This role is critical to supporting a highly performing group of staff and trustees as we seek to transform lives through the prevention and treatment of blindness. This role will sit within the Business Support Team, which is responsible for the day to day running of the organisation and will be crucial in creating a revised HR strategy and ensuring that the organisation’s compliance with key statutory and regulatory requirements are maintained at all times. The successful postholder will work collaboratively with the Director of Finance and Operations to meet these objectives, but also will have a central role in identifying opportunities for growth within the HR and Governance function to ensure that good practice, wellbeing and compliance work hand in hand with one another and is embedded within the ethos of the organisation for the benefit of its staff and, ultimately, our beneficiaries.  

In addition, the successful postholder will work with the Board of Trustees to provide Executive Assistant level support to enable the Board to meet its obligations and to ensure that they can conduct the business of the charity in the most efficient and effective manner. You will be privy to sensitive and confidential information, attending meetings in order to take summary minutes and provide clerking services, including the issuing of papers, monitoring Companies House and Charity Commission requirements and acting as counsel to the Senior Management Team and the Board, where appropriate.

You will line manage and work with the Business Support Administrator, also a new post, that will provide support to you and the wider staff team. The recruitment of both these posts simultaneously provides a unique opportunity to a new postholder to shape this role and set out the strategy for this directorate and take ownership of demonstrable change within the organisation.

We are looking for someone who has a Level 5 CIPD or equivalent qualification with demonstrable experience in supporting and developing a HR strategy and/or working at an EA level working with senior executives across different sectors. Knowledge of the NGO sector is desirable, but we are open to applications from across disciplines and expertise if you can demonstrate your aptitude for the role with a hunger to learn or for someone who is keen to translate their HR experience into this broad and interesting role.

The main responsibilities of this role include:

- To line manage and work with the Business Support Administrator and to provide a responsive problem solving and supportive HR service to managers across the organisation.

- To support and advise the Senior Leadership Team to develop and deliver a strong HR strategy embedding best practice while continuing to build a positive, inclusive and high performing culture strongly aligned with Orbis’s values.

- To support the Director of Finance and Operations (DFO) to provide high-quality, responsive and effective support to the Orbis Board and its sub-committees.

The Finance & Administration Officer will work under the leadership of the Director of Finance & Administration.

Responsibilities 

Financial & Grant Coordination

• Support Epic’s bi-annual grantmaking process, including but not limited to drafting and distributing grant agreements and archiving documentation.

• Manage the process of financial reporting from Epic’s portfolio organisations, coordinating with the Operations and Programs teams to verify compliance with Epic’s reporting requirements.

• Assist with administrative monitoring of supported organisations, including data collection and documentation management.

• Process invoices and reimbursements, maintaining accurate payment trackers and supporting financial operations.

• Collect, organise, and archive invoices and accounting documentation to ensure financial compliance and efficient record keeping.

• Initiate bank transfers in the absence of the responsible person.

• Review donation records in Salesforce, help reconcile them with the accounting records, and ensure supporting documentation is complete and properly archived.
   

HR admin & Payroll Management

• Maintain and update HR policies, including the Employee Handbook, ensuring compliance with labour laws and regulations in the UK and France.

• Manage employment contract administration for employees, interns, volunteers, and consultants or any other type of contracts across France and the UK, ensuring compliance with relevant legal frameworks.

• Manage payroll for France and the UK directly through the PayFit payroll platform, ensuring accuracy, timely processing, and compliance with local employment and tax regulations.

• Coordinate relationships with external benefits and training partners (e.g. healthcare providers, occupational health department (France), and training bodies.

• Support managers with recruitment and onboarding processes across teams (distributing screening questionnaires, preparing onboarding plans, coordinating onboarding logistics, etc.).

• Manage administrative onboarding and offboarding for employees, interns, and volunteers, ensuring a smooth and well-structured integration and offboarding process. 

• Help organize team trainings and monitor individual staff trainings.

• Manage and update workplace risk assessments.

• Help manage all other obligatory processes stipulated by the labour code.

Operations & Administrative Management

• Conduct research and manage procurement processes for administrative goods and services.

• Maintain office supplies, services, and operational inventory, ensuring timely procurement and efficient management.

• Support regulatory declarations and submissions to relevant authorities and institutional stakeholders.

• Contribute to the optimisation and streamlining of administrative and operational workflows.

