Education:
- Act as the first point of contact for Education Team related queries and communications.

We’re looking for a Philanthropy Assistant to join our dynamic and high performing team. Purpose of the Job
This is a key role within a small and busy finance team. The postholder is responsible for a range of transaction processing and finance administration; mostly focused on purchase ledger, sales ledger, assisting with the month-end process, and plays a vital role in upholding HFEH Mind’s financial controls.
Working closely with the Finance Manager, the Finance Officer will also need to communicate effectively with staff across the organisation and a wide range of suppliers to help resolve queries and ensure that the purchase and sales ledger processes are operating efficiently and effectively. Excellent organisational skills, the ability to prioritise to achieve internal reporting deadlines, and meticulous attention to detail, are critical for this role.
Job Description
Purchase and payments
- Ensure all invoices, expenses and credit notes received are processed following the agreed systems and controls.
- Process invoices and expenses into the accounting system.
- Creation of twice weekly and ad-hoc pay runs.
- Process and pay file generated into the bank software.
- Produce and send out remittances.
- Aged creditors review monthly
- Oversee that authorisation processes are being followed by staff.
- Process staff expense claims following the agreed systems and controls.
- Organise and process occasional cash floats and petty cash, ensuring unspent cash is accounted for and all transactions evidenced and recorded.
Card purchases
- Oversee day to day administration of card purchases, ensuring cardholders upload receipts and code transactions by the stated month end deadlines.
- Transfer fully evidenced and coded transactions from credit card template to Sage
- Reconcile transactions to the bank statements
Sales
- Raise sales invoices as requested and per income schedule.
- Sending out sales invoices to customers.
- Creation of a debtors report twice a month and distribute.
- Coordinate with operational staff for the recovery of debt; escalating in line with procedures.
- Posting cash receipts and allocate to the relevant invoice.
- Aged debts management
Banking
- Reconcile banking on a timely basis
- Post direct debit payments
Inbox management and other queries
- Daily review of new messages received into the finance email inbox from staff, suppliers and other parties, dealing with queries directly where possible.
- Be especially vigilant about phishing, Malware / spam emails which are common in generically named inboxes and following all data protection guidance given.
- For more involved queries, liaise with and assist other finance team members to resolve them appropriately; maintain responsibility for ensuring they are resolved.
- Excellent organisation and administration of both inboxes, to ensure the status of queries is clear at all times and appropriate records are kept on file.
Other regular tasks
- Support the Finance Manager with weekly payroll administration, for example communications with staff members regarding timesheets and new starter information.
- Pay cheques and cash into the bank account, including accurate completion of banking.
- Withdraw cash from the bank as necessary
- Lead on ensuring the digital filing structure is adhered to and support the rest of the team with scanning and filing as needed.
- Lead on the archiving of paper documents stored in the office.
- Assist with other tasks appropriate to your level of training where needed, to help ensure that the finance function operates effectively, including providing cover where staff are sick or taking annual leave.
- Work to the month end deadlines agreed within the finance team, to ensure timely production of management accounts and internal reports.
- Take responsibility for your continuous professional development, ensuring you maintain up to date knowledge of relevant financial legislation, accounting standards, good practice and new initiatives as relevant to the Mental Health and charity sectors.

