We are looking for a motivated individual to join us as Team and Office Assistant, effectively supporting the small but busy RSTMH Team by providing proactive and comprehensive support across our key areas of work.

The role will require someone who preferably has some experience of providing support and administration to a busy team (preferably within the charity/not-for-profit sector), who is flexible, has excellent time management skills and is able work on own initiative. The successful candidate will be working across various RSTMH activities, including membership, journals, events, Early Career Grants, and communications; therefore, they will need to be efficient and organised, with strong computer skills and a professional outlook.

The Role:

• To develop and maintain effective working relationships across RSTMH
• To ensure that all general, email, telephone and written enquiries are dealt with efficiently and promptly
• To support with the management of the RSTMH office and office processes
• To undertake electronic and paper filing, and maintain filing systems appropriately
• To support with team planning, scheduling and social events and activities 
• To assist with the management and promotion of the RSTMH meeting room
• To support with financial administration
• To support the planning of RSTMH events, including handling delegate registration enquiries via telephone and email, collating event packs and materials, and conducting desk research on the cost and availability of venues and caterers.
• To attend RSTMH events, assisting with Zoom support on online events, and assisting as necessary at in person events.
• To assist with the administration associated with the RSTMH Early Career Grants programme, which includes analysing key data and helping produce reports for the team, our Committees and donors.
• Taking a role in the processes to select grant awardees including helping perform due diligence on the potential awardees
• To support the Communications Manager in scheduling and sourcing content for social media
• To support on the website by uploading and editing content through the CMS
• To help create and send the fortnightly member newsletter and the monthly non-member newsletter
• To support the Communications Manager in creating content to be shared across RSTMH communications channels
• To assist with communications planning
• To be responsible for the general administration and upkeep of RSTMH’s online opportunities platform, grow
• To support with strategies to increase members of RSTMH
• To assist with enquiries from current and prospective members in a professional, timely manner, and to agreed service targets.
• To support with membership management, ensuring data is up to date using CiviCRM
• To provide support to the managing editor for Journal-related tasks
• To ensure that all assigned tasks are completed to a high standard
• To participate in team meetings, planning and initiatives
• To assist in any administrative tasks to support the team and wider RSTMH community
• To undertake any other reasonable tasks as could be expected of a Team and Office Assistant

Essential Technical Skills:

• Ability to manage a diverse set of priorities and meet deadlines to a consistently high standard
• Capacity to set up and maintain administrative processes and office systems
• Excellent written and verbal communication skills and a strong understanding of delivering great customer service
• Experience of being responsible for initiating, planning, and developing own areas of work
• High computer literacy and confidence with Word, PowerPoint, Outlook, and Excel
• Exceptional use of written and spoken English
• Experience providing administration support, preferably in an office environment
• Good analytical skills with the ability to identify key points from complex material or information

The Organisation

The Royal Parks (TRP) is a charity created in March 2017. We manage over 5,000 acres of diverse parkland, rare habitats and historic buildings and monuments in eight Royal Parks across London. The Role

Additionally, you will:

• Develop the Marketing Plan for individual campaigns with all stakeholders, to meet agreed objectives

• Ensure that all supporters are adequately thanked and receiving the best supporter experience

About You

To be considered as a Fundraising Officer, you will need:

• Fundraising experience, ideally in a small to medium-sized charity
• Experience of, or that would be transferable to, handling sensitive conversations with people who have been bereaved with empathy and tact
• Excellent administrative skills with the ability to accurately maintain large quantities of data
• Excellent writing skills

Responsibilities

Key Responsibilities:

This post-holder will be responsible for fulfilling the following duties:

• Good medical care: Provide a clinical assessment, including relevant psychiatric and
  physical investigation, of a wide range of substance misusers presenting to the service.
• Review and Monitor: patients’ treatment progress (including results of urinalysis and other laboratory investigations). 
• Documenting: To keep accurate appropriate and up-to-date medical and administrative documentation including computer records.
• Specialist Assessments: Provide specialist prescribing assessments to opiate, stimulant, tranquilizer, barbiturate and alcohol dependent clients. 
• Working with others: Attend multidisciplinary meetings, promoting the nomination of named link workers and actively supporting the implementation of integrated care pathways.
• Represent Change Grow Live: Represent the service at a range of meetings with other
  professionals and agencies in order to evaluate, monitor and develop treatment services for substance misusers and minimise barriers to treatment.
• Maintaining good medical practice: participate in continuing professional development, annual appraisal and revalidation and to join appropriate supervision and PDP groups for the role.

