ABOUT THE ROLE

The Head of Operations and Development (HOD) will play a pivotal role in taking our work to its next stage, helping us deliver even greater impact across our community.

With ultimate decision making responsibility for the charity the HOD will work alongside the Head of Counselling and Head of Training,  overseeing the smooth running of day-to-day operations at the Centre while also nurturing opportunities for commercial growth by supporting the fundraising strategy and targeted expansion of our service offering.

ABOUT YOU

Time & Talents is a lively, busy community centre in the heart of Rotherhithe, SE16.  Set in a leafy heritage building, and ‘T&T2’, our second venue in Surrey Quays Shopping Centre, we offer something for everyone. With a history of 137 years of supporting people of all ages in Rotherhithe and Bermondsey, we bring people together for mutual support, fun and friendship with a wide range of services and activities for older people and other adults, along with volunteering and children and families’ projects.

T&T has grown substantially over the last 5 years, and we are in an exciting time for the charity. We are reviewing our long-term aims and changing local needs to ensure  programme delivery continues our extensive track record of positive outcomes. Our role is to champion the specialty, set standards of training and practice, and influence change to make a difference to the lives of patients with eye conditions.

Job Purpose

The National Ophthalmology Database (NOD) is a core Department workstream using clinical audit data to identify improvements and provide advice, to inform patient care, safety, and service delivery. This is a new role working with internal and external stakeholders to coordinate and support the programe manager to deliver activities of the NOD. The post requires strong attention to detail and excellent organisational skills. The role will be responsible for all aspects of project support and day-to-day management of the NOD website, including implementation of new developments with the supplier and analysis of usage to suggest areas for improvement.

Main Areas of Work and Responsibility

• Assist the NOD Manager in project planning to identify and track deviations from the project plan and budget, identifying and logging any risks and issues, and improving project procedures
• Support the NOD Manager with administration, project outputs, applying and explaining the information governance, outlier, and other project policies to stakeholders
• Management of the NOD website including liaising with the website supplier, working with the NOD Manager to develop a content schedule, editing content, assisting users with queries, authorising user access
• Review and analyse website performance and make recommendations for improvement
• Lead and manage the delivery of specific workstreams as agree with the NOD Manager
• Administer virtual and in person meetings, preparing agendas, taking minutes, following up actions
• Liaison with the project teams and RCOphth functions e.g. policy and communications team  
• Process and respond to incoming correspondence, providing information and guidance to stakeholders and project participants
• To maintain and update audit contact databases (Microsoft Excel and CRM) assisting with its ongoing development and testing.

Organisation Overview

CDS UK (the Clinic for Dissociative Studies) is a psychotherapy service, established 25 years ago to provide assessment and long-term specialist outpatient treatment to people with dissociative disorders. Its patients have often suffered the most extreme forms of abuse over a long period, and represent one of the most vulnerable and complex client groups. CDS UK is a Charitable Incorporated Organisation (CIO) and an Independent Provider to the NHS, and is subcontracted by NHS commissioning organisations nationally on a discretionary perpatient basis, where local mental health services are unable to provide appropriate treatment. CDS UK has a small core team of employees, mainly based around London, and a larger group of associate therapists, support workers and supervisors working throughout England and in Scotland. The organisation has seen steady growth in referrals over the past few years.

Job Summary

One of the key elements of the role will be to manage a caseload of referrals from receipt of referral through to submission of funding application and referral outcome. The postholder will be one of two people within CDS UK’s core team with responsibility for this. 

There will also be an allocations management function, involving matching new (and/or existing) patients with suitable clinical staff, usually from within CDS UK’s group of associates, but sometimes via the recruitment of new practitioners.

The role will include a range of other tasks key to the successful functioning and development of CDS UK. Amongst these are maintaining a log of, and costing where appropriate, allpotential service developments (from requests for training to submissions to funders), developing reporting from basic information systems, checking and sending of patient progress reports and monitoring of patient funding. They also include developing our outgoing communications – such as via our website – and helping to explore opportunities for developing our charitable arm.

As part of our small Business and Administrative Team, the role will encompass some ad hoc administrative tasks, and may require delegation of some tasks and/or some line management duties as required.

