Job Purpose

We have an exciting opportunity for you to join us as a Legacy Operations Assistant. In this role, we need you to provide exceptional operational and administrative support to the legacy product team, and to undertake all scheduled operational duties as required.

What will I be doing?

• Distributing and scanning of daily incoming post to relevant staff members 

• Creating and allocating new Legacy cases to the Legacy Case Management Team 

• Creating new solicitor records on the website and CRM system, and informing Finance Team 

• Reconciling and inputting income data (cheques and bank transfers) received by the Legacy team

• Responding to queries from all Legacy audiences, via email and telephone 

• Maintain data quality - merging records and other data processing tasks as required (First Class and Siebel) 

• Raising Purchase Orders and raising invoices when required 

• Building and maintaining excellent knowledge of Cancer Research UK's Will-Writing Services, Case Administration and associated systems and processes 

• Supporting project work relating to Legacy operations, by sharing knowledge of internal processes  

• Responsible for monitoring and ordering materials, maintaining and tracking stock levels as required, ensuring key internal stakeholders are informed.

Key Responsibilities:

• Purchases and payments:

o Log purchase invoices into the finance system, check that documentation is complete and correct.

o Maintain a log of all direct debits and regular payments to ensure that invoices are received and processed in the appropriate accounting period

• Month end support:

o Reconcile bank accounts for the main entity and subsidiaries.

Key tasks
Casework provision
● Provide high quality casework support to residents (housing, financial, legal, mental health, and physical wellbeing support)
● Support survivor empowerment to speak out and self-advocate
● Carry out regular risk assessment with survivors and respond to any safeguarding concerns as per Ella’s’ safeguarding procedures
● Provide day-to-day support and build trusting relationships with the service users
● Be sensitive to the rapidly changing emotional and physical needs of the service users and respond accordingly

● Ensure all major incidents, accidents, safeguarding concerns or potential hazards are managed, reported and recorded according to Ella’s’ policies and procedures

● Promote awareness of health and safety amongst service users, including those who use emergency/on call systems, fire prevention and control systems as necessary

Accommodation and risk management
● Run regular house meetings and house outings for residents
● Support residents with housing benefit and service charges
● Manage all paperwork in the premises, processing any personal data in accordance with Ella’s’ Data Protection Policy and procedures
● Handle emergency situations calmly and professionally
● Ensure all safety and security procedures are followed to keep self and others safe
● Maintain a safe and secure working environment
● Ensure the location confidentiality of Ella’s’ premises to protect survivors and safeguard staff and volunteers

Other/general duties
● Develop strategic partnerships with local agencies working within the Violence Against Women and Girls sector and other local organisations or businesses that could enrich the work of Ella’s

About the role

As a Finance Business Partner, you will have responsibility for the leading the annual budget setting process for the organisation – circa. £8m.

You'll report to to the CEO, Executive Team (ET), and with the Finance and Commercial Director (FCD) support the preparation of papers for the Board on the numbers, with narrative, detail and analysis where appropriate.

The role will not line manage but will be expected to coach, mentor, collaborate with and contribute to the development of the other members of the finance team - we are, all of us, internal customer facing.

As Finance Business Partner, you will be responsible for supporting budget holders to produce robust forecasts for the Management Accounts and to produce monthly Management Accounts with the Finance Manager.

This is a new role within the Legacies Team. Our legacy notifications and income have been steadily growing and we are excited to be expanding the team. 

You will be a crucial part in ensuring that all legacies to the charity are administered in a timely and sensitive manner, maintaining and building great relationships with both internal and external stakeholders. 

Legacies currently fund over half of our work and you will have an important role in helping Parkinson’s UK support more people affected by Parkinson’s. 

What you’ll do:

• Work with the Legacy Administration Manager to actively manage a varied caseload

• Handle a mixture of pecuniary, residuary and reversionary legacy cases 

• Tailor your approach to each case depending on the circumstances, having a flexible approach whilst ensuring that all gifts are administered in a timely manner

• Work to optimise Parkinson’s UK legacy income where appropriate 

• Ensure that all bequests to Parkinson’s UK are received and utilised, in accordance with Parkinson’s UK policies, including Local Group gifts

• Maintain your knowledge of current legislation around IHT, CGT, s.119 requirements etc 

• Play an active role in the wider legacy team and promoting Gifts in Wills where necessary

What you’ll bring:

• Demonstrable experience and understanding of charity legacy administration 

• Ability to communicate clearly, assertively and compassionately with Executors, solicitors and bereaved family and friends

• High level of numeracy skills in order to approve complex Estate Accounts and tax calculations 

• Self motivation with prioritising, planning and project management skills 

• Experience of operating in a modern digital workplace, including using digital tools (and what is needed from the role) to work collaboratively and productively. 

• Ideally have experience of using First Class 4 legacy software 

• Either have or are working towards a recognised professional legacy qualification including Certificate in Charity Legacy Administration (CiCLA), Solicitor, or other relevant legal qualification
