversary communications plan and helping us to connect with our stakeholders, especially with those in the legal sector. As well as overseeing our website and social media, you’ll be supporting the service team in connecting with volunteers and clients and supporting the fundraising team in engaging donors.
The role
The Communications Manager role is a cross-organisation role, and you’ll be supported by the CEO and the Head of Fundraising. You’ll also be able to build on the firm foundations we already have in place, with plans agreed for our 25th year.
We’re open to applications from communications professionals who want to work hybrid from the Royal Courts of Justice in London or want to work from home.
