Overview / purpose of the role

We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.

The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.  

We do not require the successful candidate to have any particular/specific formal qualifications, you may have just finished education or be looking for a change in career, what you will need is excellent attention to detail and a strong interest in developing a finance career with us.

Responsibilities

Finance

● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required

● Processing and coding invoices  in Xero accounting software ahead of weekly payment runs

● Checking that correct coding and approval procedures are followed for staff expenses in Soldo

● Conducting weekly payment runs via our online banking system

● Coordinating our monthly payroll processes (working with external providers)

● Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals

● Working with the Head of Operations & Evaluation and Director of Finance to support financial reporting on grants for external donors

● Supporting the Head of Operations & Evaluation and Director of Finance with general financial administration, record keeping and tracking budgets

● Provide training on expense and invoicing processes to new members of staff and generally acting as the first point of contact for all staff on any finance procedure questions (full training will be provided)

Office Management & General Operational Support

● Acting as the key point of contact between CGP & our coworking office space (organising memberships, meeting room bookings, invoices, printing credits, equipment, internal events etc.)

● Maintain/organise our filing and cloud storage systems logically and efficiently, in a data protection compliant manner.

● Support with recruitment processes within CGP, including assisting members of the team to schedule and coordinate job interviews, contact candidates and file incoming applications.

Person specification

The right candidate is less likely to be defined by their qualifications and prior experience, but will be someone who meets the below criteria, and is ready to learn. They will have an aptitude for maths and finance,  excellent attention to detail and a meticulous, methodical approach to work and troubleshooting.

● Has an interest in developing a career in the nonprofit finance sector and willing to commit to undertaking financial training

● Is an independent worker, self-starter who can take responsibility for projects through to completion

We are looking for a full time Peer Engagement Practitioner.

This is an innovative new service, integrating the expertise, skills and knowledge of the network in Barnet with NHS Mental Health services. The purpose of the role is to provide peer led psycho-social support to clients, working within specialist Mental Health teams and the VCS delivery partners. Do you have a track record of delivering accurate, reliable, administrative and project support in a fast moving environment? 
We are looking for someone with experience of working in a collaborative way to join the Marketing and Brand team as Project Administrator on a 12-month fixed term contract basis.  You'll support the day-to-day running of the team by providing effective administration and project planning. 

This role is varied and the successful postholder will be responsible for scheduling external and internal meetings, liaising with key internal and external stakeholders, preparing reports, setting agendas and minute taking for meetings and financial administration. The Talking Therapies department is in a period of growth which has resulted in our need to review our approach. We are creating this role to ensure that the department is able to work as effectively and holistically as it can. The postholder will have responsibilities for triaging and assessing potential talking therapies clients. The postholder will work closely with the Individual Counselling Manger, Groupwork Manager and Talking Therapies Office Manager to determine whether the client is suitable for any of our services. The postholder will also be responsible for managing a small team of volunteer assessors who will usually be placement students.

We’re looking for someone who is highly professional and conscientious in their work and will bring a high level of experience as a therapist assessing a wide range of individuals for different services.

Job Purpose

This role sits within our new Men’s Minds project, based in Hounslow. The aim of the service is to improve men’s mental health outcomes by developing a mental health network supported and directed by the voices of its members.

This will be achieved through three service strands: 1) Peer support network, 2) Psychoeducation workshops, addressing common needs of men’s mental health 3) Outreach support to raise awareness of men’s mental health and promote this service.

The Men’s Minds Project Coordinator will work closely with the members in shaping the service and ensuring voices of men in Hounslow are heard and acted upon. This service will be staffed with 1 part-time (25hrs per week) Project Coordinator and a pool of peer led volunteers. The Project Coordinator will be responsible for overseeing the volunteers.

The Role

The role of the Men’s Minds Project Coordinator is to arrange and coordinate a range of psychoeducation, and peer-led workshops which will be delivered weekly. With the addition of attending various community and stakeholder events to deliver the outreach strand of the service.

The role will require hybrid and flexible working: onsite for all the peer/psychoeducation sessions but the with expectation to be attending various community events and services to promote the service.

About the Service 
Our Nightlight Service is proud to provide urgent support, crisis intervention and emotional support to people experiencing a mental health crisis in Hertfordshire as an alternative to statutory pathways.

We provide support to adults across Hertfordshire 7 days a week, 365 days a year through our helpline, crisis centres, crisis cafes and a weekend Crisis House. We aim to provide a safe space for people in crisis to talk and feel supported, be listened to without judgement, access relevant support with problem solving and facilitate access to external services when necessary.

The objectives of Hertfordshire Mind Network’s (HMN) Nightlight Mental Health Crisis Services are:

• To increase early access to help for people experiencing mental health crisis in Hertfordshire, by providing a clear and effective pathway to services provided by Herts Mind Network and other third sector and statutory providers.

• To provide an alternative pathway to people in distress and crisis to support better outcomes and reduce the demand on statutory crisis services and emergency services.

About the Role 
Mental Healthcare Support Workers are key members of staff delivering the Nightlight Mental Health Crisis Service, taking part in a rota covering 7 days per week, ensuring the delivery of quality crisis support services and instilling Hertfordshire Mind Network’s values throughout the crisis cafe and helpline provision. Working closely with other staff (bank staff, volunteers), coordinators, team leaders and Crisis manager to ensure services are of the highest quality and support the continued growth and development of the service.

Key Responsibilities

• Providing emotional support and developing, alongside clients, flexible and realistic crisis support/person-centred plans within agreed guidelines with support from leadership team (including assessments of need, risk, crisis support plans and review forms), often where risks are significant.
• Liaising with statutory agencies to ensure appropriate intervention is obtained for individuals.
• Drawing upon own lived experience as appropriate to inform the delivery of person-centred support.
• Providing immediate advice and information to clients to support with crisis presentations.
• To support individuals both through telephone support (helpline) and face to face support (crisis café).
• Liaising with Nightlight management and external services e.g. police, ambulance service, Crisis Resolution Home Treatment Team, Single Point of Access, Safeguarding Out of Hours Service, Mental Health Liaison Teams, Adult Community Mental Health Services etc .as needed in terms of accepting referrals and proactively recognising the indicators of deteriorating mental health and facilitating appropriate support.
• Completing appropriate signposting/onward referrals to both internal and external services in accordance with identified needs and risks.
• Supporting clients with making drinks and beverages as needed when visiting the crisis café.
• Assisting with housing keeping/cleaning tasks as necessary and reporting any maintenance problems.
• Contributing to the co-development of the service by supporting service user, family and carer involvement by obtaining feedback and supporting where necessary chances to be involved in wider service reviews.

The Role:

*Programme Support: Assist with speaker management, programme planning, abstract submissions, and educational course operations to ensure smooth delivery and participant satisfaction.
*Operations: Support membership services, data processing, education course operations, and general office administration.
*Compliance and Development: Ensure compliance with data protection guidelines and develop positive relationships with stakeholders.

Essential requirements:

*Experience in events management and operations.
