WE ARE LOOKING FOR ASSISTANT CASE OFFICER TO WORK WITHIN OUR MISSION AND PASTORAL SERVICES TEAM

The Church Commissioners have the governance and management responsibility for the Mission and Pastoral Measure 2011, which provides a regulatory framework which enables the Church to support the provision of local worship, mission and ministry, and to adapt that provision as circumstances change over time. The Measures provides a decision-making process for changes relating to pastoral change, ministry provision change and church building change. The Commissioners also deal with processes under the Church Property Measure 2018 and the Church Commissioners' Chancel Repair Liability Measure.

The purpose of the role is to oversee and manage the decision making processes and provide advice under the Mission and Pastoral Measure 2011 (MPM), the Church Property Measure 2018 (CPM), and related legislation (including the Patronage (Benefices) Measure 1986 and the Church Representation Rules, and responsibilities relating to chancel repair liability (CRL). A major part of the team's role is to support the transition from the existing MPM, to a new Measure, and the related transition programme which will be rolled out to dioceses and parishes over between 2024 to 2027.

The Assistant CO post will work with mainly with the M&PS case officers to decision making and case work under the requirements of the legislation set out above. They will also work closely with the team managers to plan and manage the casework load and support the decision making processes of the Mission, Pastoral and Church Property Committee.

Main Responsibilities

• Conduct research into a range of technical and legal matters, including verifying the legal names of parishes and benefices, patronage details, and responding to related queries.

• Draft and publish Mission and Pastoral Measure (MPM) schemes for consultation, ensuring accuracy and clarity throughout the process.

• Support Case Officers in presenting MPM or Church Property Measure (CPM) decisions to the Mission, Pastoral and Church Property Committee, and assist with any subsequent appeals.

• Assist the M&PS Operations Manager in planning committee visits, public hearings, and other operational tasks associated with committee meetings.

• Contribute to the planning and monitoring of casework and performance reporting, working closely with the M&PS Operations Manager.

• Coordinate and manage internal and external meeting processes related to the above functions, ensuring smooth and efficient operations.

• Provide administrative support for the implementation of the new Mission and Pastoral Measure and the Measure concerning Chancel Repair Liability.

• Offer support in record management and data governance, including preparing briefings and information for performance and risk management purposes using dedicated data systems.

• Help the M&PS Operations Manager with planning and coordinating team activities such as monthly meetings, away days, and special events.

• Assist with communications activities, including the distribution of regular e-newsletters to diocesan teams.

• Support the coordination and promotion of the diocesan training programme.

• Assist with financial processes related to departmental expenditure, ensuring compliance and accuracy.

• Contribute to audit and risk management processes, maintaining high standards of accountability.

• Provide briefings and information to support internal NCI processes, including responses to General Synod or Parliamentary questions, and preparing materials for the Board of Governors and senior officers.

• Deliver general administrative support to the M&PS team, including handling post and printing tasks.

• Undertake any required specialist or generalist training to support the role effectively.

• A salary of £40,572, plus age-related pension contributions between 8-15% of salary. We will also match any pension contributions you make up to an additional 3% of your salary.

We are seeking a new Finance and Administration Officer following the retirement of a long-serving team member. A key member of the SLA central office team, the Finance and Administration Officer plays a vital role in ensuring smooth financial operations and providing essential administrative support for our membership. This role is responsible for maintaining accurate financial records, book-keeping and effective day-to-day financial operations, producing financial reports using our CRM (IMIS) and XERO, in addition to administration support.

You will be experienced in financial and administration operations of a charity or similar , with an AAT qualification or matching worked experience. Familiarity with XERO will be an advantage. You will be able to bring understanding of cashflow and financial analysis of figure, working with accountants as required.

You will also have excellent customer service skills and be able to work effectively with all stakeholders from our members, to funders to suppliers. You will be determined and have an excellent eye for financial and administrative detail. Your duties will include general administration and:

Financial operations and record-keeping

• Manage day-to-day financial transactions and maintain accurate records of all SLA accounts and petty cash; book-keeping
• Process and record all incoming payments, including foreign cheques (into bank account)
• Monitor cashflow and expenditure, keeping track of spending
• Pay invoices upon approval and ensure timely monthly payments (e.g. pensions, HMRC)
• Handle creditor and supplier communications and resolve related issues
• Monitor and follow up on overdue payments with a focus on membership payments

Invoicing and income tracking

• Issue and track membership and subscriber invoices and reminders
• Keep office team informed of payment statuses
• Prepare sales, cost, and profit reports for SLA publications
• Conduct annual publications stock take

Payroll and reporting

• Liaise with the accountant on salary payments; process salary BACS payments
• Support year-end financial reporting by providing necessary documentation to accountants
• Produce regular financial reports and analysis as required
• Supporting preparation of budgets, working with accountants as required

 Event financial administration

• Manage financial aspects of SLA events, particularly the annual conference (e.g., exhibitors, sponsors, and delegates)
• Process and record staff/trustee expense claims
• Support with bookings accommodation and travel for Board meetings

To be successful in this role you should demonstrate:

• Strong experience in financial and office administration

To support the PA to the CEO and Office Administrator, by running efficient and effective systems for front office and office operations. To support the Head of HR and work closely with the HR Officer in HR Administration. To cover for PA duties to the CEO when the PA to the CEO and Office Administrator is not available. This support and coordination role will help the office as a whole to sustain high professional standards and effectiveness.

