We are currently recruiting for an Operations Officer to lead on administrative support to the charity under the direction of the Project Manager, supporting on engagement with various stakeholders and networks. The goal of the post is to ensure that The Welcome Directory can effectively develop the reach of our work and achieve exponential growth, by maximising administrative efficiency. 

Whilst this is a 6-month contract, there is the potential to extend where funding permits.

The role will include:

Leading on operational projects, including:

• Faith community engagement
  • Processing faith/ belief community registrations and maintaining records
  • Approaching existing and prospective faith/ belief communities, including follow up to the annual survey and periodical team campaigns
• Assisting with the production of the annual physical directory
• Co-ordinating the annual Affiliates Scheme
• Researching new initiatives or solutions

Supporting events, including:

• Support in the administration of the online Prisons Awareness Course and other webinar events, including technical support
• Planning bi-annual team days and any one-off events, in consultation with the Project Manager
• Planning bi-annual team campaign periods, in consultation with the Project Manager and Monitoring & Evaluation Officer
• Preparing resources and/or PowerPoint presentations and booking logistics, in consultation with the Project Manager and the Communications & Fundraising Officer

Leading on administration, including:

• Answering phone, email, and letter enquiries
• Purchasing of supplies and dispatch of resources
• Co-ordinating and setting up meetings
• Collating routine data and creating trackers to support operations
• Creating an annual team planner
• Taking minutes at specific meetings

Job purpose:

The External Affairs Manager will work closely with the Director and provide vital support to NACCOM and its members by: 

• Ensuring the strategic planning, management and alignment of communications, policy, research, campaigns, and advocacy as part of the External Affairs function at NACCOM. 

• Ensuring NACCOM’s external affairs functions feed from and into our network development work and our Community Ambassador / Research programme 

• Growing and safeguarding NACCOM’s brand identity, integrity and strategic positioning across all our external channels, networks and audiences. 

• Line-managing and supporting the Policy and Research Co-ordinator, Community Research Facilitator and part-time Communications Co-ordinator (currently covered by a freelancer) as well as managing any external consultants NACCOM works with across the External Affairs function.

MAIN DUTIES

• Resident engagement, taking and responding to residents’ calls, ensuring that all such engagement is documented on the Goulden House Resident Engagement Database
• Updating the Goulden House Registers (Risk Register, Complaints Register, Anti-Social Behaviour Register, Intercom Databases etc)
• Raise Works Orders and Purchase Orders and services on SAGE as per Estate Manager instruction

Finance Manager

Advocacy After Fatal Domestic Abuse (AAFDA) was founded by Frank Mullane in memory of his sister Julia Pemberton and her son Will who were both killed by her ex-partner in 2003.  

Each year, around 150 families lose a loved one to domestic homicide. The actual number of suicides as a result of domestic abuse remains unknown. AAFDA’s prime function is to provide families in England and Wales with specialist peer support and expert and specialist advocacy for the range of statutory reviews that will take place after domestic homicide.

As a growing charity, AAFDA is looking for an exceptional candidate to join our supportive team and lead our finance and resource management functions. The role will provide and manage the HR, administration and finance activities of the charity and sit within the Senior Leadership Team.

ROLE OVERVIEW

AAFDA (Advocacy After Fatal Domestic Abuse) is a growing Charity and to meet the demands of this growth, we are looking for a full time Finance and Resources Manager to join our team.

MAIN PURPOSE OF ROLE

To work with the Board, CEO and Deputy CEO to ensure efficient and effective financial management, including setting and monitoring budgets, producing financial reports, and overseeing day to day financial management, including payroll and bookkeeping via Quickbooks, and providing advice and guidance, to inform the development and delivery of AAFDA’s strategy and business plan.

To work with the CEO and Deputy CEO to ensure that AAFDA meets its funder obligations, including reporting on time, gathering data from across the team and compiling reports for CEO/Deputy CEO sign off.

To work with Trustees and staff to ensure AAFDA fulfils its legal and regulatory requirements, including; coordinating the implementation of health and safety, GDPR and other policies and procedures; leading on human resources support; and overseeing office management and IT. Note that specialist HR advice and support and IT are provided to AAFDA by external contractors.

The role provides and manages the HR, administration and finance activities of the Charity and sits within the Senior Leadership Team.

KEY AREAS OF RESPONSIBILITY

· Ensuring the day-to-day financial and accounting operations (Quickbooks) are delivered and maintained.

· Administering and managing Payroll, expenses, Accounts Payable and Accounts Receivable, managing the bank including reconciliations and other financial management.

· Managing AAFDA’s budget planning, monitoring and review and year-end accounts processes.

· Meeting AAFDA’s funder reporting deadlines, including oversight of the compilation of information for the funder and the provision of financial reports.

· Supporting the development of AAFDA’s strategy and business plan including providing financial projections and conducting risk analysis as and when required.

· Ensuring effective day-to-day management of book-keeping and financial administration.

RESPONSIBILITIES

Finance:

· In conjunction with the Leadership team, undertake regular finance operational duties including;

- Preparation and setting of a three-year outline budget to accompany AAFDA’s three-year strategy.

- Preparation and setting of the annual budget.

- quarterly reviews – including cashflow and operational re-forecasts.

- Monthly management accounts and variance analysis.

