An exciting opportunity has arisen for an HR Administrator to join a highly regarded not-for-profit organisation. This is a full-time, 12 month fixed-term maternity cover contract based in London, providing essential administrative support to the HR team to ensure the smooth running of all human resources processes and the employee lifecycle.

Key responsibilities of the role:

• Act as the first point of contact for HR and recruitment enquiries, delivering excellent customer service to staff, volunteers, and external stakeholders
• Coordinate recruitment processes, including preparing job adverts, supporting managers with documentation, liaising with candidates and agencies, managing the applicant tracking system, arranging interviews, and issuing offer letters
• Support onboarding processes by preparing contracts, arranging and delivering inductions, setting up new starters on the HR system, and issuing confirmation correspondence
• Administer employee relations and benefits processes, including managing staff changes, leavers, annual leave queries, absence monitoring, and renewals of checks and registrations
• Maintain accurate HR records and databases, run reports, update intranet pages, and ensure compliance with GDPR requirements

Ideal candidate profile:

• Previous experience in an administrative role within a busy team, ideally within HR
• Strong IT skills, including MS Office (Word, Excel, PowerPoint) and experience with HR databases
• Excellent attention to detail, organisation, and ability to prioritise effectively
• Strong interpersonal and communication skills, with the ability to work collaboratively across teams
• Proven ability to manage sensitive and confidential information with discretion
• Proactive and self-motivated, with a positive approach to work
• Experience of working in the charity or clinical sector is desirable

• Develop criteria for planting locations for the hedgerows and engage landowners in identifying / agreeing sections of hedgerow for planting.

• Use these criteria to develop a best practice guide for hedge planting and after-care, to support landowners, community groups and others in maintaining their newly planted hedgerows.

• Communicate with wider supporters/stakeholders such as schools, colleges, parish councils and community groups with an invitation to plant hedgerows.

• Contribute to the production of a detailed publicity programme aimed at publicising the Hedgerow Heroes project, recruiting support, securing additional plants, acknowledging partners and the funder.

• Provide a monthly report for partners, the funder, trustees and colleagues.

• Attend regular project meetings with our National Office (online).

Planning and Delivery

• Timetable and map the days where hedgerows will be planted and/or restored.

• Keep to the project budget and record expenditure.

• Secure the equipment from the project budget.

• Ensure plants, equipment materials (i.e. stakes and binders) and risk assessments are all in place for each day.

• Liaise directly with the various parties involved in this project, including professional hedgerow planting trainers instructing courses, volunteers, landowners, community groups and other relevant organisations.

• Oversee and attend each planting day.

Job Purpose

Your role is an integral part of the central team with responsibility for procedures, systems that support the effective, efficient, and compliant managing of our premises, IT systems and some HR functions.

You will play a key role in delivering and maintaining our offices and facilities, and the IT services for the whole organisation alongside our retained IT consultants.

By providing high quality operational and administrative support you will play a critical role in ensuring the smooth operation of our organisation. You will do this by:

• Supporting the Director of Finance and Operations in delivering and maintaining effective operational function at the charity. Including but not exclusively, Health & Safety, Insurance, Premises, Facilities, Vehicle Management, IT and CRM system services.
• Improving existing office systems and identifying opportunities to develop new systems and processes to enable people to work more collaboratively, efficiently, and effectively. 
• Coordinating and implementing efficient HR processes and record-keeping, including recruitment, onboarding and training of staff.
• Being the key contact for staff and volunteers for all IT and premises matters including induction and training.
• Providing management for the maintenance and smooth running of the physical premises of the workplace ensuring they are safe and equipment is available and in good order.

Key Tasks

Coordinate and implement processes that relate to our staff

• Support the coordination of recruitment, pre-employment checks, onboarding, induction and training processes for new staff.

 Premises

• Act as the first line of support for premises and facilities across all our locations.

About the post 

This exciting role would mean joining Refugee Action at a crucial point in the charity’s 40-year history, full of opportunity and potential. You will use your creative skills to support the creation of innovative digital content to engage and mobilise existing supporters and add to Refugee Action’s rapidly growing audience.
