THE ROLE
The Contracts Manager will join our Operations team to represent the Woodland Trust locally, supporting a diverse portfolio of sites within North England, in line with the Trust’s standards and ensuring the safety of our colleagues, visitors, contractors and volunteers. It shall be the Contracts Manager’s responsibility to support Site Managers’ in the preparation and delivery of grant applications, operational contracts and projects including silvicultural operations. 

The Contracts Manager will initiate, develop and project manage new innovative projects within and across the woodlands, working with external partner and a cross-departmental team of foresters, people engagement specialists, communications specialists and funders.

They will identify opportunities to streamline services, develop our contractor base and maximise the income and grant aid potential of work programmes. They are responsible for ensuring that all necessary agreements, mitigations and consents are in place in preparation for the delivery of contracts and in accordance with all Woodland Trust Health and Safety policies and procedures.

A company car will be provided with this role.

THE CANDIDATE
With previous experience in land-based management in the forestry, woodland management, or nature conservation sector, you’ll have experience in writing and reviewing site management plans, budget and contract management, and Health and Safety management. You’ll have experience in the writing and delivery grant schemes across woodland creation and for specifying, instructing, and supervising woodland management operations. You’ll be experienced in planning, monitoring, and delivering multi-disciplinary projects to time and to budget and in engaging with contractors and suppliers on pricing, implementation, and delivery.

You must have a proactive ‘can-do’ attitude, excellent communication skills, be commercially aware and able to build effective partnerships internally and externally.  You’ll have experience engaging with external stakeholders, communities and volunteers with a collaborative approach. A working knowledge of the operational, ie Forest Works Management of woodlands would be desirable.

A full driving licence is a must have, along with the ability to undertake travel across a wide area, sometimes to remote locations.  Occasional overnight stays will be required and you will be expected to live in the region and within easy reach of key sites in North England.

Hours: Part-time - 21 hours per week (Flexible working and hybrid working considered with at least one day per week in the office required)

Salary: £28,000 - £31,500 FTE

Grants Management System/Benefactor

•         You'll maintain and update grant management system.
•         You'll review content and create reports, as necessary.

In-house resources/General Admin

•         You will help update and produce in-house resources for approval by CEO and/or Executive                  Committee. These include application forms and guidance notes, annual review and reports,                 standard letters to beneficiaries, contact lists etc.
•         You'll update website pages, with other members of staff team
•         You will maintain and update standard operating procedures for processing applications.
•         You will provide general office administration including replenishing office supplies.

Any other duties

•         You will service and attend AGM and other meetings of PAG, as required.
•         You'll represent PAG with other organisations, as required.
•         You will undertake any other duties required by the CEO, Executive Committee and Committee           of Management.

Safeguarding Manager

Salary Range: £44,000 pro rata equivalent

Background /Summary:

In2scienceUK’s aim is to promote social mobility and diversity in science, technology, engineering and maths. We do this by leveraging the skills and passion of researchers and STEM professionals to support young people (16+) from low socio-economic backgrounds to achieve their potential and progress to degrees and careers in STEM.

The successful applicant will be joining In2scienceUK at an exciting point in its mission having recently launched a number of new initiatives, both in-person and online, to support young people build the skills, knowledge and confidence to build successful careers in STEM.

Role Summary:

We are looking for an experienced Safeguarding Manager to join our growing team and own our safeguarding processes end to end. This is a crucial role to ensure the safety of the young people we work with and that In2scienceUK provides a safe environment for all.

This role is part time and contract based and would be ideal for someone who has significant experience of safeguarding and child protection law, as well as experience

in carrying out safeguarding audits, implementing safeguarding processes for both in person and online offers, as well as internal and external safeguarding training.

Duties and Responsibilities:

• Review and audit existing safeguarding practices and procedures throughout the organisation.

• Manage and deliver a plan to improve practices and ensure compliance with all relevant legislation and guidance.

• Produce safeguarding policies, codes of conduct, and any other documentation needed to meet our commitment to safeguarding.

• Design and deliver effective in-person and online safeguarding training and guidance for trustees, staff, volunteers, partners and beneficiaries.

• Provide safeguarding support and guidance for our volunteers and partners, particularly concerning work experience placements and mentoring.

• Manage safeguarding concerns and disclosures as they arise, and escalate concerns in line with our safeguarding policies including making external referrals. 

• Ensure that our safeguarding records and processes are in compliance with Child Protection Law and GDPR regarding the processing of data and acting as a data controller.

