Purpose of the Role:
Please note this is a detailed job description and many of the activities below do not take place everyday
This is a key role to work with an exciting community taking lead responsibility for the looking after key aspects of existing and new membership. You will be working alongside an experienced team supporting the Liberal Jewish Synagogue, the largest Liberal Synagogue in the UK, to be the best it can be.
Your role will touch all aspects of the synagogue with a particular focus on looking after new members, the membership process and members in general, acting as a key conduit to ensure that our members receive the best service we can provide. You will also ensure that ourCRM system is up to date and important data and information can be pulled form it.
You will support bereaved families in the immediate aftermath of a death by organising funerals, shivas and stone-settings.
Additionally you will support our Senior Rabbi in her work including diary management and ensuring, working alongside others, that life cycle and important religious festivals are being managed and delivered to the highest standards.
Senior Rabbi PA
Support the Senior Rabbi in all aspect of their work to include:-
o Administrative and secretarial support for the Senior Rabbi including correspondence, diary management and to act as their first point of contact for enquiries by phone, email and in person
o Liaise and work alongside the member of staff (Office Administrator) who is PA for the other Rabbis and supporting when necessary
o Meet with Senior Rabbi regularly to review weekly diary, plan for the future and complete event forms
o Work closely with the Office Administrator (who organises all internal and life cycle events) to develop efficient procedures, printing and systems to ensure organisation of all life cycle events (including baby blessings, Bar-Bat Mitzvahs, Kabbalat Torah, weddings and mixed faith blessings, conversion, admission ceremonies).
o Assist with planning and coordination of events generated by the Senior Rabbi
o Keep timetables of all life cycle events coordinating with office staff to ensure these events and linked celebrations are delivered effectively
o Keep a tracking system that logs where proselytes are on their conversion journey.
o Liaise with the LJS Community Care Co-ordinator and other contacts over pastoral and other issues being dealt with by the Senior Rabbi.
o Circulate the services calendar and the Bar/Bat Mitzvah schedule of dates
o Support the volunteers who coordinate the mitzvot
o Assist in the organisation of the High Holy Days particularly in co-ordinating all mitzvot
o Assist the Senior Rabbi and the office in the organisation of interfaith/multifaith and other events including the sending out invitations and co-ordinating response
o Ensure that thank you letters for donations, yahrzeits and other acknowledgements are prepared and signed by the Senior Rabbi
o Complete the weekly yahrzeit list
o Complete administration support for the Bereavement Support
o Any other duties which may be reasonably requested by the Senior Rabbi and Executive Director.
o Funeral Coordinator
o To co-ordinate the administration of funerals (burials and cremations) for members and non-members.
o To liaise with the family/estate, rabbis, funeral directors, cemetery/crematorium or others as necessary in making the arrangements.
o To provide details of cost to the person organising the funeral.
o To prepare funeral and related invoices in consultation with the Financial Controller.
o To organise consecrations and arrange interments of ashes and ordering of memorial plaques.
o To administer the burial of non-members, including preparing invoices and dealing with payments for the burials.
o To administer the allocation of graves, reservations and columbarium
o To prepare condolence letters for Rabbis.
o To send out electronic Bereavement Notifications
o To respond to requests from the public for plot locations and information on the cemetery.
o To provide annual statistical information on burials and cremations for Liberal Judaism and the Board of Deputies.
o To ensure and promote the maintenance of graves as requested by families
o Send out the biennial Memorial Service for the Loss of a Child and the Loss of the Prospect of a Child.
Membership Coordinator:
o Administer and coordinate the membership process from receipt of a new application including liaising with the applicant, the Financial Controller and the Rabbis
o Maintain the appropriate Council reports for new members and resignations
o Send welcome letters and packs to new members
o Send resignation letters to members
o Ensure the CRM (ShulCloud) system is up to date (training will be provided) with members’ details, and their journey through the membership process including adding new members, resigning members, changing their status in respect of age membership changes and so on.
o Produce ShulCloud (CRM) reports
o Ensure ShulCloud (CRM) is maintained and up to date
o Work closely with staff to support contact with members in respect of volunteering, marketing, High Holy Day ticketing, the creation of mail merges and the AGM
o Be a ‘superuser’ of the ShulCloud, working closely with the ShulCloud consultant, understanding and learning what the system can do and supporting others to use it.
o Work alongside other areas that involve links to membership i.e. education

Personal Specifications:

Barnardo's are recruiting a Single Point of Access (SPA) Administrator for our exciting innovation research programme Generation PMTO (Parenting Management Training Oregon) service delivered in the UK for the first time.
Barnardo's approved for this 3 Year trial introduction of an innovative parenting programme (Generation PMTO- Parent Management Training Oregon) into the UK. Well tested around the World although this is the first time it is being trialled in the UK. The programme is for parents of children aged 8-14 who may be susceptible to serious youth violence if the parents are not given support. The programme is built on a strength based, solution focused, positive parenting model giving parents the tools to be the change makers in the family.
This is a three-year trial that will require flexibility and energy from the entire team, the project is evolving, and the team are currently in the pilot stage. The partnership is complex, involving three boroughs, the Ending Youth Violence Lab, Barnardo's, and GEN PMTO. A significant amount of time will be dedicated to liaising with various partners and borough stake holders, coordinating meetings, and establishing agreed ways of working.
Working in close partnership with the parents, the GEN PMTO trainers, the funders (Youth Endowment Fund), the evaluators (Ending Youth Violence Lab) and three boroughs chosen to trial the programme (BRENT, Tower Hamlets and Barking and Dagenham), we will focus on building stronger families and improving children and young people's life chances.
The post holder will be an integral part of the team to ensure smooth operational and business underpin. The role will require a good level of the following skills and abilities, do you have?
- Proven office experience with competence at organising meetings and taking minutes as required.