About CoppaFeel!
CoppaFeel! are the UK’s only youth focused breast cancer awareness charity, and we’re on a mission to get every 18-24 year old checking their chest. We educate people on the signs of breast cancer and encourage them to check their chests monthly, so that if they notice something unusual they are empowered to contact their GP and advocate for themselves.
We do this because when diagnosed early, breast cancer treatments are more effective and survival rates are higher. Early detection can save lives.
Breast cancer does not need to be detected late, and as long as we are here and continue to be supported by people like you, we will do all we can to make sure this doesn’t continue to happen.
The Role
Challenge Events at CoppaFeel! are going through a very exciting period of growth! Therefore, we are looking for a passionate new team member to take on the role of Challenge Events Assistant for our bespoke (CoppaFeel! led) challenge events.
The role of Challenge Events Assistant will sit within the CoppaFeel! Challenge Events team, in the Fundraising Department.
You will mostly work alongside our Bespoke Challenge Events Manager and another Challenge Events Assistant to support on CoppaFeel!’s Bespoke Challenge Events portfolio - consisting of our 5 flagship ‘CoppaTrek!’ events that will look to bring in over £2 million in 2025.
Whilst our trekking events will be your main focus, you may also have the opportunity to support our sporting events programme that includes iconic events such as the London Marathon, London Landmarks Half Marathon, Royal Parks Half Marathon and Hackney Half - to name but a few!
In this role, you will be the first point of contact for our CoppaTrek! participants, providing excellent supporter experience and building relationships whilst offering motivation and fundraising advice. Alongside delivering outstanding supporter care, you will also handle essential administrative tasks to ensure the smooth running of our day-to-day operations and so that our events go off without a hitch.
This role does require some evening and weekend work - although not behind the laptop! Instead you’ll be lacing up your hiking boots, and walking and talking alongside our CoppaTrek! participants. Therefore, please bear in mind that as part of this role, you will be expected to travel and may have to stay away from home on occasion. Should you be required to work on weekends, you will be entitled to time off in lieu.
This is a hybrid role, with the expectation that you will attend the London office at least 2 days per week. You will also be required to attend the office for quarterly team meetings, department meetings and in person training. We will provide plenty of notice for when you are required to be in for these purposes

Duties and Responsibilities
Bespoke Challenge Events (CoppaTrek!)
- Support the Bespoke Challenge Event manager with the planning and delivery of CoppaFeel!’s 5 CoppaTrek! events.
- Be the first point of contact for CoppaTrek! participants in the build up to, and following the event; including the sending of regular emails, phone calls, distribution of fundraising materials and the organisation of trekker Zoom meetups
- Assist with management of Events Inbox to ensure all emails are responded to in a friendly and timely manner
- Send fundraising materials, incentives and merchandise to our trek participants
- Provide an excellent supporter experience and build relationships with participants, whilst offering motivation, fundraising advice and ensure they reach their fundraising targets
- Be willing to attend our treks in person, assisting the Bespoke Challenge Events Manager with the smooth running of the event
General Responsibilities
- Respond to a range of fundraising enquiries in a timely manner, liaising with supporters via email and over the phone as appropriate

- Maintain event database records and ensure supporter data is kept accurate and up to date

The Royal Society of Tropical Medicine and Hygiene (RSTMH) is a Society of over 1,700 members from 100 countries, who work in, or are interested in tropical medicine and global health.
RSTMH organises and participates in events as a crucial way of showcasing, discussing, and debating key areas of tropical medicine and global health research and practice. Our range of events are wide. We deliver conferences and webinars, social events, research meetings for early career professionals, and high-profile debates and discussions. They happen across the UK and around the world, both online and in person. Our events add to the impact of our work in tropical medicine and global health, but also raise funds to allow us to continue our work as a charity.
The Meetings and Events Manager would lead on the delivery of the RSTMH meeting and events strategy. The role requires a self-starter who is excited by the prospect of working on such a broad range of meetings and events. The candidate needs to have excellent communication and relationship building skills, and to be organised, flexible with a great attention to detail. They should be comfortable liaising with venues for meetings space, developing budgets for events, managing logistical aspects of the events programme and setting up new events online and in person.

More about the role
Reporting to the Head of Individual Giving, you’ll lead a small, dedicated team to deliver compelling campaigns and stewardship communications across multiple channels – including direct mail, email and phone.
You’ll be responsible for managing a wide range of donor development activities. These include planning and delivering cash and raffle appeals, and driving cross-sell initiatives such as converting one-off cash donors into regular givers. Your team will also be key to delivering projects such as Gift Aid stewardship, regular giving upgrades, and reactivation efforts.
A central part of the role will be managing the production and distribution of our supporter communications. You’ll collaborate closely with colleagues across the organisation and external agencies to ensure we provide a consistently excellent experience for our supporters, while maximising income and long-term engagement.

