Job Purpose

This role sits within our new Men’s Minds project, based in Hounslow. The aim of the service is to improve men’s mental health outcomes by developing a mental health network supported and directed by the voices of its members.

This will be achieved through three service strands: 1) Peer support network, 2) Psychoeducation workshops, addressing common needs of men’s mental health 3) Outreach support to raise awareness of men’s mental health and promote this service.

The Men’s Minds Project Coordinator will work closely with the members in shaping the service and ensuring voices of men in Hounslow are heard and acted upon. This service will be staffed with 1 part-time (25hrs per week) Project Coordinator and a pool of peer led volunteers. The Project Coordinator will be responsible for overseeing the volunteers.

The Role

The role of the Men’s Minds Project Coordinator is to arrange and coordinate a range of psychoeducation, and peer-led workshops which will be delivered weekly. With the addition of attending various community and stakeholder events to deliver the outreach strand of the service.

The role will require hybrid and flexible working: onsite for all the peer/psychoeducation sessions but the with expectation to be attending various community events and services to promote the service.

BACKGROUND INFORMATION AND PURPOSE OF THE POST

The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.

The main purpose of this post is:

• To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety
• To act as a key point of contact within the organisation and externally
• To undertake human resources administration for staff and volunteers, including supporting recruitment and follow-up
• To provide administrative support to the Chief Executive, Leadership Team and Board of Trustees

MAIN DUTIES AND RESPONSIBILITIES

Operations

• Maintain the office facilities and environment to agreed service levels
• Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
• Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
• Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
• Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
• Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
• Continually review systems in place within the office, make improvements where required, and communicate these to relevant people

Human Resources

• Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
• Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
• Support teams on volunteer recruitment, contracts, induction, support and training
• Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions

· Make sure that HR policies and internal processes are updated and well known by all the staff

• Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook

Administrative support

• Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
• Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
• Maintain filing systems
• Deal with enquiries, calls and emails from the public, partners and other HI entities
• Support specific projects as needed

Other tasks

• Contribute to projects led by the Finance and Resources team and the HI UK whole team.

About the PVRI
We’re a small charity with a global reach and an important purpose: to reduce the burden of pulmonary vascular disease.

PVD is a serious condition which can lead to heart damage and trigger symptoms like breathlessness, chest pain, fatigue, poor growth, fainting and light-headedness. It can reduce both quality of life and length of life, but it isn’t widely recognised, or well-understood.

We bring together an international network of professionals to improve clinical care, education and PVD research. The network comprises thousands of clinicians, scientists, academics and industry partners, supported by our small team in Bermondsey, London. Together we deliver conferences, e-learning, an academic journal, and we raise awareness of the condition.

Much of the work is done by international working groups, and we’re seeking a new Project Coordinator to provide administrative and project support to those groups.

We are now recruiting for a new role in the Resources Team within the Crisis at Christmas Team to support with coordinating the material donations needed to set up and run Crisis at Christmas centres and services. As a Project Coordinator – Resources your role will involve building relationships with current and new corporate donors to ensure we can resource all the required material donations we need to run the Crisis at Christmas centres in London.  Gift in kind donations we require range from food and beverages to clothing, hairdressing equipment and minibuses. This is a varied role that involves researching donors, communicating with large corporate companies, managing volunteers, and running community donations.

Bexley Food Alliance Project Coordinator

The Bexley Food Alliance is a new network which was funded by the GLA to work towards taking pressure off the emergency food aid services and providing increased financial support to Bexley residents. This network has now expanded and aims to build a collaborative network of agencies that can increase fairer access to healthy, nutritious and culturally appropriate food, as well as any additional support residents might need. We are looking for a Project Coordinator to take over the day-to-day running of this network (see below for a brief description). This is a good opportunity for anyone who wants to take on a part-time, one-year project, perhaps as a stepping stone into something more significant, or perhaps you’re returning to work or changing careers. This is an opportunity to be at the start of an exciting, innovative partnership project, shaping a network and forming strong alliances with various agencies. 

You will work closely with the VCS within Bexley to build the capacity and capabilities of local groups, provide partnership/networking opportunities that enable them to carry out their own objectives effectively and offer high quality services.