• Responsible for fostering a culture of ‘safeguarding first’ across the organisation and with our volunteers, ensuring that our activities are designed with safeguarding embedded. 

• Stay up to date with all legislation and guidance on Safeguarding, child protection and protecting Adults at Risk within locations In2scienceUK operates and provides a single point of contact for this support - currently England, Wales and Scotland with ambition for future expansion.

• Support with the development of any policy, guidance and practice that relates to safeguarding our stakeholders, e.g. the legal status of work experience hosts, health and safety, DBS checks.

Knowledge and Experience:

Essential:

• Level 4 safeguarding accreditation.

• Strong existing knowledge of safeguarding and child protection laws in England, Wales and Scotland.

• Experience of implementing safeguarding processes to online, in-person and residential programme delivery designed for young people 16+.

• Experience of designing and delivering relevant training appropriately tailored to different audiences.

• Experience of working across departments and with trustees to produce appropriate processes and policies.

• Experience of dealing with being the first point of contact for complex cases for both children and adults at risk and making necessary referrals.

• Existing knowledge of Data Protection and how it applies to Safeguarding.

Desirable:

• Previous experience working with work placement and/or mentoring programmes and legal requirements for carrying these out.

• Previous wellbeing, counselling or similar training.

• Mental Health First Aid training

Key Responsibilities

1) Overseeing Financial Management, Reporting, and Monitoring (60%):

• Manage the financial aspects of funded scholarship programmes, including budgeting, reporting, and monitoring spending.
• Prepare narrative and financial reports for donors, coordinating with UWC schools.
• Lead the process of collecting and analysing data on scholarship recipient students and refugee students across all UWC schools for donor reporting, brochures and publications.
• Collate invoices from UWC schools, create invoices for donors and process invoices for payment.
• Ensure accurate record-keeping and efficient use of the accounting system.
• Support the improvement of impact tracking for funded programmes.
• Support the philanthropy and finance teams with the annual audit by coordinating information gathering and documentation on funded programmes’ financials.

2) Supporting Student Stewardship for All Funded Programmes (10%):

• Plan and organise annual onboarding and offboarding sessions for IO-managed scholars.
• Develop appropriate information materials for scholars and UWC schools to support timely and quality donor reporting.
• Implement a yearly offboarding survey with scholars, working closely with the Engagement Team.
• Support coordination between UWC schools and national committees during the selection process and pre-departure preparation.

3) Coordinating University Partnerships (10%):

• Coordinate partnerships with universities on behalf of UWC International, working closely with the Senior Adviser, UWC counsellors and EducationTeam.

4) Assisting the Philanthropy Team with Administration incl. Donation Services (20%):

• Manage donation management processes and support donor stewardship processes, including processing online donations through donation platforms and preparing donation acknowledgement letters for donors.
• Maintain data on Raisers’ Edge database and philanthropy dashboard, preparing management updates.
• Coordinate introductions for new philanthropy staff members at UWC schools.
• Oversee subscriptions to databases and respond to inquiries via email.

Person Specification

Experience and skills

• Financial Management and Reporting: Prior experience in financial management, budgeting, reporting, and monitoring, preferably in a nonprofit organisation or educational institution.
• Data Analysis: Experience in collecting, analysing, and presenting data for reporting purposes.
• Donor Reporting: Demonstrated experience in preparing narrative and financial reports for donors, with strong attention to detail and accuracy.
• Accounting: experience with accounting software for financial management.
• Audit Support: Experience in supporting annual audits, including coordinating information gathering and documentation.

We are seeking a Collections Development Manager in the Library of the Religious Society of Friends. You will manage the operation of the Library and be responsible for the ongoing acquisition and processing of printed and published material for the Library’s collections, in line with our Collections Development Policy. You will also work as part of a team to support the strategic review and development of our collections management.

Fundraising Manager – Job Description

Contract: 3 days a week

Location: Hybrid/home-based with at least half a day a week on site in Newham.

Reports to: Finance and Operations Mananger

Salary: £30-32k pro rata’d to 3 days a week.

Key Responsibilities

· Develop and execute comprehensive fundraising plans to achieve annual income targets in alignment with organisational goals.

· Work with the COO to develop long-term income forecasts to support organisational
plans.

· Identify new fundraising opportunities across all donor groups and develop innovative approaches to diversify income streams.

· Research, write, and submit compelling grant proposals to trusts, foundations, and other grant-making entities.