Key Responsibilities

As a direct marketing subject matter expert, the Supporter Aquisition Manager will lead cold recruitment campaigns and support in identifying and delivering new products or acquisition streams. The role will lead on planning and project managing delivery of a variety of media channels, both online and offline. In this role, you will be the face of our friendly and passionate Supporter Engagement Team. You will have the opportunity to support in creating and launching exciting new fundraising products, attend a wide variety of events and add your voice by reviewing current processes which will benefit our fundraisers.
You will work closely with our network of 12 home-based Regional Fundraising Officers (RFOs) as well as our Sporting Events and Corporate Teams. You will provide crucial administrative support to the RFOs and all teams in Supporter Led Fundraising (Sporting Events, Corporate, and Marketing and Engagement). Main duties and responsibilities of the role:
· Be the positive, passionate face and first point of contact for the Supporter Led Fundraising (SLF) team.
· Build first-class and long-term relationships through telephone calls and emails with our supporters to ensure they have the best fundraising experience at Alzheimer’s Research UK.
· Provide central stewardship support to a remote-based team of Regional Fundraising Officers (RFOs) to ensure effective delivery of the SLF strategy and budget.

· Provide data support to the Senior Officer.
· Ensure all communications are in line with GDPR policies.
· Become the Central coordinator for SLF-wide activities and procedures, e.g. skydives, contactless machines and invoice processing.
Spotting Potential
· As the central point of contact for the SLF team, you will effectively and consistently spot opportunities to build networks among our fundraising community and flag these to the relevant members of the team.
· Identify and research potential community group and business partnerships for SLF teams.
· Use data reports to spot fundraising trends and identify opportunities.
· Help spot opportunities and contact supporters as part of our re-engagement process to encourage repeat fundraising.
· Effectively communicate ARUK’s legacy messages to supporters via telephone and in writing.
Collaboration
· Build strong relationships with teams across the organisation in order to work collaboratively, allowing you to offer the best stewardship journey to our supporters.
· Work with our Supporters and Families Team by sharing fundraiser stories to maximise potential publicity.
· Work closely with teams such as Science Communications, Digital and Design to help create appropriate stewardship journey assets for the whole of SLF.

Purpose and Scope of the Role
Job purpose:
To support the Finance Officer in all aspects of the finance function and be responsible for the Financial Administration side of the the team's daily activities. Maintaining accurate records and assisting with the production of financial reports for month end proceudres as required by the finance Manager. Must also be able to communicate effectively with internal and external staff and be able to work on using your own initiative within a team as well independently. The role requires excellent attention to detail.
Main duties and responsibilities of the role
The post holder will have at least 2 years’ in-depth Admin & Book-keeping experience which includes:
· Excellent book keeping, including bank reconciliations, sales and purchase ledger maintenance.
· Assisting the Finance Officer to record and monitor and track income and expenditure and maintaining balanced and highly accurate records using QuickBooks.
· Regular use of Excel to assist with maintaining and updating financial documents.
· Maintaining petty cash and reconciling monthly for the petty cash. accounts for Volunteers' expenses and general petty cash accounts for all 4 sites.
· Ordering equipment and stationery using the correct process and negotiating with suppliers as well as matching invoices to delivery notes.
· Monthly supplier statement reconciliations as well as liaising with suppliers to deal with any discrepancies.
· Analyse staff expenses in line with the organisation's policy.
· Assisting with the pension scheme reconciliations each month.
· Assist in the weekly payment runs to suppliers through faster payment matching, batching, coding, and posting supplier invoices
· HMRC and Pension Journals.
· Filling and scanning documents
· Assisting in any other tasks required for the position
Flexibility
In order to deliver the stated aims of for this post, a degree of flexibility is needed and the post holder may be required to perform work not specifically referred to above, such duties will fall within the scope of the job and be directly related within the appropriate pay grade. The job description will therefore be subject to periodic review with the post holder to ensure it accurately reflects the duties that are being performed
Essential
- Minimum 2 years in an equivalent Finance Position.
- Practical knowledge of QuickBooks
- Excellent Knowledge of using Excel for financial spreadsheets
- Familiarity of project funding and charity sector funders