You will work flexibly, applying initiative to provide consistent and seamless support to organisations.  You will support across a variety of charity development but focus on food partnerships and wraparound support to provide more holistic support.

Key Duties:

• Build and promote positive working relationships between VCS groups and organisations, statutory partners, commissioners and funders.
• Work with a wide range of delivery partners and other key stakeholders to maximise the use of community resources and ensure opportunities are maximised.
• Undertake community and outreach work – particularly to parts of the borough where the VCS voice is less heard.
• Encourage and support groups to seek funding from a range of sources including contracts and grants and provide the necessary support.
• Use our database to keep well maintained records of support given, funding achieved as a result of our support, case studies and outcomes, brief summary reports for monitoring and development purposes.
• To continuously engage in a mapping process, highlighting existing providers and supporting the start-up of new services.

 We are recruiting a Project Coordinator to oversee the delivery and development of a flagship Community Wellbeing Project, which operates in partnership with Brent Council. The project is a Community Hub hosted in a community space in Stonebridge (not in Sufra’s existing premises). Members of the project can access a Community Shop, a Community Café and Kitchen, and holistic support in the form of Advice casework and workshops. The objective of the project is to deliver food aid alongside wraparound holistic support in way that improves the financial, physical and mental wellbeing of its members, who are struggling with the cost of living.

This collaborative project has been made possible due to the support of multiple partners and has already proven highly successful. It is likely to form the basis of a new model of support for people experiencing vulnerabilities that will be replicated across Brent and possibly elsewhere in London.

The Project Coordinator will oversee the delivery of the project, ensuring both the shop and the café operate effectively and in accordance with agreed standards and procedures. The successful candidate will help shape the project in the months ahead, whilst supporting guests, collecting data, and monitoring and evaluating the project. The ideal candidate will have experience working in a busy and varied environment, managing multiple priorities at the same time. They will have experience in a customer-facing role, dealing with the general public and managing volunteers. It would be beneficial for the post holder to have experience supporting vulnerable people with complex needs from a wide variety of backgrounds. The Project Coordinator has to assist in providing project coordination for the full life cycle of any assignment offered to our clients; from the proposal process, contract management with the client, assignment planning, through to assisting with the report writing, and ultimately billing the client.

Contract Responsibilities

·Assist with proposal and tender submission, including preparing project budgets and schedules, liaising with prospective staff and ensuring all proposals are submitted within the respective deadlines

·Ensure that contracts are as per the issued proposals, that all terms agreed are in the organisations’ best interests and support the Managers/Partners in any contract administration required

Overall Purpose: The Project Coordinator is responsible for overseeing the planning, execution, and monitoring of Rahab's projects. 
 

RESPONSIBILITIES AND DUTIES
 

Service delivery

• Ensure that all aspects of Rahab’s project activities are planned, organized and undertaken to fulfil their objectives within their required timelines.

• Develop, organize, and maintain project documentation, plans, reports, and other project-related documents to monitor and track overall progress, outputs and achievement of milestones.

• Identify, troubleshoot, and communicate project risks, delays and issues to the Project Manager and relevant stakeholders.

• Monitor project progress with team members and task as required. 

• Contribute to the development of funding applications in coordination with Rahab’s Fundraiser. 

• Support Rahab team with volunteer recruitment and training. 

• Undertake project tasks as required including supporting the team with outreach when necessary. 

• Provide administrative support such as minuting weekly team update meetings and setting up relevant meetings with external organisations. 

Data collection, record keeping, monitoring & reporting. 

• Maintain accurate data and records that capture and analyse information to (i) inform planning and delivery of casework support; (ii) monitor and evaluate wider project outcomes, (iii) to contribute data for future long-term evaluation of casework approach efficacy.

Service development

Priority stakeholder relationships 

• Participate in and contribute to collaborative working arrangements, alongside Rahab Manager, in key stakeholder work - SI MARAC (Sex Industry Multi-Agency Risk Assessment Conference) - with Local Authority, Metropolitan Police and Voluntary and Community sector.

• Participation at monthly SI MARAC meetings, ensuring that the work of the group is effectively joined up with wider groups and meetings focussed on addressing risk and harm.