About You:

• Medical Degree and completion of Basic Medical Training.
• Full GMC-UK Registration with License to Practice.
• Experience in delivering evidence based treatments in Substance Misuse 
• Good knowledge of addiction psychiatry and legislation relating to Mental Health 
• Demonstrable ability to work independently with minimal consultant supervision.
• Experience in a multi-disciplinary team setting and with other agencies.
• Evidence of participation in Clinical Audit.
• Experience in working with substance misuse and mental health issues.

By supporting meaningful relationships with major donors and prospects (individuals, grant funders and corporate partners) this role will directly contribute to securing the transformational support needed to sustain the School’s excellence and ensure its legacy for the next century. SUMMARY OF THE ROLE:

This role will support the delivery of the Royal Ballet School’s mission to train and educate classical ballet dancers to the highest possible standards and to provide an accessible resource for students, teachers and the wider community.

As a key part of the newly formed Development Team, the post will be supporting the team with engagement, cultivation and solicitation of donors and prospects with a particular focus on those capable of making major gifts in the UK and internationally.

MAIN DUTIES:

Research and Briefings:

• Support with prospect research to identify and qualify potential funders (individuals, grant funders and corporate partners), both in the UK and internationally.
• Prepare high-quality briefing notes to support senior staff and trustees in donor meetings, cultivation activities, and solicitation efforts. 

Proposal and Presentation Preparation:

• Assist in drafting compelling fundraising proposals, presentations, reports and pitch materials tailored to potential supporters, ensuring alignment with the School’s values and funding priorities.

Administrative and CRM Support:

• Coordinate and minute internal team meetings and ensure actions are tracked and delivered on schedule. Act as Development lead on updating and maintaining the School’s CRM system with accurate and concise entries to track donor cultivation and stewardship, along with data import and export.

Corporate Partnership Delivery:

• Support the team to deliver corporate partnership benefits and reporting
• Support year round communications with relationship managers.

Meeting Support - Prospect Focus:

• Support the planning and delivery of cultivation meetings with prospective donors with a specific focus on the coordination of invitations, materials, and follow-up for prospects.

Proposal Tracking and KPI Reporting:

• Maintain up-to-date records of proposals submitted, outcomes, and timelines, ensuring timely follow-ups and contributing to performance reports.

How are staff supported to work remotely?

Reporting into the Challenge Events Manager, you’ll boost our ability to grow our portfolio of events and connect personally with the incredible people who support CALM on a day to day basis. 

The reasons people fundraise for CALM can be deeply personal. They might have lost someone to suicide, used our helpline for themselves or someone they know, or they might want to support a lifesaving service. By understanding what drives them, you’ll shape and deliver event experiences that feel meaningful and memorable, strengthen their connection to CALM, and inspire them to keep coming back for more. 

YOUR RESPONSIBILITIES

CORE

• Contribute to CALM’s fundraising targets, through excellent event delivery, relationship management and supporter care

• Ensure all supporters receive excellent care from CALM, as well as completing all assigned admin tasks with a high degree of accuracy

SUPPORTER ENGAGEMENT AND STEWARDSHIP

• Provide general support to the Challenge Events Manager with event day delivery as required

• Represent CALM at Challenge Events, including acting as an Event Day Lead, and attending wider CALM events

The Community and Corporate Fundraising Officer will develop and manage a strong pipeline of community and business supporters, combining excellent stewardship with proactive prospecting, networking and creative fundraising approaches.

Key Responsibilities

Corporate Fundraising

• Identify, develop and secure corporate partnerships, including Charity of the Year opportunities, sponsorships, payroll giving, and in-kind support.