Position Requirements

• Must have the right to work in the United Kingdom 

• Proven professional experience within a startup or small non-profit/charity environment, demonstrating the ability to operate effectively in a fast-evolving international organisation.

• Dynamic, open, and autonomous disposition 

• Strong organisational and project management skills with the ability to manage multiple priorities with an impeccable attention to detail

• Good knowledge of HR administration and employment practices in international or multi-country environments

The Role

An exciting opportunity has arisen for the right candidate to lead our Training Team on developing and delivering training for all of National Numeracy's programmes.

Our training team is absolutely central to the success of our mission at National Numeracy. In order to reach and support as many adults and children across the UK as possible, we take an online train-the-trainer approach, by training Numeracy Champions and Volunteers in different settings. We do not teach any maths - instead we train Champions to raise awareness of the value of numeracy, supporting others to overcome anxieties, build confidence, and feel better about using and improving basic maths. We do not work with children directly, but train teachers as Numeracy Champions to support children and their families.

This team of two therefore have a busy calendar of training delivery, as well as the admin associated with this and with the work around capturing the impact measurement of our training. We are looking for someone who is not only an excellent and empathetic trainer who can confidently and reliably lead this dynamic activity, but can also work strategically with our Programmes Director to develop our training further, while line managing and developing our Training Officer.

The successful candidate will work closely with the other Programme Managers to ensure smooth and successful delivery of our activity, as well as across our wider team, managing the training budget, and liaising with our External Relations and Operations & Impact teams. This role is important in collecting impact and case studies as there it has regular direct contact with our Champions and our beneficiaries. There will also be opportunities to keep the whole National Numeracy team and our Board of Trustees informed about our training programme.

Through systematic and efficient management, the post-holder will play a pivotal role in CCLC’s financial and operational sustainability. The role will be accountable for maximising the unit’s legal aid billing in controlled work, certificated work and inter partes costs and will hold responsibility for the unit’s billing systems. It will also be responsible for private fees billing. The post-holder will oversee the smooth running of legal aid billing including through line management of the billing team. The post-holder will work very closely with legal, operations and administrative staff. The role will act as a key point of contact for a range of internal and external stakeholders including Coram’s central finance team who will support the role with grant fund management and overall accounting functions for CCLC. The post-holder will support the Managing Director of Legal Practice and Children’s Rights and department heads in the successful maintenance of our relationship with the Legal Aid Agency. Where appropriate they will be deputising for the Managing Director on legal aid and financial matters.

The role would suit a highly organised and efficient legal, or a finance or billing professional with solid experience of legal practice and a deep understanding of the challenges of legal aid. Whilst candidates with direct experience of legal billing (and more specifically civil legal aid billing) are welcomed, we recognise that this is a highly specialised and niche field. As such, this role could suit a highly experienced solicitor who appreciates the important role developing sustainable businesses plays in ensuring access to justice and who therefore wishes to move into practice and financial management. They will need an aptitude for processing large amounts of data, developing and managing spreadsheets and improving organisational systems. However, they will be well supported through training, an enthusiastic and competent junior billing team, the central finance team and an outsourced legal cashiering company, as well as a friendly and collaborative management team including the Managing Director and the Heads of Education Law, Community Care Law and Immigration and Asylum Law.

This is a largely office-based role in order to fully provide support to the billing team. However, some remote / hybrid working may be possible depending the experience of the candidate after the initial settling in period and there will be flexibility over how the four days will be spread across the week (within working hours). Role Purpose

GDI Hub CIC is seeking an experienced PA/ Team Assistant to provide high-level support to its CEO and Academic Director as well as support the wider team.

The successful candidate will enable the CEO and Academic Director to be more effective by providing proactive administrative, communication, and operational support. The role will act as a key coordination point across the organisation, ensuring priorities are managed, diaries are coordinated, and that the CEO and Academic Director’s time is used strategically.

In addition, the candidate will also support the wider GDI Hub CIC team, particularly Operations, Comms and Project Delivery.

The rapid rise and use of digital technology have permeated much of society and transformed the way many humans interact. There has been a broad array of research efforts, but the full implications - both positive and negative - on human physiology, psychology, behaviour, well-being and mental health remain unclear.  We believe there is an opportunity to help advance the research and the field of knowledge in this area. 

To this end, since mid-2024, HFF has established and will continue to grow a multi-year research portfolio in the UK and the US on the Effects of the Usage of Digital Technology on Brain Development, Social Behaviours and Mental Health in Children and Young People.  In 2025, we ran our first annual call and recently announced the outcome of these awards on our website.For our second annual funding round in 2026, we recently released an open call for proposals. 

