Job description
Job Purpose
Your role is an integral part of the central team with responsibility for procedures, systems that support the effective, efficient, and compliant managing of our premises, IT systems and some HR functions.
You will play a key role in delivering and maintaining our offices and facilities, and the IT services for the whole organisation alongside our retained IT consultants.
By providing high quality operational and administrative support you will play a critical role in ensuring the smooth operation of our organisation. You will do this by:
- Supporting the Director of Finance and Operations in delivering and maintaining effective operational function at the charity. Including but not exclusively, Health & Safety, Insurance, Premises, Facilities, Vehicle Management, IT and CRM system services.
- Improving existing office systems and identifying opportunities to develop new systems and processes to enable people to work more collaboratively, efficiently, and effectively.
- Coordinating and implementing efficient HR processes and record-keeping, including recruitment, onboarding and training of staff.
- Being the key contact for staff and volunteers for all IT and premises matters including induction and training.
- Providing management for the maintenance and smooth running of the physical premises of the workplace ensuring they are safe and equipment is available and in good order.
Key Tasks
Coordinate and implement processes that relate to our staff
- Support the coordination of recruitment, pre-employment checks, onboarding, induction and training processes for new staff.
- Maintain accurate records of staff annual leave, mandatory training, DBS renewal, appraisals, and probation reviews and liaise with staff/managers as appropriate.

Premises
- Act as the first line of support for premises and facilities across all our locations.
- Maintain secure and organised premises and facilities, which ensure colleagues, volunteers and visitors are safe and experience a welcoming environment.

- Help establish and maintain safe working practices and policies and undertake basic risk assessment
- Act as the first point of contact for equipment requests; including being responsible for issuing and returning stock, regular stock checks and ordering stock as required.

About the role

Your new role

Being a central part of our team, you’ll pull together up-coming promotional activities and ensure these materials are rolled out across our hospice sites and on our intranet. You’ll also be a keen team player – pulling together schedules and plans to keep marketing activity on track and rolling up your sleeves and getting stuck in to a diverse range of tasks. But don’t worry, we’ll be on hand to support you.
Some of the main responsibilities of this role include:
- Meet with patients, families, staff, volunteers and supporters to capture their stories and experiences for use across all our channels – this might be through written or video content.
- Build strong working relationships with departments across the organisation – you’ll often be the first point of call for marketing requests and support so a welcoming and supportive approach is essential.
- Monitor the main communications inbox responding to all requests in a timely manner and allocating incoming work across the team.

Providence Row Housing Association has been helping homeless people in East London since 1860. Our Senior Substance Misuse Worker works alongside members of the support team to create a safe and welcoming environment within a psychologically informed environment. You will contribute to the development of the recovery hub, by providing expertise in alcohol and drug misuse. Taking a lead role in delivering training/ advising staff on substance misuse issues, liaison with substance misuse agencies, facilitating multidisciplinary case conferences and negotiating access to detox and treatment services. Carrying out assessments of drug and alcohol usage with key clients, delivering brief and extended interventions, outlining risks, advice on harm minimisation and refer to specialist agencies.

The RSPCA Buckinghamshire South Branch
The RSPCA Buckinghamshire South Branch is one of the branches of RSPCA, but we are also a separately registered charity looking after animals in our local area. Much of the animal welfare work of RSPCA is carried out through local branches, which is run by volunteers who have the support of the National Society of RSPCA.
The main activity of our branch is specialised in the rehoming of small animals including cats, rabbits, birds, guinea pigs and hamsters. The animals come into our care from various sources such as those which are rescued, abandoned, neglected or given up by their owners. Each animal is medically and characteristically assessed to ensure it is fit and well before being available for rehoming. This all costs money, and could not be achieved without your support.
Job Summary
This role is responsible for the development, implementation and operation of appropriate financial and business management tools to support the day-to-day business and financial administration of the Branch.
Reporting to and working closely with the Chief Executive Office (CEO), you will be expected to make use of the full capability of the Branch’s existing software systems (Google Workspace, and Quick Books) to improve the efficiency and effectiveness of service delivery and develop management information to aid the Trustees & CEO in decision making.
You will be responsible for all financial management across the charity. This includes bookkeeping; financial statements; financial planning; financial policies, processes and controls and budgeting.
You must ensure that all activities are carried out in compliance with current legislation, Branch and Society policy, relevant Health & Safety regulations and any associated statutory or legislative requirements.
Note: Branch targets and budgets are agreed on an annual basis and these will inform the personal targets agreed at the annual performance review. Progress towards personal targets will be reviewed at regular one-to-one meetings with your line manager.
This role is home based, with occasional travel across South Bucks.
Principal Accountabilities
Financial Management & Operations