The post-holder will work on their own initiative and independently deal with issues of workload and problem-solving, becoming a specialist in their areas of work within an agreed period, supported with appropriate training if required. This role is for someone who can support the Finance Systems Manager and Finance Systems Analyst to provide robust, reliable finance systems and applications for use by the organisation, ensuring the security and integrity of all financial data held. This role contributes to the Finance Systems Team vision to support and encourage an environment of continuous improvement. You will be responsible for routine tasks and the first point of contact in the team for non-Finance users’ support queries.

The Responsibilities

• Process regular Supplier updates following the completion of the Supplier Engagement Process
• Process regular Project and Cost Centre updates following the completion of the Project Maker App
• Produce Supplier reports to the teams for their action
• Process regular updates to the financial software (Dimensions) for the Financial Controllers (referred to as Mtab updates) and linking to the Power Apps for each Entity
• Checking, refreshing and syncing App Libraries – Checking that automated scripts have run and initiating others that are not covered by automation or other routine tasks
• Data cleansing associated with the above processes and other datasets
• Monitoring and triaging user support requests
• Diagnosing user support requests, allocating them to correct tasks and monitoring progress where needed.
• Monitoring and updating approval routes, financial data, supplier records, and SharePoint documents
• Setting up and maintaining users in the finance systems and applications
• Assisting users in navigating the finances systems and applications
• Training users in the finance induction and for ad hoc needs
• Provide support to the Processing Team with pay run queries and other controls
• Provide support to the Reporting Team (for example, journal processing, fixing reporting issues) as agreed with your line manager
• Assist the Finance Systems Team in tidying up SharePoint folders and structures
• Produce procedures in an accessible format for new staff in the Finance Team and for users outside of Finance
• Support the Finance Systems Manager in the administration and maintenance of all existing finance systems, processes, and online tools/applications
• Responsible under the supervision of the Finance Systems Manager for the management of financial data and its integrity
• Any adhoc or project related tasks requested by the Finance Systems Manager

The successful candidate will have excellent administration skills, with a minimum of 2 years experience, and will be engaged in the Christian faith and excited by the aims of the organisation.

Objectives/Key Tasks:

To provide event and project-specific administrative support in an accurate, timely and professional manner, including:

• Planning and co-ordinating multiple programmes, to ensure milestones are met to an excellent standard
• Conducting research, assembling and analysing data to prepare reports and documents
• Preparing and editing written correspondence, communications, presentations, publicity etc
• Managing booking and registration processes
• Managing and updating various databases on a regular basis
• Onsite event management; helping set up and run events as well as providing delegate support
• Providing customer service support, via phone and email
• Managing and maintaining schedules, appointments and travel arrangements
• Arranging and coordinating meetings, including minute taking
• Reviewing operating practices and implementing improvements where necessary
• Processing expenses and maintaining project budgets in liaison with the Finance Manager
• Providing administrative support to the Director and all projects and events undertaken by NJC
• Website oversight and any other duties as required

Salary: £33,926 per annum (5 days)

Location: Hybrid. The post holder will be contractually based at Hospice House,Kings cross London. This role is eligible for the Hospice UK Hybrid Working Arrangement from the start of employment.

Our office is a short walk from King’s Cross station in London. For this role, we need someone to come into the office at least one day a week, on a Tuesday. A day where all of Income Generation come into the office. You can work remotely for the rest of the time. Equally, you may prefer to work from the office full-time. We encourage all colleagues to visit member hospices to help inform our work and you may be able to work from there.

We are a team of three that sit within the wider Income Generation and Grants directorate. The Compassionate Employers team includes the Compassionate Employers Programme Lead, Corporate Development Manager and the Compassionate Employers Executive.

Working together, we aim to support employers who need our workplace services, ultimately raising funds for hospices throughout the UK. 

The Compassionate Employers programme and this role sit within our Corporate Development Team, within Income Generation and Grants. Compassionate Employers is a key part of Hospice UK’s Income Generation strategy. 

Our Corporate Development Team works closely within and across the department. The focus in the team is on building partnerships with businesses, through commercial activity, fundraising or strategic support. Current corporate partnerships include several ‘charity of the year’ relationships, conferences and events, sponsorship, cause-related marketing partnerships, a supplier directory and a jobs board. As well as driving positive change for people affected by terminal illness and bereavement in the workplace, Compassionate Employers is an important income generation stream and ‘door-opener’ for Hospice UK.