The Office & HR Assistant is responsible for: office administration (50%), HR, Health& Safety & security administration (40%), finance administration (5%) and IT administration (5%). 

Office administration (50%)

• Answer the AKF UK main phone line and pass on messages to AKF (UK) employees as appropriate

• Open and process the post at the Aga Khan Centre and deliver to the relevant AKF (UK) employee

• Manage the “front office” email account and ensure emails are replied to or forwarded to the relevant AKF (UK) employee

• Support the greeting and receiving of AKF (UK) guests at AKC

• Book meeting rooms at AKC for colleagues and external partners and arrange catering as required

• Support AKF(UK) events, facilitate and support hosting of meetings and events for partners, including travel, visas, accommodation, and catering; this may require some out of office duties

• Manage the meeting schedule for All Staff Meetings and ensure that colleagues are confirmed for the presentation slots

• Preparing and sending out offer letters and contracts as directed by the Head of HR

• Support the onboarding process including sending reference requests and background check requests

• Arrange induction and logistical arrangements for new employees including setting up phone, email, mobile, laptop, etc and purchasing new equipment as necessary

• Add new members to benefit schemes such as the private healthcare plan as directed by the Head of HR • Arrange leaving process for AKF (UK) employees and ensure all equipment is returned

• Draft responses to reference requests

• Support the Head of HR with the administration of the HR Management System (MyAKF) including updating it for joiners and leavers

• Troubleshoot any issues or problems with the MyAKF HR system, working with the MyAKF helpdesk

• Provide MyAKF system training to new starters.

• Draft visa sponsorship letters for all AKF (UK) employees and submit for approval and signature

• Provide Visa invitation letters to visiting delegates/employees.

• Coordinate with our travel insurance providers to arrange additional coverage for employee travel where required.

• Maintaining our training systems including allocating courses, adding new hires and removing leavers and running reports as required

• Support the Head of HR to ensure that employee health and safety and workstation tests are up to date

• Act as a Health and Safety Officer and Fire Marshal for AKF (UK)

• Act as a AKF (UK) First Aider including obtaining annual certification

• Create and cultivate an office culture that contributes to the happiness and well-being of all employees, including arranging birthday celebrations, celebrating unit milestones, arranging quarterly and year-end activities, and creating a space and place employees enjoy working in and feel positive about

Finance administration (5%)

• Assist the finance officers with the company credit card processes

• Scan and file bank statements

• Scan and file purchase invoices

IT administration (5%)

• Liaise with internal IT support as necessary to trouble-shoot issues and order equipment

• Work with IT services to ensure that all software is updated and maintained on individual’s computers and hardware on a regular basis (e.g. regular back up of all system software and protocols, including latest updates of virus software)

Other

• Cover the PA to the CEO and Office Administrator’s workload during periods of sickness or annual leave 

• Undertake tour guide training so that visiting delegates and VIPs can be shown around the Aga Khan Centre and its internal Islamic gardens and courtyards.

• Carry out any other duties as assigned by the PA to the CEO and Office Administrator, Head of HR, Head of Finance and Operations, or the CEO.

Qualifications

• Educated to A-Levels desirable

• Qualified First Aider desirable

Skills

• Highly organised with strong logistical skills and proven consistent attention to detail

• Strong interpersonal skills, tact, patience and ability to work in a cross-institutional, multicultural environment dealing with senior and high-level officials/persons and VIPs

• Excellent written communication and presentation skills and ability to draft and write effective copy and present to a range of audiences from senior-level to partners and suppliers

• Comfortable working independently and under minimal supervision but also forming an essential component of a team

• Strong operational and IT skills as well as an openness to learning new software and tools

Knowledge

Experience

1. Working with SANEline Managers to triage contact requests to the wider Services Team and liaising with colleagues to ensure workflow.

Kempton Steam Museum, operated by Kempton Great Engines Trust, is home to the world’s largest operational triple-expansion steam engine, which supplied water to much of London until 1980. Our project, Kempton: Clean Water for Life – reaching a wider audience, is made possible with The National Lottery Heritage Fund. Thanks to National Lottery players, we aim to transform Kempton Steam Museum’s engagement with visitors and the local community, while enhancing support for volunteers and care of collections.

The part-time Curatorial Officer will be responsible for the museum’s curatorial activities, with a specific focus on achieving the required collection management standards for Museum Accreditation with the Arts Council by August 2026. This will include developing curatorial policies following Spectrum guidelines. There will also be opportunities to develop interpretive materials to enhance visitor understanding and appreciation of the triple expansion engines and our collections, to foster relationships with local communities and to provide training and support to volunteers on collections management and interpretation.
