Ashinaga UK is seeking a driven, proactive and detailed-oriented Operations Manager to join our team. This part-time role (4 days per week) is an excellent opportunity for a professional who thrives in a dynamic, mission-driven environment. The Operations Manager will play a key role in ensuring the smooth running of Ashinaga UK, supporting internal administrative, financial, compliance, student recruitment and programming functions as we aim to empower future Young Leaders for Africa through the Ashinaga Africa Initiative (AAI). Key Responsibilities 

• Work closely with the Managing Director to ensure efficient operations and resource management.
• Support the team in executing strategy, scholarship programmes, and fundraising initiatives.

Desired Criteria 

• Previous EA, Office Manager, Admin Manager, and/or Operations experienece
• Knowledge of charity law and regulations. 
• Bookkeeping and financial reporting experience.
• Experience coordinating or supporting with events, such as charity programmes, donor receptions, corporate sponsor events, and webinars.

Purpose of the Job

The role is a key part of the HFEH Mind team delivering mental health services across Hammersmith & Fulham, Ealing, and Hounslow.

The Volunteer Coordinator is responsible for recruiting, supporting, and retaining volunteers across the charity. You will ensure that volunteers have a positive experience, receive appropriate training and guidance, and feel valued for the time and skills they give. You will also work closely with staff to match volunteers to roles.

We currently offer three types of volunteering roles at HFEH Mind:

General/Key Responsibilities

• Interview, recruit, onboard, and induct new volunteers in line with organisational needs, maintaining around 50-60 volunteers across the charity.
• Work with staff to identify new volunteering opportunities and develop volunteer role descriptions.
• Work effectively to ensure volunteers feel a part of HFEH Mind and gain value from their time with us.
• Develop and maintain volunteer policies, role descriptions, and procedures.

• Develop and deliver engaging volunteer training, support sessions and recognition initiatives.

The Fundraising Executive (maternity cover) is a key part of our small but busy Community and Events Fundraising Team, leading on key fundraising events and activities, personally supporting individual fundraisers and giving support to the Senior Philanthropy & Partnerships Manager. The Role:

As the Business Support Officer, you’ll manage executive support, project administration, and meeting activities. Reporting to the Office Manager, you’ll ensure smooth operations across a variety of areas while contributing to the organisation’s mission and values of integrity, innovation, and inclusion.

Main responsibilities:

• Provide executive support to senior leadership, including diary management, travel coordination, and expense processing.
• Manage the administration of strategic projects, including tracking progress and coordinating regular updates.
• Support corporate governance functions, such as trustee recruitment, meeting preparations, and key events.
• Organise and facilitate office activities, such as team socials and wellbeing initiatives.
• Maintain essential office functions, covering for the Office Manager as required.

The Finance department provides the complete finance function which includes payroll to the whole organisation overseeing all the 165 services across England, addressing all issues and processing payments to meet the demands of staff and external agencies.

Reporting to the Director of Finance, you will be responsible for the ongoing development and implementation of the new itrent payroll system, configurations are as per the requirements of the organisation and ensuring that the project is completed on time and goes live successfully. You will be a confident communicator and comfortable working in a small team environment where priorities can change at short notice. 

Main Responsibilities:

• To work closely with MHR, HR Team and consultants to ensure that tasks are scheduled and completed to meet project timelines.
• To co-ordinate work with HR and Payroll colleagues to ensure all relevant payroll processes are captured, reviewed, and, where necessary or appropriate, changed to ensure they are fit for purpose with the new system.
• To be responsible and manage the configuration of the new modules, working with HR and Payroll colleagues, MHR and other consultants to ensure that it is configured to Family Action’s requirements and that the rationale and effects of our chosen configuration is clearly documented.
• To work alongside the HR Systems and Operation Managers to ensure that the HR and Payroll teams are trained and supported in the effective use of the system as pertains to their roles.
• To be responsible and manage user testing of the new system and any parallel runs as part of the implementation process.
• To act as the Payroll System Administrator for iTrent, taking the lead on technical functionality and expertise and liaising with MHR as required for technical solutions.
• To support the Payroll team with other ad hoc duties, as may be required for running an effective and efficient payroll system.

• CIPP qualified or significant experience working in Payroll in a Payroll  Manager or payroll system development and implementation role
• Significant experience using and administrating itrent payroll systems, including liaison with system providers.
• Experience of implementing payroll system(s).
• Experience configuring systems in accordance with specific and complex requirements.
• Experience leading on projects.
• An excellent in-depth knowledge and understanding of HR and payroll processes.
• Excellent attention to detail, with the ability to think creatively and decisively to solve problems.
• Demonstrable ability to build relationships and collaborate effectively, both internally within and across teams, and with external partners.
• An excellent understanding of payroll and related legislation, including pension, absences etc regulations
• A high level of proficiency using Microsoft Office, in particular use of Excel to manipulate data.

As EA to the Chief Operating Officer (COO), this role has a primary focus in providing comprehensive administrative support to the COO, in collaboration with the wider Directors’ office team and the COO’s direct reports.

A key organisational focus over the next year will be delivery of substantive capital and improvement works. The EA will play a central and strategic role in the organisation and oversight of the related administrative complexities.

In addition to having primary responsibility to the COO, this role will provide administrative support to the Legal team, including invoice and expenses management, and diary co-ordination where required.

The successful candidate will have the following: 

• Considerable experience in an EA / PA or senior-level equivalent administrative capacity within an Executive environment (business or charity sector)
• Exceptional administrative and organisational skills, with a focus on complex and strategic diary management
• Excellent communication (in all mediums), interpersonal, and organisational skills, including building and maintaining key relationships in a senior space
• Proven experience in safeguarding sensitive and confidential information accordingly, with a core understanding of prioritisation
• Experience in formal minuting and report drafting

The role is office based in Victoria and / or Paddington but requires travel across the borough of Westminster. 

Our client has an opportunity for a Housing Operations Officer to join their team and effectively manage their portfolio of properties. This is a varied role where you will get involved with rent accounts, tenancy signups, managing rent increases and general enquiries. This role also involves ensuring we are managing our portfolio based on contractual agreements as well as timely invoicing.

As a small team, you will be called upon to support with voids and repairs during times of team holidays and absence. 

With good general social housing experience, administration and communication skills you will be highly organised and have a meticulous approach to work, ensuring all records are accurately filed and kept up to date. You’ll have experience of working in an office environment and have good IT skills, including knowledge of Microsoft Outlook, Excel, Word and PowerPoint. You’ll be customer-focused with the ability to build working relationships with both internal and external stakeholders and be adaptable to any changes in the work priorities.