Person Specification

· Experience of trust and foundations fundraising in a charity is essential. Additional experience of other forms of fundraising is a bonus.

​Main purpose of the post 

We are seeking to appoint a Bids Manager with experience in managing the development and submissions process for successful research bids, to be part of a wider team that spearheads RUSI’s research fundraising efforts. Reporting to the Director, Research Business Development, the successful candidate will lead the process for preparing high-value bids, including drafting sections of the narrative and reviewing budgets, and be responsible for building central resources to improve and facilitate effective business development operations. This is a highly collaborative role that involves building very strong internal relationships at all levels of the organisation and with external stakeholders and skilfully managing competing priorities, personalities, and deadlines. We are seeking a team player with a pragmatic and positive attitude, who will enjoy learning about RUSI’s research areas and building stronger systems and processes to help us to make Business Development more efficient and successful.

​Key tasks 

• For UK Government, US Government, EU and Canadian Government bids, and bids over £100,000 value to RUSI:

• End-to-end project management of high-quality bids, including tender responses, funding applications and requests to participate. 

• Manage internal and external communications to ensure that the RUSI team, and partners, are aware of evaluation criteria, key themes, deadlines, and other critical information. Agree roles, responsibilities and timelines between key stakeholders.

• Compile and arrange high-quality and compelling bid language working with subject matter experts, draft responses to institutional questions, and offer quality assurance ahead of submission. 

• Review project budgets to be signed off by RUSI’s COO, ensuring that they are prepared consistently and in line with RUSI policies and funder requirements, working with RUSI research teams to achieve this. 

• Serve as the institutional point of contact for the key funders listed above – attend Early Market Engagements/supplier events, funder events, webinars, to ensure you are up to date on their priorities and RUSI is competitive with our bids. Maintain a centralised database and disseminate up-to-date information on each funder’s practices, key dates, preferences, upcoming opportunities etc. 

• For all other bids, review budgets for accuracy, competitiveness and to ensure costs are in line with RUSI’s policies and previous submissions, and, once finalised, seek approval from the COO.

• Work with the Director for Research Business Development, Research Directors and the Deputy Director General to identify and cultivate new relationships within each of the key funders, ensuring that we have good awareness of upcoming plans, expectations and priorities.

• Facilitate links to partner organisations (primes) and build and manage consortia-based relationships to ensure we have oversight of upcoming opportunities and are able to negotiate successful partnerships.

• Ensure use of best practice across research groups in our approach to bids and budgets, and that key documents, outcomes, research impact, and decisions are saved centrally for future use.

• With support from the BD team, develop and execute a plan to inform, train and mentor research and central services colleagues on best practice for bids, including a focus on wider business awareness.

• Respond to due diligence requests received by RUSI from research funders, ensure we have a central database of up-to-date policies and documents required to respond successfully and quickly. 

• Work with the Business Development team to build organisational systems and processes for effective BD, collaborate with BD colleagues to share feedback and ideas, support each other, and develop central projects to improve BD across the organisation. 

• Attend Business Development meetings with research groups and build strong relationships with project managers and project officers, capturing feedback and seeking input to BD processes and practices. 

• Manage the process for new funder approvals with the Deputy Director General.

About the role
Save the Children has an ambitious strategy, which requires us to take and manage an appropriate level of risk, often in complex environments, in order to improve the lives of the most marginalised children and communities that we work with. We are a large, complex charity and risk touches every part of the organisation and all aspects of what we do.

This is a new role within our General Counsel's Division and you will work with a wide variety of specialist teams across SCUK (e.g., Safeguarding, Legal, Health & Safety) who investigate incidents reported through SCUK's incident reporting and case management IT system (IRCM system).

You will act as the product owner for the system and will be the main point of contact with the software provider, responsible for ensuring that the system is configured and operating effectively to meet business needs and ensure that we can maximise use of the incident data.

A key objective for this new role will be to develop insightful reports and dashboards that help us analyse and monitor incident data relating to key areas of risk in SCUK's work, for example safeguarding, fraud, and health and safety. The aim will be to develop reporting and analysis that can identify trends and root causes to help us learn from incidents and improve the ways in which we respond to risks.

