To support the Finance team with efficient and effective financial processing and financial controls, by holding responsibility for the various admin tasks within the team. To maintain close working relationships with other AKF (UK) employees and provide cover of key responsibilities for the Finance Officer (Expenditure) and Finance Officer (Income).
KEY RESPONSIBILITIES AND CORE TECHNICAL COMPETENCIES
Financial administration
• Administration of the donations inbox, liaising with donors and prospective donors for simple queries. Ensuring good organisation of the inbox with a clear labelling system.
• Draft donation acknowledgement letters for donors to acknowledge donations received.
• Management of Raisers Edge donations management system, including:
review of potential duplicate donor records
ensuring documentation for Gift Aid donors
making edits and updates to donor records as and when required.
• Creation of a tracker for Raisers Edge issues to ensure these are managed and dealt with appropriately.
• Follow up with donors who have expressed an interest in Gift Aid.
• Liaising with the Comms team to ensure maintenance of supporters contact list.
• Digital archiving of paper-based records held within the Finance Department.
• Support Finance Managers with the organisation of the shared drive and the Sharepoint site.
• Management of Finance policy and procedure documents library on the shared drive, ensuring these are up-to-date and accessible to staff.
• Scan letters received for finance and deal with these appropriately (sharing with the relevant individual and/or filing on the shared drive).
• Download bank statements on a daily basis and save on the shared drive.
Financial controls
• Reconciliation of simple balance sheet accounts (e.g. petty cash, debit notes, deposit accounts) on a monthly basis. • Reconciliation of properties bank accounts and deposit accounts on a monthly basis.
• Support the Finance Officer (Income) with donations collections and trips to the bank to deposit cash and cheque donations, ensuring all cheques and cash received are banked promptly and securely.
• Provide assistance with the annual audit and the preparation of the statutory accounts, particularly with regard the provision of supporting documentation.
Financial processing
• Manage the corporate credit card process and user register, including onboarding of new users.
• Issue monthly credit card statements to staff members for their expenses submissions.
• Conduct first finance review of monthly credit card submissions and collate the supporting documentation submitted, ready for posting.
• Collate Out of Pocket expenditure claims and conduct a first review of these before processing by the Finance Officer (Expenditure).
• Support the Finance Officer (Income) with quarterly donor pledge statements process.
• Post property and Victoria Hall interest, bank sweeps, and charges into Business Central.
Supporting others
• Perform any other financial duties and responsibilities as assigned by the Financial Controller, Properties Finance Manager, Head of Finance and Operations.
• Supporting Finance Officers (Income and Expenditure) and covering key tasks in their absence
Qualifications
• Educated to A-Levels (desirable).
Experience
• Experience using Excel and MS Office suite.
• Flexible approach to working, able to pick up a variety of tasks/projects with minimal supervision; ability to anticipate issues or scenarios, and to address them proactively
• Experience of charity accounting and knowledge of such requirements (desirable).
Skills
• Highly organised with good administrative skills.
• Good interpersonal, customer care and liaison skills with a wide range of stakeholders.
• Fluent in oral and written English.

About the role

With the end of bear bile farming in Vietnam now within reach, Animals Asia is entering an exciting new phase – expanding sanctuary capacity, entering new markets, and securing long-term care for every rescued bear.
Animals Asia has spent over 25 years working to end cruelty and restore respect for animals across Asia. With teams in Vietnam, China, Hong Kong, the UK, and beyond, they combine advocacy, direct rescue, and sanctuary care to create systemic change. Their mission to end bear bile farming – arguably the world’s cruelest form of animal abuse – is almost complete. In November 2023, they opened their third bear sanctuary which will enable them to bring home every last bear and achieve their founding goal in Vietnam by the end of 2026.
Their global fundraising and communications team is driven, well-structured, and rooted in the charity’s deeply held values. Income has been steadily rising since 2017 and they have the people, plans and investment to maintain this growth.
The Trusts and Foundations function has grown substantially since being unified globally in 2020. Income has more than doubled, donor relationships are well-managed, and new business is actively developed. With a 2024 target of $1.3m and strong pipeline visibility, this role focuses on securing and stewarding 5- and 6-figure multi-year partnerships, with particular scope for growth in the US and unrestricted giving.

As Trusts and Foundations Manager, you will:
- Manage and grow a global portfolio of 5- and 6-figure funders, including multi-year partnerships

Role Summary
We are looking for a motivated and dynamic individual who is passionate about collaboration and community-led change. As a Fundraising Manager, you will be responsible for managing a mixed portfolio of supporters with a view to growing this pool to deliver a mixture of revenue which can sustain and grow our ambitions and work. This will involve taking responsibility for nurturing and growing an existing philanthropic pool of funders whilst identifying, cultivating and mapping new high value opportunities, in excess of £75k. For your portfolio you will manage donor acquisition strategies, proposal writing and stewardship and supporter journey planning.
The role involves securing funding from various sources, including trusts, corporations, and individuals, to support the charity’s mission. This includes developing and maintaining strong donor relationships, managing a portfolio of donors, and managing fundraising pipelines.

For a complex global organisation, we're recruiting a Director of FP&A. Partnerships Executive (Interim)
The Partnerships Executive plays a key role in developing CST’s commercial relationships. Their primary responsibility is to secure conference exhibition sales to meet budget targets and manage all aspects of the exhibitor experience from prospecting to on-the-day support, to post-event communications. They also manage listings in the Directory of Services and work closely with the Partnerships Manager to support the prospecting process.
Reporting to: Partnerships Manager
Key responsibilities
1. Ensure that exhibition sales targets are met for each CST conference.
2. Maintain the CRM for commercial organisations, including creating and managing prospect groups and executing effective exhibition sales campaigns.
3. Create and maintain relevant webforms.
4. Provide excellent end-to-end support for exhibitors, including in person at larger conferences to ensure that all exhibitors’ needs are met on the day.
5. Gather feedback from exhibitors on the quality of their experience and report on what worked well and areas for improvement following each event.
6. Maintain and update marketing collateral to support CST’s commercial activities such as brochures, floorplans, briefings and manuals.
7. Cross-promote the Directory of Services to exhibitors along with other opportunities to work with CST where relevant.
8. Manage the sales and onboarding process for the Directory of Services, including overseeing the references, undertaken by a third party, sending out agreements and liaising with the marketing team on the promotion of new suppliers.
9. Support the Partnerships Manager in the development of the commercial pipeline for CST partnerships by holding initial meetings with new prospects and identifying opportunities for engagement.

About the role:
This role will take the lead in seeking out new opportunities for growth across our membership, including acquisition and retention and will be responsible for developing and implementing new initiatives to reach ambitious targets, as well as ensuring our existing members receive an excellent level of customer service.
