This full time role involves processing orders from online, phone and post and answering queries. 

As part of the Supporter Services team:

• Respond to customer queries received by telephone, letter, and email, always providing a high standard of customer service.
• Process books, subscriptions and events orders received by post, telephone and online.
• Pack and post orders that require sending from the office.
• Process donations received by all forms, including web donations.
• Allocate payments received by BACS, cheque, or credit card.
• Conduct sales ledger reconciliations.
• Open and distribute the post.
• Assist in credit control.
• Manage office stock levels.
• Assist in processing of renewals and subscription releases.
• Order office and event stock.
• Circulate advance copies.
• Assist finance team with statements to account.
• Administrative support to the Operations team as required.

Skills and Experience

Urban Saints are looking for a Resources Coordinator to join the team as maternity cover. This is a key role that will oversee Urban Saints' online digital resources platform (Energize). We’re a small charity with a global reach and an important purpose: to reduce the burden of pulmonary vascular disease.

PVD is a serious condition which can lead to heart damage and trigger symptoms like breathlessness, chest pain, fatigue, poor growth, fainting and light-headedness. It can reduce both quality of life and length of life, but it isn’t widely recognised, or well-understood.

We bring together an international network of professionals to improve clinical care, education and PVD research. The network comprises thousands of clinicians, scientists, academics and industry partners, supported by our small team in Bermondsey, London. Together we deliver conferences, e-learning, an academic journal, and we raise awareness of the condition.

Much of the work is done by international working groups, and we’re seeking a new Project Coordinator to provide administrative and project support to those groups.

The role

This role is about so much more than just coordinating the day-to-day operations of a busy FareShare warehouse: it’s about sharing the FareShare mission that “no good food should go to waste”. Your work will make sure that quality surplus food is helping feed people in need.

As a Warehouse Coordinator you will be the face of FareShare, involved in the supervision of a large team of volunteers to ensure our charity members receive their food orders each week. Each shift you will be responsible for ensuring health and safety of the team supporting FareShare, whether they are regular volunteers, supporters from our corporate partners, visitors to the warehouse, or your colleagues. Main responsibilities

In the FareShare Regional Centre warehouse you’ll:

• Get to know your team and respond to questions about FareShare’s mission, the food partners who support us, charities who receive food and the planned activities for the day
• Work as a team with the Warehouse Manager, warehouse colleagues and volunteers to ensure all shifts are well planned, supervised and meet daily operational needs
• Be responsible for the health & safety and security of buildings, vehicles, staff and volunteers, including the delivery of appropriate health & safety briefings
• Carry out & update risk assessments as defined by the FareShare operating manual and complete risk assessments for all new activity as required
• Ensure compliance with all FareShare policies and procedures and industry standards as required by food partners and regulators and that all staff, volunteers, food suppliers, charities and visitors adhere to them

In the FareShare Regional Centre office you’ll:

• Support the Warehouse Manager in managing the office, responding to emails and taking phone calls
• Support the Warehouse Manager in organising food distribution using the FareShare food management systems and training volunteers as required

Operating Hours and Shift Pattern

Position will be part of a rota: Monday – Friday either 7am – 3pm/8am-4pm or 9am – 5pm and, on occasional Saturdays on a rota basis.

Flexibility to provide cover for planned and ad-hoc absences as well as Public and Bank Holidays is highly desirable in this role and also offers the opportunity for additional hours to supplement the core hours.

We are looking for a Global Resources Coordinator to ensure operations within our global resources team run smoothly and efficiently. This role will work closely with the Head of Support Services supporting our volunteers and wider community through a range of services and events. 

You’ll work with our incredible volunteers to support others living with conditions and raise awareness and understanding of our work.  You will recruit and support people to engage in volunteering in the way that best suits them.

Alongside this you will undertake administrative work to ensure the smooth running of Support Services, and deliver our flagship in person events. 

You will report directly to the CEO and work closely day to day with the Head of Support Services. It’s an exciting role which offers the opportunity to develop a broad range of skills in a supportive, can-do, values led organization.