Key accountabilities will include:

Act as Product owner of SCUK's incident reporting and case management IT system (IRCM system):

• Responsible for the overall management of the system and ensuring that it is configured and operating effectively;
• Collaborate with specialist teams (e.g. Safeguarding, Fraud, Health & Safety) to understand business needs, gathering feedback on issues and functionality requirements, and exploring solutions and improvements;
• Manage the relationships with the ICRM software provider, SCUK technology team, and specialist teams to support the ongoing use of the system and to coordinate system updates and improvements;
• Review how we are utilising the system and the current licensing arrangements and make recommendations to optimise efficiency and cost effectiveness;
• Ensure training and user guides are available for new users and communicate system functionality updates to all users;
• Maintain high standards of data protection compliance in the configuration and use of the system through the completion and maintenance of privacy impact assessments;
• Develop mechanisms to monitor data quality for consistency and accuracy.

Incident analysis and reporting:

• Use appropriate data analytical tools such as Excel and Power BI to enable regular analysis of incident data to detect and monitor trends, including the proactive identification of emerging areas of risk and their causes;
• Develop clear and user-friendly reporting formats, such as dashboards and trend analysis, tailored to different audiences, including the Executive Leadership Team, the Audit and Risk Committee, and specialist teams;
• Convert data into actionable intelligence that enables the organisation to learn from incidents and highlights areas for improvement.
   

Reporting and case management processes:

• Monitor data quality from incident reports and liaise with specialist teams and incident reporters to ensure information is accurate and complete;
• Carry out initial triage of new incident reports, ensuring they are allocated to the correct specialist teams;
• Ensure mechanisms for reporting incidents through the IRCM system continue to meet the needs of incident reporters and specialist teams, as well as the teams managing regulator and donor reporting requirements;
• Track timely progress of cases to closure in line with agreed protocols

Stakeholder communication:

• Develop a communications plan to promote awareness around incident reporting throughout the organisation and relevant external stakeholders
• Manage the incident reporting and case management Sharepoint site and intranet pages, ensuring the provision of helpful and up to date information about incident reporting and investigation processes and procedures
• Act as focal point for promoting awareness of incident reporting as an important part of protecting people and assets, and in doing so contribute to a culture of openness and learning;
• Coordinate regular meetings for system users from specialist teams to share IRCM system knowledge and best practice, discuss common issues, trouble-shoot and monitor case management Key Performance Indicators;
• Assist with the timely completion of incident reports for institutional donors such as FCDO and other relevant external agencies/regulators

About you
You will need to be self-motivated and proactive with the ability to work independently, whilst also enjoying teamwork and able to work collaboratively with a diverse range of internal stakeholders across SCUK in order to understand business needs and develop appropriate solutions.

As the key point of contact for system users, providing training and guidance, and managing user access you will have strong interpersonal and communication skills. You will also build awareness around incident reporting processes and responsibilities with staff and volunteers throughout SCUK, helping to ensure that reporting is integrated in all SCUK's programmes.

To be successful, you'll demonstrate:

• Experience in high-level project management with excellent communication skills, both verbal and written.
• You are self-motivated; proactive and able to deliver results.
• You actively seek to improve existing processes and practice, and demonstrates a high degree of flexibility and adaptability to manage multiple tasks in a fast-moving environment.
• The ability to build credibility quickly and to communicate with impact, including influencing at senior management level.
• Excellent interpersonal skills, enjoying teamwork and high ethical standards.
• Experience configuring or managing an IT system or database.
• Knowledge of and/or experience in data analytics or the use of reporting tools such as Power BI.
• Awareness of risk management principles is desirable.
• Knowledge of and/or experience in incident reporting or case management is desirable.
• Knowledge of or experience in one or more of Save the Children's reporting areas (e.g., safeguarding, fraud, risk, health and safety) is desirable.
• Proficiency in the use of Microsoft Office Suite, including Excel, Word and PowerPoint, and ability to quickly learn to use new software.
• Discretion in dealing with confidential information.
• Commitment to Save the Children's vision, mission and values.

Ways of Working:

At Ham & Petersham SOS, we are devoted to improving the lives of older and disabled people in Ham & Petersham, Richmond upon Thames. We are seeking a Manager, to work part-time with flexible hours, to help us create joy, support, and companionship for those we serve. 

As a self-starter, you will have excellent communication skills, both verbal and written, as well as good IT skills including website management. This will enable you to manage all aspects of running our charity, aided by a small support staff. You will lead a compassionate team of volunteers, drive impactful programmes, and foster a sense of community. You will be responsible for grant applications and fund-raising to sustain and develop the work of H&PSOS. You will be supported by an active and engaged Board of Trustees.