· Prepare quarterly finance reports for the Board, including variance analysis, re-forecasts and ad-hoc reports, as necessary.

· Assist the third-party accountant with the preparation of year-end accounts.

· Manage and operate the internal finance and accounting systems and databases.

· Oversee delivery of payroll, through the use of third-party providers software and using the staff time management recording system.

· Manage all staff expense systems and ensure compliance with relevant AAFDA policies.

· Manage and operate a purchasing system and ensure appropriate levels of pre-expenditure financial authorisation are in place and followed and that suppliers are paid on a timely basis.

· Ensure that all receivables are billed and collected on a timely basis.

· Be the main contact with and management of, the day-to-day operations of the Charity’s banking arrangements, seeking secondary authorisations where required.

· Ensure compliance with HMRC, including monitoring VAT threshold, tax and gift aid, and undertake necessary returns where necessary.

· Commission specialist VAT and other financial advice as required and in conjunction with the Board and CEO/DCEO.

· Support and advise the Trustees, CEO, Deputy CEO and other Leadership Team colleagues with financial forecasting/planning, and allocation and funding of staff and other resources.

· Support Fundraising staff with preparing and managing grant applications and project budgets with the aim of ensuring a minimum of full-cost recovery and provide financial implementation data to enable the Charity to comply with any grant reporting obligations, including by creating and maintaining records of costs by grant received.

Effective Organisational Administration

· Oversee policy and procedure development and implementation, including safeguarding, data protection, Health and Safety, complaints, etc, in conjunction with other Leadership Team members.

· Conduct horizon scanning and recommend opportunities to revise policies and procedures to ensure legal/regulatory compliance and/or in line with best practice.

· Review, improve and ensure implementation of project management processes.

· Ensure appropriate equipment and infrastructure resources are in place for staff, volunteers and Trustees.

· Ensure insurance is in place for all activity and potential organisational risks.

· Continually improve and manage operational costs and budget.

· Collaborate with colleagues to ensure optimal use of the AAFDA customer relationship, case management, time recording, expense management and other operational systems.

About the role

As PA & Events Assistant you will:

• Manage diaries and inboxes for Senior Leadership Team (SLT) members, scheduling meetings, appointments, and ensuring timely responses to correspondence.

• Coordinate travel arrangements, prepare meeting agendas, and take minutes as required.

• Oversee general organisational inboxes (e.g., info@), ensuring prompt and appropriate responses or delegations.

• Maintain organised records of communications on our CRM and follow-up actions.

• Manage guest lists for all events, including invitations, RSVPs, and attendee communications.

• Own and update action trackers for key events, ensuring tasks are completed on schedule.

• Liaise with event suppliers and coordinate logistics to ensure successful event delivery.

• Support the maintenance of our volunteer database and for events ensure volunteers are engaged and recognized for their contributions.

• Recruit and coordinate volunteers for events.

• Organise and manage internal social events and initiatives, such as staff socials and the buddy system.

• Support the day-to-day office facilities, including maintenance requests, supplies inventory, and liaising with service providers.

• Assist with financial tasks such as processing invoices and volunteer expense claims. 

• Manage the inventory and fulfillment of merchandise orders, ensuring timely delivery and accurate record-keeping.

• Maintain accurate records of donor interactions and funding outcomes on our CRM.

About you

Based within easy commuting distance of our office in Westminster, our ideal candidate would have some experience of being a PA and event organisation.

Woman’s Trust was established almost thirty years ago and is the leading specialist in mental health services for women. About the role

As our Temporary Finance Manager, you will be managing a finance assistant and will be part of our organisation’s Senior Leadership Team, helping to collaboratively shape and steer the charity as we work towards our 2022-2027 strategy. The Finance Manager is at the heart of Woman’s Trust; you will play an essential role and have oversight of not just the finance team - you will have direct exposure to CEO/Board Members and decision-making for the future of the organisation. 

We are looking for a highly motived Temporary Finance Manager with demonstrable experience working in a similar senior level role. You’ll be a fully or part qualified accountant e.g. CIMA/ACA/ACCA/Cipfa, with a thorough understanding of charity accounting.

Hours: Part-time, 28 hours per week.

Contract: Fixed term to start ASAP until 18th December 2025.

We provide impartial and independent information and listen to those affected by cancer to ensure that they are supported.  We signpost to other charities and support groups, share information, recruit for research studies and share stories via our monthly newsletter.

As manager, you will be instrumental in ensuring we reach our goals, by building relationships with other charities, organisations and diverse groups, recruiting volunteers, working with our board of trustees, working in partnership with the WYHCA, and line management of our two staff members  – Patient VIEW coordinator (FT) and administrator (PT).

Location: Home based - the charity covers all of Yorkshire and the Humber but the main projects and focus are currently within West Yorkshire and Harrogate areas and the postholder will be expected to travel to meetings and events

Key Tasks

1. To engage, manage and supervise Cancer Champions for the delivery of the Cancer SMART  programme with collaboration between Yorkshire Cancer Community and West Yorkshire and Harrogate Cancer Alliance.

5. To work with the Board of Trustees to support the governance of the charity which will include the preparation and management of trustee meetings, contribute towards Business planning and unding strategies.

6. To provide supportive supervision to the Administrator and Patient View Coordinator