About the Role
We are a hardworking organisation, seeking to promote the positive contributions and achievements of young people through the grants we make and the programmes that we run.
We are looking for a dynamic, highly organised, enthusiastic and efficient person to join us to provide effective administrative and database support for the organisation and to help to ensure the smooth running of JPF’s grants programmes. The post holder will be a member of the Operations Team and will be required to work closely with colleagues across the Foundation.
Purpose of Job
To provide comprehensive administrative support to the Operations Team at the Foundation, with a focus on maintaining accurate records, coordinating administrative processes and database management, supporting financial operations, and ensuring the smooth running of the office.
This role is essential to the delivery of the Achievement Award Scheme and other JPF grants and programmes.
Main Areas of Responsibility:
The Operations and Database Administrator will be responsible for supporting the Operations Team.
The primary duties are:
1. Administrative support for JPF’s Achievement Award Scheme and other associated grant programmes
1.1 Support the Operations Officer to prepare and send Achievement Award (AA) materials to all new joiners and organise the general AA mailouts twice a year.
1.2 Manage the JPF general email accounts ensuring that all emails/correspondence are forwarded to the relevant staff member.
2. Database and information management
2.1 Maintain accurate records on JPF systems, particularly the Salesforce database.
2.2 Support the Operations Officer to run periodic data checks on the database and correct identified errors.
2.3 Generate lists and reports from Salesforce, as required, deleting those that are no longer required.
2.4 Assist the Operations Officer with other database tasks e.g. setting up and amending other grant processes in our database such as online application forms, report forms, requirements from grantees, amending email templates, setting up automations, etc.
2.5 Support Head of Operations with maintaining up-to-date organisational policies and procedures.
3. Finance and payment support
3.1 Process weekly payments under the guidance of the Finance and Operations Manager.
3.2 Reconcile company credit cards for senior management approval.
3.3 Ensure that bank details for organisations are correct within Salesforce.
3.4 Respond to general finance enquiries and support the Grants Officers recording returned payments accurately.
4. Programme administration
4.1 Assist in the administration of the Internship Programme, other partnerships, IGFV or Open Grants programmes as required.
4.2 Ensure accurate records of all grant applications and reports for all programmes.
4.3 Lead the coordination and distribution of partner programme materials to JPF partners ahead of the academic year.
4.4 Maintain stock control of all JPF AA materials, advising the Finance and Operations Manager when stock requires replenishment.
5. General IT and administrative duties
5.1 Liaise with JPF’s IT providers to ensure seamless IT support for staff and onboarding/offboarding processes.
5.2 Maintain sufficient office cover and manage staff attendance using the Microsoft Teams calendar.
5.3 Distribute daily post and manage general incoming communications efficiently and update contact information in Salesforce.
5.4 Maintain a tidy and well-functioning office environment, including shared spaces and meeting spaces.
5.5 Organise refreshments and ensure room set-up, including technology requirements, for meetings and events as required.
5.6 Arrange for staff photos to be updated on the staff noticeboard and JPF website.
5.7 Complete stationery orders and ensuring that supplies are maintained.
5.8 Maintain inventory of AA and LA medallions and coordinate reorders with the Events Team.
5.9 Oversee the circulation of staff birthday cards, collections and staff celebrations where required.
6. HR and onboarding support
6.1 Support recruitment administration and onboarding processes, including office set up for new staff.
6.2 Lead induction and office set up for work experience placements and other volunteers or contractors.
6.3 Maintain the JPF telephone directory, ensuring staff mobile numbers are current and accurate.
6.4 Administer DBS checks for new staff as required.
6.5 Monitor Cyber Security Training completion and report non-compliance.
6.6 Purchase the weekly supply of fruit, milk, coffee, tea and other supplies for the JPF kitchen.
7. Other Responsibilities
7.1 Attend and actively contribute to Operations and wider JPF Team meetings.
7.2 Provide telephone and email support to enquirers on JPF funding streams.
7.3 Adhere to the Foundation’s policies and procedures, including Safeguarding, Health and Safety, Data Protection, and Publicity Consent.
7.4 Provide cover for reception as required.

Reporting to the Supporter Care Manager, you will work alongside a small team to take responsibility for the delivery of a high standard of customer care and operational support that ensures our supporters are at the forefront of everything we do. In this role you will:
- Import and process financial data and maintain the fundraising supporter database.
- Provide excellent customer service while managing enquiries, donations and complaints by phone, post and email.
- Work as part of the team to provide relevant admin support and contribute to the development and maintenance of team processes.
In this role you will be required to work flexibly for at least 2 days per week from our Central Office in Tower Hill, London. This allows for training, in person collaboration, team building, line management and other relationship building opportunities. We support a flexible approach to work with opportunities for agile working for the rest of your week; from home, or other St Mungo’s London or regional locations.
About you
We are looking for a proactive individual who can demonstrate relevant experience of customer or supporter care administration and experience of using CRM databases such as Raisers Edge.
You will have strong organisation skills, a keen eye for detail, the ability to work independently and be able to prioritise a mixed workload. You will be a great communicator, able to build good relationships quickly with external supporters, internal stakeholders and have an interest in working collaboratively alongside a passionate team.
