Are you a keen problem solver with a talent for planning and coordinating high-level meetings?  

As our Medical Operations Officer, you’ll play a key role in ensuring our operations run efficiently and strategically enabling our medical teams to deliver maximum impact in cardiovascular science and patient care.

You’ll plan and coordinate high-level meetings, manage logistics, and work closely with the Portfolio Manager to support strategic planning and performance reporting. Your work will directly contribute to the success of our research and health programmes, helping us save and improve lives.

Key responsibilities

• Operational Delivery: Lead the coordination of key meetings with internal and external stakeholders and our biannual directorate all staff meeting with 100+ attendees.
• Meeting & Activity Coordination: Manage logistics for internal and external meetings—diary coordination, venue booking, travel arrangements while supporting with the preparation of agendas, capturing minutes, and tracking actions.
• Planning & Performance Insight: Work with the Portfolio Manager to gather and analyse data that informs strategic planning and performance tracking. Help develop planning materials and monitor progress.
• Cross-Directorate Collaboration: Work with colleagues across Research, Health, and other Directorates to support the successful delivery of BHF’s strategy.
• Operational Excellence: Maintain accurate organisational charts, distribution lists, and communication channels. Support onboarding of new staters by managing clear, informative resources.

This is a high-impact role where your operational delivery will help align planning, performance, and ensuring the right decisions are made and implemented effectively.

About you

You’ll be confident, highly organised with a strong background in administration, project coordination, and operational delivery. You'll also be used to working at pace, managing competing priorities, and keeping things on track with precision and calm.

With experience coordinating meetings and events, managing complex diaries, and supporting senior leaders—ideally at Director level, you'll be adept at handling sensitive information and skilled in supporting the preparation of agendas and meeting notes with input from both internal and external stakeholders.

Digitally fluent, you’ll be confident using Microsoft Word, Excel, and PowerPoint to produce high-quality documents reports, and presentations. With a sharp analytical mindset and keen attention to detail, you'll also have experience of interpreting data and translating it into clear, insightful reports that resonate with both technical and non-technical audiences.

A natural collaborator and excellent relationship builder, able to influence effectively and align stakeholders around shared goals, you'll bring strong organisational skills and a proactive, solution-oriented approach.

Working arrangements

This is initially a 14-month fixed term contract with the potential to be extended for longer. 

This is a hybrid role, where your work will be split between your home and at least one day per week, on average, in our London Office. This may vary from time to time, so you will need to work in a flexible way to unlock your best work for our cause.

Sex Education Forum was founded in 1987 and became an independent charity in 2021. We convene over 70 Partner organisations, working together to make sure that the relationships and sex education (RSE) young people get is right for them. We influence national policy, are a respected voice in the media and contribute to ground-breaking research on RSE. As a Face-to-Face Fundraising Manager, you'll be the driving force behind delivering our ambitious fundraising targets in this area, maximising opportunities, working with a range of agencies, stakeholders and your team to deliver our outsourced face to face acquisition programme in the UK, ensuring its success day to day.

About the role

Salary and benefits

JOB DESCRIPTION
Role Scope: Routine financial oversight including aspects of management and statutory accounting, budgeting, treasury, payroll and audit.
Role Description: The Finance Manager is responsible for overseeing accurate financial records and controls for Waverley Abbey Trust and subsidiary operations, managing a team of three, taking care of day-to-day banking, VAT returns, gift aid, insurance, etc..
Key Responsibilities:
•
Monitor the day-to-day financial operations within the company, including day to day banking transactions, current and deposit accounts, reconciliations and authorisation of all payments, payroll, and other transactions.
•
Ability to interpret complex financial information and provide updates and information as needed.
•
Assist the Finance Director (FD) in organisation-wide budgetary planning.
•
Monitor cash flow, bank accounts and financial transactions.
•
Efficient and rigorous financial administration including but not limited to VAT returns, gift aid, legacies, payroll, the workplace pensions scheme, and staff credit card management.
•
Maintain the fixed assets register and monthly depreciation of assets
•
Supervision and development of the Finance team to improve efficiency and working practices
•
Provide timely, accessible and useful financial reports for senior managers and other operational team members and proactively develop the quality and usefulness of financial reporting and communications to improve business performance.

All external and internal obligations, accounts, budgets and forecasts are prepared and reported in a prompt, accurate and timely manner.

Work with the FD and external accountants /auditors to manage the preparation and audit of end-of-year statutory accounts.

Alongside the FD, ensure all organisational financial practices are in line with statutory regulations and legislation and evolve and ensure adherence to finance policies and procedures.

Stay up to date with any relevant changes to charity legal and financial responsibilities, for example charity commission and HMRC reporting requirements.
Key Requirements & Skills
•
Preferable- Degree level qualification or ATT (or comparable) in accounting, finance management or similar.
•
At least 10 years’ experience in finance management and accounting.
•
Senior Management experience.
•
Ideally, not essentially, having some experience of the Charity and Higher Education sectors
•
High levels of familiarity and comfort with Sage 200, Microsoft office packages and computer-based accountancy packages.
•
Experience of payroll admin including workplace pensions and leave provisions (i.e. Maternity leave etc).

Confident and clear communicator in both written and verbal forms of communication
•
Highly organised with superior attention to detail, especially in planning , report writing and budgeting.

Duties and key responsibilities

Security Strategy & Risk Management:
•Develop and implement security strategies and operational guidelines for all field operations in high-risk areas.
•Conduct regular security assessments and threat analyses of operational environments and adjust strategies as needed.
•Provide recommendations to senior management on mitigation measures for identified security risks.
•Design and update security plans, contingency plans, and emergency evacuation protocols.
Staff Safety:
•Establish a strong safety culture for all staff, including expatriates/international volunteers and national personnel.
•Establish and maintain robust communication channels to inform staff of security-related developments and responses.
•Organise regular safety and security briefings and training for staff to ensure preparedness.
•Provide crisis management support during incidents involving staff security, including medical evacuations or other emergencies.

Security Operations:

•Ensure that all incidents are documented and managed according to internal reporting procedures.

Security Coordination:

Training and Capacity Building:
•Develop and implement security training programs for MAP staff, volunteers and partners, ensuring all are equipped with the necessary knowledge to operate safely in high-risk areas.

Compliance and Reporting:

Experience
•Bachelor’s degree in risk, disaster or security or emergency management or a related field

We are seeking a dynamic and forward-thinking Capital Project Manager to play a pivotal role in the transformation and development of our school estate. Reporting  to the Head of Estates and Projects, you will lead the planning, procurement, and execution of capital developments across our estate.