• Support Rahab’s Senior Caseworker where necessary to ensure SI MARAC outcomes are effectively linked up with Rahab's outreach activities, and work-with Rahab’s Project Manager to ensure team members are kept informed about SI MARAC developments. 

• Work with the team to identify and engage in new professional relationships with key organisations across different sectors, and maintain our existing networks of contacts, to (i) develop and expand Rahab’s activities and reach, and (ii) foster collaboration. 

• Represent Rahab in multi-agency working groups, meetings, and forums, sharing knowledge and learning, publicising services available and how to access support. 

Beneficiary co-production 

• Work with Manager to start developing a framework and mechanism for gathering feedback from beneficiaries to evaluate the support they are receiving. 

• Work with the team to identify opportunities for our beneficiaries’ active participation in the project in ways that are safe and empowering. 

Shared learning 

• Participate in team development and learning in relation to best practice interventions and our casework delivery for beneficiaries.

Safeguarding

We’re looking for two self-starting team members who will help coordinate our JUMP befriending project for unaccompanied asylum seekers and refugees.

You’ll be responsible for half of the befriending pairs (currently 28, increasing to 50 in the coming months) and undertake tasks such as working with our partner organisations, managing referrals for young people, recruiting volunteer befrienders, and setting-up and sustaining pairs. This includes leading an initial training day.

You’ll also provide JUMP young people with casework support, help organise our group events and facilitate support from our Hardship Fund.

Main functions

Supporting young people and the JUMP Community

1. Managing a caseload of young people; including offering casework support; arranging and attending appointments with the young person where necessary and signposting to available support.
2. Helping plan and organise quarterly group events.
3. Conducting initial assessments with young people to understand their needs, and once paired with a volunteer, hosting befriending initial meetings.

 Supervising and supporting volunteers

1. Recruiting, interviewing and onboarding new befrienders, including organising and delivering training.
2. Supporting befriending volunteers through regular supervisions, meetings, emails and phone calls, and responding promptly to any safeguarding concerns raised.
3. Ensuring that volunteers uphold JUMP’s policies and boundaries for befriending.

Publicising JUMP, and engaging with key stakeholders

1. Publicising the project to existing and potential referral agencies, and establishing and maintaining excellent working relationships with them.
2. Representing HIAS+JCORE and JUMP in the refugee sector as required, for example at the Refugee and Migrant Children’s Consortium (RMCC) meetings.

Project monitoring, evaluation and record keeping

1. Working with experts and the JUMP Project Manager on supporting the project and its evaluation, and keeping accurate records in JUMP’s database.

1. Ensuring that JUMP informs our campaigns, communications and education work. As the project develops, there will be opportunities for the post-holder to contribute to and support these areas of our work.

A team of part-time student staff call 1000’s of students each term, supporting them to navigate University life, services and GSU. This role will support the award-winning team to deliver proactive supportive calls to students.

The National Neonatal Audit Programme (NNAP) Project Coordinator is an instrumental role for the College in which you will support the delivery of a high-quality national clinical audit along with supporting improvements in neonatal care for babies and their families.

As Audit Project Coordinator, you will coordinate the collection of high-quality audit data, and be responsible for coordinating sub-projects and spotlight audits.

Acting as the first point of contact for audit process and data enquiries received from hospital units, regional network leads and other stakeholder organisations, you will take responsibility for responding to each enquiry using your detailed knowledge of the audit methodology.

You will also respond to queries relating to the NNAP methodology and support paediatric services within NHS Health Boards, Trusts and Networks to understand and use NNAP results to inform quality improvement activities, as well as monitoring NNAP participation rates to define, execute and promote improvements to data submission processes.

Reporting to the NNAP Project Manager, you will conduct testing and quality assurance of audit software systems, liaising with software developers to evaluate, improve and update online data submission and reporting processes, whilst preparing updates to project webpages, user guidance and promotional materials for audit submission and participation. In addition, you will coordinate project webinars, workshops and national events for the NNAP and represent the NNAP at conferences to help promote NNAP activities.

You will also prepare and disseminate audit outputs and publications for different audiences, including audit commissioners and funders, children, young people and families, and NHS services participating in the audit.

Degree qualified or with equivalent experience in a mathematical or numerate discipline, you should have proven experience of producing high-quality written reports and promotional information, suitable for a range of audiences.