Support the CEO as a key strategic and operational partner, acting as second-in-command and deputising in their absence where appropriate.

Maintain all financial records and accounting systems (the Branch currently uses Quick Books accounting software), registers and statistics as required by the CEO & Branch Trustees.

Process, monitor, record and manage all receipts & payments to/from the Branch in accordance with the agreed procedures and in liaison with the appropriate staff and volunteers including weekly banking, cash handling, invoice creation and processing, Branch payments (including those made via credit cards and petty cash) and account reconciliation.

What You'll Do:
- Set up and manage tuition programmes for schools and Local Authorities and charities.
- Match tutors to students based on individual needs, availability, and subject expertise.
- Act as the main point of contact for families, tutors, school/LA staff, and link workers throughout each programme.
- Review EHCPs, student profiles, and supporting documentation to understand individual learning needs and tailor support accordingly.
- Respond to new tuition referrals and gather the information needed to plan appropriate support.
- Deliver tutor induction sessions to support onboarding and prepare tutors for their roles.
- Complete Risk Assessments prior to the start of each tuition programme.
- Share lesson feedback, gather input from stakeholders, and monitor student progress.
- Report on the impact of tuition and flag any concerns or areas for improvement.
- Attend tutor interviews and liaise with the recruitment team to fill roles.
- Troubleshoot and resolve issues throughout the day to ensure smooth programme delivery.
- Attend regular stakeholder meetings and share updates on student progress.
- Refer any safeguarding concerns to the Designated Safeguarding Lead (DSL).
We’re looking for someone who:
- Communicates clearly, empathetically, and professionally with a wide range of stakeholders.
- Builds trust and maintains strong relationships through consistent, responsive, and thoughtful communication.
- Is highly organised, with excellent attention to detail and the ability to manage multiple programmes and priorities at once.
- Stays calm and adaptable in a fast-paced environment, responding to challenges with confidence and a problem-solving mindset.
- Takes initiative to resolve day-to-day issues and improve systems and processes where needed.
- Is proficient in Google Sheets, Docs, and Gmail, and comfortable learning new digital tools.
- Has a genuine interest in education and in supporting students with diverse and complex needs.
- Has experience providing administrative or operational support to a team, ideally within an educational or youth-focused setting.
- Can work from our office in Angel, London four days a week, with the option to work remotely one day per week.
- Shares our commitment to safeguarding and promoting the welfare of children and young people.
Bonus if you have:
- Experience working with children with SEND, SEMH, and EHCPs.
- Knowledge of the UK education system.
- A background in teaching or coordination.
- Experience using tracking systems or CRMs.

About this role
This role is 20 hours per week, worked part-time over 5 days Monday-Friday. Suggested working times are 10am-2pm however this can be flexible for the right candidate. The part-time salary for this role is £16,250 (£26,000 FTE for organisation 32 hours working week).
The successful candidate will be required to undertake a range of office management and administrative duties to support Causeway’s housing and support functions. You will deal with ad hoc queries and be the first point of contact for external queries, and act as an everyday presence in Causeway’s office to support with office-based team members, visitors, contractors, and cover basic in-house IT support.