As we continue to build our funding portfolio through annual funding calls, we are now looking for a Senior Funding Manager to join the small HFF Science Team in a permanent role. 

SUMMARY PURPOSE - WHAT YOU WILL BE DOING AND ACHIEVING

The Senior Funding Manager is a newly created role in the HFF Science Team.

You will work with the Director of Research and the Senior Programme Officer to administer the Foundation’s science portfolio of grants schemes, awarded grants and associated activities. You will manage and deliver the end-to-end grant application, review and award processes. You will act as a key point of contact for external liaison relating to the schemes. 

Working with the rest of the team, you will also help to develop and deliver events for Foundation grant holders. The role may require some domestic and international travel, including to meet grant holders for horizon scanning, monitoring and impact assessment purposes.

You may also contribute to the Foundation’s wider portfolio of work, and the delivery of our strategy.

KEY RESPONSIBILITIES

As a Senior Funding Manager, you will: 

• Take a leading role on managing a diverse grant portfolio from pre-application to post-award, ensuring robust due diligence, clear communication with applicants, high-quality committee preparation, supporting good governance and decision-making, and smooth implementation of funding decisions.
• Provide proactive and collaborative funding operations support to the Science Team and other HFF colleagues.
• Lead, coordinate and deliver funding schemes and calls, setting timelines and workflows, and managing all aspects of associated funding committees to enable efficient, well governed decision making.
• Act as a trusted advisor, offering guidance to applicants and colleagues on funding policies, applicant eligibility, assessment processes, allowable costs and best practice.
• Oversee, coordinate and deliver high quality peer review and governance, selecting appropriate expert reviewers, managing conflicts of interest, ensuring timely and transparent assessments.
• Ensure effective post award grant management and continuous improvement, resolving complex queries, assessing change requests, monitoring compliance and progress, and contributing to process enhancements that support high quality funding operations. 
• Partake in monitoring and impact assessment purposes – annual reports, end of grant reports, etc.
• Liaise with other funding organisations, as appropriate, for example, on the operation of joint funding schemes.
• Contribute to the HFF Science’s wider activities, which may include developing and delivering events for HFF grant holders such as a mini conference or workshop. This may require some domestic and international travel.
• Contribute to the Foundation’s wider portfolio of work, including drafting and providing information for papers for meetings of the HFF Trustees.
• Perform any other duties that might be reasonably expected, and which are commensurate with this level of post.

About the Role

Orbis UK is delighted to offer the role of Business Support Administrator, a new position for the charity, as the organisation seeks to grow and build on past successes to reach its target of achieving £10m income in the next 5 years.

This role is critical to supporting a highly performing group of staff as we seek to transform lives through the prevention and treatment of blindness. This role will sit within the Business Support Team (BST), which is responsible for the day to day running of the organisation and will be the key point of contact for all administrative queries that encompass the broad range of services that BST provide, from HR, IT, and Finance through to Travel, Facilities and Health and Safety.

This is an ideal role for someone who has an appetite for growth in their skills and knowledge and who has an aptitude for creativity and learning, in particular for areas of responsibility that may fall out of your current remit. You will need to demonstrate initiative and curiosity for the role and be prepared to challenge current practice and identify ways of improvement and finding efficiencies in the role, that will benefit the wider organisation.

Working within a new team where new ideas are promoted and encouraged under a newly appointed HR and Governance Manager, provides the opportunity for the new postholder to take ownership and make demonstrable change within a thriving international NGO.

We are looking for someone who has excellent, demonstrable communication skills, both written and verbal, who can demonstrate through their current experience an ability to take on new roles with enthusiasm and with a thirst for new ideas. A high degree of IT proficiency is important as the organisation seeks to use technology, including Artificial Intelligence, to work more effectively for the achievement of growth in the organisation. Knowledge of the NGO sector is desirable, but we are open to applications from across disciplines and expertise if you can demonstrate your aptitude for the role with a hunger to learn.

The main responsibilities of this role are:

- To provide effective administrative support to the Finance and Operations team and the wider team to ensure the smooth running of the charity.

- To support each of the organisation’s functions to enable them to perform to their highest ability, through provision of office administration, assisting with IT support and being able to communicate important updates necessary for the benefit of individual team members.

- To be organised, have excellent attention to detail and the ability to prioritise and manage a varied workload. You will have strong written and verbal communication