Role Description

Volunteers

o Working with the CEO and Head of Support Services develop and deliver the Volunteering Strategy for the organisation.

o Work to significantly increase the inclusivity of volunteers and the work done by volunteers.

o Oversee the recruitment of volunteers and ensure appropriate induction in collaboration with relevant staff.

o Deliver mandatory initial and ongoing training for volunteers.

o Working with colleagues, produce and keep up-to-date policies, processes and forms, ensuring volunteers understand and use these resources.

o Provide day-to-day support to volunteers, working closely with the Head of Support Services.

o Manage all volunteer programme communications in collaboration with the Communications Officer including: ebulletins, website, social media and print materials.

o Collect and process feedback and statistics and compile reports on satisfaction and effectiveness as required.

o Provide specific support for volunteering roles including;

Helpline and Telephone Buddies

o Support the transition of the helpline to a new scheme such as our telephone buddy scheme

o Support and review the telephone buddy scheme

o In conjunction with the Head of Support Services, support the implementation and ongoing management of a new Facebook support group

o Collate statistics on helpline calls and report on this monthly.

Local Support Groups

o Support the establishment of online condition specific and new regional groups.

o Undertake visits to Local Support Groups as appropriate.

o Working with the Finance and Operations Manager support the groups to use funds they have raised.

Other Volunteers

o Support Office volunteers in their day to day work, being the first point of contact and allocating tasks.

o Working with the Head of Support Services contribute to the development of the Lived Experience Committee.

o Working with the Head of Fundraising support and engage Ambassador and Fundraising volunteers.

Support Service Coordination

o Ensure the CRM system is up to date with all Support Services information.

o Ensure all statistics relating to Support Services are up to date.

o Ensure Support Services’ phone systems and booked calls are effectively and efficiently set up.

o Ensure accurate record of all research and surveys we are asked to engage in and follow up on outcomes of that research.

o Undertake any small administrative duties as required.

o Where required, provide support in managing the helpline emails.

Support Services Events

o Lead on the development and delivery of three one day conference style events annually.  These will be held throughout the UK and will offer panel discussions and networking for our community. 

o In partnership with the wider team, occasionally represent The Foundation by running information stands, coordinating volunteers and preparing information for external events such as industry conferences.

o Where appropriate attend and present at external meetings.

o Support the management and delivery of the portfolio of online and in person events delivered by the Pituitary Foundation in conjunction with the wider team.

About the role:

The MARAC Coordinator will coordinate, administer, and manage the operation of the MARAC. One of the main purposes of the role is to bring together agencies to ensure that local systems are truly keeping survivors safe, holding perpetrators to account, and preventing domestic abuse. A key principle of the post is respecting the independence of each agency and ensuring the MARAC’s key principles are survivor’s and children’s safety, offender accountability and giving a clear message that domestic abuse is s crime that will not be tolerated. The post holder will be located in Brent, and will meet MARAC partners in a variety of settings in the community. The post holder will also spend time raising awareness of the service, domestic abuse, and the MARAC in addition to training agencies on the MARAC and inducting new MARAC representatives on the MARAC.

The post holder will have an excellent understanding of domestic abuse and its effects on women and children, of best practice in supporting survivors of domestic abuse, and of the MARAC. The post holder will also have a good understanding of managing a project.

About You:

To be successful as the MARAC Co-ordinator you will need the below experience and skills:

Excellent understanding of domestic abuse and its effects on women and children, of best practice in supporting survivors of domestic abuse, and of the MARAC.

Thorough knowledge of safeguarding practice, procedures and legislation

A good understanding of the importance of confidentiality and anti-discriminatory practice, safe practice and health and safety procedures

Experience of risk and needs assessment, safety and support planning, and crisis planning and successfully managing high numbers of referrals

A clear understanding of the coordinated community response to domestic violence and abuse, how it relates to MARAC in particular, and experience of the purpose and workings of MARAC 

Experience of supervision/coaching of staff or volunteers, of managing performance and achieving targets through review of individual and team practice

Excellent written and verbal communication and presentation skills; including report writing, data collection and monitoring

Good understanding of managing a project
